5 HL7 Import The HL7 Import Form The HL7 Import form allows you to import client data from files of an HL7 compliant format - an ANSI standard for health care specific data exchange between computer applications. Alternatively, you can import this data using a standalone utility, called PROHL7.EXE, which runs in the background. Partner (the configuration to use for importing) Single File (imports the file specified in the Import File textbox) Folder (imports the files in the folder specified in the Import File textbox) Import File (the name and location of the file/folder being imported) All messages must be valid for file(s) to be accepted (specifies that messages within all files must be valid or none will be accepted) Display Report (specifies that the import will display a report with details of the data that was imported) Validate (validates the specified files) Import (validates the specified files, and then imports them) To Import Data 1. Go to Imports/Exports HL7 HL7 Import. The HL7 Import form displays. 1
6 HL7 Import for CellTrak 2. From the Partner drop-down box, select the trusted partner you want to work with. 3. If you want to import all of the files in a folder, select Folder. Otherwise, select Single File. 4. Click the button and browse for the file or folder you want to import. 5. If you want errors in the files to be ignored, select All messages must be valid for file(s) to be accepted. 6. If you want to generate a report of the details of the imported data, click Display Report. 7. If you want to validate the files, click Validate. Otherwise, click Import to perform the import. 2
7 Appendices The CellTrak Interface Agent In order for your exported HL7 files to be sent to the CellTrak website and for completed visits information to be sent back to you for import into Procura, a computer on your network will need to run the CellTrak Interface Agent. 1. Run the file called CIAInstall.exe. The CellTrak Interface Agent Configuration form displays. 2. If you have been given an alternate URL, type it in the URL textbox. 3. If you have been given an alternate password, type it in the Password textbox. 4. Click the SMTP Configuration tab. 3
8 HL7 Import for CellTrak 5. In the Smtp Server textbox, type the name of your SMTP server. 6. In the Port textbox, type the port you want to use. 7. In the Notify textbox, type the address to which you want error messages to be sent. 8. If your server requires a username and password combination, enter them in the boxes provided. 9. Click the Export Configuration tab. 4
9 Appendices 10. Click Browse beside the Export Location textbox, and then browse for the location to which you want files to be exported. 11. In the Export Files every spinbox, select the number of minutes you want the service to wait before it sends the files to the CellTrak server for integration into the Website interface. 12. Click the Import Configuration Tab. 5
10 HL7 Import for CellTrak 13. Click Browse, and then browse for the location in whichh you want completed visits from the CellTrak site to be put when a user marks them for export. 14. In the Import files every spinbox, select the number of minutes you want the service to wait before it contacts the server. 15. Click the Confirm Configuration tab. 6
11 Appendices 16. Click Confirm to install ctiwinservice. Sending Data from Procura to Celltrak Scenario 1: Creating a New Patient 1. Create the client record as per instructions in online help or Procura user guide. 2. Assign the client to a department so a Celltrak ID is created to enable the client data to be sent. 3. Once the necessary/applicable fields have been populated, click Transmit. 7
12 HL7 Import for CellTrak 4. A patient HL7 message will be created and sent to the Live\Out Folder to be picked up by the Celltrak Interface Agent (CIA). 5. This client should appear in the Celltrak Portal within 30 minutes of transmission. Scenario 2: Updating a Patient Level Care Plan 1. Open your client record in the Client Information form. 2. Click the Care Plan tab. 3. Create or update the Client Care Plan using the Add/Del button. 4. When you have made your selections, close this window to return to the Client Information form. 8
13 Appendices 5. Click Transmit to send this information as an HL7 Message to the Live\Out folder to be picked up by the CIA. NOTE: If you do not click the Transmit button, these updates/additions will not be sent to the Celltrak Portal or pushed to the mobile devices. 9
14 HL7 Import for CellTrak 6. This client should appear in the Celltrak Portal within 30mins of transmission. This information will get pushed out to the phone of the appropriate employee prior to their first visit with this patient. Scenario 3: Creating a Client Visit 1. Open your client record in the Client Information form. 2. Click Schedule. The Client Schedule form displays. 3. Add the appropriate visit type, date, duration, etc., to the client s schedule as per online help or user guide. 4. The CVID will be automatically created for this visit and an HL7 message will be automatically sent to the Live\Out folder for pick up by the CIA within the next 30 minutes. 5. This visit will display in the Celltrak Portal provided that the employee associated with it is a Celltrak mobile device user. In turn, this information will be pushed out to the mobile device of the employee as a Schedule Update. 10
15 Appendices Scenario 4: Sending a PASE based Client Care Plan 1. Open your client record in the Client Information form. 2. Click the PASE tab. 3. Click Add. The Select Assessment./Survey window displays. 11
16 HL7 Import for CellTrak 4. Select from the table the assessment you want to add to the client record. 5. Click OK. The Client Assessment/Survey form displays. 12
17 Appendices 6. Populate the date field values for Q1.2, (if this value is empty the application will NOT send the information to Celltrak). 7. Populate the checkboxes for the Care Plan activities the client requires. 8. Click OK to return to the Client Information form, (do NOT mark the assessment as Complete). The checkboxes you selected will not be visible on the Care Plan tab. 13
18 HL7 Import for CellTrak 9. Click Transmit to send this information as an HL7 Message to the Live\Out folder to be picked up by the CIA. NOTE: If you do not click Transmit, these updates/additions will not be sent to the Celltrak Portal or pushed to the mobile devices. 10. This client should appear in the Celltrak Portal within 30mins of transmission. This information will get pushed out to the phone of the appropriate employee prior to their first visit with this patient. 14
