3 About the Identity Group is the name behind the brands you already know: U.S. Stamp & Sign, Porelon, Stamp-Ever, Headline Signs, E-Z Art, and Redi-Tag. For more than 50 years, Identity Group has been an industry leader in the manufacture of a wide variety custom products including stamps, office signs, name badges, business cards, printed mailing envelopes, banners, lighted signs and so much more. DDMS now supports Identity Group using Private Supply Network (PSN). You can electronically transmit purchase orders from DDMS to Identity Group, which makes the ordering process easier and more efficient. You can also set up the Identity Group microsite for your ECinteractivePLUS storefront so that your customers can order customized products from Identity Group s trusted brands, such as U.S. Stamp & Sign. Dealers must be on version or higher to transmit to Identity Group. Using the ECi Content Integration Program, you can periodically load dealer-specific Identity Group pricing into the Item database, place Identity Group items on orders for customers, and fulfill Identity Group items through your DDMS system s short-buy processes. The purchase orders are electronically transmitted to Identity Group in their preferred format via PSN, and you receive the acknowledgment of the purchase order automatically. PSN set up uses graphical and text-based screens. For more information on opening and using text-based screens, see Opening Text-Based Screens (pdf) on the Customer Support Center. Contacting Identity Group During the PSN set up, you are required to enter information that must be obtained directly from Identity Group. The item file loaded with the ECi Content Integration program also comes directly from Identity Group. Contact Identity Group at microsite@identitygroup.com or to obtain the following: An account number An item file containing dealer-specific pricing Setting Up ECi Content Integration Software for Use with Follow the sections below to set up your system to communicate with Identity Group. Loading the ECi Content Integration software, loading the Identity Group item file, and rebuilding the Super Index are all dedicated functions. Performing a dedicated function while other people are using the DDMS system can cause loss of information and corruption of files. Installing ECi Content Integration Software You only need to perform this installation once. When you run the latest ECi Content Integration software Version or higher, the latest version automatically downloads and updates. 1. Log in to 2. On the top navigation bar, click Software Downloads. 3. Under DDMS, click the link for ECi Content Install. 4. Follow these steps listed on the page. 3

4 Opening the ECi Content Integration Software Once the ECi Content Integration software is installed, you access it from your Start menu. 1. Click the Start button. 2. Click All Programs. 3. Select ECiContentServices, then ECiContentIntegration, and then ECiContentIntegration.exe. Using ECi Content Integration Software with You must first obtain an item file from Identity Group and place it in your OPUS download folder. See the Contacting Identity Group section for more information. 1. Open Content Integration for DDMS PSN. 2. Click the down arrow and select Identity Group. The Identity Group logo displays. 3. Click the Identity Group logo to open the Identity Group Download Data and Update Items window. Click Browse to select the file sent to you by Identity Group. The Update Items tab opens. 4

5 4. Check the Add New Items not Found in my Database box to add additional items. 5. Complete the Stock Class and Department boxes. 6. Check the Update Weight and Update UPC boxes. 7. The Update Item Description, Selling UOM, Average Cost, and List Price boxes should be checked by default. These four options only apply to the items that are already in your DDMS database. To update these options with the info in this item file, leave the boxes checked. 8. You have the option to exclude items from being updated with information from this vendor s file. To do so, enter up to 10 stock classes to exclude from the update. You can enter a range of stock classes by entering the stock class specifying the From portion of the range in the first space, entering a dash in the second place, and entering the To portion of the range in the third space. 9. The Clear Identity.log and Clear Exceptions boxes relate to item update reports that are placed into the Content Integration program folder. ECi recommends that you leave these boxes checked unless you are asked to uncheck for troubleshooting purposes. If the item is not found in the dealer s database through the process of matching item keys, the program searches using other information. If a match is found using another method, the items is updated in your database and the entries are added to the Identity Group log file. For example: Identity Group Item found Updated Item#- in I-SUPER [Number found with] Identity Group Item found Updated Item#- in I-SUPER by UPC [UPC Number used] The EXCEPTIONS log reports all items that did not load into your DDMS database, along with an explanation for why it did not load. 10. Click Save Update Options to save your preferences. 11. Click Begin Update. The Update Complete dialog box opens. 12. Click OK. The Last File Processed displays in the lower left corner, along with the item number and record count being processed in the lower right corner. 13. Click in the upper-right corner to close the program. Building the Super Index Once you have loaded the vendor s item file, ECi recommends that you rebuild the Super Index to enhance the end-user s search capabilities and to avoid e-commerce interface issues. The Super Index links item numbers to any unique item numbers, prefixes, buy units, or UPC numbers created when loading a vendor s price file. If you build the Super Index, end-users can search for the vendor s unique item numbers in Order Entry and e-commerce applications. The Super Index is stored in the I-SUPER file. To build the Super Index, follow the steps listed below: 1. From the text-based Master Menu, type E to open the (E) Inventory Master screen. 2. Select the [O] Other Screens action code. 3. Select the [R] Reindex Files action code. 4. At the Enter Password prompt, enter the password from the Reindex field in the (LE) Inventory Parameters screen. 5. In the Re-build Item Index Files screen, type F. 5

