Acrobat Pro: Useful standard features included in Acrobat Professional

1 fessional PDF files are extremely pervasive in the printing industry. Although they are a common file format, many people are not taking full advantage of the useful features incorporated into Acrobat Professional. This document will cover some of the more frequently used tools available. Note: Although Acrobat 8.0 is the version used in this document, these features are also available in Acrobat 7 and 9, although they may not be in the same location in the menu. Audience: Customer, Technical Product: Apogee X, Apogee Prepress, Portal Web Approval The first feature gives the user some important information regarding the creation of the document. It is Properties and is located in the File menu. When the window is first opened, it will show the contents of the Description tab. This gives information such as the PDF Producer, Version, File physical size and page size. 1 of 6

2 The Security tab will show if the file is password protected in any way, while the Fonts tab will show whether fonts have been either Embedded (the word Embedded will appear after the font name), Embedded subsets (the words Embedded Subset will appear after the font name), or not embedded at all (nothing after the font name). If you need to find out the size of the document pages, simply drag your cursor to the lower left corner and the size will be displayed. 2 of 6

3 The Crop Pages function located in the Document menu, gives the Trim box and Bleed box information, which is sometimes useful when pages don t seem to be positioning correctly in an imposition template. The TouchUp Text Tool located in the Tools menu under Advanced Editing, is useful when something simple like a date needs to be changed, or a comma changed to period or visa-versa. Please be aware that any text changes can only be made if the font used is completely embedded, not a subset. The Overprint Preview function, located in the Advanced menu under Print Production, allows overprints to be correctly displayed. This is a good tool to use when checking documents for white knockouts or just for checking the document appearance with and without overprinting. Once the Overprint Preview is selected, it remains on until selected again. 3 of 6

4 The Output Preview function, also located in the Advanced menu under Print Production, can be used for multiple purposes. The first most obvious purpose is the ability to display colors and tint percentages. Colors can be turned on and off. Using the drop-down menu next to Show allows for the selection of different color spaces. This is useful in finding RGB objects by selecting RGB, or simply finding which colors are CMYK and which are spot by selecting Device CMYK or Spot. 4 of 6

5 There is a Total Area Coverage checkbox located at the bottom of the window which allows for the display of ink coverage over a selected percentage. When the Preview selection is changed to Color Warnings, areas that contain Rich Black or Overprinting can be highlighted. The PDF Optimizer function, also located in the Advanced menu under Print Production, can be used to slim down, or optimize a PDF. It has many of same selections available in Distiller for downsampling and compressing images and text and also allows for selection of a lower PDF version. 5 of 6

6 One additional feature is the ease with which multiple files can be combined into a single PDF using the Create PDF from Multiple Files function. When the Combine Files window is open, multiple files can dragged into the window, or the Add Files icon be used, can select the files to be combined. The order of the files can be changed with drag and drop, and it also allows for selection of a final file size. 6 of 6
