4 Introduction Welcome to the DESMOND Website Educator Guide amended in This guide will provide simple steps by which to navigate yourself around our dedicated, secure Educator area of the website. Firstly, have you ever visited our website ( to find out what is happening in the world of the DESMOND Programme? Yes... oh good! Then you will be fully up to date on all that is going on. Don t worry if you haven t; follow the website address above to find out all you need to know. As an Educator you have the privilege of being able to access a part of the website that is not available to everyone viewing the website. Please use this guide to look at all that you can do in our Educator area and if you have any problems/questions please do not hesitate to Desmondweb@ uhl-tr.nhs.uk or call

5 Applying for an Account If you do not have an account already set-up please follow these steps to apply for your Educator account. If you are unsure please On the DESMOND homepage please click on Sign In in the top right hand corner of the screen. Once you have clicked on Sign In the page will move down revealing the Login Area. Click on the Apply for an account text to register for an account. 5

6 Applying for an Account Fill in the information as requested. Choose a safe, secure password of up to 10 characters that you will be able to remember. Top tips for secure passwords: Use a mixture of letters, numbers and symbols Include least one number, and one letter in upper case Don t use a password which can be easily guessed, e.g. date of birth, nickname, children s names etc. There is a drop down menu for your organisation name. If your organisation is not included, please Desmondweb@uhl-tr.nhs.uk There is a further drop down menu where you can select your role as an Educator. Once your details have been completed press the Apply for account button. Note down the address and password used for future reference. The information will be sent to the DESMOND National Office where it will be checked against the Educator register to activate your account. Please note registration may take up to 5 working days. You will receive an once your account has been activated. 6

7 Signing In & Out Once your account has been activated, you can sign in to the site through the Sign In icon on the homepage. Your user name is the address you used to register. The password will be the one you chose when you applied for an account. Once signed in, you will have access via the Admin Area to your DESMOND Inbox, be able to download useful documents and images and manage your QD documentation and centre audit data. There are two ways to navigate the admin area: Quick Links - large shortcut buttons to the main sections Menu system - permanent navigation buttons to the left of the screen. Press the plus + icons to the right of the buttons to reveal further navigation options. Pressing Home on the menu will return you to the Quick links 7

8 Signing In & Out You can update your details or amend your profile by clicking on Profile. Click Save once you have completed any amends. You can change your password from your profile at any time. Click Change Password and follow the commands. Logging Out - When you are finished in the Admin Area you can sign out of the site by clicking on the Log Out text in the top right corner of the screen. 8

9 QD Forms As part of being an Educator you are required to complete Reflection and Action Plans. To add your self reflections, peer reviews and action plans please use the follow steps. To create a new form either: 1. use the side menu by selecting Educator Area under the heading Form Administration then follow image 2, or 2. use the Quick Links titled Create New QD Reflection Form (this will take you to image 3) QD Image 1 If selected option 1 you will see that the side menu has expanded and a list has appeared, please select Create New QD Reflection Form QD Image 2 9

10 QD Forms This page will appear. This form contains exactly the same questions as the paper version supplied to you in your QD Folder; it is just that the layout is slightly different. To begin completing: 1. Check agree with privacy setting (untick if you do not wish to share) 2. Select Type of reflection form (self reflection if completing for yourself or peer review if for a colleague) QD Image 3 QD Details to complete 1. Input the venue details in the free text box 2. Select the date of the patient course. When you click in the text box a calendar will appear. You can move between months using the arrows. When you have found the correct date click in the corresponding box until it turns pink 3. The Completed by box will automatically be filled with your name QD Image 4 10

11 QD Forms Click in Educator Name and this pop-up will appear. If you are completing a self reflection search for your own name. If a peer review search for your co-educators name To search there is a search box at the top of the pop-up. Slowly enter the name, letter by letter and the system will filter out those applicable. Once found, click the button next to the name and then click select 5. Select the Course Type (For Newly Diagnosed/Foundation F1 is full 6 hours and F2 is 2 half days. For Walking Away from Diabetes do not worry about this as all courses are the same format) 6. Then complete Number of people with/at risk of Type 2 Diabetes attending course and Number of people accompanying attending course Continue to complete your reflection using free text boxes 1, 2 & 3 as opposite. 12 QD Forms You will then see that there are 2 boxes ND/F DOS/DOT (image 7) and directly below it WA DOS/DOT (image 8) ND/F DOT/DOS stands for Newly Diagnosed & Foundation DESMOND Observation Tool & DESMOND Observation Sheet. WA DOT/DOS stands for Walking Away DESMOND Observation Tool & DESMOND Observation Sheets. These are electronic versions of the QD Tools used by Assessors during visits and which you can use on each other. The following few images go through an example using the ND/F DOT/DOS. WA DOT/DOS works in exactly the same way. To complete click on Start DOT/ DOS of the relevant module. QD Image 7 QD Image 8 12