6 6. At the Are You Sure prompt, type Y to reindex I-SUPER. If you are using DDMSPLUS, you are done. If you are using DDMS, you must shut down and restart the TBL Server to activate the new I-SUPER index. This is a dedicated procedure. The Shut Down/Restart should only be performed once you are sure the reindexing is complete and there is no one else on the system. To verify that the reindexing procedure is complete, open TBLServer and click Users, then Administrator. The program name RPT:E1 means reindexing is still in progress. When this program name no longer displays, the process is complete. If the reindexing feature is not complete, the file is corrupted. Setting Up the Before you set up parameters for Identity Group, make sure you have PSN set up. If this is your first PSN vendor and PSN is not already set up, start by following the steps in Setting Up PSN (pdf) on the Customer Support Center. Once PSN is set up, setting parameters to communicate with Identity Group involves the following: 1. Setting up the vendor database. 2. Creating a customer record. 3. Setting up trading partner parameters. 4. Setting communication parameters. Setting Up the Vendor Database Use the following instructions to set up the appropriate destination ID for Identity Group and select the features to enable: 1. Set up Identity Group as a vendor. 1.1 From the Master Menu, double-click. 6

7 1.2 In the Vendor Master tab, click. 1.3 Click the Vendor # box and type IDENTITY. 1.4 Click the Name box and type Identity Group. 1.5 Click the Comm drop-down menu and select EDI. 1.6 Click. 2. Set PSN parameters. 2.1 Click. The Supply Options dialog box opens. 2.2 In the Location box, enter a G/L location, or accept the default of In the Destination ID box, type IDENTITY. 2.4 From the Supported Features menu, select Purchase Order. 2.5 Click Exit. 3. Click. Creating a Customer Record In the Customer Master tab, create a customer with Identity Group as the account number and name. Before you create the customer record, you must select the option to allow for manual input. 1. From the text-based Master Menu, type LA to open the (LA) Customer & A/R Parameters screen. 2. Select the [C] Change action code. 3. Tab to the Allow Manual Input field and type Y. 4. Press Enter until the Press Any Key to Continue prompt displays at the bottom of the screen. 7

If you changed the (LA) Customer and A/R Parameters screen to allow for manual input, follow these instructions to change it back to the original setting: 6.1 From the text-based Master Menu, type LA to open the (LA) Customer & A/R Parameters screen. 6.2 In the (LA) screen, select the [C] Change action code. 6.3 Tab to the Allow Manual Input field and type N. 6.4 Press Enter until the Press Any Key to Continue prompt displays at the bottom of the screen. 6.5 Press Esc multiple times to return to the Parameter Editor window. Setting Up Trading Partner Parameters To set up your trading partner parameters, follow the instructions below: 1. From the text-based Master Menu, type SGA to open the (SGA) Trading Partner Parameters screen. 2. In the (SGA) screen, select the [C] Change action code. 3. Tab to the Account # field. 4. Setting Communication Parameters To set up communication parameters, do the following: 1. Set up the Vendor Private Communications Network window. 1.1 From the Master Menu, double-click. 1.2 Click. The Vendor Query dialog box opens. 1.3 Select Identity Group and then click OK. 1.4 Click to open the Vendor Private Communications Network dialog box. 1.5 From the Communication Type drop-down menu, select Private Communication Network. 1.6 From the Template drop-down menu, select PSN Canonical XML Standard. 2. Set the general communication information parameters. 2.1 From the Program Group drop-down menu, click General Communication Information. To change a parameter, enter information in the Value column to add a default, and/or check the Override box to allow the default to be changed during communication. 10

11 2.2 Leave the Backorders Override box blank. Backorder is not a valid option for this vendor. 2.3 Check the Pre-Receive Override box. In the Value box, type Y to pre-receive the purchase order, or type F to final-receive a P/O without pre-receiving. Final-receiving updates receipts and your ITEM AUX file, which allows you to skip the pre-receiving process and automatically final-receive P/Os using wholesaler acknowledgements. Both pre-receive and final-receive works with automated short-buy (ASB) and manual purchasing. 2.4 By default, the purchase order is updated with the cost returned from the vendor. To not update the purchase order with the vendor cost, type N in the Update Cost Value box. 2.5 In the 850 P/O Format Value box, type XMLC. 2.6 Check the Drop Ship Override box. In the Value box, set the drop ship default based on how you intend to ship the majority of your orders from this vendor. Type N to ship orders to your dealership location. Type Y if the majority of your orders are shipped directly from the vendor to the customer. Checking the Drop Ship Override box allows you to toggle the drop ship flag to Y or N at the time you transmit the purchase order. 2.7 Leave the Wrap and Label Override box blank. Wrap and Label is not an option for this vendor. 2.8 Check the Acknowledgment Printer Override box. In the Value box, enter the name of the DDMS printer to use for printing the acknowledgement. 2.9 In the Acknowledgement Selector Value box, type GENACK Click. 3. Set the account information parameters. 3.1 From the Program Group drop-down menu, click Account Information. 3.2 In the Account Number Value box, enter the account number provided by Identity Group. See the Contacting Identity Group section for more information. The account number entered in the Account #1 Value box should be your default account number. If multiple accounts are entered, check the corresponding Override box for each account number you enter. 11

