4 SIU Class Admin Role Description Class admins are responsible for facilitating the registration and tracking of live classroom training in SIU so logistics and completions can be tracked. Responsibility Class Admin responsibilities include: Creating scheduled offerings in SIU for classroom session tracking Assigning instructors and rooms to scheduled offerings Registering associates, marking attendance, and closing workshops/classes in SIU Printing sign-in sheets Running and sharing usage/completion reports Assignment Class admins are assigned by a program representative (i.e. VP of Operations for the Fundamentals of Leadership for Operations program, VP of Sales for Frontline Supervisor: Sales). Before Beginning The required online training must be completed before permissions are granted in SIU. If an associate needs to take the training to become a Class Admin, they should contact the SIU team (SIU@corp.sysco.com) for more information. Review the glossary of terms at the end of this guide to get familiar with the terminology used throughout this guide and on the SIU site.

5 SIU Class Admin, Continued Add Learning Administration to Favorites SIU highly recommends adding the Learning Administration page as a favorite for faster access. Follow the steps below to add the Learning Administration page as a favorite. 1 Click the Home drop down arrow in the top-left corner of the screen. Select Admin Center from the drop-down list. Click Learning (SIU) in the Company Processes & Cycles section. Click the star icon next to the Learning Administration link. Results: 1. The Learning Administration link is added to the My Favorites section on the Administration Tools page.. The Learning Administration link is added to your My Admin Favorites tile on your Home page.

6 SIU Class Admin, Continued Access the Learning Administration Page There are three ways to access the Learning Administration page. Choose one of the methods outlined in the following tables to access the Learning Administration page. First Method Click the Learning Administration link in the My Admin Favorites tile on the Home page. 1 Note: Class Admin must add the Learning Administration page to their favorites to use this method. See the Add Learning Administration to Favorites section of this guide for instructions. Second Method Click the Home drop-down arrow in the top-left corner of the screen. 1 Select Admin Center from the drop-down list. Click the Learning Administration link in the My Favorites section. Note: Class Admin must add the Learning Administration page to their Favorites to use this method. See the Add Learning Administration to Favorites section of this guide for instructions. 6

7 SIU Class Admin, Continued Access the Learning Administration Page (continued) Third Method Click the Home drop-down arrow in the top-left corner of the screen. 1 Select Admin Center from the drop-down list. Click Learning (SIU) in the Company Processes & Cycles section. Click the Learning Administration link. Note: s in the rest of this guide state Access the Learning Administration page. Class Admins are responsible for learning and using their preferred method of access in these instances. 7

8 Scheduled Offering Creation and Editing Create a Scheduled Offering Follow the steps below to create a scheduled offering for an item. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Result: The Items page opens. Click the blue filter next to the Item Types field. Select the checkbox for Class. Click the Add to Filter button. 6 Click the Submit Filter button. 7 Enter the course ID in the Item ID field. 8 Click the Search button. Click the item title link in the Item column of the search results Note: Scheduled Offerings should never be created for online courses. Click the Schedule link from the s section at the top-right of the screen. 11 Leave the pre-populated information in the 1. Summary Information section. 8

Schedule Information section. Enter the session Start Time using HH:MM AM/PM format in the. Schedule Information section. 1 1 Notes: The format must be entered correctly or an error message will appear when the session is saved. The Time Zone defaults to the Class Admin s time zone. Select the operating company from the Facility drop-down box in the. Resources section. 1 Select the room from the Primary Location drop-down box in the. Resources section. Note: If locations are missing, contact the SIU team. Enter the instructor s network ID in the Primary Instructor field in the. Resources section. 16 Notes: If instructors are missing, contact the SIU team. If the instructor s network ID is not known, use the magnifying glass icon to open the Instructors window and then click the Search tab. Click the Save button. 17 Results: The scheduled offering is opened for further required actions. The associate listed as the instructor automatically receives an with class information and an Outlook calendar appointment attached. Tip: Make a note of the unique offering ID that appears in the right corner of the scheduled offering title bar. 9

10 Scheduled Offering Creation and Editing, Continued Class Admin Responsibilities and Tools Important Scheduled Offering Fields After the session is created, the following fields must be filled in for notifications to work effectively: Contact Created By (Network ID) Follow the steps below to fill in these required fields. Open the scheduled offering. 1 Note: This happens automatically after creating the scheduled offering. If the scheduled offering was closed before these fields were updated, refer to the Search for a Scheduled Offering section of this guide for instructions on finding the offering again. Enter the Class Admin s or Instructor s first and last names in the Contact field. Note: This name should be whoever should be contacted with questions regarding the session. Enter the Contact s address in the field. Enter the Class Admin s network ID in the Created By field. Click the Save link. Note: The Save and Cancel links appear in a tab to the bottom right of the fields only after a change is made. 10

