3 Introduction Environmental Compliance Supplier Portal Welcome! If you are new to the portal, begin with Getting Started. If you already have experience using the portal, jump ahead to What's New? to learn more about the latest features available. Using the Environmental Compliance Supplier Portal you can: View all MPNs for which Intel is awaiting compliance information View compliance status of MPNs for which an IPC has been submitted (Compliant, Compliant with Exemptions, Non compliant) Download a blank IPC form Upload a completed IPC form Learn more about the portal and how to complete an IPC using Guidelines links. NOTE: Guidelines links are located in the upper right corner of the portal page. Complete and submit Intel s EPC Spec Conformance form 3

4 ECPortalHelp Getting Started Get started with the portal following these easy steps: 1. Before you can begin using the portal you will need to apply, and receive approval for access. To setup your own personal Login ID and Password go to the Registration page for page for the Supplier Presence Site (SPS) at 2. Once registered, Login to the portal from SPS at 3. After successful login, you arrive at the Supplier Information page. Locate and follow the Environmental Compliance Docs link from the left hand menu. 5 Search & Filter Login Logging into the portal is easy. Before you begin, be sure you have completed the steps in Getting Started and applied and received approval for access. Then, from the Supplier Presence Site (SPS) take the following steps: 1. Follow the Supplier Login link from the left column menu. 2. From the SPS Login page: Enter your Login ID Enter your Password Click the Submit button 3. From the Supplier Information page, locate and follow the Environmental Compliance Docs link. NOTE: The Environmental Compliance Docs link is located under the Materials Engineering heading. Now you are ready to use the portal. Need more help? For support contact: 5

6 ECPortalHelp What's New? Latest new and updated features: Find what you want faster using new Search & Filter features on any column in the EC Document Loader Table. Plus, see more records per page with expanded table size - now 20 rows! Do you see a part on the list you do not recognize, or is no longer valid? Use the Mark as Unidentifiable feature to trigger the Intel internal process for correction/ removal of the part number. Click the box under Features to exclude the unidentifiable parts from the view. 7 Search & Filter Search & Filter Simplify searches for MPNs in the table by using these methods: Sort - Use the triangle located at the upper left of columns to sort A-Z or Z-A Filter - Use the filter option ("funnel" next to the triangle) to filter by a string of characters found at any place within the name. Example: A search on the characters "wait" will bring back records with a status of "Awaiting Verification". NOTE: Filters can be applied to multiple columns to further refine your search. Apply/ Remove Filters - Use the check-mark to apply, and the "x" to remove a filter. NOTE: You can further limit the number of parts displayed in the table view using Mark as Unidentifiable. Column Width - Column width can be made wider or narrower by clicking and dragging the gap area between columns Resources Status Column Values HF & RoHS Column Indicators 7

8 Mark as Unidentifiable When a part number is not correct or no longer valid it can be marked as unidentifiable. To do this, and trigger the Intel internal process for correction/ removal of the part number, follow these steps: 1. Click the check-box for the corresponding part in the table (far right column) 2. Click the Mark as Unidentifiable button (lower right of table) NOTE: Click the Only show identifiable parts? check-box to filter parts marked as unidentifiable from the table view. Using other Search & Filter methods you can further restrict the number of parts displayed in the table view. 8

A listing of all parts will be sent via , including any parts that were filtered out or marked as unidentifiable. NOTE: The part list is sent to the EC contact address currently on file with Intel 9

10 EPC Spec Conformance Form Each time the Intel Environmental Product Content (EPC) Specification is modified with industry standards, a supplier is required to complete* and return a conformance declaration acknowledging that they have Read and Understand the specification and that they are compliant to its content, noting any exceptions. Intel will send an automated request to complete the EPC declaration to the supplier s Environmental Compliance contact on record through , with an attachment detailing a summary of the changes from the last revision. While the EPC spec remains available as a PDF file on the Intel Supplier Portal, the EPC declaration has been converted to a web form accessible from the same Document Loader page currently used to upload IPC compliance collateral. *If there are multiple supplier reps with access to the Intel Supplier Presence Site (SPS), the EPC request only needs to be completed once on behalf of your company. On the main document loader page in SPS, you will see a new link at the top of the page to the online EPC Spec Conformance Form. This field will show if a request to complete is currently pending or the date the form was last completed. If no date appears in this section, it simply means that a declaration request has not yet been sent. To complete an EPC request, click the circled right arrow. A new page will display where you will complete all required fields, including supplier contact information, conformance declaration options, and typed signature before submitting the form. You will find links to the relevant spec and industry protocol available from within the form. If you missed completing any required fields, they will be indicated with a large red asterisk. Complete these fields then click Submit EPC to save the form. If you answer Yes to question 3 for ODS compliant and know you have always been compliant, you may select either the exact year or the option called Since Inception If you answer No to question 3 in the form for ODS compliant, then Addendum B questions 1-9 must also be completed. Once submitted, the form will become read-only unless it is rejected by Intel, or until a new request to complete the form is sent by . To save a copy of the completed form, use your browser s File>Save features (features will vary between browser types). On the next login to the portal, you will see the EPC section now shows the last date completed. 10

