1 eapplication User Guide Thank you for applying to study at Flinders University! In this document you will learn how to use the Flinders University online eapplication portal to register and apply to become an Exchange Student or a Study Abroad Student. Things to Prepare in Advance 1. Make sure you have your passport to hand. 2. Make sure you have evidence of any English language qualifications. 3. Make sure you have electronic versions of documentation supporting your application: eg English language test results, your home institution transcript, and a personal statement of why you wish to study at Flinders University. Important Information You can choose to be study as an Exchange or Study Abroad student at Flinders University for either a 6 month or 12 month period. You must provide citizenship information this is very important. You can locate this at STEP 1 of the process, and you must choose this option from the dropdown list: Overseas student studying in Australia. The personal details you provide will be used in all communications with you, therefore it is vital that you enter a current and correct home address and address. In STEP 1 of the process, you must enter at least one phone number, otherwise your application will be stalled. After you enter your personal details, you will receive an at the address you provided, confirming your registration details. You do not need to wait for this before continuing with your application; you can just keep going through the screens. At the end of each section / page of the application process, you will be presented with a summary page where you can confirm the details you have entered or change them. You can also withdraw your application at points in the process. Where prompted, you must upload supporting documentation. Your application won t proceed unless you do this. When you are prompted to upload supporting documentation, please do so one document at a time, and make sure that the chosen document has uploaded successfully before you try to upload another one. Once your application is finished, make sure you review the Application Summary form at the end. This is where you can make final changes before submitting your application. Page 1
2 The Application Process The process for applying to study at Flinders University, for Exchange or Study Abroad, is as follows. Are you new to Flinders? EXCHANGE? STEP 1. Register An Account STEP 2. Select an Available Course STEP 3. Apply for Your Course STEP 4. Submit Your Application STEP 5. Complete Your Application FINISHED Have you studied before at Flinders? STUDY ABROAD? The steps involved in applying for Exchange or Study Abroad are described as follows. STEP 1. Register an account. The registration process depends on whether you are a student new to Flinders, registering for the first time, or if you have studied here before. If you have studied here before, we may have some of your details on record, so you will not need to enter as much information. (a) If you have never studied or attended Flinders University before, this is the screen you will see. You begin the application process by clicking on the button Commence the application process. 3 You are then presented with the registration check page. On this screen, you enter your first name, last name, and date of birth (in DD/MM/YYYY format). Leave the Student ID (optional) field blank, as you are new to the University. The registration process generates a Student ID for you in the background, as you step through the process. Click on the Submit button. Once you have done this, the following screen appears. There is nothing to worry about with this screen. As you are new to studying at Flinders University, you do not yet have a Flinders Account (an ID that will let you access online systems and services). Hence, just click on the here link in the above text. (As a precaution, if you have studied at Flinders University before and have followed the above process, your previously generated Flinders Account linked to your name and birth date will be recognised and instead of the following steps you will just be prompted to reactivate your old account.) 4 As with any new student to Flinders University, you now need to provide personal details so that a new Flinders Account can be generated for you and linked to you. The Flinders Account is your online identity for Flinders University. Fill in the form, noting that: any field marked with a red asterisk [*] is mandatory a blue ques on mark [?] appearing at the end of any field provides more informa on about the field just hover your mouse pointer over it to get some help. Continue entering the data. Note that although not marked as mandatory, you must enter at least one phone number in order for your application to be able to be submitted. Also, Flinders University requires you to provide your current contact address, as official documentation about your study will be sent to this address. Page 4
5 For the Citizenship & Residency Details, the option you must choose is Overseas student intending to study in Australia. Then just fill out the details. The final set of information you need to enter relates to your cultural details, disability information, and (as a final check) your student details if you have ever studied a Flinders University before. As you are a new student, you do not need to fill out the Previous Student Details section. Once done, you submit your personal details information in order to set up your Flinders Account, by clicking on Proceed with Registration. Page 5
6 You are presented with a summary screen of the registration information you have just entered. If you wish to make any final changes, you can do so by clicking on the relevant Update button under each section. Once you are happy with the information, you just need to complete the Security Verification section. You need to type in the partially-obscured letters and numbers in the presented image within 90 seconds, otherwise you will see the following error message. Page 6
7 To dismiss this error, you ask for a new image to presented to you with a new code, or for the current image s code to be read out by the computer, if that makes it easier for you. You do so by clicking on either the refresh button or the audio button next the image. (The reason this check in needed is to prevent spam trying to generate accounts at Flinders University.) Create a new code or read out the current one Once you are confident you have entered the right code, you can: cancel your registra on altogether return to the Personal Details page to enable you to re-enter your informa on proceed on past the registra on page, on to selec ng your desired course of study. Congratulations! You have now registered a Flinders Account, and can proceed to selecting a course (Exchange or Study Abroad) and applying for it. (You can skip to STEP 2. Select an available course. ) Page 7
8 (b) If you have studied or attended Flinders University at some time, this is the screen you will see. You start your application by logging into the Flinders University Student Information System with your student ID and password. If you have forgotten one or both of these, you need to Flinders University to request it to be reset. Once you are logged in, you are presented with your personal information page from the Student Information System. When you select My Applications in the menu bar, you will see summary of your previous applications ( Application Summary ). Page 8
9 From this screen, if you click on the Add New button, you will be prompted to select a course (Exchange or Study Abroad), as per the process for a student new to Flinders University. Continue on to STEP 2. Select an available course. Page 9
10 STEP 2. Select an available course. From the following screens, you are required to choose the ONE course code for the type of study you want to do: XSAP for Study Abroad (12 months) XSAPHY for Study Abroad (6 months) XCHNG for Exchange (12 months) XCHNGHY for Exchange (6 months) This is the easiest way to ensure you are selecting the correct option. An alternative is to use the Search Bar and enter all or part of the course name, ie Study Abroad or Exchange. You will see all relevant courses including full year and half year variants. Then you must choose the course and period you are interested in. The following screen is displayed after you have registered (as a new student) or requested to start a new application (as a previously-registered student). Search Bar Page 10
11 (a) If you are an EXCHANGE Student Enter the course code XCHNG (12 month period) or XCHNGHY (6 month period) in the Search Bar. The screen refreshes to display the two options for Exchange 12 months or 6 months. Choose the period you wish to apply for, and click on the relevant Apply button. A screen displaying a summary of your choice is displayed. If you re happy with this, click on the Proceed with Application button to continue. (Alternatively, at this point you can Cancel your application or go Back to Select a Course to change your choice.) Congratulations! You have now selected your course (Exchange), and can proceed to applying for it. Page 11

