The purpose of this document is to ensure that you understand this product s capabilities, with regards to performance and to explain the recommended operating guidelines for the Product. With this information, you will be able to ensure this is the right product for your business. This document is intended for the person responsible for controlling the site and for defining and accepting system performance standards. It is based on knowledge available at the time of publication and is for you to keep for future reference. You have received this document in advance of product delivery to help you prepare your site for the delivery and installation of the system. Nuance and Fuji Xerox have developed a solution to bridge this gap. This complete desktop document management solution uses the power of Fuji Xerox multifunction products (MFPs) to capture paper documents and Nuance productivity applications to organise, combine and share your scanned documents, Microsoft Office and PDF files in one place. Fuji Xerox Scan to PC Desktop significantly improves the way every person in your organisation uses and shares documents every day. Scan to PC Desktop lets you unlock information stored in paper documents and turn them into files you can edit. Your converted documents look exactly like the original complete with columns, tables, bullets and graphics. Even fully formatted documents are easy to edit the right way, with flowing text across columns, saving hours of document recreation. The personalised workflow 2

5 options allow you to modify the behaviour of the document conversion process so it is specific to your document requirements. Scan to PC Desktop Professional 10 is only available for purchase as an option / accessory with selected Fuji Xerox Multifunction products. Scan to PC cannot be purchased separately. Product component information The Scan to PC Desktop Professional 10 solution includes the following Nuance components. Additional information on these components can be found in the Product user guides and Brochures or by contacting Fuji Xerox. PaperPort Professional 11 PaperPort provides the easiest way to turn paper into organised digital documents that everybody in an office can quickly find and use. PaperPort works with scanners, multifunction printers, and networked digital copiers to turn paper documents into digital documents. It helps you to manage them along with all other electronic documents in one convenient and easy-to-use filing system. PaperPort s large, clear item thumbnails allow you to visually organise, retrieve and use your scanned documents, including Word files, spreadsheets, PDF files and even digital photos. PaperPort s Scanner Enhancement Technology tools ensure that scanned documents will look great while the annotation tools let you add notes and highlights to any scanned image. Organise, find and share all your paper and digital documents via your PC Desktop PDF Converter Professional 5 Enterprise Create PDF Files PDF Create! 5 lets you create PDF files from a wide range of file types. The Print dialog box in your print-capable applications will offer a printer named ScanSoft PDF Create! The PDF Create! Assistant lets you compile a list of files generated by different applications. You can also create PDFs from XPS files. Each file can be converted to a separate PDF file, or they can be combined, overlaid or packaged into a single file. When working in Microsoft Word TM, Excel, PowerPoint or Outlook you can call on the program to create a PDF file directly from your current document. When converting from Microsoft Word, hyperlinks and comments can be transferred and you can set bookmarks to be generated from the structure of the Word document. Files can be protected by passwords and can include watermarks. Edit PDF Files PDF Converter Professional gives you extensive control over your PDF files through an easy-to-use browsing and reading interface. You can edit pages and documents, annotate and review them, adjust document security, sign your documents and more. PDF documents can be compiled from different sources and pages can be rearranged. The program delivers a powerful document management system: use it to create archives from related documents to index and search them later. Alternatively, in the Enterprise edition, you can access different document management systems through the application: use them to store or archive your PDF documents. Export PDF Files PDF Converter 5 lets you unlock PDF and XPS files to edit them as Microsoft Word TM, Microsoft Excel, Microsoft PowerPoint, Corel WordPerfect TM, and generic RTF files. It also lets you open PDF files directly from these applications, edit them and save them in the appropriate file type. It converts PDF files up to and including version 1.7. The program offers four types of conversions: standard documents, legal documents, forms and spreadsheets. OmniPage Professional 16 OmniPage Professional 16 provides OCR capability and can automatically batch convert files; use multi-function printers to automatically scan and convert high-volumes of documents; monitor, recognise and convert files from incoming s directly to your network; access scanned files from 3

