5 Inxmail Introduction 1 Introduction The integration of CAS genesisworld and Inxmail Professional offers professional marketing based on existing and qualified addresses from a CRM system. The CAS genesisworld database is used to send mailings, and all departments across the company benefit from one customer data pool. The mailing is created for a special customer group with Inxmail Professional, personalized, and written in HTML without further programming knowledge. You test and send mailings using Inxmail Professional. You save the information about the mailing, promotion , or the newsletter in the respective CAS genesisworld address dossier and can retrieve data at any time. Furthermore, you can retrieve information about the current state of an address and if customers may have unsubscribed from the respective distribution list for each individual campaign. To follow up the outcome of the mailings, Inxmail Professional lets you administer statistical campaign data, for example, click-through rates and opening rates. You can also save this statistical data as a PDF file. marketing with CAS genesisworld Customer data is transferred from CAS genesisworld to Inxmail Professional. Customer data is then available as a mailing list in Inxmail Professional. The content of a mailing is created in Inxmail Professional and the respective s are sent with Inxmail Professional. After the mailing has been sent, customer-relevant data can be re-transferred to CAS genesisworld. 6 Inxmail Introduction The functions of Inxmail Professional will not be described in detail in this document. For further information contact the Inxmail GmbH or consult the Inxmail Professional online help. 1.1 Inxmail integration functions You select addresses by means of a distribution list in CAS genesisworld. The addresses for mailings must be present in each address and clearly legible. They can all be checked and corrected using Inxmail Professional. These addresses are transferred to Inxmail Professional and, during this process, they are checked and corrected if necessary. The respective functions for this integration are available in the Distribution list window. In the process, a mailing list is created in Inxmail Professional. The mailing list contains the address fields which you have set in CAS genesisworld. Composing contents for a mailing, testing, and sending all takes place in Inxmail Professional. As soon as the recipients have opened the or clicked a link in the , reports can be created. These reports are available at any time and can be updated continually. Inxmail Professional automatically transfers any sent s as well as any bounced s to CAS genesisworld. The automatic transfer is set up by the administrator. The sent s are linked with the address and the distribution list in CAS genesisworld. In the process, the respective is archived with placeholders. 6

7 Inxmail Introduction 1.2 Which data do you want to exchange? From CAS genesisworld to Inxmail Professional Addresses can be grouped together in distribution lists. Certain fields from addresses in CAS genesisworld are transferred to Inxmail Professional. The administrator defines which fields are transferred. At least the address has to be transferred. From Inxmail Professional to CAS genesisworld After sending, Inxmail Professional transfers the following data to CAS genesisworld: Sent s: the is linked with the distribution list in CAS genesisworld and with every address of the distribution list. When retransferring and linking s with the recipients, the system does not check if the recipients received the mail successfully. When using conditions in Inxmail Professional, the may not be transferred back to CAS genesisworld. Thus, when creating mailings in Inxmail Professional, we recommend you avoid using conditions. Subscriptions: Subscriptions from Inxmail Professional are transferred to CAS genesisworld and managed on the Inxmail tab of the distribution list. On the Inxmail tab, the addresses can be selected and, depending on your settings, are manually or automatically included in the distribution list. Unsubscriptions: These are removed from the distribution list automatically; they can also be managed on the Inxmail Professional tab. Blocking addresses for Inxmail Professional mailings: You can offer your mailing recipients the option of blocking their address for all Inxmail Professional mailings. Addresses that have been blocked are marked as Blocked. The Blocked mark can be managed manually in the Contact data on the General tab of an address in CAS genesisworld. Hard bounces: These occur with incorrect addresses, to which no s are sent, likewise such addresses are labelled as Undeliverable in CAS genesisworld. Addresses labelled as Undeliverable cannot be used for a mailing. Notes Data is not transferred to CAS genesisworld if it has been changed in Inxmail Professional. In compliance with the GDPR (General Data Protection Regulation), we recommend you use a double-opt-in process for the subscription to distribution lists in Inxmail Professional. 7