11 Using the Portal Example of the EPC conformance declaration form: If you are unable to use the Intel EC Spec Conformance Form online, a copy may be downloaded from within the Environmental Product Content (EPC) Specification, then completed, signed and sent to your Intel rep for retention. If you have questions about the EPC spec, the conformance declaration form, or compliance to the spec please contact EnvironmentalCompliance@Intel.com. 11

12 ECPortalHelp Using the Portal The portal provides five different kinds of uses: 1. Complete the Intel Environmental Product Content (EPC) Spec declaration form. This field will show if a request to complete is currently pending or the date the form was last completed. To complete an EPC request, click the circled right arrow. 2. Download/ IPC-1752 The most recent version of the common compliance declaration forms are available for download or delivery. Click the circled right arrow to Download a Blank IPC Form. 3. Document Loader Table MPN column - Lists all the Manufacturers Part Number (MPN) under your supplier id Status column - Status of compliance declaration import. There are seven Status Column Values. Added column - Captures the date/time stamp when a supplier uploads a compliance declaration. Column will be blank if no declaration has yet been uploaded. Requested column - Captures date/time stamp when Intel sent a request to the supplier for a compliance declaration against this part. Column will be blank if no declaration has yet been requested HF column - Indicates if the uploaded compliance declaration is Halogen Free (HF) compliant RoHS column - Indicates if the uploaded compliance declaration is RoHS compliant. NOTE: There are three types of HF & RoHS Column Indicators. 12

14 Status Column Values Values provided in the Status column help you keep current on the acceptance life cycle of MDDS submissions: Awaiting data - A compliance declaration has not been uploaded against this part Processing - Intel supplier portal is performing initial quality checking on the uploaded compliance declaration for the required fields and extracting the.xml Pending Verification - Compliance declaration was uploaded successfully to system, awaiting verification Imported Successfully - A compliance declaration was uploaded by the supplier, verified, and accepted by Intel Rejected by Intel - The IPC does not meet minimum quality standards, please contact your Intel rep Form Failed Import - Supplier tried to upload a compliance declaration but that failed due to a quality check error (not locked, not signed, missing data, etc.) Unidentified - Supplier has marked this item as a part they did not recognize 14

15 HF & RoHS Column Indicators HF and RoHS columns could have the following values: MPN is compliant (green check-mark) MPN is compliant through an exception (yellow circled "E") MPN is non-compliant due to absence of a declaration or confirmed non-compliance (red "x") 15

16 When to Provide an IPC Form An IPC form is required when: The Environmental Compliance Supplier Portal lists all the Manufacturer Part Numbers (MPN) that Intel has associated with your login credentials. Only for those MPNs with a Requested date that indicates Awaiting Data, Intel expects an IPC-1752 form. Please ensure you upload an IPC-1752 for all MPNs which have a Requested date populated. NOTE: As with line item 3 in the example below, Intel is awaiting an IPC because the MPN Status value is Awaiting Data AND has a Requested date. Several other MPNs in this example also meet the criteria. An IPC form is NOT required when: All other MPNs without a Requested date are either not on an active Bill of Materials (BOM) or we have compliance data that was provided prior to Intel s conversion to the IPC format; compliance based an SDOC or other supplier collateral Parts without a Requested date are displayed for your convenience if you wish to upload IPC-1752 to any additional parts you know to be active 16

