1 1 Point of Sale: Getting Started Draft Capture Overview Electronic draft capture (EDC) is an automated method of authorizing, balancing, and capturing credit card transactions entered on a Point of Sale register or in Order Entry. The electronic processing capabilities can also be used for check verification/guarantee in Point of Sale. If you are not using credit card processing capabilities, you may skip this document. EDC capabilities are enabled once the necessary information has been defined for your pay codes and settlement processing. To use EDC, a Hayes-compatible modem (internal or external) and access to a dial-up telephone line are required. A magnetic stripe card reader is supported and strongly recommended. EDC processing can only be done through a CounterPoint-compatible processor. This document explains how to use Setup / Point of Sale / Stores / Draft capture to define draft capture information for a store. How EDC works Point of Sale and Order Entry allow you to specify use of electronic draft capture (EDC) for pay codes with a type of Credit card. Point of Sale also allows check verification for pay codes with a type of Check. When you pay a Point of Sale ticket with a pay code defined as requiring authorization, the system automatically uses your modem to dial the processing network to request authorization. Authorization is the process that confirms the availability of funds. The processor issues an authorization number or declines the charge. Authorization in Order Entry is performed automatically when deposits and refunds are posted or when you select Order Entry / Invoices / Authorize (for final payments). In order to actually receive payment for any charges authorized in Point of Sale or Order Entry, you must settle these credit card charges electronically. If you have previously arranged with the processor/bank to settle non-electronically, you can deposit paper credit card slips at your bank. Credit cards supported by CounterPoint include Visa, MasterCard, American Express, Discover, Diners Club, Carte Blanche, and JCB.

2 Point of Sale: Getting Started - Draft Capture 2 Register with modem Processing Network/Bank Issuing Bank Merchant s Local Bank During ticket or order entry, enter a credit card pay code and payment amount. Use a card reader, or (on an exception basis) type in the credit card number and expiration date. In Point of Sale, the register automatically dials the processing network and transmits the data. If Order Entry, the register automatically dials the processing network when receipts are posted or when authorizing final payments. The processing network/bank verifies availability of funds for this cardholder, and either transmits authorization or decline (or a status message) back to the merchant. Later, during settlement, the processing network/bank arranges for transfer of funds from the cardholder s issuing bank. Funds are transferred out of the bank that issued the customer s credit card and into the merchant s local bank, by way of the processing bank. Merchant s local bank receives funds within two business days (for most card types). NOTE: When CounterPoint is installed, you only have the ability to simulate authorization and to process using the CounterPoint Merchant Program (CMP). To actually authorize and settle with other CounterPoint-compatible processors, the Credit Cards Option is required. The information entered using Setup / Point of Sale / Stores / Draft Capture is used: During Point of Sale ticket entry to obtain authorization In Order Entry / Deposits and refunds / Post to obtain authorization In Order Entry / Invoices / Authorize to obtain authorization In Point of Sale / Draft capture / Settle to settle funds In Draft capture / Authorize for exception authorizations Overview of EDC setup Step 1 Define the environment variable that tells CounterPoint which processor you are using. Draft capture is not available in CounterPoint until this environment variable has been set. (See the Defining the credit card environment variable section on page 4 for more information.) Step 2 Obtain a terminal ID from one of the CounterPoint-compatible processors for each payment type that will use EDC. The processing network/bank provides you with a unique terminal ID information that you must specify in Setup / Point of Sale / Stores / Draft capture for actual processing to occur.

