3 Creating a New Deposit 1. Ensure the scanner is installed, connected and powered on. Then, launch the browser and enter the URL for Remote Business Deposit. Note: this information is sent in an to the primary account owner. 2. The login page will display. Enter the User Name and Password, and then click "Login". Enter Password Click Login Note: If Multi-Factor Authentication is required by the service provider, additional information may be requested in order to authorize access to the application. 3. Next, the Direct Merchant screen appears. Enter your password and click, "Login. Click Login 2
4 4. Upon successful authentication, the default "Deposit" page displays. 5. Under "Create Deposit", select a valid primary deposit account from the account drop-down list or start typing the account number. Also, as you begin typing, the lists of accounts are filtered to match, allowing you to choose from a shorter list. Select an account using the drop down button 6. Calculate the deposit total and enter the amount into the Deposit Control Total field. This is the expected total for the deposit and is always required. Note: If you do not see any valid deposit accounts listed, contact the system administrator or service provider. 3
5 7. Ensure any additional required deposit fields in the list are completed. Note: All required fields are highlighted in yellow. 8. Click the "Proceed" button. Note: If this is the first time using Remote Business Deposit, you are prompted for additional steps before you can begin capturing deposits. Capturing Deposit 1. Load items into the scanner. 2. Click the "Start" button. 3. The Capture Items window displays. Loaded items should automatically start scanning and be added to the deposit. Note: If using the low volume scanner, feed the items in one at a time. 4
6 4. When finished, click the "Stop Scan" button in the Capture Items window. To continue appending additional items, reload the scanner or click the "Close" button to return to the Capture Items page. 5. The Capture Items page displays the captured items just scanned. 6. Review the items in the deposit by clicking on the line item. Preview Item 5
7 7. Then, click the "Proceed" button. If the calculated total matches the deposit total and there are no failed items, a virtual deposit ticket is created. If there are any failed items, the Correct Items webpage displays the failed items and their corresponding failures and exceptions. If there are no failures, the "Balance" webpage is displayed. 6
8 Correcting a Deposit If any exceptions exist within the deposit, the Correct Items page displays. This page allows items to be repaired for any of the following conditions: Duplicate Captured Items Missing an Assigned Amount Additional Data Entry Required Image Quality Errors Considered as a Reject Analysis Field Type Duplicate Item Amount Recognition Failed Item Date Entry Image Quality Exceptions Reject Item Exception Description If a duplicate item is captured, you are presented with both the current and original images for verification. Your Institution may enforce these items be removed. You must manually enter the amount of the item if Remote Business Deposit does not successfully identify the amount during capture. The section allows you to enter data assigned to the item in question. You must enter data for any field highlighted in yellow; any field not highlighted in yellow is optional. This section lists all of the image quality and usability error associated with each item. Your Institution may enforce these items be removed. This section provides an explanation of why an item is labeled as a Reject. An item can be considered a reject based on the following: The item is foreign (i.e. item drawn in Canada or Mexico). The scanner is unable to successfully read the MICR. The item routing number is not valid U.S. number. Note: Any user not assigned the Administrator or Supervisor role will not be able to accept an item into a deposit that is a duplicate item or a critical failure/reject. The administrator role can only be assigned to a user by the service provider. How to Process an Exception Item 1. To accept an Exception Item into the deposit, click Accept button once all required fields are populated with data. Note: Some fields may already have populated default value or values from Intelligent Keying. 7
9 2. If you choose to remove the item click the Red "X" next to the item, to delete the item. 3. A confirmation message will display verifying the decision. Note: Any item removed can be recaptured. If the recaptured item continues to fail and cannot be accepted, it must be deposited through traditional means (i.e. within a paper deposit). 4. When the last exception in the Correct Items page is corrected, the Balance page displays. 8
10 Balancing Deposit 1. Accessing the Balance screen shows the Operator the deposit ticket on the left and a list of the deposited items on the right. 2. If the combined item total does not match the deposit total, the deposit is out-of-balance. If the calculated total for the scanned items does not equal the deposit amount entered, please review the deposit control total and scanned items for errors. 3. If the deposit is out-of-balance, the Operator can adjust either the deposit total or the scanned item. If the calculated total for the scanned items does not equal the deposit amount entered, please review the deposit control total and scanned items for errors. 9
11 4. Once the correction has been made, click, "Proceed". 5. To edit the amount of an item, select the item in the grid and edit the amount below the message. 6. Click the Save button to finalize any change. Note: If Save is not selected, any changes made will be lost. 7. If the combined item total matches the deposit total, the deposit is in balance and eligible for submission. Click the "Proceed" button to continue. Note: When the deposit is in balance, either the Review or Accounts page displays. If your relationship has multiple DDAs enabled, you are taken to the Accounts page. If your relationship does not have Multiple DDAs enabled, you are taken to the Review page. 10
12 Multiple Deposit Accounts 1. After clicking Proceed the Operator can select to split the deposit between multiple accounts using the "Additional Deposit Account" feature. This can be done on a percentage basis or a dollar amount. 2. Click "Proceed" once the final distribution of the deposit is determined. 11
13 Finishing a Deposit 1. Once a deposit is completed, click "Finish Deposit". 2. The software shows, "Deposit submitted successfully". Reports on the deposit can be accessed by clicking on the links below the aforementioned confirmation. 12
14 Modifying Open Deposits You can add items to and modify individual items within an open deposit. To modify an open deposit, do the following: Add Items 1. If you have not already done so, login as described under Creating a New Deposit section of this manual. 1. Under" My Open Documents", click the link for the deposit needed. The Capture Items page will display. 2. Load items into the scanner. 3. Click the Start Scan button. The Capture Items pop-up window will display. 4. Items are scanned and added to the selected open deposit. 5. Continue by stopping the capture process as described in Creating a New Deposit section of this manual. Modify Items 2. If you have not already done so, login as described under Creating a New Deposit section of this manual. 3. Under My Open Deposits, click the link for the deposit needed. The Capture Items page displays. 4. Select the item needed. 5. Modify the item as described in the Correcting Deposits section of this manual. Note: Items can only be modified within the Balance section of an open deposit. 13
15 Transaction History Information 1. To view the transaction history by day, select a particular day and double click. Click here to view a day s transaction 2. A detailed report of that day s activity appears. 3. When questioning a deposit, use the Deposit Tracking number to quickly identify the deposit. Deposit Tracking Number 14
16 4. Click Select Item Image Report for individual item information. 5. Click any of four reports for deposit information: Deposit Detail Deposit Image Deposit Image Report (Front Only) Deposit Image Report (1x3) Item Image Report Deposit Reports 15
17 Reporting Features Click on the Reports tab to view: Deposit Detail Report Deposit Image Report Deposit Image Report (front only) Deposit Image Report (1x3) Deposit Summary Report All Deposit Detail Report Export Standard Data File Export Data File by Layout Locations Summary Report Pending Rejected Summary Report Viewing reports 1. Select the data range, and then click View Report. 16
18 Filtering reports by criteria You can filter reports by Criteria such as data and item. Viewing and exporting reports into different file formats Click on the drop down box to organize the reports in XML, CSV, TIFF,.PDF Web Archive or Excel. To Refresh Select a File Format 17
