2 GENERAL INFORMATION. The Scanners can be used to scan Text Documents, Graphics (Diagrams/Photographs) or a mixture of both. The results from the Scanners can be saved to the following destinations. Your private space on the Network, P: Drive. Floppy disk, A. (Size below 1.44 Mbytes) Zip Disk 100/250, D. CD Read only Rom, E. CD Rewritable Rom, also E: There are a number of ways to use the installed software. However this guide describes the simplest way to get the best results. There is an Automatic Document Feeder fitted to both Scanners, instructions for them are at the end of the guide. The second scanner has operating buttons on the facia, the use of these buttons is described in the Addendum. The Guide below can be used for both lsscan and lsscan2. SCANNING GRAPHICS DOCUMENTS 1) Log on as an open access user. You will access your account and also have the scanner software available. Alternatively log on with the username lsscan and password lsscan. 2) Place the item to be scanned face down on the glass surface of the scanner and close the lid. 3) Click the Start button, then Programs followed by HP Scanjet Software and finally HP Precision Scan Pro. 4) When the software has loaded, click on the icon at the far left hand side which shows a scanner with an open lid. 5) Once the scanner has finished previewing the document, it will be shown on the screen. You must now select the area you wish to scan. Place the mouse cursor at the top left hand corner and click the left mouse key. While holding the key down move the mouse until a rectangle has been drawn around the area you wish to scan and then release the mouse key. 6) If you are not happy with the selection press the Esc key and repeat step 5 until you have the correct area bounded by the rectangle. Next press the second icon from the left which shows a scanner with a + above it. Your selected area will now be scanned. 7) To save the file, click Save as. Select JPEG, for the file format, since this format compresses the file and will take up less room. 8) Save the file to the floppy drive, or to save it to the Zip Drive click on the down arrow to the right of the Save in box and select the D: drive from the drop down box. 9) To save the file to a CD Rewriter (CD-RW) ensure that it has been formatted (see relevant section in this document) ensure that the disk is mounted, click on Save as, click on the down arrow to the right of the Save in box and select the E: drive from the drop down box. 10) To make the file available to you on Open Access PC s save the file to the P: Drive. 11) To save it to the CD Rom, save the file to the desktop and continue onto the Nero Burning section of this guide TE 08/07/02 2

3 SCANNING TEXT OR MIXED DOCUMENTS. To scan documents into a format where they can be edited using Word 97/2000, follow these instructions. 1) Log on as an open access user. You will access your account and also have the scanner software available. Alternatively log on with the username lsscan and password lsscan, (using this method will not have the P drive available). 2) Place the item to be scanned face down on the glass surface of the scanner and close the lid. 3) Click the Start button, then Programs and finally Caere Omnipage Pro 10 4) At the left hand side of the screen ( Shown above) there are three buttons. Select AutoOCR. Move along the four selection boxes across the screen and set your requirements. a) Document source. This is normally Scan B/W. If scanning mixed graphics/text set this to Scan Colour. b) Original Layout. The selections are Single Column, Multiple Column, Spreadsheet and Mixed Pages. Select the one the most closely matches the document to be scanned. c) Output Format. This can normally be left on True Page. d) Export Destination. Save as File should be left on here. Press the green start button and scanning will begin after a short pause. 5) At the completion of the scan the Auto Scan Next Page from Flatbed box should appear (see below). At this point more pages can be added by clicking Pause, placing the fresh page TE 08/07/02 3

4 on the flatbed and pressing Scan Now. Alternatively press Stop Scanning to end the scanning session. 6) Once the session has been completed, the document will be offered for Proof reading. A suspect word will be highlighted and a suggested replacement will normally be shown. Three options are available a) Pressing the Ignore key will accept the original text. b) Pressing the Change key will accept the suggested replacement. c) Typing over the suggested replacement and pressing the Change key will change the highlighted word to your typed replacement. 7) Click on Save to save the file. Check the file type is Word for Windows 97,2000 [TP] (*.doc) (see below) and name the file. The destination must now be set. Each of the drives detailed on the first page can be used, with the exception of the CD drives. Click the drop down arrow at the top of the Save As panel and select the required drive A,D or P. Ensure that the Save and Launch box is NOT ticked and press OK. Select the required drive A, D or P and press OK. TE 08/07/02 4

