1 SITEMASTER INSTITUTIONAL ADMINISTATOR USER GUIDE INTRODUCTION The institutional administrator dashboard allows librarians and other authorized personnel to view and edit information about their institution s account, including contact, subscription, and access information. This document explains how to navigate through the dashboard. 1.0 OVERVIEW 1.1 SIGN IN The URL for the institutional dashboard is: Enter your username and password in the boxes shown above and click the Sign In button. 1.2 NAVIGATION After you have signed in, the name of your institution appears in the masthead. You will also see your administrator name in the top right hand corner next to a Logout button. If you would like to sign out of the institutional dashboard, click the Logout button. 5/11/2012 Page 1 of 9

2 2.0 TABS The structure of the institutional dashboard is intuitive. You will find information pertaining to your institution in three tabs: Institutional Summary, Access Options, and COUNTER. See below for details on each tab and its contents. 2. INSTITUTIONAL SUMMARY TAB 2.1 INSTITUTIONAL SUMMARY TAB The Institutional Summary tab provides a snapshot of basic institutional details. 3 2.1.1 CONSORTIA MEMBERSHIP This section shows whether an institution is a member of a consortium, a consortium master, or not part of a consortium. In the context of the SCM6 platform, a consortium is defined as a group of related institutions in which the members can inherit the master s subscriptions and concurrency. Consortium relationships are set up by the AMA Publishing Group and include a master account that contains the subscription(s) that are passed down to member accounts. Once a relationship has been established, the member institution will share the subscriptions contained in the master account. A consortium master account can have multiple member accounts, but a consortium member account can only have one master account. If your institution is designated as the consortium master, you are able to view all member accounts within the consortia tree. To do this, select the link View Consortia List and click on the name of the member institution you want to view. This will take you to the institutional dashboard for that institution. You can always return to the master account dashboard by clicking on the Back to My Dashboard link. If your institution is a consortium member only, you are only able to view your account and cannot access the institutional dashboard for your consortium master CURRENT SUBSCRIPTIONS This section lists the institution s current subscriptions and expiration dates and cannot be edited. 4 2.2 ACCESS OPTIONS TAB This tab shows how access has been configured for your institution. The access options for institutional accounts are as follows: Master Username/Password Login Referring URL IP Address Athens ID Shibboleth Entity ID/Affiliation values OpenURL (outbound) MASTER USERNAME/PASSWORD LOGIN The Master (or shared) Username and Password are the login credentials that an end-user uses to access an Institutional Account on the front-end website. To modify the Master Username/Password, click on the Edit Username or Edit Password buttons, make your changes, and click Save. To remove the Master Username/Password from an institutional account, click the red X. Only one Master Username/Password can be used for an institutional account. 5/11/2012 Page 4 of 9

5 Username must be four characters minimum and is not case sensitive Password must be at least six characters long and contain at least one lowercase letter, at least one uppercase letter, and at least one digit) REFERRING URL DEFINITION Referring URL, also known as Referrer Based Access Control (RBAC), is the means by which an end user enters a website and is automatically authenticated by the institution for which the referring URL was added. 6 2.2.3 IP ADDRESSES IP ranges may be associated with institutional accounts. The following formats are accepted: xxx.xxx.xxx.xxx (single IP address) xxx.xxx.xxx.xxx-yyy (a few contiguous IP addresses) xxx.xxx.xxx.* (a single class C range) xxx.xxx.. (a single class B range) xxx.xxx.xxx-yyy.* (multiple contiguous class C ranges) xxx.xxx-yyy.. (multiple contiguous class B ranges) The same IP address cannot be assigned to multiple accounts, nor can any overlapping of IP addresses within a range. An account can have multiple IP addresses or IP ranges, and there is no limit to the number of ranges that can be associated with an institutional account. If the account that you are viewing has country-wide access, IP ranges will not be editable SINGLE IP INPUT When adding a single IP address or range, click the Add a New IP button. Enter the address or range using one of the formats listed above and click Save. Once entered you can edit the IP range by clicking the Edit button or delete it by clicking on the red X. 5/11/2012 Page 6 of 9

7 2.2.5 BULK IP UPLOAD If you have multiple IP addresses or ranges that you would like to add in bulk, you can use the bulk IP upload functionality. First, download your current list by clicking on the Download Current IP File. This will open a.csv file that contains either a list of your configured IP addresses/ranges or a blank template with a header column. Add, modify, or delete the IP addresses, and save the file to your computer as a.csv file. Click on the Upload Bulk IP button. Click the Browse button and navigate to the saved.csv file. Click Upload File. A confirmation message will appear asking you to confirm that you want to replace all of the existing IP addresses with those in the.csv file. PLEASE NOTE: The IP addresses or ranges that are uploaded using the bulk IP upload functionality will replace the entire list of IPs already configured for an institution. Your file should include all IPs required for that institution. If the IP addresses in your file are valid, they will appear on the screen. If they are invalid, an error message will appear. Possible reasons for an invalid IP address are as follows: IP address or range is a private IP address; private IP addresses are not allowed IP address already exists for another institution IP address is in an invalid format ATHENS ID Athens IDs are read-only. 8 2.2.7 SHIBBOLETH Shibboleth fields for Entity ID and Affiliation values are read-only. If your institution is interested in connecting to the site via Shibboleth, please contact us at OpenURL: OpenURL is a standardized syntax for transferring metadata describing an article or chapter. It is a way of organizing data in a URL and pointing it to a destination. When an OpenURL is configured, a link is provided in the References tab of an article or chapter that lets the end-user know if the institution has that particular article. When adding an OpenURL in SiteMaster, the popup dialog contains fields for the resolver base URL, link text, and an image. You may browse your own files and upload your own image, or use the default image. The system will validate the size and dimensions of the image. The maximum file size for an image is 5KB; maximum dimensions are 150px wide x 30px high. The system will pass the DOI of the article or chapter being cited at the end of the resolver base URL. Therefore, the URL must be entered exactly how it would appear in the address bar, minus the DOI (for example 5/11/2012 Page 8 of 9

9 3.0 COUNTER Counting Online Usage of NeTworked Electronic Resources (COUNTER) Reports are a standardized way for institutional personnel to see how products they purchase are being used. The COUNTER tab shows the reports for your institution in both Excel (XLS) and Comma Separated Values (CSV) formats.