Click the Learning button from the options at the top. Click the Scheduled Offerings button from the options on the left. Enter the unique offering ID in the Scheduled Offering ID field. Click the Search button. 6 Click the unique offering ID link in the Scheduled Offering ID column of the search results. Tip: Bookmarking scheduled offerings allows for faster recall without having to search. See the Bookmark Scheduled Offerings section of this guide for instructions. 11

Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Click the current operating company listed in the Facility field. Select the new operating company location from the drop-down list. Click the Save link that appears to the bottom-right of the scheduled offering details area. 6 Update Scheduled Offering Date, Time, Location, Instructor Follow the steps below to update the date, time, location, or instructor for a scheduled offering. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Click the Segments link from the Related section. 1

Use the appropriate fields in the Edit Segment window to update scheduled offering details. 7 8 Click the Save and Close button. 9 Click the Resend Registration Notifications link to notify learners of the changes made the scheduled offering. 1

14 Scheduled Offering Creation and Editing, Continued Class Admin Responsibilities and Tools Update Scheduled Offering Min/Max Registration For all scheduled offerings, the minimum registration defaults to one and the maximum registration defaults to 100. Follow the steps below to update the minimum and maximum registration, if needed. Note: Changes only need to be made when class seats are limited or learners register themselves. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Click the View All tab. Enter the new Minimum Registration. Note: This should always be at least one. Enter the new Maximum Registration. 6 7 Click the Save button. 1

15 Scheduled Offering Registration Before Adding Associates to Roster Follow the steps below to update search fields before adding associates to the roster of a scheduled offering. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Select the Registration link from the Related section. Click the Add button. Click the Add/Remove Criteria button. 6 Note: s 6-8 cover adding the operating company filter and only need to be completed once. If this filter has already been added, skip to step 9. Click the Job Locations, Network ID, and Classes checkboxes. 7 Click the Select button. 8 9 Result: The search fields are added. Continue adding associates to the roster based on preferred method. Note: See the Add Associates to Roster by sections of this guide for further instructions. 1

16 Scheduled Offering Registration, Continued Add Associates to Roster by Network ID Follow the steps below to add associates to a roster by their Network ID. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Select the Registration link from the Related section. Click the Add button. 6 7 Enter the associate s Network ID in the Network ID field. Click the Search button. Select the checkbox in the Add column for the associate. 8 Notes: If the associate does not appear, verify their Network ID is entered correctly. If associate Network IDs are not known, contact the SIU team. Click the Add button. 9 Results: The selected associate is added to the Enrolled section. Associates added to the roster automatically receive an with class information and an Outlook appointment attached. 16

17 Scheduled Offering Registration, Continued Add Associates to Roster by OpCo Follow the steps below to add associates to a roster by their OpCo. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Select the Registration link from the Related section. Click the Add button. 6 7 Click the filter icon next to the Job Locations field. Click the checkbox in the Select column for the appropriate operating company. 8 Click the Add to Filter button. 9 Click the Submit Filter button. Click the Search button. 10 Tip: Enter an associate s Network ID or last name in the Network ID field to find a specific associate and add them one by one. 17

18 Scheduled Offering Registration, Continued Add Associates to Roster by OpCo (continued) 11 Select the checkboxes in the Add column for each associate who needs to be added to the roster. Click the Add button. 1 Results: The selected associate is added to the Enrolled section. Associates added to the roster automatically receive an with class information and an Outlook calendar appointment attached. 18

19 Scheduled Offering Registration, Continued Add Associates to Roster by Class Group Roster Follow the steps below to add associates to a scheduled offering roster using a class group roster. Note: See the Class Group Roster section of this guide for instructions on creating and editing class group rosters. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Select the Registration link from the Related section. Click the Add button. 6 7 Click the Search button. Select the checkbox in the Add column for the associate. 8 Notes: If the associate does not appear, verify their Network ID is entered correctly. If associate Network IDs are not known, contact the SIU team. Click the Add button. 9 Results: The selected associate is added to the Enrolled section. Associates added to the roster automatically receive an with class information and an Outlook appointment attached. 19

