3 Instructions Your Salesfusion CRM Connector will provide access to setup & modify your password access, synchronization preferences and a time table of the last completed sync with your CRM. To access the Microsoft Connector, you will log in to your Salesfusion account. From the user menu in the upper right-hand corner of the screen, choose Account Configuration. On the left hand side of the screen, you ll see a section for external connectors. After selecting Microsoft CRM, you will then see the Microsoft Dynamics Configuration screen. 3

4 Step 1: Syncing Credentials First thing you ll do is enter the Microsoft CRM username and password that Salesfusion will use to sync with your CRM. You may create a new user or use one that is pre-existing as Microsoft CRM allows for concurrent logins. However, do note that all records created or updated by our sync will be attributed to the syncing user. The syncing user must have the necessary permissions to read and\or update all records which you wish Salesfusion to sync. Username - The Microsoft CRM CRM username we will user to authenticate via your web services Domain - If necessary, the domain is located before the backslash (\) when logging in Password - The password for above user After entering the credentials as mentioned above, click Save Connection to the right side of the screen. Step 2: Web Services and Organization Information On Premise\Hosted - Select what version of Dynamics you have. If you are hosted by Microsoft or a partner, select Hosted. If you are self-hosted with IFD (claims-based, ADFS), select IFD. If you are self-hosted without IFD (published web resources externally), select On-Premise. CRM Organization Name - Found in Developer Resources Organization ID - GUID Found in Developer Resources Discovery Service URL - Found in Developer Resources Organization Service URL - Found in Developer Resources Default user for new leads - The default (catchall) owner assigned to newly created leads, if the current owner in Salesfusion doesn t exist in CRM. This will only populate after the initial sync, so it can be left blank before then. Once the information above is complete, click Save Profile to the right side of the screen. 4

5 Step 3: Sync Dates No Action Needed - this table will show you the last time Salesfusion has synced with your CRM. These will be updated once we have completed the initial integration. See the How the Integration Works document for a deeper explanation on this component. 5

6 Step 4: Syncing Preferences Set up your syncing preferences. This includes what information you want Salesfusion to sync down and what information you d like Salesfusion to update and create, among other preferences. See the full explanation of each item below. Pull Data (Sync from CRM) Pull Accounts Pull Contacts Pull Leads Pull Teams Pull Opportunities Include Contacts and Leads without an address ( Address1 field) Pull Marketing Lists to Distribution Lists Keep Picklist values in sync Whether or not Salesfusion should sync down Accounts from Whether or not Salesfusion should sync down Contacts from Whether or not Salesfusion should sync down Leads from Whether or not Salesfusion should sync down Teams from Whether or not Salesfusion should sync down Opportunities from Whether or not Salesfusion should sync down Contacts and Leads from that do not have addresses assigned to them (These do not count against your database size) Whether or not Salesfusion should sync down Marketing Lists from as a distribution list in Salesfusion Whether or not Salesfusion will sync down the picklist values from, and keep those lists updated as values are added or removed. This will allow these picklists to be used in landing page questions or selected in a drop down on the contact card. *Note Salesfusion picklists are not restrictive, so values outside of the picklist values will still be allowed. Pull Data (Sync from CRM) Allow Updates for Lead and Contact Records Allow creation of New Leads and/or Contacts Allow Updating of Unsubscribe Status Allow Updating of Score Field Allow Salesfusion to push updated values to Lead and Contact records in Allow Salesfusion to create new Lead and/or Contact records in Dynamics CRM. The Salesfusion default is to create new records as Leads, unless the collected record has a specified CRMType as Contact. Allow Salesfusion to update the Unsubscribe status (DoNotBulk field) of Lead and Contact records in Allow Salesfusion to push Scoring values to as mapped by Scoring Profiles 6

The options are: Disabled: Do not push Web Activity records Activity Entity: Sent s will be pushed to CRM as a completed Activity record with references to the corresponding Lead/Contact Salesfusion Activity Entity: Sent s will be pushed to the Salesfusion-specific Activity entity, with references to the corresponding Lead/Contact Omit the body from the pushed record, reducing space consumed in the remote database. Push Opens to the Activity entity Push Clicks to Activity Record Push URL s in campaigns clicked to the Salesfusion Custom entity Choose where, if at all, Salesfusion should push known Web Activity. The options are: Disabled: Do not push Web Activity records Activity Entity: Web Activity will be pushed to CRM as a completed Activity record with references to the corresponding Lead/Contact Salesfusion Web Activity Entity: Web Activities will be pushed to the Salesfusion-specific Web Activity entity, with references to the corresponding Lead/Contact Push unknown, account-level web activity to the Salesfusion web activity entity Push landing page completes to Salesfusion s custom entity for Landing Page Completes Push event attendance information to Salesfusion s custom Events entity. Allow Salesfusion to create Activity records in from Tasks created in Salesfusion Allow Salesfusion to create new Opportunity records in Allow Salesfusion to push up the delivered or bounced reason to a custom field in CRM. Field must be nvarchar(100) on the contact and lead tables. 7

8 Step 5: Database Integrity Recycle Bin - When our bundle is installed, a few triggers are added which add any records deleted in Dynamics to a custom table. This table is referenced in the sync, and any records contained in this table are removed from Salesfusion s database. This is an important feature if you do not plan on marketing to any records deleted from CRM. If this box is checked at any point in time, all records that were deleted since the bundle was installed in CRM will be retroactively in Salesfusion as well. Post-sync Cleanup Reports - Only if your database contains reports that meet the criteria mentioned in the UI, they will be displayed in a drop down. The minimum criteria for the reports are as follows: Contacts - Leads - View: ViewAccountContact Minimum Column: ContactID Minimum Filter: CRMType = Contact View: ViewAccountContact Minimum Column: ContactID Minimum Filter: CRMType = Lead After a sync cycle completes, any records that fall into the report criteria will be removed from Salesfusion s database, as well as any lists or campaigns they may be in. Microsoft Dynamics uses inactive and active for contacts. Records that are set as inactive are not considered deleted for the recycle bin, and therefore Salesfusion will continue to sync them. If you want to remove inactive records from Salesfusion, autodelete reports can be used to do so. Below is the filter you can use to do so. To learn more on Statecodes and StatusCodes, please see this article. Contacts - Statecode = 1 Step 6: CRM Alerts Insert the addresses of whom should be alerted should there be an credential issue with your sync. We typically recommend you include the CRM Admin and the syncing user. You can separate multiple address with a semicolon. * Please Note - Completing the bundle installation and connector configuration will not initiate the sync. You will need to contact Salesfusion to turn on the Sync. 8
