2 1 Translation 1.1 Technical text into Swedish I translate technical texts from English, German and Finnish into Swedish. Some examples: Manuals Brochures Home Pages Safety data sheets Quality manuals Machine descriptions Customer magazines Leaflets Drawings. My customers are mainly in the building, engineering, electronics and construction industries. 1.2 Better than the source text I mainly translate manuals, technical sales materials and technical instructions. Therefore, other requirements are more important than that all the words in the source must be included in the translation. I always try to understand the function of the product and then describe it in Swedish. I often relate feely to the source text, as it often is written by persons from other cultures and must be adapted to the Swedish mode of expression. It is important that the source language is not reflected in the translation. I split long sentences and remove unnecessary subordinate clause constructions. 1.3 Short and sententious A short text is often better than a long one. If the text is exported from e.g. InDesign or PowerPoint, then the translation should not be longer than the source text, as this could create layout problems. 1.4 Previous translations Changes in documents that I have translated The source text is often subject to change, e.g. when a product is redesigned. In order to translate the new version of the document, I only need the new reworked source text in the source language. If I have translated the first version, then the old translation is stored in my translation memory. The program I use will easily find out what is unchanged, changed or added in the new version, without the reached having to highlight the changes. Yellow markings and pasting in new source text in the translated Swedish version complicates the translation work, but can be managed The customer's old translations If the customer has translations that I have been done by other translators, it is beneficial to have both the source and the translation of the old texts. It is then possible to align the texts and create a translation memory. Page 2

3 2 File formats and applications Manuals and other technical documentation are made with various programs, and in various formats. The most common file formats are MS Word, InDesign, FrameMaker, Excel and PowerPoint. Files saved as pdf must be converted and cleaned, which will be more expensive and give a lower quality than to work from the real source document. Below is a list of the programs and file formats I use. I deliver the translated files in the same format as the source, and also as pdf if desired. File formats that I can translate. *The file must be converted with an another program before it can be translated in Studio ** If possible, pdf files should not be used for translation, see chapter below Translation of PDF files The pdf format is excellent for issuing and publishing documentation that is to be read, but unfortunately a very bad format for translation. There are no documents originally made in the format pdf. Pdf files are created by saving files as pdf from other applications, e.g. InDesign, or by scanning paper documents. The advantage of pdf is that they can be read without having the original program. Pdf files are not designed to be edited, but this is still possible with special methods. I always try to get the source files from, for example, InDesign. That provides a lower price, a simpler translation process and higher quality of the final product. In some cases, it may be impossible to obtain the real source files. In such cases, I convert the files to Word format with different tools. If the conversion is successful, it is possible to get an acceptable result with a few hours of pre- and postprocessing. In some cases, only the text can be extracted, and then the layout work must be redone. Translation from pdf will be more expensive and the quality will be lower. Page 3

4 2.1.2 InDesign and [FrameMaker] It is easy to translate InDesign and FrameMaker files with Studio In such cases, I need the InDesign file in format xxx.indd or xxx.idml, [and from FrameMaker in the format.fm or mif]. Translation only If the customer only wants the translated text, and does the work with a layout program, I only need the file either as.indd or.idml from InDesign, [or as.mif from FrameMaker]. There will be fewer files to send, because images, external links, and fonts do not need to be sent. If I work from.idml or.mif, the reimport into the layout program and final adjustments must be done by the customer. In such cases, the customer can make a pdf of the Swedish version, and send it back to me for final review and proofreading. What may need to be adjusted afterwards is e.g. text adaptation in boxes and hyphenation. 1. The customer opens the document in InDesign or [FrameMaker] 2. The customer exports to the format.idml or.mif and sends it to me 3. I open the.idml or.mif file in my translation tool Trados Studio 4. I do the translation 5. I save the translated file as target, in format.idml or.mif 6. I send the.idml or.mif to the customer 7. The customer opens the [idml or mif file in the layout program 8. The customer makes any necessary changes and sends the pdf for proof to me 9. I enter the proof changes into Studio 10. I make a new.idml or mif, if necessary 11. The customer makes the final version in the layout program, and sends the PDF to me. Translation including final layout If I am to do the final layout of the document, all folders of links, pictures and special fonts from the layout program are required. 1. I open the document in InDesign or FrameMaker 2. I export to the format.idml or.mif 3. I open the.idml or.mif file in Trados Studio (my translation tool) 4. I do the translation 5. I save the translated file as target, in format.idml or.mif 6. I open the file with InDesign or FrameMaker 7. I do the necessary adjustments (text boxes, hyphenation, overset text) 8. I save as pdf for the customer's proofreading, and send to the customer 9. I enter the customer s changes in Studio and create a new layout version 10. I save the layout in the program's original format for delivery and finishing 11. I save as pdf for publishing if the client does not use the layout program. One round of proof changes is included in the price. If there are more than one round of corrections or addendums in the source text. I will charge the extra work per hour AutoCAD Studio 2017 has no filter for direct processing of AutoCAD files with the extension.dwg. I can extract the text from AutoCAD drawings with a conversion program and translate in Studio, and then reimport the translation. I use the programs EditPad Pro, progecad and TranslateCAD for this. 5 2.1.4 File Transfer The easiest way to send files is to attach them to an . If the files are very large, they can be zipped. The limit for attachments is about 10 Mb. If the file after compression is still too large, use WeTransfer, Dropbox or other file transfer system. 