SHARE Curation Associates Program ( ) A cohort of digital librarians, repository librarians, information technology professionals, metadata librarians, and other professionals who have been selected to develop their curation skills and contribute to the SHARE community project. Teamed up with 3 other associates who also use Digital Commons through bepress: Lisa Palmer, Institutional Repository Librarian, UMass Medical School Joanne Paterson, Head Metadata Access, Western University, Ontario, Canada Wendy Robertson, Institutional Repository Librarian, University of Iowa Emily Stenberg, Digital Publishing Librarian, Washington University in St. Louis

Best Practices for Mapping Digital Commons Metadata for Harvesting by SHARE

Recommendations for bepress and DC administrators 1. Follow DataCite guidelines for mapping institutional repository metadata to SHARE 2. Until a DataCite format is available, metadata from Digital Commons repositories should be harvested to SHARE using the qualified-dublin-core (qdc, dcq) format rather than the default oai_dc format 3. Map Qualified Dublin Core to DataCite terminology

Recommendations for DC Repository Managers Consult bepress documentation on metadata options and OAI-PMH Review how records for different collections are exposed in the various bepress OAI-PMH formats. Are custom fields mapping as expected/desired? Create standard metadata using consistent internal field names. Ways to do this include: * Develop ideal format for each collection type on your demo site and use as a future reference * Add a data dictionary to your repository at the collection level Work with bepress consultant to modify and migrate existing collections using this documentation. Share your practices publicly * Link to your data dictionary from your repository to an external site such as Google Sheets or GitHub * Share with Digital Commons user group or Resource Library

Goal is to get from this. To this How? DOCUMENTATION More sorting, Jason Whittenburg, CC BY-NC-ND 2.0, Divided by colour, but sorted by type, Roo Reynolds, CC BY-NC 2.0,

Create standard metadata using consistent internal field names. Spreadsheet comparing SHARE, bepress, Dublin Core, and local collections at WUSTL

Share your practices publicly Other ideas: My plan: Keep documentation of local Share through Github fields and what they map to for each Share through Google Sheets collection at the point of creation. Use Share on your repository BOX to make documentation publicly (Policies page?) available. Will allow others in and outside Tell people how to find it! my institution to see what s going on. Life is sharing, Alan Levine, CC BY 2.0,

LP: I m working first on creating metadata documentation for our collections. These are Google sheets which I ll eventually share publicly. During this process I identify inconsistencies and suggested changes to improve the metadata. It s really helpful to do this with live data. I ll ask bepress to make the changes and then I ll do any necessary cleanup. The Google sheets will serve as templates when creating future collections. I m starting with ETDs because they are heavily used and we currently have just two collections. Then I ll tackle our largest faculty departmental publication collections. WR: My plan... is to share my OAI > CSV scripts using MarcEdit that I am working on. I will put those on GitHub when I get back to this Also my plan is to go through our document and identify the gaps in our metadata And then my plan will be to go series by series and start fixing things. Likely coordinated with adding DOIs. -- Working Documents (links to Google Sheets)

Never too late to start. Document what you need to do even if you haven t done it yet. Apply recommendations to new collections and document those, even if it s just internally. Has someone else done something? Start there. Talk to your consultant (bepress) about examples and recommendations from other users.
