1 Query Query Deliver Quick Query Use the Query Tool to isolate records that meet specific criteria. Some of the queries that you create in Slate will be used continually as part of your business processes, while others may be used just once to accomplish a non-recurring task. Key Concepts In this section: Quick Queries Exports and Filters The Slate Template Library Destinations Saved Queries Use a Quick Query when you will not need to save the query for later use. 1. Navigate to the Queries & Reports module. (Click ) 2. Click Quick Query. 3. Pick the Population for your query: Population Explanation Looking for Inquiries? You may further isolate records for any query type by adding filters. Adding a Status filter to your query allows you to find records with a specific status (e.g., Inquiry). You will learn more about adding filters in this section. Prospects All student records, excluding records with the Opt Out tag. Each student record will appear as a single row in the query results. Prospects (including opt-outs) All student records, including records with the Opt Out tag. Each student record will appear as a single row in the query results. You will learn more about the Opt Out tag later in Phase I. Applications All applications will appear as a single row in the query results. Student records that have multiple applications will appear multiple times in the query results, with each row representing a distinct application for that record. Organizations Organization Contacts Forms and Events Custom SQL All organization records in the Organizations dataset. Each organization record will appear as a single row in the query results. All organization contact records in the Organization Contacts dataset. Each contact will appear as a single row in the query results. All registrants who have filled out a particular form (e.g., Request Information) or signed up for a particular event (e.g., a campus visit). This type of query will be used for advanced queries. Additionally, you may run queries on your forms and events directly from the form, event, or template management screen. Other Populations You may optionally add additional query populations using the Slate Template Library. You will learn more about the Slate Template Library later in this section. While the population that you select will begin to define what you will see in your query results, you will use filters to more precisely limit the records that will appear in the query results. 89
2 Query Overview Use a Quick Query with a Prospects population to review the basic components of the Query Tool: Quick Query User Population John Smith Prospects Run Query Preview Results Display SQL Save Copy Query Details Once your exports and filters are added, click the Run Query button to display your query results. Preview Results will display the query results prior to running the query. View the SQL generated from adding exports and filters by clicking the Display SQL button. Save Copy allows you to save your quick query for future use. Exports + ABC Export Custom SQL Literal Add Exports Click the Export button to begin defining the data that will appear when you run the query. Click the Custom SQL button to add a custom export column. (This option is used for more complex data exports.) Click the Literal button to add a static value as an export column. Every row in the query results will have the same static value in this column. Filters Filter Custom SQL OR Add Filters Click the Filter button to restrict the population of records to be exported. You may add as many filters as you need. NOT ( Click the Custom SQL button to add a custom SQL filter. (This option is used for more complex data exports.) ) When necessary, add OR and NOT logic operators. If you do this, remember to use parentheses when necessary! Sort Keys Sort Key Add a Sort Key You may optionally sort your query results based on one or more data points. If a sort key is not added, queries using a Prospects or Applications population are sorted by last name, first name. 90
3 How to Add Exports How to Add Exports The Basics Click the Export button to define the data that will appear when your query runs: Insert Query Part Search Groups Pinned Exports Local Exports Slate Template Library Local Exports Use the Search function to quickly find a desired export. Click the Local Exports check box to display all exports in your instance. Click the Slate Template Library check box to display all available exports within Slate Template Library, even if you have not added it to your instance. Select All Preferred Ref First Middle Prefix Last See Pinning instructions later in this section. Suffix Biographical Alias Click the Exports that you would like to add to your query. Select All Birthdate Age Sex Hispanic ic Race Citizenship izensh ip Statustus Primary Citizen... Click Select All to select all the exports within a group. After clicking Save, the selected export boxes will be added to your query. To add additional exports, drag the Export button to the location where the exports should be added. Alternatively, click the Export button to have exports added to the end of the query. You may reorder your exports by clicking and dragging the export boxes at any time. Last Ref Entry Term x Hover over any export box. Click the icon or double click to edit the export configuration. Click the x icon to delete an export. Make an export or Inactive. (Inactive exports will not be included in your results.) You may further configure an export by clicking the clicking on an export box: icon or double Alter the display name (the column name) of the export. If your export is a custom field, you may define the exact value to export. (See upcoming page.) Width Export Export 2 You may configure an appropriate format type. 4 What are my Format Type options and why should I use them? Selecting a Format Type allows you to precisely define the format mask you would like to use (i.e., the way it displays) for values exported in your query: Format Type Explanation Format Mask Examples How Does Data Display Bit What should be exported for Yes values (i.e., 1) and what should be exported for No values (i.e., 0). 5 Export s Beyond the Basics How to Configure Export s If a custom field you are exporting uses prompts, you may define up to five alternative export values to display in the results of a query. For example, the export value may contain your institutional SIS code for that prompt. For example, if you need to export a field to an external system like your SIS, ensure that all associated prompts use the same Export configuration (i.e., if the SIS code you need is stored as Export 3, then all associated prompts should have their respective SIS code stored as Export 3 as well). 93