3 Point of Sale: Getting Started - Draft Capture 3 Step 3 Perform the setup steps specific to your processor. This document explains how to set up draft capture when using the CounterPoint Merchant Program (CMP). Information on setting up the Credit Cards Option for use with other processors is contained in the CounterPoint Electronic documentation. (See Credit Card Setup for more information.) Step 4 Define the draft capture requirements for your store. Use Setup / Point of Sale / Stores / Draft capture to set up the EDC requirements for each store s pay codes and settlement processing. Draft capture capabilities are not enabled until this information is defined. Step 5 Configure receipt printing options for your store. If necessary, use Setup / Point of Sale / Forms to modify the form supplied for printing a sales draft for each EDC payment type that is used on a ticket. You can also use this selection to design your own sales draft form. The pre-defined Point of Sale receipt form provides a sales draft signature copy when a draft capture pay code is used. WARNING: DO NOT alter the pre-defined forms supplied with CounterPoint. If you modify these forms, your changes will be lost when you use File Utilities / Special / System / Update pre-defined data. If you want to make changes to these predefined forms, you should copy them to another form name, then make modifications to these copies. Order Entry doesn t print sales draft forms; however, you can modify the pre-defined forms (or create your own forms) to print the card number, the expiration date, and a signature line. Designing your own forms: See Forms for more information. Step 6 Define the modem and card reader used by each register. Use Setup / Point of Sale / Device codes and Setup / Point of Sale / Registers to define the devices used by each register for EDC. Setting up device codes: See Device Codes for more information. Setting up registers: See Reason Codes for more information. Step 7 Refer to Credit Card Setup for more information.

4 Point of Sale: Getting Started - Draft Capture 4 Defining the credit card environment variable If you plan to use the credit card features of CounterPoint, you must set an environment variable indicating which processor you are using. This variable must also be set in order to use Setup / Point of Sale / Stores / Draft capture. Windows For CounterPoint for Windows, you should set this environment variable using the command: WINEDC=WINxxx (where WINxxx is the base filename of the.exe file for your processor) The correct setting for this variable depends on which processor you are using. Refer to Credit Card Setup for the correct WINEDC setting for your processor. Unix For CounterPoint for Unix, you should set this environment variable using the command: WINEDC= rtsxxx ;export WINEDC (where rtsxxx is the base filename for your processor) The correct setting for this variable depends on which processor you are using. Refer to Credit Card Setup for the correct WINEDC setting for your processor. We recommend setting all CounterPoint environment variables in a CounterPoint launch file. (See Environment Variable Setup for more information.) SYNEDC.CFG A configuration file called SYNEDC.CFG is required for draft capture processing. CounterPoint provides configuration files for each supported processor (called WINxxx.CFG, where xxx represents the processor). The appropriate file must be copied to SYNEDC.CFG. These files contain default parameters used for credit card processing. If you are not using CMP, you will need to edit SYNEDC.CFG to include additional information that will be supplied by your processor. (See Credit Card Setup for more information.) You should make the changes to SYNEDC.CFG after copying, not to the original WINxxx.CFG. If your modem requires an initialization string, this string should also be entered in SYNEDC.CFG (regardless of which processor you are using). Using multiple parameters Special situations may require multiple sets of parameters per user (or register, or store) on a single system. To accomplish this, create additional copies of SYNEDC.CFG under different names, modify each to contain the required parameters, then set the WINSYN environment variable on each register to select the desired parameter file.

5 Point of Sale: Getting Started - Draft Capture 5 Example For example, if Register 002 required a special modem initialization, you would first copy SYNEDC.CFG to SYNEDC.002, then edit SYNEDC.002, using the list of possible changes provided in the file itself as a guide. For example, for a modem initialization string, you would add the following information at the beginning of the file (before the first ~ ): \MI<init> (where <init> is the initialization string, up to 40 characters) Then use the WINSYN environment variable to instruct the software to use SYNEDC.002: Windows: WINSYN=/EF:SYNEDC.002 Unix: WINSYN= /EF:SYNEDC.002 ;export WINSYN We recommend setting all CounterPoint environment variables in a CounterPoint launch file. (See Environment Variable Setup for more information.) Setting up for the CounterPoint Merchant Program (CMP) Follow the instructions in this section to set up your CounterPoint system to process draft capture transactions through CMP. CMP uses CES as the processor. Contacting the processor Obtain the following information from your CMP processor: Terminal-ID Telephone number for authorization Telephone number for settlement Terminal-ID You may need to obtain three separate terminal ID s for use with CMP: One for all credit cards except American Express One for American Express One for check verification Obtain the terminal ID s for credit card and check processing from your CMP processor. Obtain the terminal ID for American Express directly from American Express. The CMP terminal ID for all credit cards except American express must in the format E.BBBMMMMMMMMMTTTTTT E. Indicates the merchant is retail BBB MMMMMMMMM TTTTTT 3 digit bank code 9 digit Merchant ID Optional 6 digit Terminal ID for multi-register merchants

