4 OmniTouch 8600 My Instant Communicator End users have to deal with an increasing volume of communications: phone calls, voice mails, text messages, faxes, s, instant messages, and web, voice and video conferences. It is difficult to manage and make best use of all the different enterprise communication options on the market. OmniTouch 8600 My Instant Communicator is an innovative solution to this problem, integrating all communication tools to create a homogeneous experience across different devices and channels. It is the world's first integrated, multi-media, multi-session, multi-device unified communications client solution. My Instant Communicator services can be integrated with existing business applications and accessed seamlessly from a computer, IP phone or smartphone. Implementation of the My Instant Communicator mobile edition with smartphones extends IP Telephony systems to cellular coverage zones and leverages existing wireless LAN infrastructure to reduce onsite/off-site mobile communication costs. My Instant Communicator mobile edition runs on Android, Apple iphone, Microsoft Windows Mobile, Nokia Eseries, and RIM BlackBerry. A particular attention has been paid to ensure that the user experience is easy and consistent across the platforms. Janvier AL USAA ed.01 Page 3

5 Read before use So that you can fully benefit from My Instant Communicator, you are strongly advised to familiarize yourself with all the functionalities of your mobile, such as network connection management, access to the alphanumeric keypad, ring management, and keypad beep configuration, etc. Please refer to the "MIC Unified Communication Client Device White List" document to find out about the Android operating system and which mobile phone models to use with the My Instant Communicator application. Contact your installation technician if necessary. To control the cost of using My Instant Communicator (voice data communication), you are strongly advised to choose an unlimited internet option from your operator. It is also important to check whether your operator charges additional rates (voice and data in particular) when using your mobile abroad (roaming). Using a wired or wireless headset (Bluetooth) while communicating over your mobile will enable you to fully appreciate the enhanced usability of your My Instant Communicator application. The My Instant Communicator interface is designed to be used in "on-the-move" situations: exiting a plane, quick view between meetings, etc. The application is built on the "one click, one action" principle. It is therefore easy to use, and all actions, whether viewing messages or calling someone back, are one click away. When available, My Instant Communicator uses the data channel (WiFi or 3G/3G+) to set up a call through your company's telephone system. When the call is set up, there is no additional cost for your mobile. If it is impossible to use the data channel, the application will run in pure telephony mode insuring basic services. When no WiFi network can be accessed, the My Instant Communicator application will use your operator's 3G/3G+ network. If 3G cover is not homogenous, 3G/GSM switchover may affect the behavior of the application. It is highly recommended to deactivate the «Call waiting» function (during a call you are notifyed about a new incoming call). This action avoids to receive a private call during a business call leading to a potential mix-up with the two communications. In this use case, the private call will be redirected to the operator s voic . To check «Call waiting», go to Android settings, «Call», «Additional settings». It is possible that the APN (Access Point Name) selected by default doesn t provide the right My Instant Communicator behavior (data channel availability consistency). If you detect a strange behavior of the application, this the first point to check with your installator or operator. To check the «Access Point Names», go to Android settings, «Wireless & networks»,«mobile networks». Janvier AL USAA ed.01 Page 4

6 How to use this guide This guide describes all of the features offered by My Instant Communicator. You will find simple descriptions of the screens displayed with all possible actions. This guide is optimized for use on your mobile or your computer, as well as on paper. Actions are described in a single column. 7 Installation This section describes how to install the My Instant Communicator client on your mobile. You can find 3 methods. PREREQUISITE Before installing My Instant Communicator, you must have: a mobile with internet subscription (data channel availability when off-site) and the URLs of the Unified Communications server (private URL & public URL). For more information, contact your representative. Check that the date and time on your mobile are correct. Refer to your mobile phone user guide to reset the date and time. Check the data network connection, for example by opening an internet page in your mobile's browser. Use your mobile's user guide if necessary. Allow installation of non-market applications by selecting «Unknown sources» in the Androïd Settings of Applications: Settings->Applications. Refer to your mobile phone user guide. INSTALLATION OF THE APPLICATION 1 Installation with the synchronisation sofware of your mobile phone 1. Your mobile is delievered with a software to synchronise your mobile with your computer (on a CD, or on the web site of the mobile constructor or on card installed in your phone). Consult the user documentation of your mobile phone or visit the web site of the mobile constructor for more information. Install the sunchronisation software on your computer. 2. Start the synchronisation software on your computer. 3. Connect the phone to the computer using the USB cable and select the synchronisation connection type on your mobile phone. 4. Install the My Instant Communication application (.apk file) using the application installer of the synchronisation software. Consult the user guide of the synchronisation software. 5. Follow instructions in the screen. 6. The My Instant Communication is installed. 2 Installation by copying the installation file on your mobile phone 1. Connect the cell phone to the computer using the USB cable and select the Disk Drive connection type on your phone : a new disk drive is mounted on your computer. This disk drive represents the memory storage of your mobile phone. 2. From your computer, copy the My Instant Communicator installation file (.apk) on your mobile phone in a temporary directory for exemple (use the file manager of your computer). 