2 5 Manage Users This section will cover the following information: Provider user roles and permissions How to add a new user account How to edit an existing user account How to delete an existing user account How to resend an activation to a user How to unlock a user account. 2
3 5.1 Provider User Roles As described in the introduction (Section 1.3, Provider Users), the EnrollHub user is the person responsible for managing electronic payments on behalf of a provider. Provider user accounts are assigned to resources at the provider organization that are involved in the billing process. Typical users are practice managers, administrative assistants, office managers, billing agencies, or anyone involved in the financial or payment management activities for a provider. Individuals using EnrollHub can either be Administrators or Users. Administrator An Administrator has full access and can create and manage additional users for the organization. Only one Administrator can be assigned to a provider organization registering through EnrollHub. By default, the person who self-registers for the site will be the administrative user for that provider. The Administrator can be reassigned to another user once additional accounts are established. It is the role of the Administrator to create additional staff accounts. User A User can create new enrollments, and update or cancel existing enrollments in the system, just like an Administrator can. However a User cannot create, edit or delete other user accounts. 5.2 Add New Users To add new user accounts, navigate to the Manage Users tab. Next, select the Add User button. 3
4 Enter the contact information for the user and the user s organizational role. Enter a username for the new user. The username must be at least 8 characters, must not include special characters, and must be unique. If the username you create is already in use, you will get an error message that says, Username is already taken. If the username you create contains special characters, you will get an error message that says, Username is invalid. If you get one of those error messages, simply adjust the username until the error message goes away. You will also have the ability to restrict the s being sent to a user. If you do not want a user to receive system s simply select the checkbox next to Preferences. After all of the information has been entered, click the Confirm button. You will see a confirmation message after the user has been added. 4
5 5.3 Edit Existing Users To edit an existing user, click on the pencil icon in the user list to get to the edit screen. Make any necessary edits and then click the Confirm button. You will get a confirmation message that the data has been updated. Click the Done button to return to the Manage Users screen. 5
6 5.4 Delete Existing Users To delete an existing user, click on the trash can icon in the user table. Once a user is deleted, they can no longer log in to the system. Remember that each provider must have one administrator so an administrator account cannot be deleted. Changing the administrator for a provider requires a call to CAQH for support. 5.5 Resend Activation to a Child User To resend the activation to a user, click on the paper airplane icon. Resending this will allow a user to complete the activation of their account so they can begin to use EnrollHub. 5.6 Locked Accounts 6
7 If a user of the CAQH system enters an incorrect password five times, the account associated with that username will be locked. This happens as a precaution, just in case an unauthorized user is attempting to guess a user s password. After the account is locked, the following message will be displayed: For Administrators: Your account has been locked. If you cannot remember your password, please reset your password now. If you still have trouble, please call the Help Desk at For Child Users: Your account has been locked. If you cannot remember your password, please reset your password now. If you still have trouble, please contact your account administrator. The account administrator is the person in your office who created your account. Users will access the 'Forgot Password' functionality on the login screen to unlock their account and reset their password. 5.7 Unlocking a Child User Account If a child user is locked out, that child s Administrator can unlock the account. To unlock the account as the Administrator, click on the Manage Users tab. In the action column on the far right of the user table, locate the unlock icon (which is a picture of a lock). (If you are unsure about which icon is the unlock icon, use your mouse to roll over the icons and the label will display.) The icon will only display when the user is locked out. To unlock the user s account, click on the icon. You will see a confirmation message that asks you to confirm that you want to unlock the account. Click on the confirm button to complete the process. You will get notification indicating that you completed the process. An will be sent to notify the user the account is unlocked and the unlock icon will disappear. 7
