2 I. Introduction to Conduct Letters How Letters are Triggered Conduct Letters can be triggered for a student in three separate scenarios: Scenario 1: The letter is triggered after the student has accumulated a specific number of incidents (e.g. 3). You can specify one particular kind of incident (e.g. cutting class), or you may count all incidents. Scenario 2: This is the total points method. Each incident is valued at a specific number of penalty points. When the student accumulates that number of points, a letter is generated. Scenario 3: A letter is generated by the action given a student as punishment following an incident e.g. In School Suspension, or Detention. Combining Letter Types There is no limit to the number of letters you can create. The scenario used is chosen by letter, so that in your overall set of letters you have some that trigger on specific actions such as a child getting detention and some that trigger by accumulation of incidents or on a specific type of incident (cutting class, violent behavior). Letter Cycles are also used for the Attendance Letter mechanism. A Letter Cycle is a period of time: The entire school year (e.g. September 9, 2005 to June 24, 2006) A month (e.g. January) A Marking Period (e.g. MP1) A Semester 5/24/2006 Page 2 of 35

3 Letter Cycles are set up by you. The Genesis Administrator s Guide Setting Up Letter Cycles describes in detail how this is done. Prerequisites for Conduct Letters Before Conduct Letters can be set up and put into use you must set up the following things: Attendance Cycles for your school. These are set up via the functions found on the Setup Schools School Parameters Attendance Cycles List Cycles screen. Letter Cycles for your school. These are set up via the functions found on the Setup Schools School Parameters Letter Cycles List Cycles screen. Instructions for their setup are located in the Genesis Administration - Setting Up Letter Cycles document. A simple setup is also below in Section II: First Steps: Letter Cycles. Action Codes. These are the Action Types used as triggers for Conduct Letters. They are set up via the functions found on the Setup Codes screen in the Action Codes table. Instructions for setting up Codes Tables in general can be found in the document Genesis Administration Codes Tables. Go to the Setup Schools screen. 2. Click on the School Parameters ( P ) button for the School for which you are setting up Conduct Letters. This brings up the Basic Parameters screen for the selected school and displays all additional Parameters tabs. 3. Select the Letter Cycles tab (shown above in Figure 2). 4. Determine whether there are any Letter Cycles in the list. In Figure 2, above, the list is empty. 5. If the list is empty, proceed below to Copying Letter Cycles, page If the list is not empty, proceed below to Examining Letter Cycles List, page X. 5/24/2006 Page 5 of 35

6 Copying Letter Cycles The easiest way to set up Letter Cycles is to copy the existing set of the School s Attendance Cycles into the set of Letter Cycles. Before you can proceed to do that copy you must determine whether or not the Attendance Cycles themselves already exist. Verifying that Attendance Cycles are already set up Setup Schools School Parameters Attendance Cycles Figure 3 Setup Schools School Parameters Attendance Cycles screen showing existing Attendance Cycles Determine if Letter Cycles Can be Copied from Attendance Cycles If Attendance Cycles already exist (and they really should if you are proceeding to the creation of Conduct Letters), the Schools School Parameters Letter Cycles List Cycles screen will contain a list like that shown above in Figure 3. If there are no Attendance Cycles, please use the instructions found in the Genesis Administration Attendance Cycles document to set these up. If there are existing Attendance Cycles, you can proceed to copy these into Letter Cycles, as described below, or you can refer to the Genesis Administration Letter Cycles document for information on how to set up your Letter Cycles. 5/24/2006 Page 6 of 35