20 Scheduled Offering Registration, Continued Remove Associates from Roster Follow the steps below to remove associates from the roster of a scheduled offering who have given advance notice that they will not be able to attend the class.. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Result: The Items page opens. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Hover cursor over the associate in the Enrolled section. Result: A window with associate information opens. Click the Remove User link. Result: The associate is removed from the roster and receives an notification. Note: The warning appears for associates who do not have an . If this is the case, be sure the associate is aware that they are no longer enrolled. Note: Associates who register for a scheduled offering but do not attend should not be removed from the roster. See the Mark Attendance section of this guide for instructions on marking accurate attendance. 0

21 Scheduled Offering Registration, Continued Print Roster/Sign-In Sheet Follow the steps below to view and print the roster/sign-in sheet for a scheduled offering. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Click the View Roster link in the s section. Allow the roster report to process. Note: A new tab opens with the report status. DO NOT close this tab until the roster has been opened and saved. Note: All rosters should be kept for auditing purposes. 1

22 Class Group Roster Create a Class Group Roster Groups of associates who will take the same classes together can be added to a class group roster. This allows the Class Admin to add all of the associates in this group to a roster in just a few steps. Follow the steps below to create a class group roster. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Click the Classes tab on the left side of the screen. Click the Add New link at the top-right of the screen. Enter the Schedule ID in all capital letters using the following format: NETWORKID PROGRAM DATE 6 Example: RAND99 FLO 9//1 Enter a description of the group in the Description field using all capital letters. Enter SYSCO in the Domain field using all capital letters. Note: The remainder of the fields should always be left blank. 7 8 Click the Add button.

23 Class Group Roster, Continued Create a Class Group Roster (continued) 9 Click the Users tab on the left side of the screen Click the add one or more from list link. Add the Job Locations and Network ID fields if not already there. Note: See steps 6-8 of the Before Adding Associates to Roster section of this guide for instructions. Click the blue filter icon next to the Job Locations field to select an OpCo. OR Enter an associate s Network ID in the Network ID field. Note: See the Add Associates by Job Locations section of this guide for instructions on using the Job Locations filter. Click the Search button. 1 Select the checkbox in the Select column for each associate who should be added to the class group roster. Click the Add button. 1 Result: The associates are added to the class group roster.

24 Class Group Roster, Continued Remove Associates from Existing Class Group Roster Follow the steps below to remove associates from a class group roster. Note: Removals should only be made to the list of associates in the instances of terminations. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Click the Classes tab on the left side of the screen. Enter the Schedule ID created for the roster in the Schedule ID field. Click the Search button. 6 7 Click the edit icon for the roster. Click the Users tab on the left side of the screen. 8 Click the checkbox in the Remove column for associates who should no longer be on the roster. Click the Apply Changes button. 9 Result: The associates are removed from the roster.

25 Class Group Roster, Continued Add Associates to Existing Class Group Roster Follow the steps below to add associates to an existing class group roster. Note: Additions should only be made to the list of associates in the instances of new hires. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Click the Classes tab on the left side of the screen. Enter the Schedule ID created for the roster in the Schedule ID field. Click the Search button. 6 7 Click the edit icon for the roster. Click the Users tab on the left side of the screen Click the add one or more from list link. Add the Job Locations and Network ID fields if not already there. Note: See steps 6-8 of the Before Adding Associates to Roster section of this guide for instructions. Click the blue filter icon next to the Job Locations field to select an OpCo. OR Enter an associate s Network ID in the Network ID field. Note: See the Add Associates by Job Locations section of this guide for instructions on using the Job Locations filter.

26 Class Group Roster, Continued Add Associates to Existing Class Group Roster (continued) 11 Click the Search button. 1 Select the checkbox in the Select column for each associate who should be added to the class group roster. Click the Add button. 1 Result: The associates are added to the class group roster. 6

27 Bookmarks Bar Description The Bookmarks Bar allows users to bookmark frequently accessed pages for faster access in the future. Tips: Items that are used frequently by Class Admins to create scheduled offerings can be bookmarked to avoid having to search for the item to create a new scheduled offering. Scheduled Offerings that have been created can be bookmarked to avoid having to search for the scheduled offering to make any needed changes. Open Bookmarks Bar Follow the steps below to display the Bookmarks Bar. 1 Access the Learning Administration page. Click the Star button at the top-left of the screen to expand the Bookmarks Bar. Click the Star button to collapse the Bookmarks Bar when it is not in use. 7

28 Bookmarks Bar, Continued Create Bookmark Folder Follow the steps below to create new folders in the Bookmarks Bar for easy access to scheduled offerings and items. 1 Access the Learning Administration page. Click the Star button at the top-left of the screen. Result: The Bookmarks bar opens. Click the Add Folder button. Enter the folder name in the New Folder field in the Create a New Folder window. Tip: Name folders based on the program for best organization. For example: FLO Items or 1 Scheduled Offerings. Click the Save button. Result: The folder is added to the Bookmarks Bar. 8