12 3.3 Click. 4. Set the shipto address parameters. This section is required to send P/Os. 4.1 From the Program Group drop-down menu, click Shipto Address. 4.2 Complete the name and address boxes for the dealership s default shipping address. ECi recommends that you also complete the Shipto Contact Name box. 4.3 Click. 5. Set the billto address parameters. This section is required to send P/Os. 5.1 From the Program Group drop-down menu, click Billto Address. 5.2 Complete the name and address boxes for the dealership s default billing address. 5.3 Click. Using the Using the involves the following: Purchasing Custom Items Building the P/O Transmitting the P/O Manually Receiving Acknowledgments Purchasing Custom Items For Identity Group s system to accept custom Identity Group products via PSN, the following criteria must be met: The order for any custom item must originate from the DDMS e-commerce site and be customized using the integrated Identity Group Microsite. 12

13 When creating the purchase order in DDMS, steps must be taken to include the Specials that contain the customization details on the P/O. For more details, see the heading Building the P/O. Building the P/O You can create manual P/Os or add an Identity Group call to your Automated Short-Buy process. If manually creating P/Os, you must create one P/O per end-user drop ship order. You can have Identity Group custom items as well as non-custom items on the same P/O as long as they are for the same end user s order. If the order is not drop ship, you can send multiple orders on a single P/O. If you are running the manual Short-Buy Report, you must create a separate P/O for drop ship item and include the line item specials on the P/O. The special line is created when the end-user customizes the product, and it contains a Control ID number that Identity Group uses to match the customization details recorded in their microsite. If the P/O is missing the special line that shows the Control ID, Identity Group rejects the P/O when it is transmitted via PSN. If you use the Purchase Order Entry window to create the P/O, click the drop-down menu in the Include Specials box in the Short Buy Options Dialog box and choose Include Pick Ticket Specials. When the P/O is created for the item, you can verify the special line is attached by the * (asterisk) that precedes the item number. If you use the text-based system to create the P/O, tab to the Include Specials field and type Y in the (F) Purchase Order Entry screen. 14 If you use the Automated Short-Buy process, in addition to setting your normal settings and limits, you must fill in required fields for the Identity Group call. These settings create a new P/O for each drop ship order, attach the customization details in the specials field, and add the required special link. When you select N, more than one trading partner may appear. However, based on the Vendor ID of IDENTITY, P/Os are only sent to the appropriate trading partner. 4. In the P/O Numbers field, enter the number of the P/O to send. To send more than one P/O, enter the number of the first P/O in the P/O Numbers field, and enter the number of the last P/O in the To # field. 5. Press Enter until the Are You Sure prompt displays. 6. Type Y. The Parameters Override screen displays. 7. Type C to transmit the P/O. Receiving Acknowledgments Identity Group returns automatic acknowledgments via PSN. You receive a printed acknowledgment report. The message Order Sent Successfully to Destination displays when the transmission is complete. Enabling Identity Group for ECinteractivePLUS Before end users can view and order items on Identity Group s microsite through your ECinteractivePLUS storefronts, you must set up the Administrative website to grant access. Once you do, the link displays on the shopper s site. Activating the Identity Group Feature 1. Log into the Administrative Control Panel. 2. At the top of the page, click the Consumer Config training toolbar and select Feature. 3. On the Feature Settings page, click beside the feature setting to change. (You can also click to create a new setting.) 4. Scroll down the page to view the Identity Group option. 15

16 5. Check the Identity Group box. 6. Scroll to the bottom of the page. 7. Click Save or Update. 8. Repeat these steps to add or change each feature setting that allows shoppers access to the Identity Group option. Use the Customer Management page or the Mass Setting Management page to assign this Feature Setting to shoppers. Ordering from Identity Group After you grant them access, shoppers can click the link to view and order Identity Group items. 1. Log into the End User website. 2. Go to the Featured Items menu and select the US Stamp, Signs and Stationary option. The Identity Group microsite opens. From here, end users can shop and order items. When they finish shopping, the Identity Group microsite places the order in their shopping cart for checkout, and the order flows to your back office system. The short-buy process places items, each with a special reference code, on a purchase order for transmission via PSN. When you receive the acknowledgment, the purchase order is updated with the order status and shipping information. Identity Group can drop ship directly to your customers. 16