3. Disconnect the mobile phone. 4. You have to use a file manager to open the installation file. You have to install a file manager on Android by downloading it from Android Market (Astro for exemple). 5. Start the file manager on your mobile phone. 6. Open the My Instant Communicator installation file (the.apk you just copied from your computer to your mobile in a temporary directory). 7. Follow instructions in the screen. 8. The My Instant Communication is installed. 3 Installation over WIFI network The My Instant Communicator can be automaticaly downloaded and installed on your mobile phone when you connect your mobile phone to the Wifi network of your enterprise. 8 CONFIGURING STARTUP When you start the My Instant Communicator for the first time, the application asks you to fill the «private URL» and the «Public URL» fields. Open Android applications homepage Start My Instant Communicator Enter Private URL and Public URL. The format of the secure URL is « where ICS is the adresse of the OmniTouch 8400 Instant Communications Suite data server. Private URL / Public URL : Fill the address (secure URL) of the OmniTouch 8400 Instant Communications Suite, which allows you to download the configuration of your My Instant Communicator. The application communicates with your company's telephone system through the OmniTouch 8400 Instant Communications Suite data server. UPDATING THE APPLICATION When the application starts, My Instant Communicator checks if an update version is available. if this is the case, you will be asked to install the update on you mobile phone. The new application is downloaded on your mobile phone. You have to install it by selecting the Androïd notification (end of download notification). The update can be performed manually by downloading the updated installation file (.apk). The update installation is carried out in the same way as the application installation. Your personal settings will be kept during the update. DATA CHANNEL CONNECTION My Instant Communicator uses the data channel to communicate with your company's telephone system. Your mobile can access the WiFi, 3G/3G+ or GSM network, depending on its configuration. In order to reduce communication costs as much as possible, the application will use the WiFi network if it is accessible, then the 3G/3G+ network. If none of these networks is accessible, the application will use the GSM network to process calls. WIFI 3G/3G+ GSM Data channel network preferences The My Instant Communicator application will only use a WiFi connection if you have previously configured it to do so. Connection to a WiFi network can sometimes take some time, for example when changing from a 3G/3G+ network to a WiFi network. In certain conditions, such as travelling abroad, for example, use of the data channel can incur a surcharge that is not covered by your tariff. Contact your operator for further information. To manage the connection of the 3G/3G+ data chanel (limitation or deactivation), consult the user guide of your mobile phone. Janvier AL USAA ed.01 Page 7

9 Starting My Instant Communicator STARTING THE APPLICATION OmniTouch 8600 My Instant Communicator You must have a user name and password provided by your installation technician. Password Open Android applications homepage Start My Instant Communicator At the first connection, accept the Reverse Proxy and ICS certificates if necessary The My Instant Communicator is started During the initialisation phase or when using My Instant Communicator, the user may be asked to provide authentication by entering a user name and password. The user name (login) and password are requested in the following circumstances: The user has not yet entered the authentication data, The authentication data is no longer valid. The administrator can configure the system so that the authentication request is unique for the ICS (Instant Communications Suite) and the Reverse Proxy and so that the authentication parameters are saved in the memory. The user will therefore only need to enter the authentication data once when the using application for the first time. For further information, please contact your system administrator. The application can ask you to accept the Reverse Proxy and the Omnitouch 8400 Instant Communications Suite certificates. My Instant Communicator uses Wifi network if your mobile phone is connected to the Wifi network. Consult the user guide of your mobile phone to configure the Wifi network connection. 10 Using your telephone Default Home Page The My Instant Communication application opens in the events log. You are therefore alerted if you have received a callback request or a voic . The alert allows you to access the event directly. Your incoming and outgoing calls are processed by your company's telephone system. You therefore profit from your company's telephone services on your cell phone. You can be reached through your fixed business telephone number. You want to call someone within your company? Access your company's phonebook directly or simply enter the person's internal number. You can also use your company's telephone services, like callback request, call forward, three-way conference, etc. DESCRIPTION OF THE HOME PAGE Call log: callback requests, missed calls, incoming calls, outgoing calls, etc. Android notifications and tasks bar Search in company phonebook and local phonebook or direct call by entering the number Direct access to voic Event log: list of users that have tried to contact you Access to Visual Voic list of read and unread messages Number of calls The number of messages received, callback requests, etc. is displayed on the homepage. State of data channel The application uses the data channel to communicate with your company. Your cell phone must be connected to the ICS (Instant Communicator Server). If the connection to the ICS is interrupted, your handset automatically tries to reconnect to the server. If the connection cannot be made, the application will use the GSM network to process calls. Certain functions will not be available until connection to the ICS is re-established. Text field The home page provides a text zone with several functions: search in company phonebook and local phonebook make a direct call by entering the number in this text zone. A single press on the text field opens the alphanumeric keypad. A double press on the text field opens the dialing keypad (numeric keypad). Return to the Android home page. The My Instant Communicator is