3 1. Introduction This guide has been written to help New Members register and set up their subscription/s on the new club website and for Existing Members to transition and update their profile and subscription/s from the old website to the new one. It will also cover how to set up the rmember App and Membership Card. Should you have any questions regarding your membership/subscription, the website or the rmember App and Membership Card, please see the Contacts section at the end of the guide. 4 2. New Members STEP 1: To access the new website go to: On the homepage click in the top right hand corner The following page is displayed: Version 2 P a g e 4 March 2017

5 STEP 2: Select your preferred Membership Plan. In the example below SOCIAL (annually) has been chosen Now enter your personal details and any relevant medical information Version 2 P a g e 5 March 2017

6 If you also need to add YOUTH MEMBERS select the number you require from the pull down and then enter their details. Once completed click on the check box to accept the clubs T&C s and then click on Note: RFU Numbers are usually allocated to all youth members from U7 upwards. If you do not have your child s RFU Number please our Membership Secretary (see CONTACTS section). The RFU Number is not mandatory to complete the process and can be added by the Membership Secretary or by the member at a later date via EDIT MEMBERSHIP which is covered in Section 3 for Existing Members Note: You can view the clubs T&C s by clicking on the yellow text Membership Terms and Conditions STEP 3: You will now see a Membership Summary page. Check the details you have entered and click on Version 2 P a g e 6 March 2017

7 STEP 4: Direct Debit set up page is displayed. Complete all fields with the details of whoever will be paying for the membership and then click on necessarily have to be the member themselves i.e. it doesn t Version 2 P a g e 7 March 2017

8 STEP 5: The DD Confirmation Screen will then display. Check your details are correct and click If any details are incorrect you can go back to the DD page by clicking Change To View the DD Instruction that will be sent to your bank click the blue text before clicking on Confirm The following will be displayed Version 2 P a g e 8 March 2017

9 STEP 6: Go to your Inbox You will receive 2 s. One confirming your membership (from ORs) and one confirming your DD instruction (from GoCardless) The confirmation from ORs will request that you confirm your address so click on This will open up the VERIFY ACCOUNT page on the website. Complete the password fields and click on Please now read Section 4 Paying by Direct Debit Version 2 P a g e 9 March 2017

Existing Members When the club transitioned from the old to the new website (October 2016) a snapshot of all membership data was taken and copied over to the new website The process for Existing Members is similar to that covered by new members. On the previous website each members profile would have been linked to a specific address when they signed up. It is imperative that this is used to bring up your details on the new website. If you are unsure which you used (i.e. the new website does not recognise you) then please the Membership Secretary (see CONTACTS section) who has a record of addresses used on the old website STEP 1: Access the new website: On the homepage click in the top right hand corner MEMBER LOGIN page is displayed: Before registering existing members will need to create a password. To do this click on. Enter your and click on to be ed a new password. Once received re-select and enter your Address and Password in the fields above. Click on Version 2 P a g e 10 March 2017

13 STEP 2b: MY MEMBERSHIP screen is displayed Select your preferred Membership Plan. Once completed click on the check box to accept the clubs T&C s and then click on The remaining steps are identical to that of a new member. Therefore go to STEP 3 on Page 6 (New Member section) and complete the remaining steps After completing remaining steps please read Section 4 Paying by Direct Debit Version 2 P a g e 13 March 2017

14 4. Paying by Direct Debit One of the main changes from the old website is that PAYPAL will no longer be a payment option and everyone will be required to pay their subscriptions by Direct Debit A new or existing member signing up through the new website, will NOT be automatically billed for any payments (currently) without an administrator at ORs manually specifying when payments should begin. The reason for this is to enable a smooth transition from the old Paypal payment method to the new DD one. Once ALL Existing Members have been registered on the new site, the process will be automated and payments will then be processed without requiring any input from the club Once you have registered and signed up to the GoCardless DD the new website will automatically generate an that is sent to the Membership Secretary. The MS will then set a start date (see note below) for your New DD and cancel your old Paypal DD. It is recommended that once the club have stopped your old Paypal DD that you check from your account that it has indeed been cancelled Note: DD Start Date: If you are a NEW MEMBER or EXPIRED EXISTING MEMBER (i.e. your subscription has run out) this will be done from the 1 st of the following month If you are a CURRENT EXISTING MEMBER (i.e. your subscription is still running) this will done from the date when your existing subscription expires Version 2 P a g e 14 March 2017

15 5. rmember App As well as the new website there is also a Smartphone App available on the iphone and Android. To download, search for rmember. The primary purpose of the App is that it can be used in conjunction with the Membership Card (see Section 6). The App is used to Top Up your account and then the card can be used to purchase items such as food, drinks etc in the clubhouse. It is beneficial to use as the club offer a discount when paying via this method Once downloaded select the App on your Smartphone. The following screen is displayed. Enter your address and password (see note below) and click on Note: If you do not have a Smartphone and therefore cannot download the App, you are able to see your balance within the website. On the homepage click on. Enter your login and password and your balance will be displayed. Note: The password is the same as that created on the website in Section 2 for New Members or Section 3 Existing Members Version 2 P a g e 15 March 2017

16 6. Membership Card The membership card can be obtained from the club over the bar. The staff member can register your card for you then and there. This can only be done once you have registered as a member on the new website 7. Managers Profiles Age group Managers will have their Logins authorised to enable back office access so they can update their individual web pages (i.e. Fixtures, News & Gallery).
