Corporate Operations The will give you a brief explanation of all functions in the Corporate Software for Flashpoint. Although usefull for referance, you will require proper training to use the software. The following diagram illustrates how the Corporate server(s) and locations interact. When setting up the Corporate server, you must name the main server flashpoint1 and share the trim-pos folder as trim-pos (it is recommended that you use a dedicated server), the port runners and administratator stations must be name flashpoint2, flashpoint3 etc. and trim-pos folders must be shared as trim-pos When setting up locations, the server for each location (as well as the corporate lab) must also be named flashpoint, and the trim-pos folder shared as trim-pos. The stations must be named flashpoint2 (station #2), flashpoint3 (station #3) etc. and the folders shared as trimpos When setting up the internet connections for the port runner(s), you must be sure that you have a separate internet provider for the main port runner(s) then you do for the backup port runner(s). This insures that if one provider goes down the system will continue to work properly off of the backup (for more detailed information see the indidual port runner setup manuals)

Once the corporate operations software has been run, and your corporate Id has been entered, the following screen will appear allowing you to run all of the corporate operations from this screen. Corporate Encryption Setting up the Corporate Controller Flashpoint uses the Microsoft Cryptographic API with the Microsoft Enhanced Cryptographic Provider. Internet Explorer Version 3.0 or later is required. The Enhanced Provider is currently available only within North America, thus providing you with the highest legal encryption available. Flashpoint database files use 160-bit encryption. Bundled zip files use the corporate password. In the event of failure to encrypt or decrypt, delete the machine keys. Machine keys are kept at \Documents and settings\all Users\Application Data\Microsoft\Crypto\RSA\Machinekeys. User keys are kept at \Documents and settings\application\data\microsoft\crypto\rsa\. To setup the corporate encryption password select the Corporate Encryption button. Once selected, the following screen will be displayed

To set the encryption, simply type a password into the Set Password section. The longer the password, the higher the encryption will be. Once set, be sure that all locations have the exact same password set; spaces, punctuation and caps must match exactly. If you would like to test the encryption key, you can enter text in the space provided and touch the Test Encryption button. If working correctly, the text displayed at the bottom of the screen will match the text entered by you, if not, you will need to delete the machine keys and try the test again. Setup Regions and Locations The setup Regions and Locations section will allow you to set up each individual store and regions of stores, for the corporate software. This should be done prior to any other functions in the corporate reporting software. Setup Locations Once Setup Locations has been selected the following screen will be displayed allowing you to enter all of your stores into the corporate software

If the delete button is selected the currently highlighted location will be deleted from the corporate software. If the Add / Edit button is selected the following screen will appear allowing you to add a new location or edit an existing one. Store # Enter the store number of the location. Another screen will be displayed which includes a list of all stores. Choose a store then click on the select button. To delete a location from a region first select the region to delete the location from and select the delete button (right hand of screen) under the list of locations

Web Management The web management allows you to setup which menu each location will use, and upload the menus to the web. If all stores have the same menu, you can simply have every store get their menu from one central location. This way when making changes, you only have the change once. If locations will have different menus / pricing, you must have the locations that are different choose their own menu. Once you have selected the web management button, the following will appear: To select the menus that each location will use, simply highlight every location and press the Edit button to display the following screen: If the location will have it s own menu on the web, select the Upload Menu for This Location option. If multiple stores will have the same menu, you can setup the web on one store and enter that store number in the space provided beside the Use menu on store number option. Once set you can select the locations that you wish to upload to the web (using the select all button will automatically set all to yes, otherwise just click on each location you wish to upload). Once you complete choosing the locations, touch select and the system will create the export. Setting up and Running the Corporate Data Sync The Corporate Data Sync runs on a dedicated computer(s) to allow stores to connect to the corporate software and upload or download information. To setup the Corporate Data Sync, complete the following steps: Select Data Sync Server Setup from the following section of the Corporate Controller

