3 How to order and key dates Or, what do I need to do and when do I need to do it by Choose from the main packages and add accessories This benefit is open to all Aviva employees who are eligible to participate in my Aviva flex If you participated in the 2012 or 2013 Home Computing schemes, you can still get a new computer package this year, however the most you can spend is 90 gross monthly reduction (combining 2012, 2013 and 2014 Home Computing schemes). Order online through my Aviva flex For advice on choosing a package, call the Let s Connect Helpline on Order by 26th June Sign your electronic Employee Hire Agreement by 30th June 2014 Once you have completed your order you will be ed an Agreement detailing the packages and options you have selected. This Agreement will confirm the monthly gross salary reduction, which you must sign in order to participate in the benefit. PLEASE NOTE Your order may be cancelled if your electronic Agreement form is not signed by this date. We aim to deliver prior to the first salary deduction in July 2014 All deliveries are subject to approval and stock availability, and arrangements to deliver your chosen package will only be confirmed with you once your Hire Agreement has been signed. Your chosen equipment is delivered to your home on the agreed date Delivery will be arranged with you for a weekday that s convenient and is subject to stock availability. For security reasons, the equipment needs to be delivered to your home, or similar residential address i.e. family, friends. Your salary reduction is due to begin on your salary pay date in July 2014 This will continue on each following monthly pay date during the 36 month period. 4 What s included with each package? Throughout the period of hire, your employer must ensure that the equipment is adequately protected, and therefore each package includes a series of useful extras which are bundled with it. This helps give you peace-of-mind as the salary exchange arrangement is fixed for 36 months, and continues even if the equipment no longer works or is lost, stolen or damaged. Up to Warranty The warranty covers the hardware of your equipment and during the limited warranty period, the manufacturer will at its discretion, repair or replace any defective component. Parts and labour will be covered. Please note that ipad has 12 months warranty. Samsung tablet packages include 24 months warranty. Internet security The internet security software has updates for 36 months and includes anti-virus, antispyware, anti-spam, and firewall. This software is designed to keep your computer safe online for the duration of the benefit. The internet security software included will be specific to the Windows or Apple OS X operating system of the machine that you choose. Internet security is not included with tablet packages. Backup My PC software The backup software helps you backup your personal data such as photos and music in the unlikely event of a fault with your computer. It is your responsibility to ensure your data is backed up correctly. Backup My PC supports Blu-Ray, CD, DVD and dual-layer DVD recordable and re-writable devices, network shares or an external USB hard drive. Please note that this software is bundled only with machines with Windows operating systems. Not included with tablet packages. WipeDrive software Wipedrive System Saver from WhiteCanyon is a software package which ensures the personal data on the hard disk or flash memory (solid state memory) of your computer can be securely cleaned at the end of the benefit. If data is not securely removed from the system, it can remain accessible after the computer has been disposed of which could lead to personal identity theft and/or fraudulent use of your data. Let's Connect supply Wipedrive software with the package because it has the highest level of security certifications for this type of data cleaning software on the market, and is the only disk wiping software approved by the US Government and Armed Forces. Not included with tablet packages. INSURANCE 36 MONTHS Tablet worldwide accidental damage and theft insurance with no excess As the hire agreement is for 36 months, and the tablet packages are such portable devices, likely to be taken away from the home, it makes sense to protect them for the full length of the agreement. Please note that the other main packages in the benefit need to be covered by your home insurance for accidental damage and theft. FREE DELIVERY Free delivery to your home address at your convenience To make it as easy as possible for you to receive the chosen equipment, a courier delivery date will be agreed with you. 45 How the benefit works What is the Home Computing benefit? The Home Computing Benefit offers Aviva employees a range of the latest computing technology and accessories for use at home. The equipment you choose is hired from Aviva over 36 months and you make the payments through salary exchange, giving you savings through lower national insurance and tax (taxable at 20% per annum through the P11D process see page 47 for more details). What happens at the end of the benefit? At the end of the benefit, if the equipment is disposed of by Let s Connect, then there is no further charge. However, if you choose to dispose of the equipment yourself, HMRC may take the view that you are continuing to enjoy the benefit and a one-off tax charge will arise based on the fair market value of the equipment at that time. 47 How do the savings work? As the cost of this benefit is recovered from your gross salary via a salary exchange arrangement, you will make savings in tax and national insurance. There is some Benefit-in-kind tax to pay and this will be collected via a change in your tax code through the P11D process. There is nothing