5 8) To save on CD Roms, follow the method above to save the file onto the Desktop. Then go to the next section of this Guide on Nero Burning and continue from there. NERO BURNING (Saving to CD ROM) 1) Press the Start Button then Programs and finally Nero Burning. 2) Once the software has started a box will appear as shown below. Ensure that the icon for CD ROM (ISO) is highlighted. 3) Click on the radio button to the left of Start a Multisession disk to create a new multisession CD. Click on the radio button to the left of Continue Multisession disk to put extra files onto a previously created disk. Then click the New button. 4) Select a track on which to continue writing by clicking on the last track and then click OK. TE 08/07/02 5

6 5) The screen shown below will now be appear. Drag and drop the files required from the desktop into the second column from the left. 6) Press the Burn CD icon which will bring up the Write CD box. Click the Write button. 7) The CD will eject when the file has been written to the disk. 8) NB, Do not save any defaults. Please delete any files left on the desktop before logging off the PC. 7 InCD (Saving to CD Rewrite Rom) FORMATTING THE CD Unlike most software icons, which sit on the desktop, the icon for InCD (showing a red downwardpointing arrow) resides on the right-hand side of the task bar at the bottom of the screen, as shown below. Re-writable CDs must be formatted before they can be used for writing and reading. To begin right click on the InCD icon and then left click on Format. This will bring up the following panel. Click on Next and the panel below will appear. Type a Volume label in the Label area. Use a name that will enable you to recognise the CD whenever the drive contents are listed, and then click on Finish. The formatting may take up to 30 minutes, during which time the panel below will be displayed with a progress bar showing. (However, other work can be carried out at the same time as the formatting). Once the formatting is complete, the disk will eject. The disk is now ready for use. TE 08/07/02 7

8 WRITING TO A FORMATTED CD-RW DISK Whenever a formatted disk is inserted into the CD writer the following panel will be displayed. (Note that the drive letter may be different from that shown.) Click on OK. You can now read, write and erase files on the CD using Windows Explorer just as you would with a floppy disk. EJECTING THE DISK The CD-RW cannot be ejected from the drive by pressing the button on the front of the drive. It must be demounted. To do this, right click on the InCD icon on the taskbar and left click on Eject. This is the only way to remove a disk from the drive. NOTES When a disk is mounted, the InCD icon on the taskbar will show a green upward pointing arrow. If the drive is empty, the icon will show a red downward pointing arrow. A disk that has been formatted using the InCD software can be used on all Open Access PCs in the University with CD writers for reading and writing, or on any Open Access PC for reading only. If, however, you wish to use the disk at home, then a small file must be loaded on to your PC. A copy of this file may be borrowed from Advisory (in the Main Library, level 2, room 206). 9 USING THE AUTOMATIC DOCUMENT FEEDER 1) The ADF attachment fitted to the scanners should be used when a number of pages need to be scanned together. Please note that this method is not as accurate as scanning directly from the flat bed. 2) Ensure that the purple lever on the ADF attachment is in the number 1 position. (Scanner 1) 3) Collect the pages to be scanned together and place them text uppermost into the ADF attachment. Keep the pages tight against the left side of the paper slot and gently push them forward as far as they will go. 4) Move the purple lever into the number 3 position. 5) For the 2 nd scanner (lsscan2) place the documents text uppermost into the ADF, adjust the guides by moving them in or out then gently push the stack into the ADF until the stop is felt. There are no levers on the second scanner. 6) Start the OCR software as in the Text Scanning section above. 7) The scanner will scan all pages one after another without any further user intervention. You will be able to proof read and correct the document while it is scanning other pages. 8) When all the pages have been scanned the box below will appear. Press Stop Scanning. TE 08/07/02 9

10 Addendum LSSCAN2 Switch definitions. Power Switch Rocker Switch Scan to Switch Toggle Switch The only four buttons that work with the installed software are shown above, instruction for their use are shown below. Power Switch. This use of this button is self explanatory, also use this button to power up after the scanner switches into power saving mode. Rocker Switch. This switch changes the destination of the Scan to Switch. Press the switch at the top or bottom to cycle through the installed software that can receive scanned images. The software names will be visible in the LCD panel above the switches. Scan to Switch. Pressing this switch will scan the item placed on the scanner bed, then initialise the selected software and place the scanned image in that software. Please note that this one button option does not work with documents in the ADF being scanned into Omnipage 10, but will work with single documents placed on the scanner bed. Toggle Switch. This switch toggles between colour and black and white scans. TE 08/07/02 10
