1 ShipRite s Account Receivable Instructions Setting up a new account Click on the POS button Enter the existing customer s PHONE number here. If they are in the database, their information will appear at the bottom of the screen. Click on customer lookup button on bottom where the red arrows are pointing. If this is an existing customer, you can enter the phone number where indicated and press enter on your KEYBOARD. It will recall your customer to the POS.

2 To open an account, Enter Company/Lastname, First Name. Street, City, State, Zip code. Then enter the cellphone or phone. You can also add an address. Click on the Save/Select Button NOTE: LAST NAME/ FIRST NAME AND CELL PHONE NUMBER OR ARE REQUIRED. The address is required for billing purposes If the customer is already saved then you can type their last name under the last name bar and press search. The name and the rest of the customer s information will then appear on the right side under Goto Notes as shown above.

3 Click on the customer s name under Goto notes The customer s name is now on the bottom You are now on their account You can right click on their name and a list will show: - Quick Address Update - Add Notes - Review Customer Account - Cards, Letters and Labels - Tickler Click on Review Customer Account which shows the following screen. This shows more information on the customer. It also shows the current balance and the amount due on their account. Notice the Account Balance & Aging summary on the bottom.

4 You can then click on Miscellaneous on the left under Functions You can manually set your tax county Switch Tax Exempt On, enter the certificate number in the Exempt ID Number field If they have level pricing, drop down the list and select this customer s level You can assign a % discount for the customer You can also set an account limit by entering an amount in the field called Account Limit

5 Click on Account Ledger where the arrow is pointing. This will show you all the activities that have been in done in the account. There are some examples listed above. Left click on the exit button on the top left to get out of this page and go back to making purchases.

6 To create a debit account Sometimes it is necessary to have a customer put a deposit down for purposes like mailbox rental, package forwarding, etc. Follow this procedure to set up a DEBIT account Recall a customer by entering a phone number in the POS or the Customer Lookup button. Click on the receipt button

7 YOU MUST PRESS THE APPLY CREDIT TO ACCOUNT BUTTON BEFORE ENTERING ANY AMOUNT IN THE SYSTEM. Put 50 dollars in the account as an example: Press the Apply Credit to Account button (#1 Arrow) Key in the amount you want to put in the account (#2 Arrow) Press the Complete Sale button (#3 Arrow) The account will now have a debit balance of $50. You can then go back into the customer s account by pressing the customer lookup button.

8 Applying Charges and Sales to the Account Recall customer by entering the phone number or using Customer Lookup. You can now start bringing up purchases In the example above there were 2 white and black printed sheets along with a color printed sheet that ended up to be $2.63 as shown above. (Red Arrow) After you are done bringing the purchases for your customers on the on-screen receipt, press the receipt/no receipt button (Green Arrow)

9 . Then press the Complete Sale button (Green Arrow) Since you are not collecting any funds from the customer, there is no need to click any tender button. Just click Complete Sale. Receipt will print and the drawer will pop open. That sale is now on the account.

10 Payments to Accounts For AR CUSTOMERS Once transactions have been posted, you will need to eventually accept payments. There are 2 ways to accept payments. Paying on account by invoice: In the POS, recall the charge account customer to the POS by entering their phone number or through Customer Lookup. Right button click on their name at the bottom of POS and click Review Customer Account. Click on Account Ledger. Find the invoice you want to pay and double click on it: Click on either receipt or no receipt Then click on however they are paying. Drawer will pop open. You can now see the payment on the account ledger.

11 Paying Bulk Check: In the POS, recall the account customer to the screen. Right button click and go to Review Customer Account. Click on the menu choice: BULK CHECK. You can select each individual check, or whatever ones were paid by clicking on them. Enter your check number. Click POST NOW. This data will show up on your end of day Z-Report.