6 Extended s Beyond the Basics Exporting Extended s You may wish to export a custom field that uses prompts that are configured with a Short. The Short will be displayed in other areas of Slate, like within an application tab on the student record. You may override this behavior by selecting Extended. This will export the full value of a prompt rather than the Short : Edit Part Status Major Source Type Local Export Source Key Width Export Major Select the Extended option to return the full prompt instead. 7 Fields that Store Multiple s Beyond the Basics Exporting Fields that Store Multiple s Exporting All s You may wish to export a custom field that stores multiple values. Use the configuration options to customize how values are sent. For example, a Slate record may have the following information stored in a Race field: Race American Indian or Alaska Native Asian White In order to export all values in your query, configure your export to return All Field s and add an optional Separator: Edit Part Status Selecting All Field s will return all the values stored in a field for a record. Source Type Source Key Race Local Export Race Define how you would like multiple values to be separated. Common separators include:, ~ - Width Export You may leave this setting blank and values will not be separated (e.g., NAW). All/One? All Field s Separator, Your query results will dsiplay like this: Ref Race Sampson, Penelope American Indian or Alaska Native,Asian,White Exporting One Alternatively, you may define the one, precise value that should be exported: What s the Order? For ordered fields, the index value matches the order number. For unordered fields, values are ordered alphabetically. Edit Part Status... Race Select the Single Field at Selected Index option to return only one value. All/One? Single Field at Selected Index Index Number 2 Your query results will then dsiplay like this: Ref Race Sampson, Penelope Asian Choose which value should be exported (e.g., 1 will return the first value for the field, 2 will return the second value for the field). Asian is the second value that is stored within the Race field for this record. 95
8 Null s Beyond the Basics Exporting Null s A value may not exist in Slate for a particular record. When a value does not exist, the export column will be blank (NULL). You may have a query configured to export race information that looks like this: Ref Race Sampson, Penelope Asian,White Smith, John Edward White Binns, Jason F This record does not have a Race field value, so the column is blank in the query results. You may wish to export a particular value when a value does not exist. For example, when exporting race information to your institutional SIS, you may want to export the value Unknown when a record does not have a Race value. Configure your export to include a Null setting: Edit Part Status Source Type Source Key Width Race Local Export Race Export All/One? All Field s Separator, Format Type Null All Field s Unknown Configure the value you would like to have exported when a value does not exist for a record. 9 How to Add Filters How to Add Filters The Basics Click or drag the Filter button to add a filter that will restrict the records included in the query: Insert Query Part Search Groups Pinned Filters Local Filters Slate Template Library Local Filters Application Exists Citizenship (Primary) Citizenship (Secondary) Citizenship Status Operators: IN,NOT IN After clicking Continue, configure your filter to restrict your query results: Use the Search function to quickly find a desired filter. Select the Local Filters check box to display all filters that have been added to your instance. Select the Slate Template Library check box to display all available filters within the Slate Template Library, even if they have not been added to your instance. See Pinning instructions later in this section. Click the Filter you would like to add to your query then click Continue. Edit Part Status Source Type Estimated Rows Citizenship Status Citizenship Status Local Filter 16 IN Make a filter, /Pinned, or Inactive. Inactive filters will not be included in your results. See / Pinned instructions later in this section. US Citizen Permanent Resident Foreign National Save Save and New Cancel Estimated Rows is the number of rows that will be returned when you run your query with this filter. This number is calculated using all existing filters and the new filter you are configuring. After clicking Save, a filter box will be added to your query. You may further configure your filters by adding filter logic. Drag and drop the filter boxes into the proper order, add OR and NOT operators, and remember to use parentheses when necessary. For example: Citizenship Status IN US Citizen ( Has Form/Event Registration = Yes OR Has Verified Test Score = Yes ) Configure the filter to restrict your query results. In this example, only records with a US Citizenship will display in the query results. Click Save and New to add more filters to your query. This filter configuration would restrict the query results to only records that have a US Citizenship that also have either a form registration or a verified test score. 97
