1 Scheduling a Cisco Meeting Server Meeting Intermediate Setting up a Cisco Meeting Server Account... 1 Scheduling a Cisco Meeting Server Meeting... 1 Setting up a Cisco Meeting Server Account To setup a Cisco Meeting Server Account, ITHELP@clemson.edu. In the subject line enter request Cisco Meeting Server Account. If the account will also be used in conjunction with a video codec, you will need to let them know which endpoint will be used to connect. Scheduling a Cisco Meeting Server Meeting To schedule a Cisco Meeting Server Meeting: 1. Collect the following information for your meeting: Class or Meeting? Instructor or Meeting Host? How will people be connecting? Through videoconference endpoints? Through the web? Whether this is a recurring meeting or class? Dates and times of the meeting or class? Do they want the meeting recorded? 2. Open a web browser and navigate to: 3. Login with your Clemson User Name and Password. 4. From the Booking menu, select New Conference. 5. Enter a Title for the Conference. Best Practice would be to put the name of the class or the recurring meeting along with the two locations that will be connecting. 2 Record the meeting You would want to enter the following in the Title field: ECE 6380 Russell >104 ZGEC > 111 Rhodes Annex 6. By default, the meeting Type will be set to Automatically Connect. If you prefer a manual connection you can change this from the available drop down menu. 7. Select the Start Time and Date. Set the Start Time to 10 minutes prior to the class or meeting start time. 8. Select the End Time and Date. Set the End Time to 10 minutes after the class or meeting end time. 9. The Duration should automatically calculate based off the Start and End Time(s) entered. 10. If this is for a class or meeting where there will be meeting reoccurring on a regular basis, click Add Recurrence. a. The Start Time will automatically populate from the previous page. b. The End Time will automatically populate from the previous page. c. The Duration will automatically populate from the previous page. Clemson Online online@clemson.edu June 2017 Page 2 of 7
3 d. Select the Recurrence Pattern. In the example we provided the meetings are every Monday and Thursday. So for this example, you would select Weekly. Then select the Monday and Thursday checkboxes. e. Then select the Range of Recurrence. For this example, since we know the end date, we will select End By. Then use the calendar icon to select August 7, f. Then click OK. 11. If you will be connecting multiple Clemson endpoints, you will want to change the IP Bandwidth to 6144 kbps. For meetings with other endpoints outside the university the default IP Bandwidth is 2048 kbps. 12. Click the Add Participants button on the Participants tab. 13. Click the Endpoints tab. 6 20. Next click the MCUs tab. 21. Select Clemson Meeting Server. 22. Then click the arrow in the middle of the screen to select this MCU as a participant. 23. Then click OK. Clemson Online online@clemson.edu June 2017 Page 6 of 7