8 Inxmail Preparing mailings with CAS genesisworld The recipient must confirm their subscription explicitly by clicking a confirmation link in a double-opt-in confirmation mailing. Data referring to responses and clicking behavior is not saved in CAS genesisworld. To access data on responses, you simply click the respective button. The same applies for creating reports. Conclusions about the clicking behavior of individual mailing recipients are only allowed if the respective recipients have actively agreed to the processing of personal data. Consent given for the processing of personal data is linked to the contact and can be viewed in Inxmail Professional at any time. The documentation of the integration of CAS genesisworld and Inxmail Professional only describes the respective functions in CAS genesisworld and direct interfaces between CAS genesisworld and Inxmail Professional. The functions of Inxmail Professional will not be described in detail in this document. For further information contact the Inxmail GmbH or consult the Inxmail Professional online help. 1.3 System requirements for CAS genesisworld and the Inxmail Professional integration Inxmail Professional The following requirements are necessary for the Inxmail Professional integration: You can access Inxmail Professional either through the ASP service or via your own server. The Inxmail Professional API has to be unlocked. The Inxmail Professional server should be directly accessible from the CAS genesisworld server via http protocol or via a proxy server. In some cases, firewall settings need to be changed. Please contact your administrator for more information. CAS genesisworld The functions described in this user guide are valid with CAS genesisworld as of version x9. For more information on required or released versions, service packs, as well as known restrictions, see the latest release notes at CAS Product Documentation. 2 Preparing mailings with CAS genesisworld If you want to create a mailing, you must first select the desired addresses in CAS genesisworld to create a distribution list. 8

9 Inxmail Preparing mailings with CAS genesisworld The required functions are included in the data record of a distribution list in the Desktop client. Notes You can only select the Inxmail Professional distribution list if you have received the corresponding rights from the administrator. Without this right, you will not have access to the Distribution list tab for archived e- mails from Inxmail. 2.1 Creating a distribution list for Inxmail Professional Create a distribution list or open an existing distribution list in CAS genesisworld. Select Inxmail in the Distribution list type drop-down list. The Inxmail tab is now added to the distribution list window. The Inxmail drop-down list is now displayed on the toolbar of the window. Switch to the Inxmail tab. 9

10 Inxmail Preparing mailings with CAS genesisworld Settings for distribution lists or mailing lists The Inxmail list name field displays the name of the distribution list. The name is made up of the name of the CAS genesisworld distribution list and the date. Distribution lists that have already been transferred also contain the name of the Inxmail Professional client. The Status field can contain the following values: In preparation is a distribution list that has not yet been transferred to Inxmail Professional. In Inxmail Professional shows you that the distribution list has now been transferred to Inxmail Professional. Terminated is a distribution list if the corresponding mailing list in Inxmail Professional has been deleted. Once terminated, a synchronization is no longer possible. The Terminated status is only visible in the list view as the Inxmail tab is no longer displayed. The Inxmail list name and Status fields cannot be edited and are filled in automatically. 10

11 Inxmail Preparing mailings with CAS genesisworld Entering own addresses Enter the address using this format "Name" < address>. If you do not use this format, you may experience problems with spam filters. Name is the part of an address that is displayed in most clients. You can leave both the name and quotation marks out if you wish. Enter the Sender's address. The recipient of the then sees this address displayed as the sender. With Reply address, enter an address that can be used when a recipient replies to an . The Mailing list name in Inxmail Professional and the address field in the CAS genesisworld distribution list can no longer be changed if the addresses have already been transferred to Inxmail Professional. Selecting an address To send s with Inxmail Professional, each address must be matched to one address. In CAS genesisworld, you can enter multiple addresses for each address data record. Select the CAS genesisworld field that is used by Inxmail Professional in the address field drop-down list. This setting then applies for all the recipients of the distribution list. The address has to correspond to the RFC standard (Request for Comments). This standard determines the format of an address, for example, where the dots appear. If an address does not conform to the RFC standard, it is not transferred to Inxmail Professional and you will not receive an error message. Important information about subscriptions in Inxmail Professional You can allow subscriptions to a mailing in Inxmail Professional, by doing so recipients can subscribe to a mailing or a distribution list. New recipients can subscribe using an address of their choice. This address does not have to match the address that was selected in the address field drop-down list. Basically, the system searches for and identifies new recipients' addresses in CAS genesisworld using the address that the new recipient has entered as the search criterion. You should keep the following considerations in mind. The new recipient's address is saved in CAS genesisworld in the address field that has been selected in the distribution list. 11