6 Point of Sale: Getting Started - Draft Capture 6 NOTE: If an CMP representative refers to a 12-digit merchant ID number, they probably mean the combined 3 digit bank code and 9 digit Merchant ID. If an CMP representative refers to a 6-digit terminal ID, they may mean the optional 6 digit terminal ID used by some multi-register/multi-location merchants, as opposed to the terminal ID required by CounterPoint. A valid terminal ID for check verification should consist of 11 digits, prefaced by B, for a format of B SYNEDC.CFG Copy the file WINCES.CFG to SYNEDC.CFG by typing one of the following commands at your operating system prompt (from the top-level CounterPoint directory): Windows: COPY WINCES.CFG SYNEDC.CFG Unix: cp WINCES.CFG SYNEDC.CFG No changes to SYNEDC.CFG are required for processing with CMP. If your modem requires an initialization string, enter this string in SYNEDC.CFG. (SYNEDC.CFG contains comment lines that explain how to add this information to the file.) Additional information CES allows a maximum of 20 minutes to settle each batch, which consists of approximately 300 transactions. Magnetic card stripe readers can be configured to read either track 1 or track 2 information, but not both.

7 Point of Sale: Getting Started - Draft Capture 7 Defining draft capture Select Setup / Point of Sale / Stores / Draft capture. NOTE: The WINEDC environment variable must be set in order to access this menu selection. (See the Defining the credit card environment variable section on page 4 for more information.) Store number Enter the store number Phone numbers For actual operation, the information in this field will be provided by the processing bank. Enter up to eight different phone numbers of processing networks/banks that may be dialed to authorize or settle funds. Leave <blank> at any phone number field, to terminate entry of phone numbers. A valid phone number is required for actual processing. If you leave all phone number fields blank, only simulation can be performed. Be sure to enter the phone number exactly as it should be dialed, including area codes, outside line prefixes, etc. Within a phone number, you may use the following characters: - (hyphen) To improve readability (doesn t affect dialing of the phone) W To halt and wait (for example, to wait for an outside line), (comma) To pause for two seconds P At the beginning of a phone number, to select pulse dialing for locations where touch tone service is not available

8 Point of Sale: Getting Started - Draft Capture 8 Baud Specify the baud rate of your modem: baud rate baud rate baud rate baud rate baud rate <blank> If you want to set the communications parameters for the port with the DOS MODE or Unix stty command, instead of with the software This baud rate is used automatically when the associated phone number is dialed. Protocol If a special protocol is required when using this phone number, enter the letter that corresponds to the protocol Leave <blank> if a special protocol is not required. The processing bank will provide you the protocol if one is needed. tty This field appears only for Unix/Linux systems. Specify a 2-digit tty# for each paycode If you specify a number in this field, the actual authorization uses /dev/tty## (where ## is the number specified here) instead of the port specified for the register. The default /dev/tty prefix can be changed by setting the environment variable CPEDCTTY. (See Environment Variable Setup for more information.) This prevents port/modem conflicts (as in the Windows Modem Server Option) so that you can hold the line open if you are using RCY and multi-tran in order to authorize multiple transactions per phone call. Server This field appears only if the Modem Server Option is registered. Enter the Server Group ID to assign to this phone number to identify which phone number the Modem Server should dial. Leave <blank> if a Server Group ID is not required. Server Group ID s can consist of any one or two characters you choose. For example, if you use two phone numbers for EDC transaction processing, you might use 1 and 2 as the Server Group ID s, but you could also use S1 and S2, or VS and AM (for Visa and American Express), etc. NOTE: Nothing prevents you from assigning the same Server Group ID to different phone numbers. This configuration does provide the advantage of requiring only a single phone line and modem. However, this configuration doesn t work with multi-tran, so the RCY switch should be removed from SYNEDC.CFG, and each authorization will require a separate phone call.