3 Proofreading 3.1 My proofreading I proofread my own and my subcontractor's translations into Swedish. If the translations into other languages are made by my subcontractors, I will check that the terminology is correct and consistent. 3.2 The customers proofreading 1) It is important that the customer reads through the text to check, that terminology and language use is consistent with the company and industry standards. 2) I will send the document for proofreading as a Word document or pdf, e.g. if the document comes from InDesign files. If required, I will also send a comment file which contains a glossary. The customer can make changes in any way convenient. If a term is to be changed consistently, it is sufficient to make the change once, or in the glossary. I always check all changes for consistency. 3) One round of proof changes is included in the price. 4) It is important that I get information about all changes made, considering coming translations. The best method is that I enter the changes myself and make a new version. 4 Translation of manuals for programs and automation A manual for automation systems usually contains screenshots and other references to the system and machine. The translation of references to the buttons, displays and screens have to be consistent with what is shown on screens and displays. Sometimes only the manual is translated, and then references to the buttons and functions could be written like this: Print [Skriv ut]. If the reference appears often, it is sufficient to only add the explanation in brackets at first instance or in the chapter header. The main rule is clarity, and you can often assume that the user understands the basic computer commands in English. Before translation, it is important to know if the system text strings are to be translated or if they remain in English. I recommend translating both manual and system strings in parallel, and that the translation should be done by the same translator. If the user manual and program strings are translated separately, coordination becomes more difficult and expensive. 5 Subcontracting I sometimes use subcontractors for the following reasons: The customer need translators for other language combinations The same document is to be translated into several languages The time frame is so tight that I cannot manage it by myself Parts of the translation is about law, economics or medicine. I follow the rules below, and require that my subcontractors follow them: I never subcontract assignments from translation agencies to my subcontractors I do not accept jobs if there is more than one middleman I always inform the customer about which subcontractors I use. 6 If I get requests that I cannot handle, I will refer the customer to a colleague. 6 Quotations and invoicing 6.1 Quotation The cost of translation is about 0.2 per word. The price for translation of a typical manual which contains 45 pages, with 250 words per page, would be around If several similar manuals, or revisions of earlier versions is to be translated, the price will be substantially lower, as all translations I do are stored in a translation memory. I give discount for internal repetition and hits in the translation memory. With SDL Trados Studio, it is possible to do a complete analysis of the text for the quotation. The analysis function counts the number of words and repeated sentences, and then compares the text with translated sentences in my translation memory. 6.2 Terms & Conditions The following terms of delivery apply, if not otherwise agreed. a) I will store the customers material for at least five years. All data files are stored on my computer and on standalone hard disks. The translation is also stored in my translation memory. b) My maximum liability for translation errors is limited to the price of the translation. Claims and complaints is to be delivered in writing within three months from delivery. c) The customer gets all rights to the translation. Normally I deliver files in the same format as the source. I can also deliver bilingual files as translation tables or in the Studio format sdlxliff. I however reserve the right to use the information in the translation memory and project glossaries as internal reference material in my work for other customers. d) I assume that the client takes responsibility for the final document, and that the customer proofreads and approves the text before publishing. It is the customer who must have (or buy) the technical expertise needed to publish the material. e) One round of proof changes is included in the price. f) I do not use other translators as subcontractors without notifying the client. g) Payments in Sweden are made to my account in ICA Bank. h) International payments can be made via IBAN. Studio has a wide range of filters for different file types, e.g. Word, InDesign and HTML. The translated sentence pairs are stored in a database, the translation memory, and can therefore be reused. After the translation I save the file as target, proofread and do a final review of the layout. This method has many advantages: It will be easier to keep the terminology consistent The text can be reused in similar projects If changes are made in the source text it is easy to do a new translation. To ensure that I use the following tools: technical dictionaries and databases the terminology system SDL Trados MultiTerm Computerized verification of terminology in Studio 2017 Meticulous proofreading. Studio 2017 is integrated with the terminology tool MultiTerm. MultiTerm searches in the glossaries after the technical terms appearing in the current segment and suggests translations. The customer's dictionaries can be added to MultiTerm. In bigger or recurring projects, I make a customer specific glossary during the work, in cooperation with the customer. Picture 7-2.