12 Inxmail Preparing mailings with CAS genesisworld Then, the recipient is found in CAS genesisworld as an address and the subscription is included in the respective distribution list. The new recipient's address is saved to a different address field in CAS genesisworld than the one that has been selected in the distribution list. In this case, the address of the new recipient cannot be detected, because only the address field set in the distribution list is searched by the system. This recipient is an unknown recipient for CAS genesisworld. The address for the new recipient is not stored in any address data records in CAS genesisworld. This recipient remains an unknown recipient to CAS genesisworld. Subscribing in Inxmail Professional You define how the system deals with these new subscribers and what CAS genesisworld does with unknown recipients in the Logons via Inxmail area on the Inxmail tab. Select the desired option. Manually accept subscriptions of addresses that are stored in CAS genesisworld The address of the recipient is saved in CAS genesisworld in the address field that has been set in the distribution list. The addresses are displayed under Request for registration in the distribution list and have to be transferred manually, see chapter "Subscribing to and unsubscribing from a newsletter" on page 19. Automatically accept subscriptions of addresses that are stored in CAS genesisworld The address of the recipient is saved in CAS genesisworld in the address field that has been set in the distribution list. The addresses are displayed under Request for registration in the distribution list and are automatically included as recipients, see chapter "Subscribing to and unsubscribing from a newsletter" on page 19. Automatically accept subscriptions of addresses that are stored in CAS genesisworld and allow all unknown subscriptions in Inxmail The address of the recipient is saved in CAS genesisworld in the address field that has been set in the distribution list. Known addresses are displayed under Request for registration in the distribution list and are automatically included as recipients, see chapter "Subscribing to and unsubscribing from a newsletter" on page 19. New recipients remain in Inxmail Professional, even if an address associated with this address could not be found in CAS genesisworld. 12

13 Inxmail Preparing mailings with CAS genesisworld Automatically accept subscriptions of addresses that are not stored in CAS genesisworld and create unknown addresses as new data records in CAS genesisworld The address of the recipient is saved in CAS genesisworld in the address field that has been set in the distribution list. Unknown addresses are displayed under Request for registration in the distribution list and are automatically included as recipients, see chapter "Subscribing to and unsubscribing from a newsletter" on page 19. New recipients are automatically created as individual contacts in CAS genesisworld and then linked with the distribution list. Field values such as first name, second name, and addresses are entered in CAS genesisworld. Your administrator defines in the Management Console which field values are entered into which CAS genesisworld fields, see chapter "Available columns of CAS genesisworld addresses" on page 30. You define which default values are to be entered automatically for new addresses via the Settings button in the distribution list. Notes In compliance with the GDPR (General Data Protection Regulation), we recommend you use a double-opt-in process for the subscription to distribution lists in Inxmail Professional. Usually, unknown addresses are deleted from the mailing list in Inxmail Professional as soon as the distribution list from CAS genesisworld has been re-transferred to Inxmail Professional. Thus, full control of the addressees remains with CAS genesisworld. Unknown addresses in CAS genesisworld are only retained in Inxmail Professional with the third or fourth subscription option mentioned above. In this case, subscriptions and unsubscriptions are managed in Inxmail Professional. If you wish, you can search for addresses manually in CAS genesisworld and, if necessary, record non-qualified addresses, even if you are only able to record the address in the address data record Selecting addresses for the distribution list Switch to the General tab. 13

14 Inxmail Preparing mailings with CAS genesisworld Using the toolbar functions, you can add or remove addresses, as you usually would in distribution lists in CAS genesisworld. Click Save to save the distribution list with your settings. A distribution list is a collection of addresses. Distribution lists are a data record type and can be linked with data records. The addresses that have been added to the distribution list are not automatically linked with the distribution list data record. 2.2 Transferring distribution lists and addresses to Inxmail Professional Distribution list addresses are transferred to Inxmail Professional as a mailing list. In the Inxmail drop-down list, click Transfer addresses. If the automatic synchronization with Inxmail Professional is currently active, the Transfer addresses function will not be executed. Automatic functions for the transfer of distribution lists During the transfer of distribution lists as mailing lists to Inxmail Professional, automatic functions are executed. 14

