2 1 Enter OASIS, Read Notices 1 & Announcementss 1.1 Enter OASIS using the following URL: Log into OASIS by entering your Username and Password and click on Login 1.3 Click on Enter Each time you go into OASIS, click on There are notices to obtain further scheduling instructions. The Notices window willl open. Notices will change depending on which stage of scheduling we w are in. You may also see There are NEW notices and Theree are UPDATED notices. 1.5 Click the links to open the pdf document. Print and read these instructions before you continue.
3 2 1.6 You may also see Announcements. Announcements can be items that need to be addressed in terms of course requirements, updating account information, evaluations to complete, notification of lottery system activation, etc. Clicking on the link will open a new window (see below). Even if you don t have changes to make to this screen, please click Update/Verify Information found at the bottom. The announcement to update your account information will then disappear.
4 3 2 Add Courses to Lottery Selections List 2.1 Click 2. Course Requirements Report on the Degreee Progress tab. Scroll down to the M4 year and you will see the screen below. 2.2 Click on the name of a course classification (Ambulatory Medicine, Electives, Integrated Selectives, Medically Oriented Sub Internship, Surgically and Oriented Sub Internship Vacation) to add courses from that classification to your lottery selections list. (You will want to begin with whatever course classification is at the top of your expanded spreadsheet.) (See the expanded spreadsheet found in the M4 Scheduling Steps handout.) You must choose courses from all 6 course classificationss to complete your list. Side Note: The minimum and maximum number of coursess required for each course classification is shown here. In the Electives classification, you can see this studentt has scheduled an M3 graded elective in Radiology. This means the studentt will have to takee 4 electives as an M4 and will w get 3 months of vacation.
5 4 After clicking on the Medically Oriented Sub Internship classification, the Degree Requirement Detail window will open. Only the courses you can take to fulfill this requirement will appear in the list. Side Note: You may sort courses by Department, Course or Course # by clicking on the headings. This may be helpful when working with classifications with many course listings. 2.3 Click Add to add the months you are willing to take the course. Clicking on a department name will bring up the Department Information/Career Guides. Clicking on a course title will bring up that particular course description. 2.4 The Availability window will open and you will click in the top Add box to add all months (July April) OR in the box for a specific month you d like to take this course. 2.5 Click Add Selected Courses.
6 5 2.6 If you click return to your schedule, you will be taken to the Lottery Selections list (below). Each time you add additional courses, you willl see that they are added to the bottom of this list. Side Note: Click Instructions to read the procedures for reordering and dropping selections. Side Note: It is highly recommended that you Update order (rank) each time after adding approximately 10 course/month combinations (see Step 4 Instructions for Reordering Your Lottery Selections). This is where the expanded spreadsheet (found in the M4 Scheduling Steps handout) will come into use again. You may wait to do the ranking until you have addedd all courses (maximum of 225) to the list but the ranking process will take longer to accomplish. 2.7 Click 2. Course Requirementss Report to add more courses.
7 6 2.8 If you click add another course, you will be taken back to the Degree Requirement Detail screen to add more courses from the Medically Oriented Sub Internship classification. 2.9 When you are finished adding courses from this classification, click Return to requirements Repeat Steps 2.1 through 2.9 until you have courses selected from all 6 course classifications and return to the Course Requirements Report. ATTENTION!! Add Away Electives to the Electives classification if you plan to go away. List one month per vacation course number (e.g. Vacation 1 in November, Vacation 2 in December, Vacation 3 in August); not Vacation 1 in November, Vacation 1 in December, Vacation 1 in August as you will only be scheduled for one month of vacation!
8 Click Show for each of the course classifications to review the list of courses/number of months you have added. This is where you can easily see if you have left an essential course off your list or have omitted a course classification. Don t forget to add Preparing for Internship listed in the Electives Classification under the Interdisciplinary Courses Department. Nearly the entire class takes this elective in May. Revisit this screen from time to time while creating your list and again before you request your advisor s approval. Click Hide to hide the list.