13 (b) If you are a STUDY ABROAD Student Enter the course code XSAP (12 month period) or XSAPHY (6 month period) in the Search Bar. The screen refreshes to display the two options for Study Abroad 12 months or 6 months. Choose to apply for your desired study period: click on the relevant Apply button (in the above, 6 months is selected). A screen displaying a summary of your choice is displayed. If you re happy with this, click on the Proceed with Application button to continue. (Alternatively, at this point you can Cancel your application or go Back to Select a Course to change your choice.) Congratulations! You have now selected your course (Study Abroad), and can proceed to applying for it. Page 13

15 STEP 3. Apply for your course. See Important Information in the Introduction. In this section you are asked for background information about yourself, your previous study, and your proficiency in English. You need to provide: Your full name, as you would like it to appear on any official documentation (eg transcripts) from Flinders University Your home ins tu on Evidence of proficiency in the English language Suppor ng documenta on: o English language test results o Passport pages confirming your full name and visa details o Home ins tu on transcript o Personal statement of purpose for studying at Flinders University Note: When uploading your supporting documentation, you must do so one file at a time, and wait for confirmation that the file has uploaded. You start your application by entering your full name as it appears in your passport. You enter details about your home institution (eg local university), how long you have studied there, and the type of degree you are studying. All fields in this section must be entered, as indicated by the red asterisk [*] next to the field input box. Page 15
16 You are requested to provide evidence of English language proficiency. If English is not your usual language, you are requested to provide details of any tests undertaken. Acceptable tests are: IELTS (Interna onal English Language Tes ng System) TOEFL (Test of English as a Foreign Language) TWE (Test of Writen English) GCE (General Cer ficate of Educa on) Ordinary Level English Completed Australian Year 12 Page 16
17 You can also provide alternative evidence: Previous ter ary studies undertaken in English Intent to study with an Approved English Language Provider Other qualifica ons (eg high school English). If you have undertaken an English language test, you are requested to upload a document confirming your test results. Once the file is uploaded, you are presented with a screen similar to the following. This provides confirmation that your file has been successfully uploaded. Page 17
18 You must also upload the following mandatory files: a Copy of Relevant Pages of Your Passport, and your Home Ins tu on Transcript. (If another file, eg your English Language Test Results, is still being uploaded, you will need to wait until that completes uploading before you can start uploading another file.) Finally, you upload a Personal Statement, identifying why you wish to study at Flinders University. The statement can be up to 500 words, and is mandatory. (If another file, eg your English Language Test Results, is still being uploaded, you will need to wait until that completes uploading before you can start uploading your Personal Statement file.) Now that you have provided information about your background, previous study, and evidence of proficiency in English, you can continue by clicking on the Save & Continue button, which saves the details you have just entered and allows you to submit your application. This is also a point at which you have an opportunity to withdraw your application, by clicking on the red Withdraw button. Page 18
19 If you have not provided all the documents requested, you may see a screen similar to the following. Just upload the relevant documents, and click on Save & Continue as per the screen above. Page 19
20 STEP 4. Submit your application. Now that you have completed your application form, just a couple of steps are required to before you submit it: 1. Agree to the Applica on Declara on, sta ng you will be bound by Flinders University Policies and Procedures whilst studying here, and in par cular the International Student Policy. 2. Review your applica on preferences and summary. Read the Application Declaration, and if you agree with it, click the checkbox labelled I agree to the Application Declaration. Review the full summary of your application. Page 20

22 If you are satisfied with your application, click on Submit the Application. (If you choose not to submit your application, your application is saved and can be submitted at a later time, or deleted.) Page 22
23 Once you have submitted your application, you will receive an within an hour, confirming that Flinders University has received your application and is processing it. Page 23
24 STEP 5. Complete your application. To complete the process, you are provided with information about the status of your application. On this page you can: print a cover sheet summarising your application start a new application view your applica on details, or withdraw your applica on. To complete your session, you can simply close your browser. Congratulations! You have just completed applying for Exchange or Study Abroad at Flinders University. Page 24
