3 INTRODUCTION TO THE MEVS VERIFONE TERMINAL The VeriFone terminal is designed to provide an accurate and timely verification of a member s eligibility for Medicaid services. Specific features and conveniences, such as a large LCD screen, ATM style buttons and a built in printer, make the verification process easy to learn and use with a minimum of training time. The emedny system currently supports 2 different terminal types. Each terminal model is identified just above the LCD screen of your terminal. They are: VeriFone Vx 570 VeriFone Vx 610 It is important to know which terminal is operating on the emedny system. Any software updates to the terminal will be communicated via New York State Medicaid Updates, emedny LISTSERV and Jan Introduction

4 VERIFONE Vx570 TERMINAL The VeriFone Vx570 terminal uses a basic analog telephone outlet to connect with Medicaid Eligibility Verification System (MEVS). Please review for future alternate connectivity updates. Vx570 Terminal Description Front A. INTERNAL THERMAL PRINTER A dot matrix printer in which heat is applied to the pins of the matrix to form dots on heat-sensitive paper. B. INDICATOR LED Power and Paper Indicator. NOTE: A blinking light indicates to check paper supply or paper is not inserted properly. C. PAPER COVER RELEASE Opens the printer paper compartment. D. F4 ATM-STYLE FUNCTION KEY Starts a verification transaction through entry of the access number or Medicaid Number. E. LCD SCREEN The verification response and system messages will be displayed in this area. F. MAGNETIC CARD READER Slot that reads the magnetic stripe on the back of the card. This allows for quicker entry of verification transactions. G. ALPHA KEY Converts numeric digits to alphabetic letters. Jan VeriFone Vx570

5 H. PAPER ADVANCE KEY Press the 3 Key from the initial screen to advance the paper one line at a time. I. TELEPHONE STYLE KEYPAD Area where user enters data needed for the Medicaid verification. J. GREEN ENTER KEY Inputs new data into the system. K. YELLOW BACKSPACE KEY Erases the last numeric digit or alphabetic letter entered. L. RED CANCEL KEY Erases all previously entered data and returns to the ready mode. M. REPRINT KEY Press the 0 (Zero) key from the initial screen, prints a duplicate copy of the verification message. N. P1 SETUP KEY Allows modification of the Terminal Settings. Refer to the section on Instructions for Setup Menu (P1 Key) of this manual. O. P2 PROVIDER KEY Allows for add, update, delete, and review of multiple provider Ids. Refer to the section on Instructions for Provider Menu (P2 key) of this manual. P. P3 SCROLL BACK KEY Facilitates scrolling to the previous line, if applicable. Q. P4 SCROLL FORWARD/REVIEW KEY Facilitates scrolling to the next line, if applicable. 6 Vx570 Terminal Back Terminal Power Pack and Cables Each Vx570 comes with a Telephone Line Cable, Power Cable and Power Pack. The Telephone line cable connects to your terminal and also connects to your RJ11-type modular telephone wall jack. The Power Cable is a standard computer power cable and plugs into a 120-volt AC outlet (indoor only).the Power Pack connects the terminal to the power cable. Jan VeriFone Vx570

7 Vx570 Installation Instructions These instructions will assist with the setup of the VeriFone Vx570 terminal. Select a location that has access to a power outlet and a telephone line for your terminal. Note: Digital Telephone lines are not compatible with any Medicaid POS terminals. Please consult with your Telecommunications Department, Office Manager or Telephone Company if you have any questions regarding your telephone service. Quick Start The Quick Start is an easy way to setup up the VeriFone Vx570 terminal. 1. Select a location that has access to a power outlet and a telephone line for your terminal. Open the box and unpack the terminal. 2. Connect the telephone line cable into the telephone jack labeled with an image of a telephone in the back of the terminal. Connect the other end into the wall jack. 3. Connect the power connector into the power port on the side of the terminal, and the power cable into the power pack. Plug the three-prong power cable into the power outlet. 4. After the device has gone through its start-up routine, the day, date, and time is displayed on the top line of the terminal. 5. Enter your National Provider Identifier(s) (NPI) or MMIS Identification Number(s) (A typical providers only). Refer to the section on Instructions for Provider Menu (P2 key) of this manual. 6. If you are required to dial a number to get an outside line (e.g. 9 ), Refer to the section on Instructions for Setup Menu (P1 key) of this manual. 7. Press the F4 key or swipe the Medicaid ID card in the Magnetic Card Reader to begin processing transactions to emedny. Jan VeriFone Vx570

