2 Introduction Welcome to the Emerald Expositions Ad Portal. Our new portal, emeraldexpoadservices.sendmyad.com, allows our advertising partners to submit their materials quickly and confidently. Access and upload materials to the web page It s easy to get started. This manual will guide you through the ad materials submission process. After creating a user account, additional help can be found at the following address: If at any time you need further assistance, please contact your production manager, directly. 2
3 Create an Account Step 1 Go to emeraldexpoadservices.sendmyad.com in your web browser.* Step 2 To create a new user, choose Click Here under the First Time User? header. If you already have a username and password, please sign in and proceed to page 6 of this document. New users start here. Existing users log-in here. NOTE: Current system requirements to use the Ad Portal are listed on the log-in page. Please ensure your computer and browser match the requirements before proceeding. 3
4 Create an Account Step 3 Compete the information fields to setup your account. All fields with and asterisk ( * ) are required information.* NOTE: The Terms of Service box MUST be checked before an account can be created. 4
5 Ad Portal Dashboard The Dashboard allows easy access to all of the features of the Ad Portal. The diagram below details each feature available to our advertising partners Dashboard Access all Ad Portal features easily. 2. Send My Ad Upload a new advertiserment to any scheduled Emerald Exposition publication. 3. Ads Shows ads running in all Emerald Exposition publications. These ads will be retained on the Ad Portal for no more than 12 months. 4. Ad Sizes Lists of all mechanical specifications and closing dates for Emerald Expositions publications. InDesign templates are available. Compatible with CS4. 5. Users, Groups, and Company Profile Allows setup of multiple users for other members of your organization. 6. Frequently Asked Questions Answers to commonly asked questions pertaining to PDFX1/a preparation and submission. 7. Quick Start Video Tutorials Watch video tutorials for answers to commonly asked questions. 8. Get Help Lists detailed assistance on navigating the Ad Portal. 5
6 File Requirements File requirements for all Emerald Expositions publications can be found on the respective title s online media kit. Contact your production manager for details. General requirements: Ad materials are to be supplied as digital files in the preferred PDF/X-1a:2001 format. To match the color expectations of our advertisers, Emerald Exposition requires the PDF/X-1a:2001 file format and a SWOP proof for each ad submitted. Advertiser/agency accepts full responsibility for reproduction variations between the digital file and the printed image for ads submitted in non-preferred formats. Non-adherence to the preferred format may necessitate production fees. Nielsen Business Media is not responsible for making corrections to supplied files. Customer-supplied digital files and SWOP proofs will be retained for up to three months following publication date and then destroyed unless otherwise requested in writing. PDF/X-1a:2001 File Preparation: Adherence to the following guidelines in application file preparation will aid in successful file conversion: Create ad layouts in a professional desktop publishing program such as Adobe InDesign or QuarkXPress. Create one PDF/X-1a file per ad or ad page; spread ads must be submitted as two single page files. Orientation: Set native application files in portrait mode at 100% with no rotations. Color: Define all colors as CMYK process. Unintended spot color and or Pantone colors must be converted to CMYK process. RGB, LAB and ICC based colors are not allowed. Black & white images should be saved as single channel black only before placing them into the page. Nested grayscale or nested single channel black may become 4/C when printed. Delete any unused colors. Images: Must be high resolution SWOP-compliant with a resolution of 300dpi for CMYK and 1200dpi for black & white images. OPI selections should be turned off. Do not nest EPS files within other EPS files. Save images in TIFF or EPS format, with no embedded color management profiles. Total area ink density for color images should not exceed SWOP standard of 300%. All ads must be created to trim specification with crops (printer marks) set at trim dimensions placed 12 pts outside the bleed area. Bleed must extend 1/8 beyond trim. Keep live matter a minimum of 3/8 from trim edge. Type: Fonts must be embedded. Use Postscript Type 1, Open Type or TrueType fonts only. Text containing thin lines, serifs or small lettering should be restricted to one color. Layers within any Adobe application file must be flattened. Opacity all objects, artwork or effects in the document should be set at a maximum of 99 percent before flattening layers. Generation of acceptable PDF/X-1a:2001 files is done by the output of a Postscript file (.ps) which is then distilled through Adobe Acrobat Distiller using the PDF/X-1a setting to avoid font, transparency and layering issues. It is recommended that the PDF file be certified PDF/X-1a:2001 using a PDF preflight utility like Adobe Acrobat Professional (version 6 or higher) or Enfocus PitStop. 6