1) Setup the ports that will be in use by the Datasync server(s) (see the Set Up Ports in Use section): 2) Execute the Datasync Server(s) (see the running the Port Runner(s)section) 3) Setup the one Corporate Datasync at the locations (See the setting up locations section) 4) Execute the Datasync Socket at the store(s) Set Up Ports in Use Under the Data Sync Server Setup section the following is displayed, allowing you to setup the incoming ports that will be used for the corporate port runners. Once a request is made on an incoming port, the router will automatically send the request to the appropriate Port Runner. To add a new IP and Port simply select the Main Server (for the main port runner) or the Backup Server (for the backup server) button to display the following: First enter the name that you wish to call the port runner (this is for reference only) and enter the IP address of the corporate computer the port runner will be run on. Every port runner must be named differently and have a port number assigned. Choose a port number that is registered for general use. Registered ports range from 1024 to If you do not have a registered port to use, review the list of assigned registered ports and choose a port in the range 5001 to that is not in use. Ports 1024 to 5000 are also registered, however operating systems use ports in this range for client programs. Consider registering a port you choose to use. Choose a port number that does not contain patterns or have a known meaning. That is, avoid port numbers that more likely to be used by others because they are easier to remember

Do not use ports 1 to These ports are reserved for use by the Internet Assigned Numbers Authority (IANA). Avoid using ports through These are dynamic ports that operating systems use randomly. If you choose one of these ports, you risk a potential port conflict. The following ports must also not be used as they are used internally by Flashpoint; 25, 80, 1101, 2003, 5503, , , 8901, 8902, , The port on the router must also be assigned to the appropriate computer. The Main Port runner and Backup port runners should be on different internet providers which will allow the system to continue if one provider fails. The location(s) will look for the main port, and if a failure occurs accessing the port, will automatically search for the backup port until it is able to connect to one of them. In order for the stores to connect properly, both the main port as well as the backup port must be set. The port server can handle unlimited connections. If you are using a standard version of Windows (XP, Win7 etc.) only two stores will download at a time and when complete the next two stores will grab the data. If using Windows Server an unlimited number of Stores will be able to download at a time. When sending files to Corporate, there is no limit whether you are using Windows Server or not The location server path is the path to the server at the location. Except in special circumstances, the path should always be \\flashpoint1\trim-pos\. If set incorrectly the store(s) will not import any changes. Executing the Port Runners To execute the port runners on the corporate machine, run the corporate controller and select Process Main Port Server (if this station is to run the main port server) or Process Backup Port Server (if running the backup port server). Once the Port server is run, the following screen will be displayed; this screen will display a list of all the locations including the last time that each store connected

When setups are sent to the location, the locations files are compared to the last data sent to the store. And only the changes are copied out for download. If done incorrectly the stores data could become out of sync with corporate. As with sending any files, you should send them to the lab to test prior to sending to the actual location. Clear out Data for Next Download - The clear out data function will clear the data that has been copied out for the location(s) to download. Because the location(s) will automatically clear this out once you download the data, only use this function if you copy out the data by mistake. Another reason for this is if you will be getting the data on your own. To select the location(s) to clear the data for, just touch the location(s), and the Copy To field will than be changed from No to yes. You can quickly set all locations to yes by using the Set All Yes button or to no by using the Set All No button. Check for Pending Download - This function allows you to check for any pending downloads (data that has been processed from the Copy Setups for next Download or Quick Copy Setups for Next Download buttons, but has yet to be downloaded by the store(s))