15 Inxmail Preparing mailings with CAS genesisworld First, the software checks whether the mailing list already exists in Inxmail Professional: If so, then all recipients are removed from the mailing list and re-added. If the mailing list in Inxmail Professional has not yet been created, a new list is created and the recipients are added to the list. If there were problems transferring some recipients, you can simply correct these errors manually. Thereby, Inxmail Professional ensures that each address is only saved once in Inxmail Professional. The address is the key: without an address a data record cannot be saved. Important information After the addresses have been transferred, you can compose and send a mailing in Inxmail Professional. Before you can send mailings in Inxmail Professional, you have to transfer addresses from CAS genesisworld to Inxmail Professional. During transfer, the software determines whether or not the current data stocks in CAS genesisworld are also available in Inxmail Professional. Addresses which are already available in Inxmail Professional are updated. Multiple address transfers do not result in duplicate recipient entries in Inxmail Professional. If the distribution list you want to transfer from CAS genesisworld contains incorrect e- mail addresses, you can still correct them manually or remove the recipient. Recipients with Unsubscribed status cannot be added, see chapter "Subscribing to and unsubscribing from a newsletter" on page 19. You can, however, reset the Unsubscribed status at your own risk. Click Update status or Transfer addresses if a connection to the Inxmail server was not possible and you would like to attempt to transfer the addresses again. In the process, any existing s are imported and subscribe and unsubscribe commands are carried out. You will be sent a notification if you cannot connect to the Inxmail server. Notes Changes to the recipients in Inxmail Professional are lost, as these are overwritten when transferring from CAS genesisworld to Inxmail Professional. Changes to the target group will also be lost. If you change the target group in Inxmail Professional, then these changes are not adopted in CAS genesisworld. Changes to the recipients and target groups can only be performed in CAS genesisworld. Addresses are not transferred to Inxmail Professional if an address is designated Undeliverable or Blocked, see chapter "Returns or bounces" on page

16 Inxmail Preparing mailings with CAS genesisworld 2.3 Correcting addresses When transferring a distribution list to Inxmail Professional, the addresses are checked. In case of errors, the transfer is interrupted and the corresponding lists are opened. The Missing addresses window opens, containing a list of addresses that are missing an address in the respective field. The Duplicate addresses window opens, containing a list of addresses with the same address in the respective field. Mailing lists can only contain one address per recipient. In the case of different addresses that share the same address, only one is sent to the second address. The Invalid addresses window contains the respective addresses. The Unsubscribed addresses window contains recipients that have unsubscribed. Completing or changing addresses You can open and edit or complete any address in the lists. Reload checks again whether the lists contain missing, duplicate or unsubscribed e- mail addresses or bounces. Select Continue to continue the transfer. Recipients who have unsubscribed as well as incorrect or missing addresses are not transferred to Inxmail Professional. Those recipients whose addresses are found in more than one address are only transferred once. Remove deletes the selected recipient from the distribution list. 16

17 Inxmail Preparing mailings with CAS genesisworld 2.4 Sending an with Inxmail Professional The documentation of the integration of CAS genesisworld and Inxmail Professional only describes the respective functions in CAS genesisworld and direct interfaces between CAS genesisworld and Inxmail Professional. The functions of Inxmail Professional will not be described in detail in this document. For further information contact the Inxmail GmbH or consult the Inxmail Professional online help After transfer of address data With Start Inxmail, you open Inxmail Professional and create, edit and send a mailing. After transferring address data, the mailing list containing the data can be displayed in Inxmail Professional. Refresh the mailing list in order to make sure that all address data is being displayed correctly after the transfer. Now, all of the address data that has been transferred is available in the list. CAS genesisworld requires the two columns at the end of the table for administration purposes. These columns must not be deleted Inserting CAS genesisworld variables in mailings In Inxmail Professional, you can insert personalized text from fields in CAS genesisworld into your mailings. Click the position where you want to insert the respective field value from CAS genesisworld. Click the Insert recipient data for personalisation button to insert recipient data for personalization. Select the column of the recipients table which contains the respective text from a CAS genesisworld field. Set whether the text is to be adopted unchanged or needs to be adjusted. Determine what is supposed to happen if there is no text available for a recipient in the selected column of the recipients table. You can only select columns that have been transferred to Inxmail Professional from the distribution list in CAS genesisworld, see chapter "Available columns of CAS genesisworld addresses" on page

