1 Consumer Health & Spending Accounts (CHSA) Banking and Payment Changes Transitioning from ADP to WageWorks July 2017
2 Purpose and Vision Support an effective transition of ADP CHSA Services into the WageWorks operating model through strategic client and participant communications. Objective Create awareness among clients and participants around key transition activities Approach Improve client and participant experience by identifying dependencies and providing logical flow of communication activities Identify optimal communications channels based on client and participant dynamics for each activity Provide easy-to-understand communications for each activity Provide clients a preview of participant communications to support readiness 2
3 Key Activities and Messaging The bank issuing participant reimbursement checks is changing on or around August 11, 2017 WageWorks bank filters should be added to allow ongoing funding debits WageWorks will begin to pre-note clients on August 5, 2017 Participants with uncashed reimbursement checks will be informed of a void date and reissue timeframe (multiple void dates and reissue dates will apply) Participants will be encouraged to enroll in direct deposit for an improved reimbursement experience A claims payment freeze will be in effect August 14 18, 2017 Claims will be accepted and processed Payments will not be issued until August 21, 2017 No impact to card transactions except for HSA (balance-based account, will only have access to balance available as of start of payment freeze) ADP prefunds will be returned to clients and re-invoiced by WageWorks immediately following claims payment freeze 3
4 Client Banking and Funding Changes Debit clients must add the WageWorks bank filters Client bank filters limits must be increased to accommodate first debit (covers all payments approved during claim freeze) An internal client reconciliation will be completed to validate all client balances (available to clients upon request) Clients with current payment activity will receive a Funds Request on August 11, 2017, even if that is not their normal billing day (last business day before claims freeze) Client Funds Requests will now reflect all products, including HSA deposits, reversals and rejects ADP prefunds will be returned via check prior to transition to WageWorks banks 4
5 Client Banking and Funding Changes (cont.) WageWorks initial prefund will equal the current ADP prefund WageWorks will invoice new prefund immediately following claims freeze, to be paid using client s current funding method 5
6 Participant Reimbursement Changes Participants will be informed of upcoming changes through website banners and campaigns Check Voids/Reissue Participants should cash all outstanding checks prior to August 11, 2017 Uncashed ADP checks will be voided and reissued under WageWorks Participants should be encouraged to enroll in direct deposit for improved reimbursement experience Claim Freeze Claims received August 14 18, 2017 will be processed and held for payment Payments for all approved, pending claims will be issued on August 21, 2017 No impact to card activity except for HSA (balance-based account, will only have access to balance available as of start of payment freeze on August 14) 6