7 Upload an Advertisement File requirements for all Emerald Expositions publications can be found on the respective title s online media kit. Contact your production manager for details. Step 1 Select Send My Ad from the left hand menu bar. 1 Step 2 Select the desired publication from the drop down menu. NOTE: Be sure to use the Back button within the Ad Portal. Using your web browsers Back button will erase previously entered data. 7
8 Upload an Advertisement Step 3 Enter in all required information indicated with and asterix including advertiser, size, color (CMYK Process, Black & White or Spot), issue and whether a color contract proof will be supplied Click here to review file requirements, including: Trim Size/Page Requirements Image Resolution Color Requirements Fonts 2. If a color proof is not being provided Emerald Expositions will not be held responsible for inaccurate reproduction on press. 8
9 Upload an Advertisement Step 4 Click on the Chose File button. Only PDFs are accepted. PDFX1/a are preffered. Step 5 Click on the Browse for File button. Navigate to the location of the ad. Click Open once the ad is selected. 9
10 Upload an Advertisement Step 6 Make sure the correct file is listed on the upload screen and click on the Upload button. After the ad is uploaded, the Ad Portal preflights the ad to ensure it meets the publications specifications. This may take a few minutes. 10
11 Approving an Advertisement Once the advertisement passes through preflight a screen similar to the image below will appear Approve Ad Approve the to run in selected publication. 2. Reject Ad Reject the ad currently displayed. 3. Reposition Ad Manually center the position of the advertisement within the trim boarders per programmed specifications. 4. Auto Center Allow the Ad Portal to center the position of the advertisement with the trim boarders per programmed specifications. 5. Revise Ad Upload a new, replacement file, or alter the ad file to meet specifications. 6. Send to Other Publications Schedule approved advertisement to appear in publications of the same publisher and dimensions. 7. Print Report View and print detailed Digital Ad report confirming reciept and appearance. 8. Warnings Itemizes and highlights components that do not meet specification. 11
12 Approving an Advertisement Warnings After an advertisement passes through preflight there may be list of warnings. The area that flagged the warning is highlighted. List of warnings and detailed explanations. There may be numerous reasons an advertisement is flagged with warnings. Warnings are potential problems that may arise on press. They may not necessarily affect the advertisement s reproduction. By hovering over the warning list, the affected area of the advertisement will be highlighted as illustrated in the diagram above. The advertisement may be approved to print with warnings. However, the advertiser must agree that it will be published as it appears on screen. 12
13 Finalizing an Advertisement Once the advertisement is approved a screen will be presented similar to the diagram below Download Final Ad Download a PDF of the approved advertisement. 2. Download Ad Receipt Download a receipt confirming all the details of the advertisement. 3. Pickup Ad Repeat the advertisement in another issue of the same publication. This option may be disabled by the publisher. Contact the production manager directly with instruction to pickup materials. 4. Send to Other Publications Submit the approved advertisement to other Emerald Exposition publications. Again, this feature may be disabled by the publisher. Contact the production manager. 5. Send an Ad Submit a new advertisement to the Ad Portal. 6. Back to the Ads List Return to your directory of all advertisements submitted via the Ad Portal. 13
14 Digital Ad Receipt A PDF may be downloaded from the Ad Portal for confi rmation that includes a copy of the advertisement and the accompanying metadata for said advertisement including, size, color, and publication.