Go to the Setup Schools screen. 2. Click on the School Parameters ( P ) button for the School for which you are setting up Conduct Letters. This brings up the Basic Parameters screen for the selected school and displays all additional Parameters tabs. 3. Select the Letter Cycles tab (shown above in Figure 4). 4. Select the Copy Cycles tab (shown above in Figure 4). 5. On the Copy Cycles screen, select the types of Attendance Cycles you wish to copy to Letter Cycles. (e.g. Marking Period, Month, School Year, etc.). Choose the cycles to copy based on how you wish to measure time for Conduct Letters. 6. Click the Copy Cycles button (scrolled off the bottom of the screen in Figure 4 above) to perform the actual copy. 8 Copying Attendance Cycles to Letter Cycles, Cont. Setup Schools School Parameters Letter Cycles Copy Cycles Possible types of Attendance Cycles to copy to Letter Cycles, now selected for copying. Copy Cycles button is now scrolled up onto the screen. Click when ready to copy cycles. Figure 5 - Copy Letter Cycles screen after Letter Cycles to be copied have been selected Determining which Attendance Cycles to Copy Do you wish to count incidents independently in each Marking Period? Then you will want to copy the Marking Period Attendance Cycles. If you wish to send certain letters in specific months (e.g. the September Conduct Letter ), then copy Month Attendance Cycles. If you are unsure of which to copy, copy all of them: this simply provides you with more options when you actually create Conduct Letters. Performing the Copy 1. Check the checkboxes for the Attendance Cycles to copy. 2. Check the Copy Cycles button at the bottom of the screen. 3. You will then be shown the Verification dialog shown below in Figure 6. Click OK to proceed or Cancel to abandon the copy operation. 5/24/2006 Page 8 of 35

You are shown the Copy Confirmation Dialog (shown in Figure 7 below). Click OK to finish. You may wish to add additional cycles based on the needs of your particular school. To examine the Letter Cycles, simply visually scan the list: do you have all the Letter Cycles you need? If not, follow the instructions below to add additional Letter Cycles. 5/24/2006 Page 10 of 35

Click to add the new cycle. Adding a Single Letter Cycle Adding a new Letter Cycle is simple: Figure 9 - Add Letter Cycle screen 1. Go to the Setup Schools screen. 2. Click on the School Parameters ( P ) button for the School for which you are setting up Conduct Letters. This brings up the Basic Parameters screen for the selected school and displays all additional Parameters tabs. 3. Select the Letter Cycles tab (shown above in Figure 9). 4. Click the Add Cycle tab to bring up the Add Cycle screen (shown above in Figure 9). 5. Fill out the Letter Cycle fields. 6. Click the Add button to create the Cycle Letter Cycle Fields Code This specifies how you would like the new cycle to be known (e.g. CC1 ) Description This is a description of what the cycle actually is (e.g. Conduct Cycle 1 ). 5/24/2006 Page 11 of 35

12 Start Date This obviously provides the first day of the cycle. End Date This provides the last day of the cycle Sequence # - This simply positions the new cycle in the list of Letter Cycles. Note that they are always listed in numerical order according to their Sequence Numbers. The Possibility of Letter Cycles specifically for Conduct Letters There is no limit to the number of Letter Cycles you can create. You may create Letter Cycles specifically for the sending of Conduct Letters. For example, you may divide the year up into your own Conduct periods and create a cycle for each period. Perhaps you measure conduct in periods of two months. 13 III. Setup Discipline Code Groups Setup Codes List of Codes Tables Locate the ACTION_GROUPS code table. This contains the list of Discipline Action Groups that can be used as triggers for Conduct Letters Figure 11 - Locating the ACTION_GROUPS Code Table on the Setup Codes List of Code Tables screen Locating ACTION_GROUPS Code Table in the Codes Tables List The Codes Table you will edit is the ACTION_GROUPS table. This will contain all of the different Action Groups (e.g. Suspension, Detention, Expulsion, Conferences) for Code of Conduct Actions. Definition of an Action An Action is something that is assigned to a student as a consequence of a Code of Conduct Incident. For example, a student might receive: Some type of Detention Some type of Suspension Some type of Conference with parents, teachers, administrators. 5/24/2006 Page 13 of 35

14 What is placed in the ACTION_GROUPS table are the major categories or groups of Action: Detention, Suspension, Conference. 15 Viewing the List of Existing Action Groups Add a new group code here: Fill in all 3 fields and click the Add button. Examine the list of existing Action Codes to make sure they meet your needs. Edit buttons Delete buttons Figure 13 - ACTION_GROUPS Codes Table opened for viewing/modification The ACTION_GROUPS The list of Action Groups defined in the ACTION_GROUPS Code Table are the list of Actions that can be used to trigger a Scenario 3 action-based Conduct Letter. For example, if you wish to be able to generate a Detention Letter every time a student gets any form of Detention, then you need to have a DETENTION code in this table. If you wish to trigger a Conduct Letter every time a student gets Community Service, you need to add a COMMUNITY_SERVICE code to this table. If you wish to trigger a Conduct Letter every time a student gets In School Suspension, this table needs to contain an IN-SCHOOL SUSPENSION code (as it does in the example in Figure 12 above). This table contains your list of Action triggers for Conduct Letters. You must set it up accordingly. 5/24/2006 Page 15 of 35

