For easier functionality while working in Visio you can customize the Shape Data Window by adding the Size & Position Window and the Drawing Explorer Window to the Shape Data Window. This is done by selecting VIEW>TASK PANES>SIZE & POSITION; it will automatically dock this window and add a Tab at the bottom of the Shape Data Window. To access the Drawing Explorer Window go to DEVELOPER>DRAWING EXPLORER; it will automatically dock this window and add a Tab at the bottom of the Shape Data Window. Save the changes made in Visio by saving to the template file. Go to FILE>SAVE. NOTE: These steps are optional. However, these steps will increase productivity and are advised. 6 P a g e C o p y r i g h t 2012

18 31. Execute Advanced Filter This Menu item allows you to execute an Advanced Filter. If the system you have chosen is large, you can apply filters to the system to limit the amount of points displayed. For example, we have applied a filter of (*B*) to the System Name Column and a filter of (*Occ*) to the Object Name column Switch back to Visio. On the Create Graphics Button RIGHT CLICK> EXECUTE ADVANCED FILTER. The results of the filter will be displayed in Excel. 18 P a g e C o p y r i g h t 2012

19 32. Filtering Text Values Instead of filtering by fixed values or simple criteria, the Advanced Filter depends on user-defined criteria that can be applied to several columns of data simultaneously. These criteria are specified on the same spreadsheet as the range to be filtered, rather than in the filter command box. =text <>text Select cells whose contents are exactly equal to the string "text" Select cells whose contents are not equal to the string "text" In order to perform an Excel advanced filter, you need to specify a list_range and a criteria_range. These ranges both specify ranges of cells on your working spreadsheet. They are defined as: A. list_range = the range of cells that you want to filter. This range should include headers at the top of each column. B. criteria range = A range of cells (generally positioned above or below the list_range), in which the filtering criteria are specified. The criteria_range should be headed by headers that match the list_range headings. The criteria for the corresponding rows in the list_range should be listed under each of these headings. The standard for filtering numbers for the Excel Advanced Filter are straightforward, in that the standard mathematical operators (eg. "=", "<", "<>") are used. However, the rules for applying the Advanced Filter to text values are less obvious. Use the following table as a guide: In the above table, two wildcards have been used. These are (1)* the * symbolizes any number of characters and (2) * the? symbolizes any single character. It should also be noted that Excel filters are not case-sensitive so, for example, a filter based on the string "text" returns exactly the same result as a filter based on the string "TEXT". text >text *text* text*text =text*text Select cells whose contents begin with the string "text" Select cells whose contents are ordered (alphabetically) after the string "text" Select cells whose contents contain the string "text" Select cells whose contents begin with the string "text" AND contain a second occurrence of the string "text" Select cells whose contents begin with the string "text" AND end with the string "text"?text Select cells whose contents begin with any single character, followed by the string "text" =text?text Select cells whose contents begin with the string "text" AND end with the string "text" AND contain =??? Select cells whose contents contain exactly 3 characters 19 P a g e C o p y r i g h t 2012