not closed. Return to the previous page or close the menu. 11 CALLBACK REQUESTS LOG Your contact has tried to reach you and asks you to call back. The number of callback request is displayed on the homepage. Open the callback requests log Call the contact (the callback will be removed from the list) Select your contact to open more options : contact details, delete menu. Information about the caller Delete the callback request One single callback request is displayed per contact. A callback request is removed from the list if you call back your contact or if you delete the callback request (see «delete an entry from the call log» section). MISSED CALLS LOG A contact has called you without leaving a callback request, or a voic . The number of missed calls is displayed on the homepage. Open the missed calls log Call the contact Select your contact to open more options : contact details, delete or acknowledge a missed call Information about the caller Acknowledge the missed call : the call is removed from the missed calls log Delete the missed call : the call is removed from the missed call log and the call log Janvier AL USAA ed.01 Page 10

12 CALL LOG CALL A CONTACT FROM THE CALL LOG DELETE AN ENTRY FROM THE CALL LOG This icon displays the call log: callback requests, missed calls, incoming calls and outgoing calls. If a contact tries to reach you and you cannot answer, he or she may leave a callback request, voic or hang up. Callback requests and missed calls are listed on this page. You can also find the list of calls received (answered or not), as well as the list of calls made. Press and release Scroll down Select a contact to open the contact details Return My Instant Communicator home page missed calls incoming calls outgoing calls Type of call Missed calls: a contact has called you without leaving a callback request, or a voic . Incoming calls: all calls from your contacts, whether answered or not. Outgoing calls: all the calls you have made. The size of the call log is limited. The oldest messages are automaticaly supressed. 14 REACHABILITY STATUS CHANGING YOUR PHONE'S STATUS DUAL RINGING Voice reachability (dual ringing activated or deactivated, forward, etc.) manages how your business calls are processed. Select the current state of your set. Choose the new state A call will ring simultaneously on your office phone and your mobile (Dual ringing). A call will only ring on your office phone (and not on the mobile). Your calls will be immediately forwarded to your voic . Your calls will be immediately forwarded to a number you define FORWARD CALLS TO ANOTHER NUMBER/VOIC (IMMEDIATE FORWARD) CANCEL FORWARD Select the current state of your set. 15 SEARCHING FOR A CONTACT IN YOUR COMPANY'S PHONEBOOK OR THE LOCAL PHONEBOOK The home page has a text field enabling you enter a name to search for a contact in the company phonebook and in the local phonebook on your mobile. Enter the name of the other party Fox Start the search A single press on the text field opens the alphanumeric keypad. The search will start when you click on the magnifying glass or the enter key on your keyboard. 16 CHECKING YOUR BUSINESS VOIC S There are two ways to access your business voic access to the audio voic and follow instruction (always available whatever the data channel state) access to the visual voic (only when data channel available). The visual voic lists all of the messages in a page, as well as the date they were left. The messages in white have not been listened to yet. The number of messages not listened to is displayed on the home page. 17 CONTACT INFORMATION When you see this icon, you can access information concerning the contact: surname, first name, messaging address, etc. You can also find out if your contact is reachable. Is he or she on the phone or free? The content of this page is contextual and depends on the communication application used by your contact. 20 MAKING A PRIVATE CALL You can call a contact without going through your company's telephone system. 21 RECEIVING A CALL Start call Send the call to your voice mail Caller presentation: Name, first name, photo, etc. Forward the call to number you define Dual ringing As long as you do not have a call in progress, you can configure the application so that a business call rings on your office phone and your mobile. You can activate or deactivate this function at any time. If you deactivate this function, a business call will only ring on your office phone. You can activate or deactivate this function by changing your phone status (see Changing your phone s status). CALLING A SECOND CONTACT You have a call in progress Open a new My Instant Communicator window to call the second contact Call another contact by dialing the number or searching in your phonebooks (see Making a call section) Call the second contact : the first one is put on hold If Wifi or 3G/3G+ networks is not available, the second call is not possible. 22 SWITCHING BETWEEN CALLS (BROCKER CALL) TRANSFER CALLS You have a call in progress with one contact. The second contact is on hold. You can: End the acive call Switch from one call to another by selecting the hold call The second contact is on hold Switch to three-way conference Transfer the first contact to the second Active call CONFERENCING You have a call in progress with one contact. The second contact is on hold: Three-party Conference You are in a three-way conference. You can: End the conference completely Exit the conference - your two contacts remain in the call in progress Advanced Procurement Director Stop the conference call - you stay on the line with the last contact before the conference call was started Switch to hands free If a service is not available, the icon is grayed out. 23 Configuring the application You can access to the My Instant Communicator configuration page directly from the home page of the My Instant Communicator or by selecting the applications settings of Android (see user documentation of the mobile phone). By default, when you start the My Instant Communicator application, a first page displays the software release and a start button. The My Instant Communicator is really starting when you click on this button. By selecting this option, this first page is not displayed and the application is starting. } When the My Instant Communicator application receives an event, like missed calls or new voic , you can be alerted by the Android notifications, a sound or a vibrate. The sound and vibrate depend on the audio configuration of your mobile phone.