8 Connecting the Telephone Line 1. Connect one end of the telephone line cable to the telephone jack labeled with an image of a telephone in the back of the terminal. 2. Connect the other end of the telephone line cable to a RJ11-type modular telephone wall jack (See illustration below). If you do not have a telephone wall jack, obtain an adapter from your local telephone company. Connecting the Terminal Power Pack 1. Connect the power connector into the power port located on the side of the terminal. 2. Connect the power cable into the power pack. 3. Plug the three-prong AC power cable into an indoor 120-volt AC outlet as shown in the illustration below. WARNING: Do not plug the power pack into an outdoor outlet or operate the terminal outdoors. 9 VERIFONE Vx570 FUNCTIONS Initial Screen When the VeriFone Vx570 terminal is not actively being used, the device normally shows its initial screen (see below). To get to this screen in most circumstances, press the RED CANCEL key. Initial screen example: FRI 9/5 9-13A EMEDNY SWIPE CARD OR PRESS F4 TO BEGIN Vxxxx The xxxx in Vxxxx on the bottom line is the software version the terminal is using. This number may be needed when calling provider services for assistance. Please review for any software updates to the terminals. Instructions to Reset Day/Date/Time To set or reset the day, date, and time follow the Display/Action tables. DISPLAY The Initial Screen is displayed. SYSTEM MODE ENTRY PASSWORD ACTION Press the F2 & F4 keys at the same time. Enter Z66831 (1-alpha-alpha 66831) and press the GREEN ENTER key. IF THE SCREEN READS: SYS MODE MENU 1 SYS MODE MENU 1 CONTRAST F2 EDIT PARAMETERS F2 CLOCK F3 RESTART F4 The device is an Early Model Vx570. Device will re-start and Initial Screen should display the correct Day, Date, and Time. Instructions for Setup Menu (P1 Key) This menu allows the user to modify several variables that the device uses. To edit the Setup Menu follow the Display/Description/Action table. Press the RED CANCEL key to return to the initial screen. DISPLAY DESCRIPTION ACTION Initial Screen Terminal Setup ENTER PASSWORD DIAL PREFIX ## The Dial Prefix is dialed before the telephone number. If a value has already been entered, it will display on the second line labeled (##) Press the P1 SETUP key to enter the Setup Menu. Enter and press the GREEN ENTER key. If no dial pre-fix is needed, press the GREEN ENTER key. If you are required to dial a number to get an outside line, enter the access code here. (i.e. for a 9 dial pre-fix press (9, asterisk (*), Alpha) 9, should display. Then press the GREEN ENTER key. After the access code has been entered, press the RED CANCEL key. 13 DISPLAY DESCRIPTION ACTION ENTER NYM TELE # This is the number the device will dial to submit NYS Medicaid transactions. If the number is correct, press the GREEN ENTER key to continue. If you need to correct the number, just enter it on the keypad then press the GREEN ENTER key to save and continue. ENTER BACKUP # This is the number the device will dial in case the main number does respond to submit NYS Medicaid transactions. If the number is correct, press the GREEN ENTER key to continue. If you need to correct the number, just enter it on the keypad then press the GREEN ENTER key to save and continue. DIAL TYPE TONE PRINT ALL YES KEY BEEP NO TONE PULSE YES NO YES NO The type of phone system used. Tone should be selected.. This designates whether the device will automatically print responses. Default is YES. This designates whether the device will beep when a key is pressed. Default is NO. The current setting is the word under DIAL TYPE. If you need to change the setting, press the F1 key for Tone. Otherwise, press the ENTER key to continue. The current setting is the word under PRINT ALL. To change the setting, press the F1 key to automatically print responses or press the F2 key to not automatically print responses. NOTE: When the PRINT ALL is set to no, you may print manually by pressing the 0 (Zero) key from the initial screen. Press the ENTER key to continue. The current setting is the word under KEY BEEP. To change the setting, press the F1 key to beep or press the F2 key to not beep. NOTE: Errors will still cause a beep to sound. Press the GREEN ENTER key to continue. Jan VeriFone Functions Vx570