17 Download a Blank IPC Form Blank forms available for download or delivery: IPC = Class 1,2,3,4 IPC = Class 1,2,5,6 IPC = Guidance Document To download/ a blank form follow these simple steps: 1. Click on the Download/ IPC1752 button 2. From the expanded menu, choose whether you want to download or the form To download a form: 1. Select IPC-1752 Type 2. Click the Download button NOTE: Optionally, instructions (English or Japanese language) on how to fill-out an IPC-1752 form (authored by IPC) can be downloaded by selecting the file with Guidance noted in the name 17

18 ECPortalHelp To request delivery of a form: 1. Select IPC-1752 Type 2. Enter address or multiple addresses delimited by a semicolon 3. Enter in Subject line 4. Enter in Body text 5. Click the button 18

19 Upload a Completed IPC Form To upload a completed IPC form follow these steps: 1. Select the MPN by clicking in the box on the far right; this will place a check mark in the box NOTE: If submitting a blanket IPC covering more than one MPN, then check all MPNs that apply. This can ONLY be used when MPNs are equivalent in weight and substance composition. 2. Under Select IPC1752 to submit, click on Browse to search for the appropriate IPC1752 from your hard drive 3. Click the Upload button NOTE: Status will reflect Processing until the upload is complete, then change to Imported Successfully or Import Failed. If the Import Failed status displays, check that the IPC form was locked and signed. Then repeat the import process. 19

20 FAQ Frequently asked questions about the Environmental Compliance Supplier Portal: 1. What is the expected response time for providing compliance documentation once a request has been received from Intel? A response is requested within a two-week window. If collateral has not been submitted within that timeframe, one follow-up notification will be sent from Intel, and then direct contact from an Intel representative. 2. What happens if the EC contact I have provided must be updated? Please send an to environmentalcompliance@intel.com with the new contact information, supplier number and supplier name, to request the change. 3. Will I need to take extra steps to protect proprietary information? Please understand without a full disclosure of the substances used, Intel is unable to disposition the part for Brominated Flame Retardants and PVC. If these substances are proprietary, a supplier can still disclose to Intel without noting any trade secrets. Please review the options below (with your Intel contact if necessary) and choose the best one to fit your needs. Keep the IPC as is but under the Supplier Comments or URL for Additional Information field on page 1 add this statement Substances must be listed if the substance is declared or prohibited either by JIG A or B. This allows Intel to disposition for BFr & PVC while protecting your proprietary information by disclosing that, if your product does contain JIG substances, you would declare them on page 3 of your IPC form. Keeping the IPC as-is means proprietary substances do not have CAS numbers associated with them but rather have the word proprietary included with the material description leaving the CAS field blank. Please note: do not put N/A as a response, as this does not indicate the substance is proprietary. Move to the class 3/4 reporting schema which directly lists the JIG substances important to Intel for reporting purposes Keep the IPC as is and provide supporting test reports for the homogeneous material xxxx Refer to the following link for training: [Compliance] RoHS Supplier Training: 20

21 FAQ 4. When we get a part number which incorporates packaging information (which doesn t impact material composition/declaration/size) do we need an IPC for each and every derivative of a part? No, a Supplier can select all appropriate MPNs that apply to this declaration and upload just once. 5. If a supplier provides two different reel sizes under one Intel Part Number (IPN), does the new EC process change the part number process we have today? No, EC is not introducing any change to the part number creation process. 6. How will I know if Intel has validated the compliance collateral submitted? When Intel has completed validation of the compliance collateral submitted, you will see the status column in the SPS portal change from Pending Verification to either Imported Successfully if accepted, or to Rejected by Intel if not accepted. 7. What happens when a supplier marks a part as unidentified? If a part is marked in SPS as unidentified, an notification will be sent to an Intel rep. Please expect an Intel rep to contact you to research what action to take for the part in question. If a part is marked in error, or if an IPC is still determined as required, an IPC can still be submitted for that part even if it is marked as unidentified. 8. How can I request a list of my part numbers from Intel? In the SPS portal, a link has been added for you to " me the part list. This sends a request to Intel for an extract of your parts and their corresponding current status in SPS. The information is extracted into a MicroSoft Excel document and is sent by to your company s EC contact on record with Intel. 9. Can I upload collateral against a family series of parts? Yes, by using the MPN search field and/or other filters in the column headings in SPS, you can more easily find the exact parts to choose, including those with family series names. The MPN search field will search based on a character or string of characters found at any place within the MPN name. 10. What happens if I receive an request for a part and I do not see the part in SPS? Please contact your Intel rep to make sure you have been granted visibility to the appropriate part detail. 21
