System requirements The following technical requirements should be fulfilled to efficiently work with the system: Internet connection In order to work with the system, we suggest at least an ISDN-, but better a DSL connection. Internet browser following browser versions are tested and supported: Microsoft Internet Explorer 6.x (32-bit) Windows Internet Explorer 7.x (32-bit) Firefox 2.0 (Windows, Linux/Unix, Mac OS) Mozilla 1.7 (Windows) Netscape Navigator 7.2 (Linux/Unix) Netscape Navigator 8.1 (Windows) Safari 2.0 (Mac OS) Adobe Acrobat Reader from version 7.0 to open / print the PDF documents. Login The archive system can be accessed around the clock using the following internet address: Following login page will appear: Image 1: Login mask You will get access to the systems by entering the username and password which was provided to you while the registration. 5 2.1 Change Key word / password At the first system login you will be asked to change your initial password. Due to security reasons you will be asked in regular frequencies (180 days) to change your password again. Please enter your user name, the old password, the new password and then click change password. Attention: please see also attachment 1 for further information. 2.2 Lost keyword / password The implemented password rules are quite restrictive, so it will happen that you forget your password. At any time you can request your password, which will be sent to your account and was stored during the registration process. You only have to click on the link Forgot password on the logon screen, then enter your user name (which should be your supplier number at A+P) and you will receive your password via E- Mail. In the system When you have successfully logged into the system, you see a search mask in the central area of the screen and a menu structure in the left part of the screen. menue search Image 1 Entrance screen 3.1 Menu In the menu you have the following functionalities to choose from: My documents (= filter function) Support (= you can send an to the system support) Help (= opens this handbook) Crossgate ebox Handbook Version 1.1 Page 6/20

7 3.1.1 My documents Based on the document status you can quickly filter and display all documents which are available in the system. This can be very helpful, if you want to see all new documents (or documents which have already been read or downloaded). Attention: The quickest way to get your documents after login is to click Alll documents As needed click on one of the following menu points: Menu All documents New documents Read documents Downloaded documents Result shows all archived documents shows all documents with status new shows all documents with status read shows all documents with status downloaded Example: If you click on All documents you can see a hit list of documents available in the system: Image 2 Hit list of the filter function Crossgate ebox Handbook Version 1.1 Page 7/20

8 3.1.2 Support Clicking the menu point support will open (depending on your applied program) a blank , which you can address to the system support Please do not fail to insert your Supplier number and other contact details (Name, phone number). This will help us to directly solve your problem or get in contact with you Help Clicking the help button in the menu opens the latest version of the system handbook (which you are currently reading) as a PDF document Internet Explorer Settings Accept Pop-Ups : Click in the menu of the Internet Explorer on extra and on Pop- up blocker. In the Drop-Down Menu click on the button Pop-up block settings. After that fill the URL in the field address of the website, which should be accepted and click on Add. 9 Allow Zip-files and appendix: After you allowed the Pop-Ups of the archive, you need to change the security settings. Click on Extras in the Internetexplorer, followed by clicking on Internet options. Crossgate ebox Handbook Version 1.1 Page 9/20

11 There you need to activate all three settings and validate it by clicking on the ok button. You will receive the following warning: Please affirm this warning by clicking on yes. 12 3.1.5 Mozilla Firefox Settings Accept Pop-Ups : To accept Pop-Ups in the Mozilla Firefox, click on the Button Extras and on Settings. 13 Afterwards you will see the following screen, in which you will write the URL of the website and click on accept. Please close the window by clicking on close. Now you can download and see all files of the archive. Crossgate ebox Handbook Version 1.1 Page 13/20

14 3.2 Search The search helps you to find your credit note documents, which have been archived over the years. The regular search and a full-text search are available for you: Regular search You can narrow your search criteria by selecting a certain document type. As far as required, you can choose a limitation to one of the document types here for example the invoices. For listing all available invoices you need to type a * in the full-text search and select invoice in the drop-down menu. After that you need to click on another keyword; or you narrow the search by In the following graphic you can see the search mask, which you can use for searching relevant criteria of the invoice documents. 15 In the previous example the document date will be choose later as 06/08/2008 Clicking you will get a hit list with the documents fulfilling your search criteria Please note the following features: search criteria content note date Later than finds all documents which were issued at the same day or after the selected date number format (depending on the selected browser version): mm/dd/yyyy e. g. 06/08/ Full-text search The system provides a very effective full-text search too. With it you can search for an absolute optional index of the PDF documents. The full-text search will find this word, if it is contained as a complete word respectively complete search keyword in the PDF document. Proceeding: Book into the superior area of the search mask under documents search with the favoured search keyword. 16 Now you can open the documents, print or download. These procedures will be described in the next chapter. 3.3 Hit list The hit list shows all documents central, which exist in the system by search, full-text search or by click on the actual link in my documents according the chosen criteria. The hit list is therefore always the basis for opening, downloading and printing the allocated credit advice documents: Image 3 Hit list Open documents You can open a PDF document, whilst you display the cursor onto the document and click on it: As a result there will open a dialog respectively saving document according to your browser/ system software: Crossgate ebox Handbook Version 1.1 Page 16/20

18 3.3.2 Open of attended documents The accompanying documents could be simple opened, while you click to the small dart beside the document name and click on the requested document afterwards (i.e. verification report). All documents to one event can be downloaded combined as a ZIP file Assorting You can sort the subject matters of the hit list per click of the actual break title (for example date of issue alighting). One more clicks onto the same break title, the list will be sorted in the reverse order (for example date of issue rising): The break title Content type can not be sorted Download different documents If you want to download different documents at once, you can do it by clicking the box next to the document and download by Actions Download marked elements as ZIP file: Crossgate ebox Handbook Version 1.1 Page 18/20

19 3.3.5 Change of the document status The status of the document will be changed automatic from the archive system. New documents in the system carry the status new, read documents the status read, documents and downloaded documents (as described in capture 3.3.3) the status downloaded Column View If you want to see all available columns, please click in the drop-down Menu on All Columns. You will see all available columns including the contents. The column view for the specific document type (i.e. Invoice ) is the same for all document types. 20 4. Appendix II Password Rules To access the archive you need a valid username / password. Generally a weak password causes the biggest gap in security. To counteract this fact we use a strong password for the archive system. Below you find the basic password rules: The initial password has been set by Crossgate and must be changed during the first login. The password. must be at least 8 characters long must contain at least one numeric character must contain at least one uppercase character must contain at least one lowercase character can not contain three or more same characters in a row (this includes mix cases) can not contain a sequence of three numbers or a sequence of three characters (this includes mix cases). can not be equal to User ID (substring of User ID is ok if not more than 4 characters) can not be equal to the last five passwords retyped password must match upper password entry Passwords are forced to be changed every 180 days Examples for correct passwords: Test2468 Eur@2008 ValEOPaSSWor6 Examples for incorrect passwords ValEO (to short, contains no number) Test1234 (three or more following characters) TEST2345 (does not contain lowercase characters) Crossgate ebox Handbook Version 1.1 Page 20/20