Setup Action Codes Figure 14 - Code of Conduct Setup Action Codes screen Setup the Action Codes within the Code of Conduct Module Once you have created the ACTION_GROUPS on the Setup Codes screen the ACTION_GROUPS are used here to further specify Action Codes. Here you create an entry for every type of Conduct Action you wish to assign students as a consequence of their behavior. Figure 15 - The Create Action Code Screen Create an Action Code To create an Action Code, fill in the fields on the Create Action Screen and then click Save to create the code. All fields are required: Action Group Select the Action Group from the drop down. This will be one of the codes setup in the Setup Codes[ACTION_GROUPS] Action Code Create/Select an Action Code and enter it here. This will uniquely identify this entry in the Action Codes table. Action Description Enter a description of this code Detention Select yes/no to specify if this code is a Detention Code Suspension Select yes/no to specify if this code is a Suspension Code Expulsion Select yes/no to specify if this code is an Expulsion Used in State Reporting Select yes/no to specify if this code is counted for state reporting for your state reports (e.g. NJ State Reports) Sequence # - Enter a sequence number for this code. 20 Create Conduct Letters Once you have completed the Conduct Letter Prerequisites you can proceed to create the Conduct Letters themselves. 22 Define a Code of Conduct Letter Code of Conduct Letters Add Letter Figure 19 - Add Letter Screen completely filled in Defining the Conduct Letter Figure 18 above shows a completely defined Conduct Letter. Note that Scenario 3 has been chosen as the trigger for this letter and that the triggering action is After School Detention. When you click the Save button to add the letter, you are shown the Add Conduct Letter Verification Dialog (shown here in Figure 19). 23 Once you have clicked OK, the letter is added and you are shown the Add Letter Confirmation Dialog (shown here in Figure 20). 24 Setting Up Letter Scenarios Choosing Triggers for Conduct Letters Scenarios refers to the type of trigger you wish to have for your Conduct Letters. Before you set up letters you must answer the following questions: When do you want to send a Conduct Letter? Every time a student commits an offense, or only for specific offenses? Or only when the student is given a specific action as punishment (e.g. Detention)? What actions/offenses will trigger a Conduct Letter? How many offenses does a student need to commit before a Conduct Letter is generated? Once you have answered those questions, you will be able design the letter you need to create and select the Scenarios that will trigger each Conduct Letter. Scenario When to Use What to Specify Scenario 1 Use when you want a letter that triggers after a specific number of incidents in a selected Letter Cycle. You may be specific or unspecific about the types of incidents that trigger the letter. How many; Which type of incident (or All ); Scenario 2 Scenario 3 Use only if you are assigning each incident type a number of penalty points and you want to trigger a letter after a student has been given a certain number of penalty points in a specific Letter Cycle. To edit a letter, click the Edit icon button corresponding to the letter you wish to modify. Running Conduct Letters Code of Conduct Run Letters Generate Letters Figure 24 - Selecting the Letter Type to Generate Selecting the Letters to Generate The Letter drop down list on the Run Letters screen contains the list of all of the Conduct Letters that you have created. To run a specific letter, click the drop down and pick the letter you wish to run. Selecting Dates The date you specify as the Letter Date is the date for which data will be examined to determine who should receive a letter. 5/24/2006 Page 26 of 35