9 Point of Sale: Getting Started - Draft Capture 9 9. Settlement These settlement fields allow you to define EDC settlement. Phn Enter the number of the phone number field (1-8) corresponding to the phone number to call for batch settlement. Leave <blank> for 0, if no electronic settlement should be performed. A valid phone number is required for settlement. If you specify a blank phone number field, electronic settlement won t take place. Alt Enter the number of the phone number field (1-8) corresponding to the alternate phone number to call for settlement, if the first number cannot be successfully reached. Leave <blank> for 0, if there is no alternate phone number. Processor This field displays the active processor that was selected when CounterPoint was started, based on the environment variable WINEDC. (See the Defining the credit card environment variable section on page 4 for more information.) Terminal-ID This field displays Simulate if you entered 0 for Phn or if no phone numbers have been defined. Enter the terminal-id supplied by the processing bank for settlement. Leave <blank> for None, if a terminal-id has not been obtained. 10. Industry type Specify the industry type in order to obtain the most favorable processing rates: Industry Features Retail Best rates for card swipe ( card present ) transactions AVS (Address Verification Service) Mail-order / Telephone-order (MOTO) Transactions presumed to be card not present (no card swipe) AVS (Address Verification Service) Optional CVV2/CVC2 Ecommerce Transactions presumed to be from website or other secure electronic source Point of Sale orders imported from CPOnline are handled as secure, fully-qualified ecommerce transactions AVS (Address Verification Service) Optional CVV2/CVC2

10 Point of Sale: Getting Started - Draft Capture Use AVS and CVV2/CVC2? N/A displays if the processor is not First Data North (CES), Vital, or Paymentech. If you answer Yes, a pop-up window appears: Default AVS address Select: Bill-to To use the Bill-to address as the default AVS address (After a credit card pay code has been specified, the Bill-to automatically displays in the AVS window. The salesperson may accept this address or make changes before completing the ticket/order and dialing the processor for authorization.) Ship-to To use the Ship-to address (Use Ship-to address in Setup / Point of Sale / Stores / Configuration options must be set to Yes. The address automatically displayed in the AVS window will be taken from the Ship-to area for the ticket/order.) None For None (The user must enter the verification address manually on each ticket/order.) Allow address entry? If you specified No for Default AVS address, this field defaults to Yes and can t be changed. Specify whether to allow address entry by selecting Yes or No. If you answer Yes, the user can change the address used for AVS approval. If you answer No, the user can t change the address used for AVS approval. The default address will be sent to the processor for authorization. Credit override auth required for: Address/Zip mismatch? Specify whether a credit override is required for address/zip mismatches by selecting Yes or No. If you answer Yes, only users who are authorized to override credit limits can accept charges where the customer s address and/or zip do not match the processor s AVS address. This field doesn t affect Order Entry because Order Entry credit card transactions are batch authorized. Credit override auth required for: AVS unavailable? Specify whether a credit override is required when AVS is unavailable by selecting Yes or No.

11 Point of Sale: Getting Started - Draft Capture 11 If you answer Yes, only users who are authorized to override credit limits can accept charges in ticket entry when AVS is unavailable (i.e., when the link between AVS and your processor is down). If you answer No, any user can accept charges in ticket entry when AVS is unavailable. This field doesn t affect Order Entry because Order Entry credit card transactions are batch authorized. Use CVV2/CVC2? N/A displays if the processor is not First Data North or Vital, or if the industry type is Retail. If you answer Yes, CVV2/CVC2 information will be requested in addition to AVS. Credit override auth required for: CVV2/CVC2 mismatch? N/A displays if the processor is not First Data North or Vital or if the industry type is Retail. If you answer N, the user setting for Override credit limit in Setup / System / Users is disregarded when the user is asked if a credit card will be accepted with a CVV2/CVC2 mismatch. NOTE: Credit override auth required for CVV2/CVC2 mismatch? does not apply to Order Entry because Order Entry credit card transactions are batch authorized. Credit override auth required for: CVV unavailable? N/A displays if the processor is not First Data North (CES) or if the Industry type is Retail. Specify whether to require a credit override in order to proceed when CVV2/CVC2 is unavailable. The processor must obtain the CVV2/CVC2 response from Visa or MasterCard. The message CVV2/CVC2 unavailable is displayed when the CVV2/CVC2 link at the processor is down. NOTE: Credit override auth required for CVV unavailable? does not apply to Order Entry because Order Entry credit card transactions are batch authorized. 13. Require P.O. # for purch cards? Specify whether you require a P.O. # for Purchase cards. If you accept Purchase cards, answer Yes to ensure that the Purchase card transactions do not get downgraded. CounterPoint provides support for Level II Purchase cards for merchants who process under the CounterPoint Merchant Program, and for other merchants who process with First Data North, Paymentech, and Vital. Support is provided for Purchase cards, Corporate cards, and Business cards. These cards are generically referred to as purchase cards. Purchase cards are Visa and MasterCard cards that look like normal credit cards to the merchant, but are processed in a special way so that the cardholder (typically a larger business or a government agency) will receive additional information on the monthly statement showing the types of goods/services purchased. To receive the preferential rate for purchase cards, a non-blank PO# MUST be recorded for each purchase card authorization. This requirement is very important! If a blank PO# is sent, the processor charges a billback for incomplete data, typically in the range of 0.5% to 1.0%.