13 QD Forms This session overview screen will appear, containing a list of the sessions and their titles. Click Edit for the session you wish to complete details for Your session specific page will appear. To complete: 1. Start time either select the time from the drop down list or enter the time using a colon to separate hour and minutes using the 24 hour clock (e.g. 09:12) then tab across 2. Finish time as above and tab across once finished QD Image QD Image 9

14 QD Forms The total time that you took to deliver the session will appear QD Image 11 Complete the Educator Behaviour & Facilitation Skills and Content Framework by clicking the relevant buttons. If the criteria for the session is met a green tick will appear QD Image 12 14

15 QD Forms Once you have completed the session and added any Examples of Observed Behaviours into the free text box you can either: 1. click Next to move to the next session sheet (go to image 14) or 2. click Save (go to image 15) QD Image 13 If clicked Next you will move to the next session (e.g. from session A to session B). You can then complete the page as per images You will notice Previous option at the bottom this allows you to move back (e.g. from session B to session A). You then have the option to complete the Next session or Save, until you have completed all of the session scores that you wish to input. QD Image 14 15

16 QD Forms When you click Save this will appear. Click Ok which will return you to the session page where you will need to scroll to the bottom and click Overview (as per image 14) QD Image 15 You will then be taken back to the session overview screen. From here you can Edit other sessions if you have further scores to add. QD Image 16 16

17 QD Forms At the bottom you will see DOT Scores from here you can input your associated scores. (DOT is where you tally who was speaking at 10 second intervals) Click Edit to proceed to page QD Image 17 This screen will appear QD Image 18 17

18 QD Forms Input your scores for Educator Talking (total A), Participant Talking (total B) and Miscellaneous (total C). The % score will automatically calculate as soon as these 3 scores are inputted. When completed scroll to bottom and click Save and follow image 15 QD Image 19 When back at the session overview screen you can return to the reflection form by clicking on Back to QD Form at the bottom of the page. 19 QD Forms On the reflection form under the section marked ND/F DOS/DOT or WA DOS/DOT you will see the scores have appeared. Next you can input your CBS (Core Behaviour Score). Begin by clicking Start CBS QD Image 21 This page will appear. Complete the form by clicking on the relevant buttons. You may find that you have to triple click each to select and again triple click to clear. This is due to the functionality of the radio buttons - apologies for any inconvenience QD Image 22 19

20 QD Forms The scores will automatically calculate and it will say whether the criteria has been met or not. QD Image 23 Once completed, scroll to the bottom of the page and click Save QD Image 24 20

21 QD Forms You will notice the score has been added. You can go back to the DOS/DOT or CBS at any point to alter anything by clicking on Edit DOS/DOT or Edit CBS QD Image 25 Then complete free text box 5, if required. Once completed you save the form by clicking on Save Form QD Image 26 21

22 QD Forms This pop-up will appear. Click Continue to go to the action plan or Cancel if you do not want to complete the action plan. If you have completed a peer review then your co-educator will complete the action plan). If you clicked Cancel go to image 31 QD Image 27 If you clicked Continue this page will appear. Complete Step 1 and Step 2 as per the paper version, using the instructions throughout. All boxes are free text. QD Image 28 22

23 QD Forms When am I going to review this plan? When you click on this a calendar will pop-up. Select the date as appropriate. QD Image 29 Once completed click Save to move on QD Image 30 23

24 QD Forms You will be taken to your Form Administration page for All QD Reflection Forms & Action Plans (this is the page you would also go to if you selected All QD Reflection Forms & Action Plans in the drop down list on the left of the screen) You can edit, delete, preview or download all self reflections, peer reviews and action plans from here. Download will allow you to save the document onto your computer and also print off. Delete will erase the form from the system. This can not be undone. Preview will take you to this screen. It is the form you have completed with all the text inputted previously however you will not be able to amend the content in any way. QD Image QD Image 31

