1 INFocus Absence List About This Document The purpose of this document is to provide the required steps to create to create a report that lists all students with selected daily absence codes. Objectives This report will be a tabular report with a header and export option for PDF printing. The end users will be required to select a date and absence reasons to select. The Enrollment Codes being searched for are limited to E99, E98, E97, and W97. Creating new report To create a new INFocus report: In InformationNOW go to Reports INFOCUS and INFocus should open up in a popup or new tab. If not, click on the Open INFOCUS button. The default screen will be the Personal Reports folder. Hover over the Add icon and select Report which will open a screen to select a Report Template. Select a Template The first step to creating a new report is to select a report template. Double click on Tabular Report with Header or select and press OK. 2 Select the Data Source Selecting a data source is the second step to creating a report in INFocus. Select Data Object(s) The Select or Modify Data Source dialog will pop-up to the Add/Remove tab. Select the following objects: Daily Absence Student School Academic Session Calculated Columns None Set Default Sort Order Within the Sort tab Click on Add a Column Column: Academic Session.School (Direction: Ascending) Click on Add a Column Column: Student.Name (Direction: Ascending) Define Parameters to Filter Data Next open the Filter tab to create the parameters. Click on Add a Parameter to create the first parameter. Column: Daily Absence.Date Operator: Equal To Default Value: Pre-defined Date (Today) Ask in Report: check Caption: Date: Control Type: Date Display this parameter: Next to the previous parameter Press OK to save and click on Add a Parameter to create the second parameter. Column: Daily Absence.Absence Reason Operator: In List Default Values: Select any absence reasons. (Click on the search option and select the values) Ask in Report: Check Caption: Absence Reasons: List (multi select) Quick Reference Guide STI_ INFocus Absence List 2
3 Display this parameter: Next to the previous parameter Note: If any of the reasons are not available, manually type the reason in. Press Enter key to separate the codes. Add Report Object By selecting the Tabular Report with Header template, this third step in report design is almost complete. Click on the Insert tab and click on Header and Exports. Once add to the report layout, Exports icon will be made inactive (grayed out). Modify Report Object Modifying the report objects will add the fine details to the report. Table Columns tab Under the Table Columns tab, add the following columns to the table: Student.School Student.Grade Level Student.Name Student.Homeroom Daily Absence.Date Daily Absence.Absence Reason Daily Absence.Note Use the left/right arrow buttons to move columns left/right. The up/down arrows change the column order. Note: This is the first opportunity to save this report. Save the report or jump ahead to the Save Report section for instructions. 4 Column Configuration Column configuration controls the column header names, interactive sorting and other options. Update the headers for the following columns: Grade Level: GL Name: Student Homeroom: HR It is optional to change the header name for the other columns. Also, optional is to mark the columns sort able. This will allow the report to be interactive so that the report user can change the sort order of the student s name. Grouping Select Grouped Flat-Table option Click on Add Grouping Layer Move the following column from left to right: Academic Session.School Click on Add an Aggregate Column Column: Student School Aggregate function: Count Label: Total Check Insert a page break between groups on PDF Export Press OK Export Options Allows the report users to export the report in the format that report creator allows. For this report, check Export to PDF Most of the other options are self explanatory. Searchable Report opens the report in html on one page. This allows the report user to press CTRL-F to use the browser s search function to find a specific record. Printable Paging formats the report to be printed using the web browser. This does not present the most consistent report across browsers. Quick Reference Guide STI_ INFocus Absence List 4
5 Save Report To save the report open the File tab and press the Save icon or click on the Save icon to the right of the screen. The first time either save icon is pressed, the save dialog option will be presented. Report Name: Absence List Report Description: Optional (Enter a report description if the report name is not self explanatory.) Report Expiration Date: Leave blank Destination Folder: Optional (Any folders in the personal report folder will be listed here.) Press OK to save. Pressing either save icon from now on will save the report without presenting the save dialog option screen. Note: Remember to save often Stylize Report The final step in creating reports in INFocus, is to stylize the report. Browse to the Settings tab and click on Style Click on the drop down to browse all of the optional styles. The report sample uses the Professional style. Use any style that meets personal preference.