for you to do except enjoy the chosen computer technology! The example illustration below demonstrates how your gross (before tax) and net (take-home) pay is affected if you participate in the benefit. The table also shows the Benefit-in-kind calculation as well as the significant savings when compared to purchasing at manufacturers RRP through a personal finance arrangement. Benefit-in-kind Having a computer to use in your home under the Home Computing Benefit is considered by HM Revenue & Customs to be a taxable Benefit-in-kind. If you go on unpaid leave your payments will be stopped until you return to work, when they will restart and continue until the outstanding balance is cleared. If you decide to voluntarily take unpaid leave of more than six months before the end of the 36 month hire period, you will be required to pay a termination fee as outlined in Question 23 below. 6. What happens if I leave my employer? If you leave your employer for any reason including dismissal on any grounds or you decide to voluntarily take unpaid leave of more than six months before the end of the 36 month hire period, you will be required to pay a termination fee to compensate your employer for the non-completion of your hire agreement. The termination fee you will have to pay will be calculated by multiplying your agreed monthly reduction in gross pay by the number of months remaining to be paid at the time you leave your employer. This amount will be taken from your final net salary or any other monies owed to you by your employer. If there is a shortfall, you will receive written notification from your employer that you must pay by cheque within 30 days of receipt. Further information can be found on the Employee Hire Agreement. 7. I am employed on a fixed term contract can I still participate? Yes, however, when you leave you will be required to settle the balance in the same way as referred to in Question 23 above. If you are employed on a fixed term contract, we recommend that you consider very carefully whether you wish to participate in the benefit. 8. How much will it cost me? Please refer to the tables shown at the bottom of the package specification pages, however the cost to you depends on which package you choose and your own personal tax situation. You should ensure that you can afford the salary reductions for the full 36 month period and have read and agree to the terms and conditions before you order. 9. When do my payments start? Salary Exchange arrangements will begin on your salary pay date in the month detailed on page Can I elect to make a higher Salary Exchange and shorten the term? No, the period is fixed at 36 months. 11. Where does my Salary Exchange go? Your Salary Exchange is collected by your employer, who own the computer during the hire period. 12. What is a P11D? Form P11D is used for the tax reporting of benefits in kind. In general terms employees pay income tax via two different routes, monthly on your earnings (called PAYE) or annually on any company benefit (called Benefit-in-kind). Benefits-in-kind are reported after the tax year ends using form P11D. 13. How does Home Computing affect taxation, and what happens to the equipment at the end of the benefit? The following summarises the tax impact if you participate in the home computing arrangement via my Aviva flex. The cost of the computer is recovered through a reduction in cash salary and spread over a 36 month period. The reduction in salary triggers a reduction in tax and employees NI under the salary sacrifice benefit. A taxable benefit then arises on your use of the computer. This is collected by reporting the taxable benefit to HMRC via the annual P11D reporting system. HMRC will then normally apply a coding adjustment to your tax code equal to the P11D reportable benefit. At the end of the benefit, if the equipment is disposed of by Lets Connect, then there is no further charge. However, if you choose to dispose of the equipment yourself, HMRC may take the view that you are continuing to enjoy the benefit and a one-off tax charge will arise based on the fair market value of the equipment at that time. The anticipated values for the equipment are 10% of the equipment when first provided. Aviva will cover the cost of any additional tax charge at the end of the scheme. Order and delivery process 14. By what date do I need to apply? For key benefit dates including order deadline, please refer to page What happens once I have placed my order? Once you have ordered online you will need to sign an electronic Employee Hire Agreement immediately. Arrangements to deliver your chosen package will only be confirmed once your signed Hire Agreement is received. We advise you to contact the Let s Connect Helpline on to check that your signed form has been received. 16. When can I expect delivery? For delivery dates, please refer to page 3. All deliveries are subject to stock availability. To help the delivery process, you should place your order as early as possible during the order window and sign your electronic Employee Hire Agreement promptly. 