Figure 25 - Select Letter Type of Generate When you click the Generate Letters button to run the letter, you are shown the Run Letter Verification Dialog (shown here in Figure 24). Figure 27 - "Generate Letters Screen" while letter are being generated Generating Letters Once you have selected the date for which to run the letter, and selected the letter to generate (e.g. Detention Letter), click the Generate Letters button to generate the letters ( Run the letter ). 29 VI. Printing Letters Code of Conduct Letters Run Letters Print Letters This is the list of Letter Types that have ever been run or generated during the current school year. Figure 28 - Print Letters, Step 1: Selecting Letter Type to Print Step 1: Selecting the Type of Letters you wish to Print The initial Print Letters screen provides a list of all the Letter Types (e.g. Detention Letter ) that have been generated even once during the current School Year. To select a letter, click on the highlighted name of the letter. This will populate the middle column with the dates when the selected letter was run. 5/24/2006 Page 29 of 35

30 Selecting a Run of Letters to Print Code of Conduct Letters Run Letters Print Letters View Students buttons Click for a list of students Dates for which the selected letter has been generated each of these represents a separate run of the letter. Each run date is a View Students button Click the list of students for whom letters were generated in the run Figure 29 - Step 2: Select the specific run to print Identifying and Selecting a Specific Run of Conduct Letters Once you have selected the letter type (e.g. Detention Letter) you want to print, a list of dates on which the letters were generated is displayed. These are the dates for which the letter was run. The dates are in ascending order (oldest first, newest at the bottom of the list). Select the run you wish to print: Clicking on the date itself displays a list of the students for whom the letter was generated on the specified date Clicking on the Adobe icon brings up all the letters generated as a big Adobe PDF print file and you can then print the letters. DO THIS TO PRINT THE LETTERS. Clicking on the mailing envelope icon brings up a Mailing Label generation screen Clicking on the trashcan icon deletes the entire run of letters. 5/24/2006 Page 30 of 35

Individual View Letter buttons Click to view a letter for one student Figure 30 - Step 3: View/Print Letter for One Student or All Students in the "Run" Runs of One Letter On the Print Letters screen, the left hand column lists all letter types that have ever been run during the current school year. The middle column Dates shows the dates for which the selected letter was run. This column remains empty until you select a letter. These dates are the individual runs of the selected letter (once a letter is selected). The right hand column lists all the students for whom letters where generated in the selected run of the selected letter. This column remains blank until you have selected the specific run you wish to view. In Figure 26 above the screen is shown with both a selected letter type and a selected run of that letter: all three columns are populated with information. 5/24/2006 Page 31 of 35

32 View One Letter To view the letter that was/will be sent to one student, click on the View Letter button for that student. This brings up Adobe Acrobat to display the letter. See below. Browser s Back button. Click to return to Genesis screens. Figure 31 - Letter for one individual student opened for viewing To Print the Letter The letters are displayed in Adobe Acrobat. To print a letter, click on the Adobe Acrobat Print icon button. You will be shown a regular Print Dialog and you may select any of your local printers. To Return to Genesis When you have finished viewing this letter, click the browser BACK button to return to the Print Letters screen. 5/24/2006 Page 32 of 35

To do this you start on the Run Letters screen and click on the Mailing Labels icon button for the run for which you want to generate the labels. Selected a type of letter that you wish to print (e.g. Detention Letter) 2. Selected a specific run of the letter. Based upon your selections, Genesis knows the list of student addresses for whom to create Mailing Labels. The labels created will be of the To the Parent/Guardian of type. To Generate Mailing Labels: Select the size of the label you are using that is the Avery Label code. Enter any offset information required to properly position labels on the sheets. Removing Conduct Letters Deleting an Entire Run of Letters Delete buttons for runs of the selected Conduct Letter To delete an entire run of the selected Conduct Letter, click the trashcan icon corresponding to the run you wish to delete. Delete Letter buttons Click to remove one student s letter Figure 34 - Delete a run of Conduct Letters Deleting a Run of Conduct Letters You may delete an entire run of a letter in a single operation. To delete a run do the following: 1. Click on the letter type to bring up the list of runs for that Conduct Letter. 2. Click the Delete icon button (i.e. trashcan) corresponding to the run that wish to remove. This will delete the entire run of letters. Deleting Individual Conduct Letters You may delete a letter for one student from the set of letters generated in a run. To delete one student s letter, do the following: 3. Click on the run date to bring up the list of students for whom Conduct Letters were generated in that run. 4.