18 Inxmail After sending 3 After sending CAS genesisworld synchronizes data with Inxmail Professional at regular time intervals (as set by your administrator). In the process, sent s, bounces, as well as subscriptions and unsubscriptions are transferred, see chapter "Synchronizing from Inxmail Professional to CAS genesisworld" on page Logging in CAS genesisworld s are archived in CAS genesisworld using placeholders if they have been sent with Inxmail Professional. The users, who are also registered with the respective distribution lists, are entered as participants in the archived . The s are linked with all the recipients from the distribution list and also with the distribution list itself. 3.2 Returns or bounces Returns (bounces) are s which have been returned to the sender because of incorrect addresses or other errors. Bounces are transferred from Inxmail Professional to CAS genesisworld. The transfer is set up by the administrator, see chapter "Setting up the Inxmail Professional integration" on page 28. The faulty addresses are marked as Undeliverable in the address data record in CAS genesisworld and can be corrected in the respective data record. When transferring such an address to Inxmail Professional using a distribution list, a prompt opens and you can correct the address in the distribution list. After you have corrected the address, you can remove the Undeliverable option. Click Edit contact data in an address data record. 18

19 Inxmail After sending Select the Inxmail button in the Edit contact data window. Deactivate the Undeliverable option. The corrected address can now be used for mailings again. 3.3 Subscribing to and unsubscribing from a newsletter recipients can subscribe to a specific distribution list in Inxmail Professional, or unsubscribe from any one specific list or from all of them. In compliance with the GDPR (General Data Protection Regulation), we recommend you use a double-opt-in process for the subscription to distribution lists in Inxmail Professional. The recipient must confirm their subscription explicitly by clicking a confirmation link in a double-opt-in confirmation mailing. Recipients can subscribe or unsubscribe using an registration or deregistration form on a website. Registration or deregistration forms can easily be integrated into any website. Alternatively, you can also subscribe and unsubscribe via . To subscribe, the recipient sends an to the address of the respective Inxmail account with Subscribe (list name) entered in the subject field. Likewise, to unsubscribe the user simply enters Unsubscribe (list name). These subscriptions and unsubscriptions always refer to a specific distribution list for Inxmail Professional. To unsubscribe in general from all newsletters, the recipient should send an with Unsubscribe All in the subject field. When unsubscribing from a specific distribution list, the recipient is automatically removed in Inxmail Professional and in CAS genesisworld when a subsequent transfer takes place. 19

20 Inxmail After sending Requests to subscribe and unsubscribe are transferred from Inxmail Professional to CAS genesisworld if the Inxmail Professional mailing list is created using a CAS genesisworld distribution list. The transfer is set up by the administrator. Requests to subscribe and unsubscribe are saved in the respective distribution list. For subscriptions, the address of the recipient must be saved in the address field that has been selected in the distribution list, see chapter "Creating a distribution list for Inxmail Professional" on page 9. You can update the distribution list when you have all of this information. When unsubscribing from all lists, the respective recipient is displayed as being unsubscribed in all distribution lists. In addition, this information is saved in the respective address: the Blocked option is activated for an address. If this address is subsequently added to a new distribution list, a corresponding prompt opens. General subscriptions deactivate the Blocked option Displaying subscriptions or unsubscriptions You can display corresponding lists with subscriptions or unsubscriptions in the distribution list. The Number of addresses in this list is displayed on the status bar in the data record window. Open the General tab in the Edit distribution list window. Select a Filter for the list of addresses. Filter conditions in the list of addresses Recipients displays all the addresses in a distribution list which should be included in Inxmail Professional when transferring the addresses. 20