25 QD Forms At the bottom of the form, you can either go Back, which will direct you to Form Administration page. Or you can preview the action plan by clicking on Action Plan. QD Image 33 If you click Form Administration this screen will appear, again containing any text inputted previously. QD Image 34 25

26 QD Forms At the bottom of the page click Back to return to Form Administration. QD Image 35 From Form Administration if you click Edit your form will appear as in image 37. QD Image 36 26

27 QD Forms You can amend the form in anyway required as per images 3 to 27 QD Image 37 At the bottom of the form there are a few options: Save Form if you have made changes and wish to save them, this will then take you to the action plan. Action Plan if you want to see the action plan already completed and associated with the reflection form. If you have not yet completed an action plan and would like to please click Save Form, even if you have not made changes to the reflection form. QD Image 38 27

28 QD Forms Complete the Action Plan as per image Once complete click Update Form at the bottom of the form. QD Image 39 This will take you back to Form Administration You will notice all your Self Reflections are grouped together, as are your Peer Reviews and Action Plans. In the Peer Review section you will find any that you have completed for your co- Educators (with their name under Name For) and any your co- Educators have completed for you (with your name under Name For). Also in Peer Review you will find any completed by your Assessors from their visits. These are distinguishable by (new) next to the visit date. QD Image 40 28

29 QD Forms If your co-educator or Assessor has completed a peer review for you, you will need to complete the associated action plan by clicking on Edit button of the peer review related to your course. Then edit as per image QD Image 41 Click Home from any page to return to your Quick Links home page QD Image 42 29

30 Digital Assets The Digital Assets section is a library of images and documents you may find useful as an Educator. DESMOND National Office will be adding items to this section as time goes on. To access Digital Assets either use the side menu or the Quick Links titled Documents or Images. Once you have clicked on your chosen link, you are presented with a list of items which you can download. If you would like to request any further images or documents to be added to library, or have images (e.g. photos from a local event) please Desmondweb@uhl-tr.nhs.uk Please be aware that there are specific permissions which have to be obtained from people who are the subjects of photos, videos or other media made available on the internet. Any images or media which we make available to you have these permissions. Please make sure that if you offer your own media to share that you have permission. 30

31 Messaging The messaging system is designed as a communication tool within the DESMOND community. You have the facility to message anyone else who has a DESMOND account. On receipt of a message in your DESMOND Inbox an will be sent to the address you used to register advising you to check your DESMOND Inbox for new messages. To open your Inbox, sign in to your DESMOND Account, and then either: Use the Quick Links Go to the Inbox/Outbox button on the menu Your Inbox is designed to work like any basic client. You can view information such as: who the is from subject of message a preview of the contents 31

32 Messaging In this view it is also possible to: reply to the message remove a message by clicking on delete. Please note there is no trash facility in our system so if you delete a message there is no way of recovering it! You can also view sent messages by clicking on Outbox/Sent Items. In your Outbox you have the same options to view and delete messages 32

33 Messaging To create a message either click on Compose Message button or the Create Message drop down from the menu. In the message facility you can add a subject and input your text into the field. Across the top of the message field there are text formatting options similar to Microsoft Word. You can bold, underline, add bullet or numbered points. There is also a full screen option which enlarges the text field to make it easier to write a longer message. To go into full screen click the icon, to return to normal view click it again. 33

34 Messaging To choose a specific person to send a message to, press the Choose Recipient button. This brings up a list of all people who have profiles on the site. Either search or scroll down the list to find a recipient. Click on the button beside the name to select, then press the Select button. 34

35 Messaging Once you ve added a recipient and your message is complete press Send. A copy will be stored in your Outbox. 35

36 Audit As part of the NICE criteria for quality structured education which all programmes should meet, local areas offering structured education have a statutory duty to collect audit data. The DESMOND Programme is working to support you to fulfil this criteria by developing systems to collect and collate data online. To add your audit data either use the side menu by selecting Audit Forms under the heading Centre Administration. Alternatively use the Quick Links titled All Audit Forms. 36

37 Audit Once selected you will be able to view a list of all audit data added for your centre. To add new data go to the side menu and select Create New Audit Form. Select your Organisation and input your data into the fields then click Send Form. 37

38 Audit Your data will now be added to the Audit Form list. For this list the data can be: edited deleted previewed There is also the facility to download the data as an Excel spreadsheet for your own analysis or records by clicking Download Excel Files. Every time you add new data it will be added to the spreadsheet. 38