6 anywhere in your organisation; archive documents directly into Microsoft SharePoint; highlight and redact document data to improve collaboration and maintain confidentiality. Supported file types Supported image file formats for loading are TIFF, PCX, DCX, BMP, JPEG, JB2, JP2, GIF, PNG, XIFF, MAX, PDF, XPS. Supported file types for saving recognition results as text are: HTML 3.2, 4.0 Microsoft Excel 97, 2000, XP, 2003, 2007 Microsoft PowerPoint 97 Microsoft Publisher 98 Microsoft Word 97, 2000, XP, 2003 (WordML), 2007 OmniPage Documents PDF (Normal), Edited, with image on text, with image substitutes RTF Word 6.0/95, RTF Word 97, RTF Word 2000, RTF 2000 ExactWord WordPad WordPerfect 12, X3 Text, Text with line breaks, Text - Formatted, Text - Comma Separated Unicode Text, Unicode Text with line breaks, Unicode Text - Formatted, Unicode Text - Comma Separated Wave Audio Converter (to save recognized text being read aloud) In OmniPage Professional 16 there is also support for: ebook, Microsoft InfoPath (for forms), Microsoft Reader, and XML. Image Retriever Professional 9 Retrieving images in Scan to PC Desktop v10 Professional Edition. There are two ways to bring images into the PaperPort desktop in the Professional Edition of Scan to PC Desktop. Image Retriever (see below) and DesktopDelivery, an integrated folder monitoring and polling application in PaperPort Professional 11. For details on use of DesktopDelivery, please refer to the PaperPort 11 documentation. Image Retriever is designed to monitor a specified folder on a networked file server or local hard drive for incoming scanned images and transfer them to your local PaperPort Desktop. It can also monitor inboxes for attachments. Image Retriever offers the following functionality: User-specific watch folder Only one user and one application is able to watch a specific folder at any time. The mechanism for this is adding a file named repwatch.xsw in the watched folder. Other applications that use this mechanism, Image Retriever or other Image Retriever programs will not be able to watch that folder until the file is removed. If you work with the Professional Edition of Scan to PC Desktop, you can make your choice between Image Retriever and Desktop Delivery in PaperPort 11 Supported network operating systems Image Retriever works with a number of industry-standard network operating systems Novell Netware 3.x, 4.x, and 5.x using Bindery Netware 4.x, 5.x, and 6.x using NDS Microsoft Windows 2000 Windows 2003 Server Supported client operating systems. Microsoft Windows 2000, XP, and Vista (32 and 64-bit versions) Supported clients. Microsoft Outlook 98, 2000, 2002, 2003, and 2007; Lotus Notes 5.x, Lotus Notes 6.x, and Lotus Notes 7.0 4

7 Supported image file formats Image Retriever supports the following file formats: JPEG PDF TIFF XPS Additional information on these components can be found in the Product user guides and Brochures. PSP Server PSP server is not available with the Fuji Xerox release of Scan to PC Desktop Professional 10. The PSP Server / Personalised Scanning is only applicable to EIP enabled devices from Xerox Corporation. Refer to the considerations section at the end of this document. System Requirements These are the MINIMUM system requirements. PaperPort Professional 11 & Image Retriever 9 Microsoft Windows 2000 SP4 or above, Windows XP SP2 32-bit, Windows Vista 32- bit, Windows Vista 64- bit Intel Pentium processor or equivalent 128 MB RAM, 256 MB RAM or higher recommended 300 MB free hard disk space Microsoft Internet Explorer 5.5 or higher (free download available at CD-ROM drive (required for installation) SVGA monitor with 256 colours, but preferably 16-bit colour (called High Colour in Windows 2000 and Medium Colour in XP and Vista) and 800 x 600 pixel resolution A Web connection is required for registration OmniPage Professional 16 Intel Pentium III or higher processor or its equivalent. Intel Core Duo, Intel Core 2 Duo or AMD X2 Dual Core recommended for advanced performance. Windows 2000 (from Service Pack 2), Windows XP 32 bit (from Service Pack 2), Windows XP 64-bit,Windows Vista 32-bit, Windows Vista 64-bit Microsoft Internet Explorer 5.5 or higher 256 MB of memory (RAM), 1GB recommended for advanced performance. 150 MB of free hard disk space for the application files and sample images, plus 70 MB working space during installation. An additional 245 MB for RealSpeakTM Solo speech modules (nine languages) 20 MB for ScanSoft PDF Create! and 250 MB for PaperPort 1024x768 pixel colour monitor with 16-bit colour or greater video card CD-ROM drive for installation A sound card and speaker for reading text aloud To save DOCX, XLSX and PPTX files (Microsoft Office 2007 Word, Excel and PowerPoint file formats) or to load and save XPS files (XML Paper Specification files), you should install Microsoft.NET Framework 3.0 if you are not already running Windows Vista or have Office 2007 installed. PDF Converter Professional 5 Enterprise Intel Pentium or higher processor or equivalent. 5

8 Microsoft Windows : Windows 2000 (SP 4), Windows XP (SP 2), Windows XP 64- bit Edition, Windows Vista 32-bit or 64-bit Editions, Windows 2003 Server. Microsoft Internet Explorer 5.5 or above. 256MB RAM (512 MB recommended). 200MB of free hard disk space for application files plus 50MB working space during installation. SVGA monitor with 256 colours, but preferably 16-bit colour (called High Colour in Windows 2000 and Medium Colour in XP) and 800 x 600 pixel resolution. Windows-compatible pointing device. CD-ROM drive for installation. If Windows Vista is not installed; Microsoft.NET Framework 3.0 is required in order to save to DOCX, XLSX, and PPTX file formats (Microsoft Office 2007 formats) The Microsoft.NET Framework 3.0 can be installed on Windows XP but cannot be installed on Windows Sound card is optionally required for using the functionality of the supplied Text-To- Speech Engine. Microsoft Office 2007 (SP 1) is required to leverage the complete functionality included for XPS files. Note: Performance and speed will be enhanced if your computer's processor, memory and available disk space exceed minimum requirements. This is especially true when converting very large colour PDF files. Hyperthread enabled or multi-processor systems can deliver better performance. Licensing Scan to PC Desktop Professional 10 is only available for purchase as an option / accessory with selected Fuji Xerox Multifunction products and cannot be purchased separately. The product is available with the following multiple license pack options New Purchase 5 Seat Professional Workgroup Edition 10 Seat Professional Workgroup Edition 25 Seat Professional Workgroup Edition Upgrade Upgrade licensing packs are available to upgrade previous version of Scan to PC. The applicable previous versions of Scan to PC for Upgrade are as follows: Scan to PC 6.0 Scan to PC 8.0 Scan to PC 9.0 Upgrade license packs are available as below: 5 Seat Professional Workgroup Edition Upgrade 10 Seat Professional Workgroup Edition Upgrade 25 Seat Professional Workgroup Edition Upgrade Further Licensing information can be found in the End User License Agreement (EULA) available on the Product CD or upon request to Fuji Xerox. 6

