6 User settings Application defaults Select Tools -> Options -> Application Defaults You do not need to change these settings but especially the two first paths are important to know because all your Excel files and Script files (*.qsq) that you create will by default be stored in these folders. 6 6

7 User settings SAP Defaults - Remember last logon password: If set, Query remembers SAP password during the session - SAP logon.ini folder: Change directory, if you experience SAP login issues from Query 7 7

8 User settings Admin defaults - to access Admin defaults, you need to start Query with Run as Administrator - you will be prompted for password: default password for Admin is queryshuttleadmin - it is important to check carefully these settings to have either full functionality or controlled level of functionality 8 8

10 Creating the first QUERY Example with Customer General and Sales data Perform the script creation steps Select Map Run 10 10

11 New, Select, Create Query STEP 1 SELECT data for the query ( Create Query Using Winshuttle Templates ) Create Query Using SAP Recording test for example MM02 Connect to SAP Select tables and fields, define filters Save your Query 11 11

12 Start selection Press New to start selection, and choose one of the options: - Create Query - Create Query Using Winshuttle Template - Create Query Using SAP Recording 12 12

13 Connect to SAP First time when connecting to SAP, select correct system, check Use selected system as default Provide SAP credentials

14 Select and Fill in Query Script Properties For Create Query option, fill in Query Script Properties: - Data Source - Title, Reason and Comments (not mandatory) - Lock and Password (not mandatory) 14 14

15 Select and Fill in Query Script Properties Data Source: - Tables: Standard SAP tables as source - InfoSets/Queries: Please check Query manual for details - Logical Databases: Please check Query manual for details 15 15

16 How to find SAP tables for a Query? 1) On SAP field press F1, Click on Technical Information 2) Winshuttle Data Dictionary in Query Builder 3) SAP transactions SE84, ST05 4) Plenty of good internet sources: SAP Community network etc

17 How to find SAP tables for a Query? - For finding tables, after a while you ll learn basic tables for common SAP areas quite fast to get started: - EKKO-EKPO Purchase orders - VBAK-VBAP Sales Orders - MARA-MVKE-MARC-... Material master - KNA1-KNVV-KNB1-... Customer master - Etc. It is NOT so difficult! - Whatever help or advice you find or use, still YOU need to carefully validate selection of correct tables and results for your company s SAP 17 17

18 Add tables to your query - Click on Search In Data Dictionary - Select Search in Winshuttle or SAP Data Dictionary - Enter Table Name and Click Search - Select Table and Add Table in Data Dictionary - Repeat the above steps to add all your needed tables 18 18

19 Add tables to your query - You can also Search for tables in Winshuttle Data Dictionary - Tables are grouped by SAP module and SAP transactions - Table names can be stored in Favorites folder 19 19

20 Join and select fields - Flag the fields you want as results and / or selection - Key fields can be automatically joined, you can also create the link with mouse drag-and-drop - By default the join Inner Join - You can remove the Join or Convert to left outer Join by right-clicking the Join 20 20

21 Define record selection criteria - Flag the Column Selection for the field(s) you want to use as data record filtering - Choose Selection Type Fixed or RunTime and Click to define your filter criteria Operator - With NOT-selection you can set exclusion - Padding setting can be toggled to change leading zero setting

22 Preview - You can test you query structure by running a test in Preview - Click on Show Preview - If you defined Runtime Selection Type, fill in your filter values, and click OK 22 22

23 Preview - Preview will show sample of your data - If empty, investigate your query definitions, and possibly check data in SAP - If OK, Save your Query and exit Query Builder Screen 23 23

24 Map -Select Create mapping Or Auto Mapping - Auto Mapping will create mapping of all result fields into Excel columns in default sequence 24 24

25 Create Mapping -You can still select AutoMap or Map the fields individually by drag-and-drop from field list to Excel preview - You can also change the destination data type - Save mapping and preview (Excel) 25 25

26 Run - When mapping ready, or opening an existing query, select Run - You can also select/save Advanced Run Options - Give Your SAP credentials 26 26

27 Run - Select from taskbar Excel, click to open... Done! Results in Excel 27 27

28 Additional Features Record selection by file input - In the query builder, selection screen, select Operator In and add path to text or Excel-file Limitations: - max 1000 lines input - max characters for the total size of the query statement 28 28

31 Additional Features Embed script in Excel file - You can run the Query from Excel - Select Menu Winshuttle, add-in Query - Select correct Query Script, and Run 31 31

32 Additional Features Query-Transaction Round-Trip You can map same Excel file to both Query and Transaction script 1.Read with Query 2.Filter 3.Change only filtered data into SAP with Transaction 32 32