21 Inxmail After sending You will see the usual functions for distribution lists in the list toolbar. Request for registration displays all the addresses of recipients who have subscribed to this distribution list. These addresses are not automatically added to the distribution list, but must be transferred manually. Using the icons above the list, you can accept or decline these requests for registration. Recipients who have been declined can no longer change their own status, but remain in a declined status. A declined recipient remains a member of the distribution list until he or she is deleted from the distribution list. Declined recipients will no longer receive any s. In Cancellations, you will see all the addresses whose subscriptions you refused. You can remove these addresses from the distribution list or add them again. Deregistrations displays all the recipients who have unsubscribed from the list. You can remove these addresses from the distribution list or add them again. Notes If someone unsubscribes directly in Inxmail Professional and the previously unsubscribed address is retransferred via CAS genesisworld, then the unsubscription is not undone in Inxmail Professional. Addresses which have been unsubscribed have to be added directly to the distribution list in Inxmail Professional again, so that they can still receive s. Unsubscribing from a distribution list prevents the address from receiving s from the respective distribution list again. However, this unsubscription has no effect on all the other distribution lists. If, for example, an address was unsubscribed from a distribution list and a new distribution list is created containing this address, the same address will be written to again. If someone requests that you no longer write to their address and they no longer wish to remain subscribed to any of the distribution lists, you have to use the Unsubscribe all function. This is the only way to ensure that the address is no longer transferred to Inxmail Professional as a recipient. However, other addresses within the same data record can still be contacted. The unsubscribe function always refers specifically to the address you entered and not to the data record Blocking addresses for all Inxmail Professional mailings Go to settings in CAS genesisworld to stop newsletters being sent to a given address. Click Edit contact data in an address data record. 21

22 Inxmail After sending Select the Inxmail button in the Edit contact data window. Activate the Blocked option. The address is now blocked for all mailings from Inxmail Professional. You can also block addresses via the All mailing list in Inxmail Professional. If a recipient has been removed from the All mailing list, the Blocked option is automatically activated for the address. Notes The All mailing list is created automatically in Inxmail Professional if you are also working with CAS genesisworld. The All mailing list must never be deleted. To ensure that the unsubscription from all distribution lists works, you have to create the Unsubscribe all action in Inxmail Professional. For this purpose, create an Inxmail action with the name Unsubscribe All. When activated, the action first adds the recipient to the list and then unsubscribes them from the list. An instruction on how to proceed in Inxmail Professional can be found in the Inxmail user documentation. 3.4 Performance monitoring with statistics You control mailings in CAS genesisworld on a separate tab in the distribution list. In Inxmail Professional, you can create reports on key-performance indicators and click-rates. Data on reactions and click-rates is not saved in CAS genesisworld. To access data on responses, you simply click the respective button. The same applies for creating reports. Conclusions about the clicking behavior of individual mailing recipients are only allowed if the respective recipients have actively agreed to the processing of personal data. Consent given for the processing of personal data is linked to the contact and can be viewed in Inxmail Professional at any time. 22

Click a mailing in the list. In the lower area of the data record window, you can see a preview of the mailing. 3.5 Creating reports directly from CAS genesisworld Reports on Inxmail distribution lists can be created in another language than English. The default language is determined by your administrator. Additionally, reports can be created in the language of the user who is creating the report, see chapter "Additional settings" on page Creating a report Click Create an Inxmail report to call Important measures of a mailing. 23

The report is saved in CAS genesisworld as a PDF in a document data record and linked with the distribution list. Thus, you can access an overview of all previously created reports in the dossier of the mailing which helps, for example, to follow and record the development of response behavior. 24

25 Inxmail Deleting distribution lists Ad-hoc polling of click responses from Inxmail Professional With Inxmail Professional, you can insert links into mailings, for example, Request product information. If recipients click one of these links, the action is automatically recorded. In CAS genesisworld, you can call up and review all the click reactions that were recorded for an Inxmail Professional mailing. Click Analysis on the Inxmail mailings tab of the distribution list. A window opens. The links for the mailing are all displayed in the upper part of the window. Select a link. In the lower pane of the window, you will now see all of the addresses of the people who clicked the link. You can continue working with these addresses with the functions available to you in the toolbar, for example, you can carry out actions or a campaign, change a specific address field, or link this address with additional data records. In addition, you can retain the distribution list if you prefer and just delete the mailing list in Inxmail Professional. Deleting the whole distribution list from both system. You can delete a distribution list in CAS genesisworld using the default functions independent of whether you want to delete an Inxmail Professional distribution list or not. If the system detects that you have already transferred data to Inxmail Professional, then you will be given the option to also delete the data saved in Inxmail Professional. 25