29 Bookmarks Bar, Continued Bookmark Items Class Admins who create scheduled offerings for the same item many times can bookmark the item to avoid having to perform a search for the item the next time they want to create a scheduled offering. Follow the steps below to bookmark an item. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Result: The Items page opens. Enter the course ID in the Item ID field. Click the Search button. Click the item title link in the Item column of the search results. 6 Click the Bookmark link from the s section at the top-right of the screen. Select the desired bookmark folder from the drop-down list in the Bookmark As window. 7 Tip: Use the Add Folder button to create a new folder with the program name (i.e. FLO Items ) if no current bookmark folders are appropriate. Click the Save button. 8 Result: The item is added to the folder in the Bookmarks Bar. 9

30 Bookmarks Bar, Continued Bookmark Scheduled Offerings Class Admins can bookmark a scheduled offering after creating it to allow for faster access in the future should any changes need to be made to the offering (i.e. adding associates to roster, change details). Follow the steps below to bookmark a scheduled offering. 1 Create the scheduled offering (or access the scheduled offering page if previously created). Note: Instructions for creating a scheduled offering and searching for a scheduled offering can be found in the Scheduled Offering Creation and Editing section of this guide. Click the Bookmark link from the s section at the top-right of the screen. Select the desired bookmark folder from the drop-down list in the Bookmark As window. Tip: Use the Add Folder button to create a new folder based on the program (i.e. FLO Scheduled Offerings ) if no current bookmark folders are appropriate. Click the Save button. Result: The scheduled offering is added to the folder in the Bookmarks Bar. Note: Scheduled offerings should be removed from the Bookmarks Bar once they have been closed and are no longer needed. See the Unbookmark Classes/Scheduled Offerings section of this guide for instructions. 0

31 Bookmarks Bar, Continued Unbookmark Items/ Scheduled Offerings Items and Scheduled Offering bookmarks should be removed from the bookmark folders once they are closed or are no longer needed. Follow the steps below to unbookmark an item or scheduled offering. 1 Access the item or scheduled offering by selecting it from the Bookmarks Bar. Click the Unbookmark link from the s section at the top-right of the screen. Click the Yes button in the Remove Bookmark window. Result: The item or scheduled offering is removed from the Bookmarks Bar. 1

32 Closing Scheduled Offerings Mark Attendance Correct attendance needs to be recorded for associate accountability and tracking accuracy. Follow the steps below to mark attendance for a scheduled offering. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Select the Record Learning link from the s section. 6 Note: This link only becomes available after the date of the scheduled offering has passed. Verify the associates listed at the bottom of the Record Learning window. Tip: Use the Add Users section to add any users who did not register but attended (i.e. walk-ins). Click the Next button.

33 Closing Scheduled Offerings, Continued Mark Attendance (continued) Select the appropriate completion status for each associate listed from the drop-down list in the Status column Note: Correct attendance must be recorded to ensure accountability and attendance accuracy. See the table below for information on marking accurate attendance. Attendance Selection Result Attended entire session Select CLASS-COMPLETED Associate receives credit for completing the class Attended part of a session Registered but did not attend Did not unenroll Did not notify instructor of cancellation before the session Select CLASS-INCOMPLETE Select CLASS-NO SHOW Note: Do not remove associates from the roster if they did not show up to the session. No shows need to be recorded for associate accountability and manager knowledge. Associate does not get credit for completing the course but is able to re-register and complete the course later. Associate does not get credit for completing the course but is able to re-register and complete the course later. Tip: Use the Apply Default Status field to apply the same completion status to all associates on the roster. The status can be changed for individual associates after the default is applied. This can save time if 0 associates completed and only one or two associates were incomplete or no shows. (Optional) Enter a grade for each associate in the empty field of the Grade column. Note: This is optional but associates prefer to see a grade on their transcript when possible. Click the Next button. Click the Next button. 10 Note: There are no costs to the associate for SIU training so nothing should be changed on the 6: Edit User Event Financial Information page.

34 Closing Scheduled Offerings, Continued Mark Attendance (continued) Click the Finish button. 11 Result: The completion status is recorded for each associate. Note: Closing the session may take a few seconds. Allow time for the system to refresh and show the completion notification page. IMPORTANT NOTE: This does not close out a scheduled offering. To finish closing a scheduled offering, the last step must be completed. See the Close a Scheduled Offering section of this guide for instructions.

