1 IntraVet 4.55 New Features Appointment Calendar Options A new Options item has been added to the right-click menu in the Appointment Calendar. Right-click in any open space and select Options. The Appointment Calendar Options window will appear. These options will default to selected after upgrading to IntraVet Page 1
2 Select the checkbox from the available options: Show Status Show Time Show Reason Show Appointment Notes Show Account Number Show Phone Number Show Address Show User The options selected will be included on the appointments in the Appointment Calendar. Overbooking Option in Appointment Calendar Overbook areas of your calendar by enabling the Overbooking option. To enable, go to Setup Appointment Calendar Appointment Calendar Setup Edit or New. These options will default to selected after upgrading to IntraVet When selected, you will have the option of booking multiple appointments in the same time slot on the calendar. Deselect the Overbooking option to disable this ability. Page 2
3 Copy and Paste in Calendar You can now copy or cut an appointment, block, or reserve and paste it multiple times within the calendar. For blocks and reserves if recurrence is setup on the item that is cut or copied when you paste it the recurrence is not pasted. Patient Reports Average Revenue Per Patient An Average Revenue Per Patient column has been added to the Payment Distribution Report for Providers. This number is calculated by dividing the revenue by the number of patients seen. These totals will be subcategorized by doctor and then totaled for the practice and displayed at the bottom of the report. The Rabies Vaccination List The Rabies Vaccination List can now be filtered by city to meet some state requirements. Page 3
4 To begin, open the Reports Utility and select Patient/Rabies Vaccination List. Select Run. In the Rabies Vaccination List filter, select the desired criteria. Enter City name here if desired Select the filter order here In the Filter By area, select City to filter the report into groups by city. Use the next field to enter a specific city name to generate a report for that city only or leave the field blank. Select Print or Display to view your report. The following is an example of a report with no city name entered. Page 4
5 Rabies Certificate Changes The patient age is included on the rabies certificate for St. Louis County MO. the Controlled Substance Dispensing Report The Controlled Substances Dispensing Report can now be ed (If your state guidelines allow your practice to this type of information.) NOTE: Before your practice can this report, you must have setup in the General Branch Setup. Page 5
6 3 1 2 To access the Controlled Substance Dispensing report, select the Reports utility. 1. Select Inventory. 2. Select Controlled Substance Dispensing Report. 3. Select Run. The Controlled Substance Dispensing Report filter appears. Choose the desired criteria. Select the button to generate an of this report. Page 6

The report details will then be sent via to the selected recipient. The following is an example of an containing the details of the report. IntraVet s Topaz Signature Pad Integration Introducing direct integration with Topaz Signature pads. To set up your Topaz Signature pad integration, go to General Branch Setup Forms, Handouts, and Topaz Topaz Signature Pad and select the areas in which you would like to prompt for a signature. The signed documents are stored as PDF files. A reader such as Adobe Reader will need to be installed for you to view these files. Page 7
8 Collect signatures in the following areas: Credit Card Receipt Customer Signature Estimate Customer Signature Invoice Customer Signature Boarding Release Form Customer Signature Health Certificate Veterinarian Signature Rabies Certificate Veterinarian Signature Signing a Document Sign a document with the Topaz Signature Pad then select Accept. A message appears on the pad that it saved successfully. The signed document will be stored in Client Account Management. To view signed documents, select the Signed Documents button. Page 8
9 The Signed Documents list window appears. Use the column headings to sort the list. Select a document and the View button to view, print or reprint a stored signed document. IDEXX LabREXX IDEXX VetConnect offices now have the ability to send requests from IntraVet as well as receiving lab results. Submit lab requests from within the IntraVet software and VetConnect sends results and results status to IntraVet for easy updating of the patient history. To update your IDEXX, you will need to make some changes to your Lab Interface Setup. To make the changes, go to Setup Lab Interface Setup VetConnect Setup and enter your username and password provided by IDEXX. Page 9
10 Create and Link to VetConnect Create and link VetConnect order codes within IntraVet. To begin, select Setup Lab Interface VetConnect VetConnect Order Codes. This is also available from the lab tests screen. The Code List Window appears. Select New or Edit to open the code window. Code window Select a code from the IDEXX code list. The Specimen details will appear. Select an existing IntraVet Procedure Code to link the code to an IDEXX order code. Page 10
