2 In working with GroupWise, you need to remember that even though you have a GroupWise icon on your desktop, all of your etc is actually located on the server. GRAPHIC #1 Open To open an , double click on the envelope [note: if it looks closed it hasn t been opened yet.] If it has a paper clip next to it, it contains an ATTACHMENT. To DELETE, single click on the and press the Delete key on your keyboard. Later you can EMPTY the TRASH, by right clicking on Trash and select Empty Trash. After reading the , close it by click on the RED X Save

3 To Save and that is already in your mailbox, you don t have to anything. To save to a personal folder, you first of all have to create a folder in the CABINET. To do this, see GRAPHIC # 2. Steps are as follows: 1. Right click on the Cabinet (in the left side frame) and select New Folder. 2. Give it a name. 3. Click on Next, then Finish. 4. Then go to your Mailbox and left click select the you wish to put into the new folder in the cabinet and drag it over to the left side frame until it is over the folder you want (folder will turn blue). 5. Release the mouse and the will now be in the new folder. See GRAPHIC #3. GRAPHIC #2 GRAPHIC #3

4 Saving Attachments If a document or file has an ATTACHMENT, the best thing to do is to save the attachment in My Documents. Do this by right clicking on the attachment and then choose Save As and find the My Documents folder and click on Save. To open an attachment, open the associated program on the computer and view or work with it from there. See Graphic #4 Graphic #4 Reply to Once an is open you can REPLY to the sender by clicking on Reply (see below) and type in a response and then click on the SEND button. [Graphic #5] GRAPHIC #5

5 Forward GRAPHIC #6 To FORWARD an , click on the Forward button and then put in the (refer to Graphic #6) TO: box the person or address you wish to forward to or you can select the address by click on ADDRESS on the right side and look up the address/name. You can also forward an attachment from here as well. Click on SEND to send mail. Add New Contacts To add addresses to your Address Book, click on ADDRESS BOOK [see GRAPHIC #7] Graphic #7 Then to add personal addresses you have to first create a personal address book, by clicking on File, then NEW BOOK. In the Create Address Book box, give it a name and click on OK.

6 NOTE: You MUST be in the NEW address book to complete steps below. GRAPHIC #8 It will show up in the list underneath on the left side with the other address books. [See GRAPHIC #8] Open the new Address Book. To Create a NEW CONTACT (address), click on New, then New Contact as shown in GRAPHIC #8. Then choose New Contact and the New Contact box will appear. Then put in the Name you want displayed and their e- mail address in the ADDRESS box and click Add.

7 Add New Groups Within the Address Book, you may also add a new GROUP (a group of addresses bundled together to make it easier to send the same to more than 1 person), click on NEW [see GRAPHIC #8 above] and this time choose NEW GROUP. The New Group box will appear. Give the New Group a Name and then click on the Members box. Then select the members of this group by going to other Address Books and doubleclicking the name. It will appear in the To: box on the right. When all group members have been selected, click on OK. All groups will have this symbol before the group name to distinguish it from an individual name.

8 Create & Send New Mail To CREATE & SEND new mail, click on the NEW MAIL icon from your mailbox [see GRAPHIC #9]. Graphic #9 Graphic #10 This will bring you to the MAIL TO. It is best to use the ADDRESS button on the right side to select the address you want because it is already formatted correctly. Entering a person s name in the TO box may result in the not being sent.

9 Using the addresses in the Address Book, double click on the name of the person or group that you wish to send the and then click on OK. The person s name will then appear in the TO box. Add a brief Subject and then type in the Message. NOTE: Unless you are adding an attachment, click on Send when message area is done.

10 Adding Attachments GRAPHIC #11 If you wish to add an ATTACHMENT, click on Attach and select a File or Picture, etc. [GRAPHIC #11] GRAPHIC #12 In this example, Bullying Survey, an Excel document, was selected from the My Documents folder. To select a file, single-click on the file and then click on OK. It appears in GRAPHIC # 12 When you are ready to send, click on the SEND button as shown below.

11 Block Junk Mail & Block Senders Right click on the you wish to add to the BLOCK SENDERS LIST. [GRAPHIC #13]. down to JUNK MAIL, then go right and left click on Block Sender. Scroll GRAPHIC #13 You have some choices: If you want to block just this one person, click on OK. To block anyone from this address, choose the Block any from this internet domain. Then click on OK.

12 Archiving Files Archiving is the process of moving saved s from the network server to a folder on your hard drive. This process should be done 2 times during the school year. From the Cabinet (left side frame), select the personal folder that you wish to archive. Hold down the CRTL key while using the mouse to select the individual files that you wish archive. Click on Actions in the File Menu and select Move to Archive.

13 The files will then move the same folder on your hard drive. The files remaining are still on the server. To view files in archive go to the File menu and click on File, then Open Archive. All files that you stored in the Archive will appear here including any folders.

14 GroupWise - Restoring Settings Has this ever happened to you? You open GroupWise and find all of your folders and mailbox settings are missing!!!!!!! There is a solution for this. Actually all of the items are there; they just don t know they are missing. To bring back your Folders, do the following: Click on View, and then click on Folder List. The Folders will then appear. To bring back the From and Subject columns on the Mailbox side, do the following: Right-click on the bar where you see Date and left-click on More Columns (see below)

15 On the left side you will see the columns to choose from and then you select each one you wish to have appear in the mailbox along with the date and click on Add You can choose up to 4 (screen size is limited) and can move them up or down according To how you want them to appear. Then press OK

16 Then in the next graphic all settings have been restored. Additionally you can change your password by following these steps: 1. Click on Tools 2. Click on Options 3. When this box appears, double-click on Security This box will appear:

17 4. Enter your old password 5. Press the TAB key and enter a new password. 6. Press the TAB key again and re-enter your password and click on OK 7. Click on Close to close the Options menu. This will take you back to the mailbox.

18 Remote Access (Internet) GroupWise To Remote Access GroupWise through the Internet, open the Internet at home and in the Address box, type in the following: postoffice.pershing.k12.nv.us/webacc/servlet and press the Enter key. The following window will appear: Put in your Novell Login Name and Password. Then press the Enter key. This will open GroupWise and allow you to read your . This screen is a replica of your GroupWise mailbox. This is the Internet side of it. It also operates a little differently.

19 To read an , simply doubleclick on the itself. To send an , click on the Pad with pen (Compose) Click first on Address Book

20 Type in a few letters of the last name of the person to which you are sending the . Then click on Search Address Book. #3 1. Click on Add #1 #2 2. Click on To: 3. Click on Mail

21 Put the subject in the Subject box Put the message in the Message area. Click on Send to send the message. NOTE: If you wish to add an Attachment, click on Attach and follow the steps on the following pages. Using the previous box, click on Attach:

22 Click on Browse. This will open up the files on the hard drive of the computer where you are working. Either open a folder and select a file (this one has already been selected) and click on Open.

23 Click on Add (The file will appear in the area Attached Files) Then click on OK. The file name and a paper clip will appear under the Subject box. Add the subject and message and press Send as was shown earlier. End of Tutorial