12 Point of Sale: Getting Started - Draft Capture 12 If a Visa/MC purchasing card or an MC business card is tendered in Point of Sale Ticket Entry, Touchscreen, or Order Entry, and a P.O. number has not already been entered, the user will be required to enter a non-blank P.O. number. (MC corporate cards are not automatically recognized.) 13. NDC company number This field appears only if the EDC processor is NDC. Enter your company number. NOTE: Prior to processing with NDC, you must obtain a company number from NDC. CounterPoint is installed with a test company number of The second EDC setup screen allows you to define the authorization for each of your pay codes. PayCode The pay codes defined in Setup / Point of Sale / Stores / Stores are listed in this column. Entry is allowed only for pay code types Credit crd and Check. Desc The description for each pay code displays, as defined in Setup / Point of Sale / Stores / Stores. Ent This field does not affect Order Entry. Specify the default method for how the account number should be entered at the Point of Sale register. Select: Car/Check reader Non-EDC paycode Manual To read the account number on a card or check reader If this is a non-edc pay code To type the number manually The method specified is used only as a default and may be changed during ticket entry by pressing F2. Use of a card reader significantly reduces your fees (discount rate) with the processing network/bank. Phn Enter the phone number field from the preceding screen that corresponds to the phone number to call to authorize payments of this pay code. Leave <blank> for 0, to simulate authorizations for this pay code without actually calling for authorization. If you leave this field blank, the remaining fields are automatically completed for you, and may not be changed.

Enter the phone number field from the preceding screen that corresponds to the alternate phone number to call if the first number cannot be reached. Leave <blank> for 0, if there is no alternate phone number. Processor This field displays the active processor that was selected when CounterPoint was started, based on the environment variable WINEDC. (See the Defining the credit card environment variable section on page 4 for more information.) Terminal-ID Simulate displays if you entered 0 for Phn or if no phone numbers have been defined. Enter the terminal-id supplied by the processing bank for this pay code s transactions. Press F2 to use the terminal-id from the last pay code above that has a terminal-id specified. Leave <blank> for None, to simulate authorization if a terminal-id has not been obtained. If Simulate is specified, the remaining fields are skipped, and no authorization is actually performed for this pay code. Min-amt Specify the minimum amount for which authorization is required. Leave <blank> or press 0 to always perform authorization for this pay code. The call is made only if the transaction amount meets or exceeds this amount. This field is useful if, for example, you don t require authorization on checks written for less than $25. Your entry should be no greater than the minimum authorization amount provided to you by the processing bank. Settlement or payment of unauthorized charges by the bank above this minimum ( floor ) is at the merchant s risk. Set A displays in this field and may not be changed if this is a Check type pay code, or if Simulate is specified for Terminal-ID. Select: Authorize and Settle Authorize only To electronically authorize and settle charges for this pay code To only electronically authorize charges for this pay code (electronic settlement cannot be performed, and paper credit card slips must be deposited at your bank in order to receive payment)