Copy Employee Setups for Next Download (from location settings)- This function allows you to copy the employee setups from corporate (from the individual locations data sets) to be ready for download by the location(s). To select the location(s) to send the server setups to, just touch the location(s), and the Copy To field will be changed from No to yes. If all locations are set to no (default), the system will send the server setups to all locations. You can quickly set all locations to yes by using the Set All Yes button or to no by using the Set All No button. Enter Date to install in Location This is the date that the store will install the above setups (Must be downloaded by the store before that date). Install Within the XX Hour Informs the store to import the data during the hour specified. This allows you to set the store to import the data after it is closed. The hour entered is in military time, ex. If you want the system to install the software after 11:00pm enter 23, after 1:00am enter 1. Force Complete Data Update If selected the entire setups will be sent to the store. If not selected, the system will only send changes since the last download (creating smaller files). If not selected Flashpoint searched through the files being sent and compares them with the last files sent and creates an export that includes just the differences. Once the select button is selected the system will copy out all of the employee setups for each location specified and they will be available for download by the location(s)

Corporate Master Employee Setups- If you have employees that work in multiple locations you can setup one master employee file that holds all employees for all locations. If your employees only work in one location, you would set them up using each locations data set. You have the option to use the master employee file or the locations employee file, but not both. When using the master employee file, all employees setup in through the Corporate Master Employee setup will be sent to every location that matches the store number set for the employee. The system will send employees set to store number 0 to all locations. For detailed information on setting up employees, please view the employee setup manual. Copy Master Emp. Force Complete Data Update If selected the entire setups will be sent to the store. If not selected the system will only send changes since the last download (creating smaller files). If not selected Flashpoint searched through the files being sent and compares them with the last files sent and creates an export that includes just the differences. Maintaining Master Inventory The master inventory allows you to import / setup and copy a master set of inventory to all of your locations. This insures that all locations have the same inventory setups. Master Inventory Control Once you select the Master Inventory Control button, the following screen display allowing

you to maintain the master inventory data: Auto Invoice Import / Export This function will automatically import invoices as they come in from your ordering system. This is only used when you have created your own ordering system and have already processed the imports from that system. For this to work, all items in the import file must already be in the master inventory file, with the same trim id. In order for the import to work, the file must be set as follows: The generic import file must be named INV{invoice #}.{store#} (Ex inv would be invoice #10877 for store #200) and placed in the \flash\location\"store #"\invoice folder. A comma must separate each field in the export. Example ,CRISPY BREADING SEASONNG 21417,186087,301006,022,Quality Distributing Sacramento,1 Field 1= Trim Id # numeric 10, Field 2= inventory item name character 50, Field 3= invoice # character 30, Field 4= date numeric 6, Field 5= vendor id# character 4, Field 6= Vendor name character 25, Field 7= Amount ordered numeric 10 3 decimals, End with carriage return decimal 13, Sygnets invoice file name must be invoice.dat

Shamrocks invoice file name must be invoice2.dat McLanes invoice file name must be receipt.dat Importing Data If you have received an inventory import from McLane s, Sygnet or a custom import (see below for the import format), you can import all of your items automatically into the master inventory. By using one master inventory file for all stores, you have the ability to have multiple vendors that sell the same items, but to different stores. When importing, the corporate software will let you set the matching inventory item (from another vendor) with the one being imported, or add the item as new. The format for the custom master inventory import file must be a comma separated ASCII file using a.txt extension, Flashpoint defaults to looking for all files in the \flash\data\masterinv\importinv folder (the format for MacLanes and Sygnet are pre-set as to their specifications); Field 1= company id #. 37 The above screen will be displayed once for every item in the import file that has not yet been setup (If the vendor id and item name/case description, match an item already in the master inventory the item will be bypassed). The current item being imported will be displayed in the top left corner of the screen. If you do not wish to import this particular item, select Skip do not Import and the inventory import will move on to the next item in the import file. If you wish to abort the import entirely, select the Abort Import button and you will be returned to the previous screen. If the inventory item being imported is already in the master inventory file (but from a different vendor), complete the following steps to set the relation between the existing item and the one being imported. 1) Search for the matching inventory item(s) - The import program will automatically search for a match of the item being imported, and if a close match is found (does not have to be exact) display the match at the bottom of the screen. If the correct item is shown, simply click on the item. If the correct item is not listed at the bottom of the screen you will have to search for the item by the Dup ID, TRIM ID, Manufacturers ID or item name If, after using the above methods, you still cannot find the matching inventory items, select the Include all button, to display all items currently located in the master inventory file, then search for the correct item by highlighting a vendor and clicking on Yes -> (shows only items for that vendor), using the Sort by Storage button (sorts all the listed items by storage area), include on recipe button (displays only items that have been set to a recipe), Include all list by trim id (displays all items in order of their trim id) or the Include all list by dup id button (displays all items in order of their duplicate id) Once the information is entered in the correct place and the corresponding button is selected, the system will display all items matching the criteria in the bottom of the screen allowing you to click on the appropriate one. 2) Set the new Inventory Item to Match the ID of the Existing item Once you have found and