35 Closing Scheduled Offerings, Continued Close a Scheduled Offering Follow the steps below to close a scheduled offering after attendance has been marked for attendees. 1 Access the Learning Administration page. Click the Learning button from the options at the top. Result: The Items page opens. Open the scheduled offering. Note: Instructions for finding a scheduled offering can be found in the Search for a Scheduled Offering section of this guide. Select the Close the Scheduled Offering link from the s section. Note: This link only becomes available after the date of the scheduled offering has passed. Verify the Scheduled Offering unique ID and Closing Date. Click the Next button. 6 Click the Next button. 7 Note: There are no costs to the associate for SIU training so nothing should be changed on the : Edit Realized Costs page. Click the Finish button. 8 Result: The scheduled offering is closed. 9 Click the OK button.

36 Reports Available Reports There are nine admin reports available for Class Admins to process for their OpCo. The table below provides descriptions of available admin reports. 37 Reports, Continued Access Reports Follow the steps below to access available admin reports. Click the drop-down arrow in the top-left corner of the screen. 1 Note: Depending on the page currently being accessed, the drop-down list may show something other than Home. Select Admin Center from the drop-down list. Click Learning (SIU) in the Company Processes & Cycles section. Click the Learning Administration link. Tip: Click the star icon to add the Learning (SIU) Administration link to favorites. Click the Reports button at the top-right of the screen. Click the Reports tab. 6 Result: Available reports display. 7

38 Reports, Continued Process Reports Follow the steps below to process admin reports. 1 Access admin reports on the Learning Administration page. Click the expand icon for the report. Note: For instructions on accessing and processing reports, see the Process Reports section of this guide. Click the blue filter icon next to the User field. Click the blue filter icon next to the Job Locations field. Note: If the Job Locations field is not available, click the Add/Remove Criteria button to find and select it. Select the checkbox in the Select column for the OpCo. Click the Add to Filter button. 6 Click the Submit Filter button. Click the Submit Criteria button. 7 Result: The filter is applied so only the users at the selected OpCo will appear in the report results. 8 Continue processing the report. 9

Click the Done button. 10 Result: The report is processed on the scheduled date and time and can be found in the Report Jobs tab. 0

42 Reports, Continued Update Recurring Reports Follow the steps below to update a recurring report. 1 Access admin reports on the Learning Administration page. Click the Report Jobs tab. Click the Edit Schedule link in the s column for the report. Edit the frequency options. Click the Apply Changes button. Result: The report runs based on the new frequency.

43 Reports, Continued Save Reports Reports which are frequently run with the same parameters, but do not need to be scheduled as recurring, can be saved for faster processing in the future. 1 Access admin reports on the Learning Administration page. Click the expand icon for the report. Click the title link for the type of report. Note: For best exporting capabilities, always run reports with CSV in the title. Fill in the report parameters. Note: The first time a report is run, it s recommended that the parameter fields are left empty/at their default. From these results, it s easy to determine which parameters to change moving forward. Click the Save Report button. Enter a descriptive title for the saved report in the Saved Report ID field. 6 Tip: Use this field to define a quick reference title for the purpose of the report (i.e. License to Lift Completions ). Enter the Description for the saved report. 7 Tip: Use this field to outline the saved parameters of the report so it s easy to know which results this report will pull. Click the Submit button. 8 Result: The report is saved in the Saved Reports tab. To run the report, click the Launch icon in the s column.

44 Reports, Continued Process Saved Reports Follow the steps below to process a saved report. 1 Access admin reports on the Learning Administration page. Click the Saved Reports tab. Click the Launch link in the s column for the report. Click the Schedule Job button. Note: If the Run Report button is available, click it to process the report immediately. Select the Run this job immediately, if allowable radio button. Tips: To be notified when the report is done processing, make sure the Notify via upon completion checkbox selected and verify the address in the field. To receive the report by , select the the Report checkbox. 6 Click the Finish button. Click the Done button. 7 Result: The report is processed and can be found in the Report Jobs tab.

45 Reports, Continued Report Parameter Filters Some report parameter fields have a filter icon next to them to help with narrowing down report results. Follow the steps below to use the filters where available. 1 Click the filter icon. Fill in any search fields that appear. Notes: The search fields vary based on the report parameter being narrowed. In cases where there are only a few options to choose from, the list of available choices will appear without having to search. If this is the case, skip to step five. Click the Search button. Select options to include in the report using the checkboxes in the Select column. Click the Add to Filter button. Click the Submit Filter button. Result: The report parameter shows the number of options selected and two filter icons. 6 Notes: To add more options for the report parameter field, click the filter icon. To clear currently selected options for the report parameter field, click the clear filter icon. 7 Continue processing the report as usual.
