3 1 LOGIN PAGE The School Portal login is located on the TAFE International Western Australia (TIWA) home page Click on the LOGIN TO PORTAL button to expand the drop-down box: Log into the Portal with your username / address and password. If you have forgotten your password, click on the Click here to retrieve it link. Enter your address associated with your Portal Account and a new password will be sent to you: TAFE International Western Australia (TIWA) School Portal Training Manual Page 3 of 14

4 2 ANNOUNCEMENTS PAGE The Announcements Page is the default landing page after successful login to the portal. Any important news items or announcements from TIWA are displayed on this page. TAFE International Western Australia (TIWA) School Portal Training Manual Page 4 of 14

5 3 PLACEMENT REQUESTS When TIWA receives an application from a potential student and your school has been nominated as a preference, a placement request will be generated and delivered through your portal. An notification will be issued advising of this request and directing you to log into the portal to access the placement request. Once logged in, navigate to the Placement Requests menu item in the navigation pane on the left hand side of the window: You will now be able to view any outstanding placement requests as well as previously actioned placement requests. Clicking on View for the student will expand that student s record as well as the ability to download any documents or attachments for the placement request: TAFE International Western Australia (TIWA) School Portal Training Manual Page 5 of 14

6 Selecting Report will display the Application Form Report. Selecting Decision will give you the following three options in relation to the placement request: 1. Accepted Select Accepted and click Save. 2. Accepted with changes this should be used if you accept the student but with conditions in regards to the acceptance. Please also provide a comment as to why this change is required. 3. Rejected provide a reason for rejection and any comment regarding the decision made. If the school schedules an interview with the family please note in the Reason section on the Accepted with Changes Placement decision and advise TIWA of the interview outcome via . 7 4 MARK ATTENDANCE Student s first attendance can be marked electronically from this section. At the beginning of each semester an attendance register for each school will be generated and distributed through the portal. Click on the link labelled Mark Attendance and a list of students expected to attend will be visible. The View icon provides more information of the student. 8 The Edit icon allows you to set the student s attendance to Attend or Did Not Attend. Comments can be entered into the box below to provide further information in regards to the student s enrolment. Press Save after your choice has been selected. If you have a student who is NOT commencing at the beginning of the semester, please note you will need to mark their Attendance when they commence. The attendance record for a particular student will be accessible from start date until the end date of his or her enrolment. Information regarding the student s start and end date can be found on the Summary Sheet report available under Reports. 9 5 DISBURSEMENTS / INVOICES School disbursement invoices are available for viewing in this section. Each semester, an invoice will be generated for each school. The invoice lists the disbursement amount for each student that is attending. To view the invoice amount, select View. To view the invoice, select Report. If the information and amounts on the invoice is correct, select Approve. This will send an approval notification to TIWA confirming that the invoice is correct. If there are any incorrect students or amounts on the Institution Invoice, select Request Review. A notification will be sent to TIWA and a finance officer will look into the disbursements for your school for that particular invoice. 10 6 SEARCH KNOWLEDGE BASE The knowledge base contains articles that provide answers to general questions related to the school portal. Click on View to expand the knowledge base article. Click View All Articles at the bottom of each page to then hide the article text again. You can also search for text within knowledge base articles using the text search box on the upper right hand side. 11 7 SEARCH STUDENTS In this section you are able to search for students that are currently in attendance at your school. Please note that you will only be able to search for students that are enrolled in the current semester. For students not enrolled for the whole semester, the student is only searchable between the start and end dates. You are also able to update the student s local address and contact details on this page. Clicking on Edit will expand the information and allow details to be edited. 14 10 ADMINISTRATION / SETTINGS This section provides details in regards to your School Portal account, as well as the ability to edit your information and to change your password. Select EDIT to update your details. Press Save to confirm the changes. To change your password, select the Change Password link: Enter your Current Password, followed by your New Password twice.
