3 First, let's add your staff Setup your account and add users by accessing your Administrative Settings 1. Visit and login as the Administrator by clicking Login 2. Click Settings (If you do not see Account Settings you are not an Administrator) 3. Click Account Settings 4. Click Company Users FORMS TRAINING 3

4 Add Users Add team members in this area which creates their login This Company Users page you are now on shows a list of all users (team members) who have been added Anyone with the! Icon to the left of their info has not created their password to login Click Add New User to begin adding your team FORMS TRAINING 4

5 Add Team Members Information Make sure the team members is ACTIVE before adding them. You may use their personal or work as they will receive a link to create their login password. If work , your IT provider may have your setup to not allow outside s. Your IT provider will want to allow for s from care@operadds.com to come through. Username: Will be the users login name. Must be unique in the OperaDDS system. Can be an . Is case sensitive when logging in For example: Shellysmith12@outlook.com or ShellyS A password creation link will be sent to this . User must complete within 14 days or link will expire. Check junk folder if not received. Nickname: This is what you will see this person listed as in your Chat system if your office is going to use the Chat feature. Role: Give them a role. Administrators may make changes to your account like adding other users or customizing feature settings. Users are restricted from making changes. Landing Page: The user will open to this specific page each time they login Company Billings s: Toggling to the right (ON) will allow this user to receive s related to billing Company Secure s: Toggling to the right (ON) will allow this user to receive and view s that are sent to the company . 6 Company Users Page User 1 User 2 Login Names (Usernames) are shown to the left The entered for a team member will receive a link to create a password. Team member must create their password within 14 days before the link expires. If they do not see the , instruct to check their junk folder. If the initial is not received, verify the address is correct, and send them a password reset by clicking the password reset icon after verifying their . User 1 shown above has created their password and can login with their username martin@ .com User 2 shown above has not created their password and cannot login with username cindyxxxxx##@ .com. The! Shows that this person has not successfully completed creating their password yet. If not done within the first 14 days you will need to send a password reset after verifying is correct on the right. Cindy as shown above is not an Administrator. He is listed as a regular company user and does not have access to see this page. FORMS TRAINING 6

19 Using Forms with your patients on ipad Filling Forms Click on the Launcher Select the Form to launch Click Launch for patient to fill/sign/submit Updating Forms Click on the Updater Login Type in patients name Click add to Form You will see a list of your forms at top and forms patient has filled in the past at bottom Click the checkbox for the Forms you wish the patient to update Click Launch If chosen from the bottom list (previously filled forms) the information will pre fill with old information provided by the patient. 20 Management: Action Center Let s start by setting up your Notification Action Center (For Individual User) 1. Login to your OperaDDS account on your computer. Please make sure you are using Google Chrome as your internet browser 2. Click the Action Center Icon 3. When the Action Center Appears, click the Settings Tab 4. Turn on Forms Pop-up Notifications to receive in app pop-ups 5. Turn on Forms Notifications if you wish to receive alerts 6. Click Save. These settings are specific to your user login FORMS TRAINING 20

21 Filled Forms Next, let s review the Filled Forms page where you will manage the Forms received from patients 1. Click the Forms tab. You will be taken to the Filled Forms page The Filled Forms page will display all of your Forms that have been submitted by patients Form Submitted Clicking here will allow you to link the Form to a patient. This will send the Forms back to the patients Document Center (Dentrix) The Eyeball Icon allows you to view the Form, as well as copy the information to paste into the patient's chart. The downward arrow allows you to download the Form as a PDF to manually place in the patient's chart if you wish. The double downward arrow allows you to download all Forms as 1 PDF document. The Box Icon allows you to archive this Form, removing it from your screen and into the Archived Folder that is above FORMS TRAINING 21

22 Forms Links Next, let s review the Forms Links page where all of your office Form links will live. These are the links that are added to your website and ipads Click the Forms Links tab The Forms Links page will display all of your companies Forms The Forms Launcher should be added on ipads and used as an easy way to access all of your offices Forms The Forms Updater should be added on ipads and used for Updates. The padlock icon indicates this Form requires a login. Steps below for use after added on ipad Clicking on a Form will open it Checking the box next to a Form will add it to your Form Updater Click this icon to copy the link of the Form in which you may , text etc. This button will allow you to create a Group of Forms. For example New Patient Intake Forms where the patient will fill multiple Forms. FORMS TRAINING 22

28 Sending Forms To Patient Via Text & Pt 1 Next, let s review sending a Form to a patient through Text Message or 2. Click here to search for patient 3. When patient appears, click their name 1. Click to copy Form Link FORMS TRAINING 28

Enter the text you wish to send and PASTE the link you previously copied here 3. Select if you d like to send a text or an 4. Click the send button FORMS TRAINING 29

30 Adding Forms To Your Website To have your Forms added online, your New Patient Intake Forms link as shown below should be sent to your website team. Any other individual forms may also be given to your website team 1. Copy the Group of Forms or any other Form you wish to add to your website 2. Provide the link that is copied by pasting in an to your website team. 3. The Website team will want to add this specific URL FORMS TRAINING 30

Once OperaDDS has enabled Teledentistry for your office you will receive a link that may be shared/placed on your website or sent to a patient which allows the patient to submit photos to your secure login. All Teledentistry submissions will be received as a Form in your Filled Forms page of OperaDDS.