49 17. Can I change my mind once I have signed my Employee Hire Agreement? You have a right to cancel the Hire Agreement within seven working days, beginning the day after you receive the package. At this point, your salary exchange and Benefit-in-kind arrangements may have commenced. If this is the case, these will be addressed through the next payroll. If you intend to cancel the agreement within this seven day period you should not use the equipment and you should keep it: (a) in an as new condition; (b) in its complete state including any software and accessories and the instructions; (c) with the packaging in which it was originally delivered to you; and the seal should not be broken on any DVD, CD or software, except where it has been used for the installation. The equipment and any accessories will be collected from you at a charge to you of approximately 39. If you wish, however, you may return it yourself to the address that we give you. 18. Can I have the equipment delivered to my workplace? For security reasons, your employer does not accept personal deliveries at workplaces, so the equipment needs to be delivered to your home, or similar residential address i.e. family, friends. Computer and tablet packages 19. Can I change the specifications of the packages on offer? No, the specification for each package is fixed and you cannot change any of the specifications across the packages. 20. What s included in the package? Computer packages include the computer, delivery, 36 months warranty support, and 36 months internet security with free updates. Packages with Microsoft Windows operating systems also include additional backup software. Your employer must ensure that its property is adequately protected during the period of hire. To do this each package comes with a software bundle designed to help protect your computer from data loss and the threats posed by the internet. The backup software helps you backup your personal data such as photos and music in the unlikely event of a fault with your computer. The internet security software has updates for 36 months and includes anti-virus, anti-spyware, anti-spam, and firewall. It is your responsibility to ensure your data is backed up and your software is updated when prompted to do so. Damage that has been caused by not having adequate anti-virus protection will not be covered by the warranty. WipeDrive software is included should you need to completely eliminate hard drive data on your computer to protect yourself from identity theft, which you may wish to do at the end of the 36 month period. ipad packages include 12 months warranty, 36 months worldwide accidental damage and theft insurance, and delivery. Samsung tablet packages include 24 months warranty, 36 months worldwide accidental damage and theft insurance and delivery. More details on what s included can be found on the individual package pages. 21. What is the maximum salary exchange amount for this benefit? If you participated in the 2012 or 2013 Home Computing schemes, you can still get a new computer package this year, however the most you can spend is 90 gross monthly reduction (combining 2012, 2013 and 2014 Home Computing schemes). 22. Can I load my own software? You can load any software onto the equipment subject to the licensing terms of that software. You are not allowed to use the equipment for any purpose which is offensive, obscene, defamatory, fraudulent or illegal. 23. Can I upgrade my computer package? You can add any new hardware or software to the equipment, subject to licensing agreements, throughout the hire period. 24. What if I damage it? You must insure the equipment against fire, theft or accidental damage so that it can be replaced if it no longer works. If the equipment goes missing or is damaged, salary exchange and Benefit-in-kind taxation arrangements will continue for the 36 months. Main tablet packages are covered by worldwide accidental damage and theft insurance for the duration of the benefit. 25. Do I have to use a recommended Internet Service Provider (ISP)? No, if you already have an ISP, you can continue to use them. However you may need to contact your existing ISP to tell them that you are installing a new computer and they should advise you on how to set up the Internet connection. This is normally achieved through using the CD provided by your ISP. 26. Can I order Microsoft Office software, like I use at work? Microsoft Office software is available as an accessory through this benefit, but does not come as standard on any of the packages. You can add it as an accessory to any of the packages. Please note that Microsoft Office cannot be installed on tablets. 27. What are the differences between Microsoft Windows and Microsoft Office? Microsoft Windows is an operating system a basic collection of programs and drivers pre-installed to provide the user with an interface, and allowing the computer to run. Microsoft Office is a separate suite of software, with Word, Excel and PowerPoint being the most well-known and widely-used elements of the program. Office can be added as an accessory to your chosen computer package, but is not included as standard. 28. What do I do if the computer is damaged or parts are missing when I receive it? You should notify the Let s Connect Helpline on within seven days of receipt of any damaged equipment or to advise them of any missing items. 29. What if the equipment doesn t work? If the equipment fails to work within the first 28 days for HP and Samsung products, or first 14 days for Apple products, please call the Let s Connect Helpline on who will log the call and provide first line support. If the product is deemed to be faulty, you will be advised to contact the manufacturer directly to obtain an official returns reference number. This will then authorise Let s Connect to replace the equipment. If a fault develops outside of this time and within the warranty period, call the manufacturer s warranty line as detailed in your documentation. If the main package cannot be repaired remotely, the repair will be undertaken through a collect and return service. This service is free of charge throughout the warranty term, but is restricted to the hardware only. 30. What does the warranty include? The warranty provided by the manufacturer covers the hardware of your computer and during the limited warranty period, the manufacturer will at its discretion, repair or replace any defective component.