26 Inxmail Installation and setup Deleting the Inxmail Professional mailing list via CAS genesisworld Select the Finish distribution list option in the Inxmail drop-down list. The Terminated status is assigned to the distribution list. Afterwards, the distribution list is no longer a mailing list. The Inxmail tab is removed from the data record window. The mailing list is then also deleted from Inxmail Professional. This distribution list will, however, still exist in CAS genesisworld. If you want to send data to Inxmail Professional again, set the Distribution list type to Inxmail again. Deleting mailing lists in Inxmail Professional If a mailing list is deleted directly in Inxmail Professional, the deletion has no effect in CAS genesisworld. The respective fields and actions which are created by CAS genesisworld for this mailing list are not deleted automatically. 5 Installation and setup You have to ensure that the Inxmail Professional integration is set up correctly in CAS genesisworld and also that users have the rights they require. Likewise, on the Inxmail Professional side, you have to ensure that the Inxmail Professional server is set up for CAS genesisworld. 5.1 User rights in CAS genesisworld The administrator assigns the necessary rights for the functions of the Inxmail Professional integration. 26

27 Inxmail Installation and setup Important information The respective license for the Inxmail Professional integration must be activated for all users who are supposed to use Inxmail. Users without an activated license can only see that the distribution list type is set to Inxmail. Furthermore, those users cannot see the respective tab in the distribution list or use other functions Transferring addresses to Inxmail Professional Open the Management Console. Select the User Management area. Open the Properties window for the respective user(s). Activate the Transferring addresses to Inxmail option on the Other rights tab. Users who do not have this right do not have access to the Distribution list tab in archived s from Inxmail Professional. The Undeliverable marker in the data record of an address cannot be accessed without the respective right either. 27

28 Inxmail Installation and setup 5.2 Setting up the Inxmail Professional integration In the Miscellaneous area of the Management Console, the following settings are defined for Inxmail. Logon parameter on the Inxmail Professional server In this area, you enter the Server URL of the Inxmail server, your Inxmail User name, and your Password. Synchronizing from Inxmail to CAS genesisworld Changes on the Inxmail Professional server are queried in pre-defined time intervals from the entered CAS genesisworld Application Server. Available columns of CAS genesisworld addresses In this area, all fields of CAS genesisworld addresses are displayed. The fields are created in Inxmail Professional when you make a change and subsequently click Synchronize column information. Existing fields which were not included in the transfer are not deleted in Inxmail Professional. Additional settings In this area, you define which languages are used for Inxmail reports Logon parameter for the Inxmail server Enter the URL of your Inxmail client in the Server URL field, for example, 28

29 Inxmail Installation and setup Enter the User name and Password that has been provided by Inxmail Professional. Save and test checks the logon data for the Inxmail server. After the logon has been successful, the functions of the tab become active. If you use a proxy server, you define the respective settings in the Connections tab of the Miscellaneous area. Firewall In order that a connection to the Inxmail server can be established, your firewall must allow the connection to specific destination IP addresses. If this is not the case, add the following IP addresses: Synchronizing from Inxmail Professional to CAS genesisworld If a mailing campaign is carried out or a mailing is sent out, the s are created with Inxmail Professional and sent to the addresses of the distribution list. The sent s are transferred back to CAS genesisworld, saved as archived s and are then linked with the distribution list and the respective CAS genesisworld addresses. s which are returned to the sender because of incorrect addresses or other errors (bounces) are also transferred from Inxmail Professional to CAS genesisworld. The respective addresses are marked as Undeliverable under Contact data in the address data record. The Undeliverable marker in addresses is only visible to users who are allowed to transfer addresses to Inxmail Professional. Configuring the synchronization service Addresses are transferred from Inxmail Professional to CAS genesisworld using a synchronization service which runs on the CAS genesisworld Application Server. The settings for the synchronization service are defined in the Management Console. In the Management Console, open the Miscellaneous area. Select Inxmail. Enter the name of the CAS genesisworld Application Server on which the synchronization service is to be installed in the Application server field. 29