11 After creating a new VetConnect test: 1. Complete the info needed on the form and add an order code(s). Order codes can be created from this screen as well. 2. Click OK. A request to VetConnect will be sent. 3. Print the order form and add the associated IntraVet procedure code to the plan within the patients visit. Depending on the Visit settings, it may be automatically marked Ready to Invoice. The following is an example of the printed form from IntraVet. Page 11
12 The Lab Test window displays all the lab tests that have been created for the selected patient visit. Access this from the Visit, Medical History, Lab Results Screen and Control Center. Now, you can add tests throughout these areas for any labs. Codes that are marked as Lab Test within code setup are added to the plan within a visit or invoice. You can also manually create a lab test for a procedure that is not marked as a Lab Test within IntraVet. Note: Your office must have the Lab Results section added within the visit to access the Lab Test screen with a right-click. In the Lab Test, you can Edit, Cancel and Print the Lab Test by right-clicking on the selected Lab Test. Depending on the status displayed in IntraVet from IDEXX, the lab test can be edited or cancelled. Page 12
13 Note: As always, notes can be added to a lab test. To post the Lab Results to the patient s visit, select the Lab Results option in IntraVet, located under File Lab Results. Page 13
14 If a patient is attached to the Lab Result Code, the lab result will be associated with the visit automatically, but if there is no patient listed, manually select from the list of active visits or create a new one. Once posted, the Lab Results will show in the Medical History under the Visit and Lab Results tabs, as well as the Visit window and the Lab Tests window. Page 14
15 Rank the Order of Body Systems Body Systems can now be ranked in order of importance. To rank your Body Systems, go to Setup Visit Body Systems. Using the navigation pane on the right, rank body systems in numerical order of importance. Page 15
16 Code Price Changes to Estimate Templates When making changes to an existing Code Price that has been assigned to a Template, the change will automatically appear in the Template. To change Code information, go to Setup Code Inventory or Procedure code setup. Medical History Now, you have the option of printing line notes with the Medical History Print Options. In the Medical History Print Options screen, select the checkbox Print line notes. Select OK to save. Deselect the checkbox if you wish to no longer print the Line Notes. Page 16
17 Prescription Details in the Medical History The option to view prescription details has been added to the Visit tab of the Medical History screen. The box to show prescription details defaults to being checked. Print Prescription Details on Medical History To print the Prescription details on the Medical History, use the following option. In the Medical History Print Options screen, select the checkbox Print prescription details. Select OK to save. Page 17
18 View Multiple Patients in Medical History You can now view multiple Medical History screens for the same patient or multiple patients at the same time. Drag and Drop in the Estimate Drag and drop the order within Estimates screen. Select the items by the > and drag to desired location. Invoices Patient Status changes in Invoices or Visits will change the date to that of the Patient status change and not of the original invoice/visit. Compliance Reports A branch option was added to both the Recommendation Compliance Report and the Reminder Compliance Report. The branch defaults to be all branches. Page 18

Reminder Productivity Report A branch option added to the Reminder Productivity report. The branch defaults to all branches. Visit A heading with the Visit description has been added to the Visit to help you better manage multiple open Visits for the same patient or multiple patients. Page 19
20 Boarding Reservation When creating a Boarding Reservation without selecting a specific date range, the end-date will default to end of the next business day. Boarding Availability Change the branch in the Boarding Availability screen, allowing you to create appointments easily for multiple branches without having to change the branch manually from the header screen. Documents Use the Documents icon to select open documents from the main toolbar within IntraVet. Page 20
21 Account Notepad A client header was added to the Account Notepad window. Windows Option A windows option has been added to easily navigate between open windows. Select the Windows menu to view a list of open windows that are currently active. Select from the list of open windows to bring that window into focus. IntraVet Data Purge Utility A support-assisted utility is now available to allow your practice to purge data. To begin the process: Contact Patterson Veterinary Support Support will add the 3 files to your server program folder (in most cases it is C:\Program Files\IntraVet\Program, but in some cases a D drive is used). Note: The Data Purge Utility can only be performed for offices on IntraVet 4.55 or higher. It is important to note that once data is purged it cannot be retrieved or reviewed. As always make a verified backup prior to purging data. A current Authorization Form must be on file before the data purge can be completed. Examples of the files are listed below. Page 21
