1 eportfolio Users Guide What is eportfolio? eportfolio is a secure website managed by the University of Minnesota where students, faculty, staff, and alumni can collect, store, and selectively share personal, educational, and professional records and reflections over a lifetime. Why use eportfolio? eportfolio is a lifetime perk for studying at and graduating from the UM, or for working at the UM; eportfolio is free. Benefits of using eportfolio: Your documents and information are all stored in one place You can access your digital information from any networked computer worldwide Guidance is available for developing evidence of learning in many academic and professional disciplines You control what goes in your digital collection, and what can be seen -- by whom and when Information in your eportfolio may give you a competitive advantage applying for professional and graduate schools and for employment You develop reflective thinking skills through the use of eportfolio Login s There are three type of logins for eportofolio... (1) U of M community. Use your x.500 (username & password) to gain access. (2) Invited Guests. Sharing a portfolio with someone who is not part of the U of M system, will generate a special userame and password that your guest will need to enter to view the portfolio you shared. (3) Public. Creating a portfolio to share publicly will generate a URL that can be shared with anyone you choose. Choosing this option also means others in the U of M Community can search and view the portfolio you created. ENTER: the place where you begin to create your electronic image. Use this as a place where you can analyze, reflect, describe who you are and what you know. Enter contains: Manage Your Collection (self directed) and Community (community directed) SHARE: Create a portfolio to share with others. Keep your audience in mind when creating what you want to share. Share contains: Create a portfolio, Manage your portfolios and Read shared comments. View: View means just that, view portfolios shared with you. View contains: View shared portfolio, U of M profile, Search for public portfolios and Read comments you left
2 Enter How do I enter information? There are two ways to enter information: (1) through Enter - Manage Your Collection or (2) through a Enter - My Communities (communities will be discussed in another handout). (1) Entering - Manage Your Collection Choose the Enter drop down button at the top of the page - then choose Manage Your Collection. Click on the Create a new element button to begin to add to your collection. Determine what type of information you want to enter. Enter your information.
3 Save = save item and go to the next step (attaching a file, link or photo) Save & Continue = save item and remain on page to continue writing. To attach a file, URL or image Go to Attach and use the drop down menu. Choose File, Link, or Photo - either New or Existing New - browse your computer to find file to attach Existing - browse portfolio to find file to attach From this page, you can also Edit, Delete or Tag this information. Once you are done attaching, editing, deleting or tagging, Click on the X in the upper right hand corner to close the window. At this point, the new element has been saved to your collection; it has not been shared with anyone. Other items on the Manage Your Collection page Share = allows you to share item(s) quickly with another person. Check the box in front of the item(s) you want to share in the Manage Your Collection section and click the Share button - follow steps to create a portfolio. Delete - allows you to delete one or multiple items from your collection. Check the box(es) in front of the item(s) you want to delete and click the delete button. At the Confirm box: choose OK to delete. Move to - allows you to move items from your collection into folders that you create for a better way to manage information. Check the box(es) of the item(s) you want to move and choose the folder to move them into Create a new folder - name your folder at the prompt Sort by - allows you to sort your collection by Title, Type or Date
4 Filter Collection Now you can filter your collection to quickly find items. You can filter by: Community (when you just want to look at items you selected for a specific community) Element Type (if you just want to see 1 specific element type i.e., Photo) Source eportfolio - your entire collection U of M Records - information that the U of M system automatically inputs (registration, APAS, Graduation Planner, Address, etc...) By Folder (when you want to look at items in a specific folder you created) By Tag (when you want to look for items you tagged a specific way) By Category (when you want to look for items that you entered as Personal, Educational, Career, Professional, Skills or Recognition). Search Collection Need to find something quickly? Search for it using the Search Collection feature. Upload a new file Quickly upload files into your portfolio so that they are there when you need them. Click on the Upload a new file button Browse your computer to find the file (document, spreadsheet, image, video, audio) you want to upload. Close the window using the X in the upper right hand corner
5 Share How do I share information? Go to the Share button (drop down menu) and click on Create a Portfolio Step 1: Set Up a Portfolio Title Describe Scroll to the bottom and click Continue Step 2: Choose Content Check the boxes next to the material that you want to share with others. Scroll to the bottom and click Save & Continue Step 3: Arrange Content Drag the items to rearrange content into an order that best suits you. Scroll to the bottom and click Save & Continue
6 Step 4: Choose a Style Choose style from a few options to create a more personalized look & feel. Scroll to the bottom and click Save & Continue Step 5: Add Tags Add tags to help you find information faster and allow you to name items in a way that makes sense for you Scroll to the bottom and click Save & Finish Step 6: Sharing Choose To make a Public portfolio - click change Expires - to set an expiration date - click change Add Viewers - click the Add Viewers button for U of M faculty, staff, students - use their userid (everything before - click ADD for outside guest - use the entire address - click ADD Click Save Click Done
7 Share - Manage your portfolios allows you to: View all your portfolios Delete selected portfolio(s) Move portfolios to a folder Sort by: Title, Author, Date Filter your portfolios by: - Created by Me - Created by Others - Starred - Unread - By Community - By Folder To View/Edit/Delete/Download a Portfolio Go to Share button (drop down menu) Click on - Manage your portfolios Click on the Title of your portfolio To View - click view To Edit - click edit and then select the number at the top that corresponds to what you want to edit. - want to add/delete content? - Choose Step 2: Choose Content - when done click Save & Finish - o.k. - want to arrange content? - Choose Step 3: Arrange Content - when done click Save & Finish - o.k. - want to change style of portfolio? - Choose Step 4: Choose Style - when done click Save & Finish - o.k. - want to add tags? Choose Step 5: Add Tags - when done click Save & Finish - o.k. To add/delete viewers - click share - - to add viewers - click the add viewers button; add viewer - click Add; click Save; - to delete viewer(s) - click the red X - click done To Delete - click delete - Click o.k. to delete To Download - click download and follow steps
8 View How Do I View Information? Go to the View button (drop down menu) and Click on View shared portfolios to view a portfolio that someone has shared with you - click on the title of the portfolio click view, delete or download, depending on what you want to do. On this page you can also: View all your portfolios Delete selected portfolio(s) Move portfolios to a folder Sort by: Title, Author, Date Filter your portfolios by: - Created by Me - Created by Others - (portfolios shared with you) - Starred - Unread - By Community - By Folder Also notice the Create a new portfolio button - this allows you to begin creating a new portfolio without having to use the Share button at the top of the page. View - also allows you to: Click on View your UM profile - to view your academic record in one, easy-to-view area Click on Search for Public portfolios - you can search by U of M username, tags, titles or more; click search Click on Read comments you left - to view comments you left on someone s portfolio eportfolio Assistance For general information about eportfolio for instructional and assessment purposes, contact Paul Treuer (ptreuer@d.umn.edu) or Lisa Reeves (lreeves@d.umn.edu) For classroom presentations, contact Sonja Olsen (solsen@d.umn.edu) For personal assistance, go to Career Services Resource Center (Solon Campus Center 22) or the Knowledge Management Center (Solon Campus Center 42) between 8 AM 4:30 PM Monday thru Friday and talk to the student assistants.