30 Inxmail Installation and setup In the Interval field, specify the time intervals between the synchronization. Save your settings with Save settings. Run/Stop synchronization service runs or stops the synchronization service. If the synchronization service is running, the data is automatically synchronized in the specified time. This does not automatically mean that the synchronization is immediately started. Click Start synchronization now to start the synchronization. If you click Start synchronization now, a prompt opens. Start the synchronization by confirming with Yes. To start the synchronization, you need to be logged on to the Application Server on which the synchronization service is installed via the Management Console. The Status field will inform you whether or not the synchronization service is activated. In CAS genesisworld, a synchronization can be carried out in a distribution list data record with the Refresh status function. The synchronization is limited to the opened distribution list. Bounces or complete unsubscriptions are not taken into account Available columns of CAS genesisworld addresses If the logon to the Inxmail Professional server was successful, all CAS genesisworld columns that can be transferred to Inxmail Professional and used for the mailing are listed in the Available columns of CAS genesisworld addresses area. All transferred columns can be used for a mailing. We recommend to transfer a smaller number of columns as the duration of the transfer depends on the number of columns and the number of addresses. In the Selection column, activate those columns which are to be transferred from a distribution list to Inxmail Professional. For each address of an Inxmail distribution list, the selected columns are transferred to Inxmail Professional. Synchronize column information synchronizes data with Inxmail Professional. The columns are created and/or deleted if a synchronization has already been carried out. If a distribution list has already been transferred to Inxmail Professional, then addresses that were already transferred may be incomplete. These distribution lists must then be transferred again in the CAS genesisworld Desktop Client Additional settings Reports for distribution lists of the Inxmail type can be created in languages other than English. 30

31 Inxmail FAQs In the Management Console, open the Miscellaneous area. Select Inxmail. Click Additional settings. The Settings for importing reports from Inxmail window opens. Select the Default language for Inxmail reports in the drop-down list. All languages that are supported in CAS genesisworld can be selected. Further information on the supported languages can be found on the internet at CAS Product Documentation. Activate or deactivate the Use the language of the logged on user if it is supported option. Not all languages of CAS genesisworld are supported in Inxmail Professional. 6 FAQs What do the "Blocked" and "Undeliverable" fields mean in the address? These address fields are only relevant for Inxmail Professional. Blocked means that the respective address cannot be used with Inxmail Professional. Undeliverable means that previous attempts to send the through Inxmail Professional were not successful as the recipient either does not exist, or could not be reached. Why are the Blocked and Undeliverable fields not displayed? The respective CAS genesisworld user does not have rights for Inxmail Professional, see chapter "User rights in CAS genesisworld" on page 26. Why do the Blocked and Undeliverable fields change, although the address has not changed? Recipients of s sent through Inxmail Professional are able to unsubscribe themselves from all mailing lists. Hence, to prevent them from being included in new mailing lists in future, the Blocked option is activated automatically. Likewise, the Undeliverable option is activated when Inxmail Professional cannot deliver an . Both options can of course be changed manually if, for example, a customer informs you by telephone that they no longer wish to receive s. 31

32 Inxmail FAQs Can recipients both subscribe to, and unsubscribe from mailing lists? Yes, there are two ways for them to do this: Recipients can subscribe and unsubscribe from mailing lists by sending an to the distribution list's address. The subscription or unsubscription must be sent to the address of the distribution list, not to the address of the sender. You can get the distribution list address from Inxmail Professional if you have access, or alternatively from the Inxmail Professional administrator if you have an Inxmail Professional server operating locally. s used for subscription or unsubscription need to contain one of the following texts in the subject line: Subscribe [List name], Unsubscribe [List name], Unsubscribe all You have to replace the [List name] with the name of the Inxmail Professional mailing list. This name may vary from that of the distribution list in CAS genesisworld. The mailing list name can be found on the Inxmail tab for the respective distribution list in CAS genesisworld, and in the Inxmail list name field, or directly in Inxmail Professional itself. You can select any name you wish for the Inxmail Professional distribution list as long as it is distinct. Once the list has been transferred to Inxmail Professional, the name you selected becomes irreversible. The Subscribe command is only available to recipients whose address is already registered with CAS genesisworld. Recipients who have subscribed using the Subscribe function will be displayed in the distribution list under Request for registration, see chapter "Subscribing to and unsubscribing from a newsletter" on page 19. Using a (HTML) web form it is easy to integrate a subscribe/unsubscribe form into any type of website. The data from any of the completed fields is transferred to Inxmail Professional. You can easily embed links that have the following functions into Inxmail Professional s: Unsubscribing from mailing lists Placing a value in the profile data of the subscriber With Inxmail Professional, you can also create a management page in which customers can manage and edit their own data.