9 8 3 Requesting & Removing Advisor Approval Request approval: 3.1 When you have made selections from all 6 course classifications, click Request approval to have your advisor review the courses you have selected. 3.2 You will be asked, Are you ready to request approval? Click OK. You will see a message that Your request for approval has been submitted. Your lottery selections are awaiting approval. Remove request After your advisor approves your list electronically, the screen will state that Your lottery selections have been approved. You may still reorder your selections but you may no longer add or drop selections. If you find that you need to add more courses, see step SIDE NOTE: The list does not need to be in final order for your advisor to approve your selections. Your list has to be approved by your advisor and ranked by no later than 11:59 a.m. (prior to Noon) on Friday, March 7 th. Remove approval to add/drop selections: 3.3 If you find that you have forgotten to add some courses to your list after your advisor has approved it, youu will have to click Remove approval to add/drop selections. You will be asked, Are you sure you want to make changes? THIS WILLL REMOVE YOUR ADVISOR S APPROVAL! Click OK. You will see a message that Your approval has been removed. You may now make changes to your r lottery selections. When you have added your selections, you will have to click Request approval again.
10 9 4 Reorder and Drop Selections (Ranking) 4.1 To reorder and removee selections from your list (rank), return to the Schedule tab at the top, left hand side of the screen. SIDE NOTE: Getting the General Medicine Acting Internship is most important to this student. She has added all months that it is available (excluding November and December because she plans to conduct residency interviews). She wants to get a letter of recommendation (LOR) for residency from her Medicine Attending so July through September will be her top 3 choices. (See the expanded spreadsheet found in the M4 Scheduling Steps handout.) SIDE NOTE: After General Medicine Acting Internships, she added Ambulatory Medicine courses for the months of July October. She d prefer to get this course in October; however, she d be happy to get it in July, August or September in case she doesn t get the General Medicine Acting Internship in any one of those months. She feels she could also get a LOR from her preceptor on Ambulatory Medicine. Now she needs to rank these courses. See the following pages.
11 10 SUGGESTIONS FOR USE OF THE OASIS REORDERING FEATURES Click the Expand/Contract Lottery Selections tab so you can see all orders on your screen. This will be helpful to you when reordering a lengthy lottery selections list. REORDERING FEATURE Click on an individual row and drag it to the desired position, then drop it there. Double click on the order number on the left hand side of the row to make it editable and change the number. Press tab or the enter key or click outside the edit box to update the position. To move multiple selections at once, hold down Ctrl (control or command) key on the keyboard and click on the selections in the order in which you want them to be when they are dropped. Click and drag them to the new position, then drop them there and release the Ctrl (control or command) key. APPROPRIATE USE OF FEATURE Best used when working with approximately 1 to 25 ranks. Best used when your list is longer than 25 ranks. You can use the scroll bar on the right side of the screen to move up and down your list to help you determine what you want the new order number to be. Best used with long lists when you know you want to move multiple courses at a time (up or down your list). You may have to move your mouse left and right while dragging courses to keep them scrolling up or down the screen.
12 11 SIDE NOTE: This student needs to move Ambulatory Medicine in October (Order #12) up the list so it comes right after the General Medicine Acting Internship in September (Order #3). To do this, she will click on row 12 and drag and drop it onto line 4. See illustration below. While dragging the course to its new location, the line color will turn from orange to pink. SIDE NOTE: After dropping the course in the new location, the list will automatically be reordered and the line color will turn back to orange. You will see a message at the top of the Lottery Selections List that says, You have unsaved changes. Please use the Update order button to save them and avoid losing your work. Click Update order every time you move a course. You will then see the following message, Successfully updated order.
13 SIDE NOTE: The student will continue ranking the General Medicine Acting Internships and Ambulatory Medicine courses. She will return to the Course Requirements Report and add Medical ICU electives and Inpatient Cardiology for July, August and September and rank them. These courses are also backups to the General Medicine Acting Internship for a letter of recommendation so they need to be placed under her Ambulatory Medicine courses. She will continue adding courses and reordering them in this manner until the lottery list is complete. 12
14 To remove a ranked order from your list, click in the Drop box and then Drop selected. You will see a message that The lottery selections have been reordered. 3 lottery selections have been dropped.
15 14 FINAL SUGGESTIONS Print your entire list and keep a copy of what you submitted. After Noon on March 7 th you will not have access to your lottery selections list or the Fourth Year Course Catalog until approximately April 4. Please enter these dates on your personal calendar. WHEN YOU ARE FINISHED ENTERING AND PRINTING YOUR LIST, DON T FORGET TO LOG OUT OF OASIS! (This will save your list.)