highlighted the matching inventory item, it will be displayed in the top right corner of the screen. To match up the trim ID s of the inventory item, select Use above items trim id and the trim id of the item will be set to the same as the matching item. If you would like to completely replace the matching item, select replace and the existing item will be changed to reflect the item being imported. 3) Setup the new inventory item If the inventory item being imported has not been previously setup, the master inventory import will display the following screen allowing you to complete the setups. Enter the appropriate information then click on the finished button. If the inventory item being imported is not in the master inventory file, simply click on create new trim id and the above screen will be displayed allowing you to complete the process. View Customers If the View Customers button is selected a screen will be displayed allowing you to search for the customer to view. You have the option of searching for the customer by name or searching for the customer by phone number. Once the customer has been selected, the following screen will appear

The Customer Data shows the purchase history of the customer, the store number the last order was placed at, as well as the pertinent customer information (name, address etc.). Reports / Exports / Mailing Labels Once the Reports / Exports / Mailing Labels button is selected, the following screen will appear allowing you to setup / export customers or print a customer report. Customer Totals by Month with Address and Phone If selected you will receive a report based on the customer totals by the month (the report will only include customers that match the current filter created below). The report will also include the customer s address and phone number. Phone - Name - Last Order Placed - Total Ordered Year to Date Total If selected you will receive a report based on the customer totals by the year and for the entire period sine the customer has started ordering (the report will only include customers that match the current filter created below). The report will also include the customer s phone number and their last order. Phone - Name - Last Order Date Employee Gives you a list of your customers along with the customers phone number, name, last order date and the employee who placed the last order (the report will only include customers that match the current filter created below). Phone - Name - Last Order Date Gives you a list of your customers along with the customer s phone number, name, and last order date (the report will only include customers that match the current filter created below). Delete Customers Based on Current Filter If selected, the system will display a progress meter showing that it is analyzing the customer s data. Upon completion the system will display the number of customers that will be deleted and ask if you wish to continue with the deletion. Selecting Yes will delete the customers (based on the filter set) and selecting No will return you without deleting any customers. If a customer is deleted and they place a new order at the store, they will be re-imported into the customer database. Flashpoint uses the current filter set, to decide the customers to delete. For more information on setting up the filter see below

Restore Customers If selected, the system will restore any customers that have not been cleared out using the Clear out Deleted Corporate Customers function. For more information on this function please see the Maintain History Data section of this manual. Export Customers If you select export customer data, you will be given a choice to set up the file name and export file. The customers will be exported based on the filter set below. For detailed information on the format of the export file please see the exported file formats manual. First enter the path and file name for the export file, whether or not you wish to remove all spaces from the file, whether you wish to export customers with 0 totals, the field separator that you wish to use and how you would like yes/no to be exported. Once done select the Export button and the export file will be created. Note: Depending on the number of customers and the filter set, this could take a long time to create. Set Up Filter The Customer Filter key will allow you to setup a filter (selects which customers will be in the above reports, or which customers will be deleted) for the report and mailing labels

Last order >0 in the month - If any of the months are selected only customers with sales for those months selected will be reported on ( disregard all will cause Flashpoint to disregard the monthly totals).
