2 Store Scheduler Playbook Version 1.6 August 2015 Introduction Welcome to the Store Scheduler. This EnergyCenter module will streamline the processes of viewing, creating, adjusting, and communicating store operational schedules, such as HVAC and lighting. Using this module will enable you to track the status of each schedule change you request or receive through the scheduler. You will also be able to view change request history. This heightened level of schedule transparency between the store and the National Monitoring Center will dramatically affect productivity and efficiency through improved communication and increased schedule accuracy. After receiving your login information, visit to begin your guided tour of this software. 2

4 Chapter 1 Store Scheduler Introduction After logging into the jcp EnergyCenter at you can select the Store Scheduler module at the top of the screen. This module provides 3 primary functions: View your store s normal schedule Request permanent changes to the normal schedule Request temporary changes All schedule changes must be programmed into your store s Energy Management System (EMS) by the National Monitoring Center (NMC). Ecova (formerly Prenova) operates the monitoring center for all stores. The Store Scheduler should be used for all schedule change requests, instead of s or phone calls to the monitoring center. The only exception is for last-minute or emergency changes needed within 1 hour. These situations require a call to the National Monitoring Center: Authorized users will be responsible for planning and requesting the following schedule adjustments through the Store Scheduler: 4

5 Custodial Temporary schedule changes Permanent schedule changes Changes to A.M. and/or P.M. annual inventory It s also important to note that all corporate-wide schedule changes will originate from the NMC. You do not need to request these changes: Initial A.M. and P.M. annual inventory.com hours Advertised Hours/Store Shutdowns, such as: o Easter, Thanksgiving, Christmas o Tax free holiday hours o IT Rollouts

6 Chapter 2 Understanding Your Store Scheduler A store schedule includes the following components: Opening and closing times / store hours Start and stop times for HVAC equipment Start and stop times for lighting functions Here s what you will see after logging in to the jcp EnergyCenter and accessing the Store Scheduler module. You will notice that a calendar occupies most of the screen, with buttons and links on the left (fig. 1). Figure 1 6

7 Normal Schedule To view your store s normal schedule, click on the link to the left of the calendar (fig. 2). A form will pop up to display the schedule. It contains a row of start and stop times for each HVAC area and lighting function, as listed on the left (fig. 3) Fig.2 7

8 Fig. 3 The HVAC and lighting start and stop times should match what was submitted most recently. The Effective as of field will default to the most current date that a schedule change was made. This feature also contains a dropdown list of all other effective dates of when schedule changes were made. Not all stores have the same set of HVAC areas and lighting functions, so one or more rows of start and stop times may be blank. This depends on which functions your store s EMS supports. *note- The Export to PDF and the Export to XLS options in the lower left hand corner allow you to extract the schedule from the system for printing and sharing. 8

9 Store Calendar The calendar will always display a single month. It defaults to the current month when you first access the Store Scheduler module. To view another month s calendar you may click the arrows above the calendar on the upper right or left, or click the month s name in the Month column on the left (fig. 4) Fig. 4 9

10 In the image below, (fig. 5), showing the month of November, several days include highlighted text indicating that HVAC and lighting schedule changes have been made for Advertised Sales. These correspond to the corporate-wide holiday schedule changes that will automatically be programmed for your store by the monitoring center. The Open-Close times for your store will appear at the bottom of each day on the calendar. Fig. 5 10

11 When you hover the cursor over a date, a link will appear at the bottom of the calendar date that allows you to view or edit the schedule for that day (fig. 6). Fig. 6 11

12 When selecting the link, a pop-up window will display the store hours, as well as the HVAC and lighting start and stop time (fig. 7). These are the same times that are specified by the normal schedule for this day of the week. If you need to change a time, type the new value into the text box. *Note- if you are requesting changes to an advertised sale or peak day, your change will require District Leader approval. Fig. 7 after changing a time, the new time will appear in bold, green text. If you want to revert to the original time, click the green arrow (fig. 8). 12

14 Chapter 3 Schedule Change Request Process Choose your change request reason from the drop-down list (fig. 9). Highlight the start or stop time you would like to change and type in the new time. A schedule change cannot be completed by the monitoring center unless it is accompanied by a valid reason. Fig. 9 You can use the Select dates feature to choose multiple days that you would like to apply the same exact change to. *note- this feature will not work if you are making a change to advertised hours or peak day scheduling as it requires District Leader approval and has to be submitted one day at a time. When you re finished, click Request Changes at the bottom of the form. If your change requires District Leader approval, you will be prompted to provide a more detailed explanation for the request. 14