14 DISPLAY DESCRIPTION ACTION DOWNLOAD TELE # ENTER NEW PASSWORD This is the phone number the device will dial to download a new application to the device. This is the password used to access the Setup Menu and the Provider Menu. Press the GREEN ENTER key to continue. If you need to change this number, call the Provider Help Desk at WARNING: If you need to have a different password, enter it here. Be advised that if you change it, Provider Services will not be able to reset it for you. Press the GREEN ENTER key to return to the initial screen without changing the password. 15 Instructions for Provider Menu (P2 key) The VeriFone Vx570 terminal can store up to 20 MMIS Provider ID numbers to quickly process transactions. Each Provider number can be used by entering the two-digit shortcut code that corresponds to the Provider submitting the transaction. To store additional Provider numbers in the terminal follow the Display/Action table below. Press the RED CANCEL key to return to the initial screen. NOTE: If only one Provider ID is entered in the table, it will automatically be used for each transaction and the prompt Select Provider will not be displayed. DISPLAY ACTION Initial Screen SELECT SETUP 1=PROV 2=LIC 3=PLATE ENTER PASSWORD Press the P2 key to enter the Provider Menu. Press the 1 key and press the GREEN ENTER key. Enter and press the GREEN ENTER key. Provider Setup is displayed ENTER PROVIDER NUMBER -- Enter a valid two-digit number (01 20). The first shortcut assigned must start with 01. NOTE: It is important to keep track of the shortcuts that correspond with each Provider ID. Jan VeriFone Functions Vx610

16 DISPLAY PROVIDER NUMBER nn ########## The nn on the first line is the two-digit shortcut number corresponding to the Provider. The ########## on the second line is the ten-digit NPI or the eight-digit MMIS Provider ID. If a provider number is not associated with nn, then a blank line will display instead of the Provider number. ACTION Enter the ten-digit National Provider Identifier (NPI) that you are assigning to that shortcut and press the GREEN ENTER key. For all atypical providers, enter the eight-digit MMIS Provider ID that you are assigning to that shortcut and press the GREEN ENTER key. To change the number currently displayed press the BACKSPACE key to clear the existing Provider number, enter the new number and press the GREEN ENTER key, OR Press the GREEN ENTER key to keep the current value. ENTER PROVIDER NUMBER -- Press the RED CANCEL key to return to the Initial Screen OR Repeat Steps 2 through 4 to store additional Providers. Jan VeriFone Functions Vx610

17 VERIFONE VX610 TERMINAL The VeriFone Vx610 terminal uses a cellular signal and/or a basic analog telephone outlet to connect with Medicaid Eligibility Verification System (MEVS). 19 Quick Start 1. The Quick Start is an easy way to setup up the VeriFone Vx610 terminal. 2. Connect the power connector into the power port on the side of the terminal, and the power cable into the power pack. Plug the three-prong power cable into the power outlet or use the provided car charger and plug into a vehicle power source. Note: First time charging, please allow the device 6 hours to charge completely. 3. After the device has charged it will display the VMAC main menu. Wait 60 seconds and Press the F3 key to enter the emedny application. 4. Enter your National Provider Identifier(s) (NPI) or MMIS Identification Number(s) (A typical providers only). Refer to the section on Instructions for Setup Menu (P1 Key) of this manual. 5. If you are using the device indoors and have it connected to an analog telephone line and are required to dial a number to get an outside line (e.g. 9 ), Refer to the section on Instructions for Setup Menu (P1 Key) of this manual. 6. Press the F4 key or swipe the CBIC card in the Magnetic Card Reader to begin processing transactions to emedny. Connecting/Removing the Battery 1. Locate the Battery in the box the terminal was shipped in. 2. Connect the Battery as shown in the illustration below. Jan VeriFone Functions Vx610

20 3. To remove the Battery press in on the release and pull up as shown by the illustration below. Connecting the Antenna 1. Locate the Antenna in the box the terminal was shipped in. 2. Connect the antenna as shown in the illustration below. Jan VeriFone Functions Vx610

21 Connecting the Telephone Line (If only being used indoors) 1. Connect one end of the telephone line cable to the telephone jack on the bottom of the terminal. 2. Connect the other end of the telephone line cable to your RJ11-type modular telephone wall jack (see illustration below). If you do not have a telephone wall jack, obtain an adapter from your local telephone company. Connecting the Terminal Car Charger and/or Power Pack If charging the device in a vehicle: 1. Connect the power connector into the power port located on the side of the terminal. 2. Connect the mobile environment power cable into the power pack. Jan VeriFone Functions Vx610