9 Support Support Services Agreement Customer s who have a support services agreement with Fuji Xerox Australia for a Multifunction Product sold with this product are entitled to the following during the support period: Telephone Support (this does not include onsite support beyond the installation and set-up service when purchased) support via the FXA CCC - software.support@aus.fujixerox.com Free maintenance patches and both major and minor software updates when they become available Other important Support Service Agreement details: The Support Agreement does not cover support for 3 rd party products, modifications done to the product, use of the product otherwise than in accordance with Fuji Xerox written instructions, customer s hardware or for any software other than the licensed software Fuji Xerox will support the current and one prior version of software only. Any versions before these will cease to be supported Fuji Xerox will use reasonable endeavours to develop maintenance patches but may not be able to fix all defects and does not warrant that the software will be error free All service calls are received through our Customer Care Centre on As part of the support services agreement, a Scan to PC Administrator must be identified. The Scan to PC Administrator is the focal point for all inquiries and will also be required to perform key maintenance activities such as those listed in the Customer Requirements section (below) More details regarding the support agreement are contained in the License Agreement. Analyst Services Fuji Xerox Analyst installation services will provide the following services: Software installation for one PC Software configuration System administrator installation/set-up training and system overview Additional Analyst services may be required to ensure the solution will work correctly with extended dependent applications and, as such is chargeable. Consulting services, such as recommendations for change management, business process advice, etc.; can also be provided by Fuji Xerox via a consulting services agreement. Please contact your Fuji Xerox analyst representative for more details. Training Fuji Xerox recommends the following training: End user training to ensure optimal use of the product Training (charged per hour) is available for purchase and can be delivered at the time of installation. For larger sites, Scan to PC champions should be trained, who would then pass on that training to their own staff. Any training should be carried out in a training environment (absent from distractions). 7

10 Customer Requirements Customers are required to: Ensure the onsite environment pre-requisites have been met (outlined in the System Requirements section of this document) Manage and operate the software and the environment properly, including using proper audit controls, working methods, data/software security and back-up procedures Ensure the designated Scan to PC Administrator is present at the time of installation to understand set-up and configuration If the above requirements are not met and additional time is spent onsite by a Fuji Xerox Analyst to meet these prerequisites, the time spent in this process is chargeable as per the market rate (please also refer to the Responsibility Matrix below). Responsibility Matrix The following table summarises customer and Fuji Xerox responsibilities relating to the product when Analyst Installation is purchased: Item/Action Responsibility Customer Fuji Xerox Provide PC hardware and Operating System (OS) to required specifications Confirm and maintain network integrity Install and configure Scan to PC to one customer PC * Provide initial administrator training / overview * Provide maintenance patches and minor software updates ** Provide phone & support ** Backup/restore Software configurations, database and document store Manage and operate the Scan to PC software after installation Maintain PC hardware and OS Maintain client PC s and OS Provide additional onsite support (chargeable) Installation Actions Ongoing Actions *If the customer chooses to self-install these items, they become the customers responsibility. ** Only provided for Customers with a current Support Agreement Customised Solutions Customised Solutions are not included in this document. Any additions to the Scan to PC involving a Customised Solution will be documented in a separate document entitled Statement of Work. If you require a tailored solution, this can be scoped on application and is chargeable. 8

11 Considerations It is assumed that the software is installed on a hardware platform capable of supporting the implicit data and transaction volumes. PSP Server and Personalised (Personalized) MFP Scanning is not included or supported in the Fuji Xerox release of Scan to PC Desktop Professional 10. Features and functionality relating to these items may be greyed out and so non-selectable within the Scan to PC components. As part of the product installation the product user guides & quick start guides are automatically built and installed onto the PaperPort Desktop. These documents may contain references to PSP Server & Personalized Scanning. If required, refer to the product user guides & quick start guides in the product folders in root directory of the CD ROM which has these references removed. ODMA & Processing with Workflows - your local network must include a Document Management System (DMS) that supports ODMA clients, then Scan To PC Desktop will be able to work with it. Direct links are available to three ODMA-compliant Enterprise Content Management (ECM) systems: Microsoft SharePoint, Hummingbird (Open Text) and imanage (Interwoven). The links appear only if the relevant ECM is available on your system. Also you cannot create Batch Manager jobs with ODMA input or output. 9