15 As illustrated by the screenshots in Figure 10 below the message will display the cost increase or decrease for the temporary schedule change. You can click Yes to continue with the change request, or click No to cancel or revise the request Figure 10 Once submitted, as indicated by the message, an requesting the schedule 15

16 changes will automatically be sent to the National Monitoring Center. The day on the calendar will then display a note, such as Lighting Changes or Store Hours Altered. The text on the calendar will be italicized and have an asterisk. The italicized font and the asterisks indicate that these changes are pending they have not yet been confirmed by the National Monitoring Center (NMC). As soon as the changes have been programmed by the NMC you will receive a confirmation (fig. 11). You will also notice that the pending change is now confirmed and in bold font instead of italicized with asterisks. 16

18 Schedule Change Request for Overnight Functions To schedule a particular function for overnight operation, click the corresponding check box next to the function. As illustrated in the screenshot below, the Overnight form appears with three option buttons: Do Not Turn Off The equipment should run all night, until the next day s start time. Stop Before Next Day Start Time The equipment should be turned off at a specific time the next morning (assumed to be prior to the start time). A text box is provided to enter the stop time. No Overnight The equipment should stop prior to midnight (the default selection). If you select an option other than No Overnight and click Save, the Temporary Schedule Change form is redisplayed with the selected day s stop time changed to 11:59 PM. The stop time for the following morning is displayed in a message to the right. If the Do Not Turn Off option was selected on the Overnight form, this time will match the next day s start time. Note: To turn off overnight operation, click the check box again and select the No Overnight option button on the Overnight form. 18

19 Permanent Schedule Change to the Normal Schedule Click the link to the left of the calendar that says click here to view your normal schedule or make a Permanent change. (See figs. 2, 3) When the form appears, click the blue Edit Schedule button at the top in order to make changes. A textbox will appear above the chart for you to input the reason behind the schedule change request. Fig. 14 In this case (Fig. 14), the store s truck delivery schedule is changing. The truck will be arriving one hour earlier on Mondays and Fridays. Since the dock and stock lights are on the Housekeeping (F1) circuit, we ll change the corresponding start times from 6:00 AM to 5:00 AM first for Monday, then for Friday. As we ve already seen, when you change a time, it appears in bold, Green text. 19

20 When you ve finished making the required changes, click Request Changes,at the bottom of the form. A screen will appear that will display the annual cost increase or decrease for the Permanent schedule change (Fig. 15). You can click Yes to continue with the change request, or click No to cancel or revise the request Fig. 15 Once accepted a message will appear, noting that an request for the schedule changes has been sent to the National Monitoring Center. If the change exceeds $500, you will be prompted to explain in more detail what the change is for. The request will then be submitted to the District Leader for approval. 20

21 Reschedule Inventory Use the Reschedule Inventory function for any changes you have to your existing inventory schedule. The Reschedule Inventory tool, can be accessed by clicking the link that appears in the left margin of the screen on the Store Scheduler User Interface. 21

23 The form initally displays the currently scheduled inventory date, type, and start time for the selected store. The user may edit these values by clicking the Change link. The Start Time field displays a default value according to corporate standards for the selected inventory type: 06:00 AM for an AM inventory, or the selected store s close time for a PM inventory. The user may change the start time, but it must fall within a range that is defined by jcp corporate. Before any changes are saved, an alert prompts the user to verify the new date, inventory type and start time, as shown in the Alert to Confirm Inventory Schedule Change below. Figure 18 If the schedule change is confirmed by the user, the temporary start and stop time changes that had been created for the previous inventory date are deleted from the MSD, effectively restoring the normal schedule. New temporary start and stop time changes are added to the MSD as required to support the inventory for the newly selected date and/or type. Chapter 6 Last Schedule Review Click the Last Schedule Review link if you d like to see the worksheet that resulted from the most recent review you completed with New Energy Technology. Take Figure 26 below as an example: It contains useful information related to your store s consumption of energy, as well as the HVAC and lighting schedules, both before and after the review. 23

25 Show Announcements Click the Show Announcements link (fig. 27) to view messages that have been published by the National Monitoring Center or the corporate energy team. The example on the next page (fig. 28) shows two advisories. Both are alerting you that schedule changes for holidays have been programmed for your store for November and December. Fig

26 Fig. 28 You can also access announcements for prior time periods by clicking in the historical list on the left. When a new announcement or advisory is published, it will appear automatically the next time you access the Store Scheduler. 26

27 Tutorial This online training session is always available if you need a refresher on using the Store Scheduler. Refer to the link to the left of the calendar (fig. 29).