22 3. Plug the automobile adapter into your automobiles auxiliary power location as shown in the illustration below. If charging the device in a building: 1. Connect the power connector into the power port located on the side of the terminal. 2. Connect the power cable into the power pack. 3. Plug the three-prong AC power cable into an indoor 120-volt AC outlet as shown in the illustration below. VERIFONE VX610 FUNCTIONS Initial Screen When the VeriFone Vx610 terminal is first powered on, the device normally shows its initial screen (see below). 28 Instructions for Provider Menu (P2 key) The VeriFone Vx610 terminal can store up to 20 NPI/MMIS Provider ID numbers Each Provider number can be used by entering the two-digit shortcut code that corresponds to the Provider/Individual submitting the transaction. To store additional Provider numbers in the terminal follow the Step/Action/Display table. From within the emedny application press the RED CANCEL key to return to the initial screen. NOTE: If only one Provider ID is entered in the table, it will automatically be used for each transaction and the prompts Select Provider, Plate Number and License Number will not be displayed. How to enter a National Provider Identifier (NPI) or MMIS Number DISPLAY ACTION Initial Screen SELECT SETUP 1=PROV 2=LIC 3=PLATE ENTER PASSWORD Press the P2 key to enter the Provider Menu. Press the 1 key and press the GREEN ENTER key. Enter and press the GREEN ENTER key. Provider Setup is displayed ENTER PROVIDER NUMBER -- Enter a valid two-digit number (01 20). The first shortcut assigned must start with 01. NOTE: It is important to keep track of the shortcuts that correspond with each Provider ID. Jan VeriFone Functions Vx610

29 DISPLAY PROVIDER NUMBER nn ########## The nn on the first line is the two-digit shortcut number corresponding to the Provider. The ########## on the second line is the ten-digit NPI or the eight-digit MMIS Provider ID. If a provider number is not associated with nn, then a blank line will display instead of the Provider number. ACTION Enter the ten-digit National Provider Identifier (NPI) that you are assigning to that shortcut and press the GREEN ENTER key. For all atypical providers, enter the eight-digit MMIS Provider ID that you are assigning to that shortcut and press the GREEN ENTER key. To change the number currently displayed press the BACKSPACE key to clear the existing Provider number, enter the new number and press the GREEN ENTER key, OR Press the GREEN ENTER key to keep the current value. ENTER PROVIDER NUMBER -- Press the RED CANCEL key to return to the Initial Screen OR Repeat Steps 2 through 4 to store additional Providers. Jan VeriFone Functions Vx610

30 COMMON FUNCTIONS FOR ALL TERMINAL TYPES Review Function The Review function allows you to review the last response received, edit the transaction data and resubmit the transaction. To begin follow the Action/Display table. DISPLAY ACTION Initial Screen The response from the last transaction is displayed Each screen displays the data that was entered Press the (P4) SCROLL FORWARD/ REVIEW key. Press the GREEN ENTER key to edit the data. Reenter new data, Or Press the GREEN ENTER key to accept current data. Inserting Thermal Paper into the Internal Thermal Printer 1. To open the printer paper compartment, press the Paper Cover Release button located on the right side of the terminal. 2. Insert a roll of thermal paper, and ensure paper feeds from underneath. 3. 31 Ordering Thermal Paper for the Internal Thermal Printer To order additional thermal paper (2.25 Inches by 85 Feet thermal paper), contact TASQ Technology at or your nearest office supply store. Card Swipe New York State Medicaid Members will present a Medicaid ID card at the time of service. The magnetic stripe on the card must slide through the terminal with the stripe down facing the screen as shown in the illustration below. Jan Common Functions

32 Common MEVS Terminal Messages Important Note: Digital Telephone lines are not compatible with any Medicaid POS terminals. Please consult with your Telecommunications Department, Office Manager or Telephone Company if you have any questions regarding your telephone service. CHECK LINE CONNECT XXXX DOWNLOAD DONE NO ENQ FROM HOST The telephone wire is not plugged into the VeriFone terminal or the terminal is using the same line as another telephone or device, which is in use. Displayed until transmission to the host computer begins. Displayed when the download function process is complete. Pres ENTER to continue. No enquiry received from host. A problem exists with the network. Repeat the transaction. If problem persists, contact the emedny Call Center at for assistance. WAITING FOR ANSWER Indicates the terminal is attempting to connect to the emedny system. BUSY REDIALING NO ANSWER NO RESPONSE FROM HOST PLEASE TRY AGAIN PROCESSING RECEIVING RETRY TRANSACTION TRANSMITTING Indicates the telephone number is busy. You may have an incorrect dial prefix programmed or the line is in use by another telephone, fax machine, or other device, Indicates the telephone number is not answering. You may have an incorrect dial prefix or telephone number programmed. No response received from host. A problem exists with the network. Repeat the transaction. If problem persists, contact Provider Services at for assistance. The card swipe was unsuccessful because you partially swiped the card, the card was damaged, or the equipment malfunctioned. Re-swipe or manually enter the access number. Displayed until the host message is ready to be displayed. Displayed until the host message is received by the VeriFone. After a successful transaction has been completed, this message will be received during the Review Function if an invalid sequence of keys Is pressed or an Access Number is entered which differs in length from the original number. Displayed until the host computer acknowledges the transmission. UNREADABLE CARD Displayed after three unsuccessful attempts to swipe the card.