10 Pinned Exports and Filters Beyond the Basics Pinned Export and Filters Pinned Exports Pinned exports appear as their own group when adding items. If you frequently use the same exports for a population, you may pin those items to make it easier to quickly add them to a query: Insert Query Part Search Groups Pinned Exports Local Exports Slate Template Library Pinned Exports Edit Pinned Select All Ref Last Pinned Filters Click the Pinned Exports group to display frequently-used exports. 11 /Pinned Status Beyond the Basics Using the /Pinned Status Filters with an /Pinned status allow users to quickly change the selections for a single query run without editing the query. The changes made to a filter by a user do not get saved. For example, you may add the following /Pinned filter to a query: Edit Part Status /Pinned Set the status to /Pinned. In this example, there is no default setting for the Staff Assigned filter. 12 The Slate Template Library Adding Exports and Filters to your Instance Use the Slate Template Library! Make Exports and Filters locally available in the Query Tool (for users who do not have the Slate Template Library permission) by using the Slate Template Library. The Slate Template Library provides easy access to a number of Slate resources. You will learn more about the items that are not related to queries later in Phase I and throughout Phase II. How to Access the Slate Template Library 1. Navigate to the Database module. (Click the icon.) 2. Click Slate Template Library. Query Bases (8 objects) Show/Hide Our Best Advice Add exports and filters that are needed for your regular business needs. The more exports and filters that you have, the more likely your users will be confused and overwhelmed by the options. Your office does not need to export or filter on everything. 13 Query Results You often run queries with a specific business goal in mind. For example, you may wish to set a tag for all records that meet a defined criteria. Or you may wish to download your query results as an Excel spreadsheet. These tasks can all be accomplished by selecting one of the Output options on the Query Results page. Application Destinations Additional destinations will become available when you run an Applications query. You will learn more about those options later in Phase I. 14 Interaction Management Select the Interaction Management destination to add an interaction code for all records in your query results. For example, if you mailed everyone in your query a viewbook, add the Mailing > Viewbook interaction like this: Interaction Management Records Affected 104 Records Affected displays the number of records that will receive this new interaction code. Deliver Mailing Copy the entire query into a mailing (for use as a live query) or copy the results into a mailing as a static recipient list. Comma-Delimited File Download your results as a CSV (comma-separated values) file. Tab-Delimited File Download your results as a tab-delimited TXT file. PDF Report Download a PDF file with the query results in a table layout. HTML Report Display your query results in an HTML table. Mail Merge Word Document Export your results to an uploaded Word document and either merge your data or setup your merge fields. Play it again, Sam Save your Quick Query! 16 Saved Query While a quick query allows you to easily isolate records, saved queries can be used to find the same records regularly to accomplish a recurring business task. Additionally, saved queries can easily be shared with other Slate users. 1. Navigate to the Queries / Reports module. (Click the icon.) 2. Click the New Query button. Provide the initial configuration settings for the saved query: Edit Query Viewbook Query the query. Select a user. This setting will default to the current user. 17 Edit Properties Saved queries can be configured to limit records based on a number of factors. Click the Edit Properties button to customize your query configuration. Edit Properties Limit Rows Execution Options Retrieve all records each time query is run Retrieve all records and save result history Retrieve only the new records since the query was last run Restrict the number of returned results by configuring a row limit. This setting is typically used when configuring a query for a call list or if an external system can only handle a certain number of incoming records. See execution options information below. Queue None (default) See Queue options below. Save Cancel What are my Query Execution Options? Retrieve all records each time the query is run: All records that meet the query criteria will be included in the query results each time the query runs. Retrieve all records and save result history: All records that meet the query criteria will be included in the query results each time the query runs. Additionally, the history of the query results are saved, so you are able to view the records that met the query criteria for previous query executions. These execution options will enable an additional query tool to display: Set Interaction. You will learn more about this functionality at a later stage in the Roadmap. Retrieve only the new records since the query was last run: When you run the query, only records that were not included in the previous query results will appear. The history of the query results are saved. Queue it Up! Know Your Queue Options Important Note: You may only use the Retrieve all records each time the query is run execution option when configuring a queue setting. Application Update Return application records that have been updated since the last time the query ran. Person Update Return person records that have been updated since the last time the query ran. 105
18 Edit Web Service Slate supports Web service calls to queries with optional parameters. Click the Edit Web Service button to set up your configuration. 19 Sharing Permissions Click Sharing Permissions to refine the permission settings for your query. Add Grantee to configure permissions for a person or group who would not normally have access to the query. For example: Select. Edit Grantee Type User Permission Save Cancel User Samantha Green Display/Run Query Edit Query Select the Type. In this example, a permission is being set for a particular Slate user. (See below for more information.) Select the specific person or group. In this example, a permission is being granted to the Samantha Green user. Select the appropriate permission settings. In this example, user Samantha Green has permission to display/run this saved query. She cannot edit the query. What are my Permission Type Options? User Grant access for a specific Slate user. Dataset Grant access for all records within the selected Dataset. Dataset Row Grant access for a specific record within a Dataset. Permission Grant access to any user with a selected permission.
