3 1) Introduction to the Media Room The Media Room is a recording studio offering a range of video recording and editing technologies made available to staff, free of charge, via an online calendar and booking system ( What can you do in the Media Room Here are just a few ideas of what learning resources you can create: introductory video welcoming students to a unit short concept-based video for a flipped classroom digital content for a totally online program recorded interview between you and an industry leader desktop demonstration of a particular piece of software or system 2) Booking the Media Room To access the online calendar and booking system, go to: 3) Getting Help Staff using the Media Room are provided with a suite of self-help user resources in the form of printed and digital materials (e.g. posters, a user manual, how to videos). Any Media Room queries should be sent to cefmediaroom@uwa.edu.au. 4) Pre-Recording Session To Dos Before coming to the Media Room please run through this check list: Be prepared for your session by making sure you have a clear idea of what you want to achieve; Bring a portable storage device with a capacity of at least 4MB (e.g. USB, external hard drive) to save your recording(s) to; If you re recording is based on a PowerPoint presentation, don t forget to save a copy to your storage device; Think about preparing a script (or at least a set of detailed bullet points) so your presentation is easier to deliver (use the notes section in PowerPoint); Another PowerPoint tip is to convert your slides to widescreen format (16:9) - Don t wear anything green or with a busy pattern (just in case you want to use the green screen). Solid colours that are pastels or earth tones look the best on camera. Glasses and reflective jewellery can also be a problem; wear contact lenses if you have them; To avoid a shiny complexion and fly away hair, you might consider applying a little translucent powder and/or hair spray. 4 5) Media Room Equipment HP Computer Software installed on the Media Room computer includes: Microsoft PowerPoint Camtasia Studio Personal Capture (PCap) Adobe Create Suite Blu Mic Yeti This studio quality external microphone is very simple to use. Place the microphone about 30 cm directly in front of you, tipping it to a similar angle as the picture (to the right) and positioning the filter between you and the microphone. Make sure that the unit is switched on (you should see a solid red light shining from the on button). Media Room User Guide v Page 2

5 HD Webcam C270 This monitor mounted Webcam is how you record any direct to camera presentations. When filming with the webcam you may need to adjust the height of the monitor, webcam, chair and/or yourself so that you appear in the correct position on screen. The green light next to the Webcam lens indicates that the unit is recording Dual screen monitors The studio has two flat dual screen monitors that are fully adjustable to your requirements. Targus wireless presenter This bluetooth remote controller is useful if you want to make a stand-up, direct to camera recording; it enables you to progress through a presentation on the computer without having to reach for the keyboard. Make sure the USB for the unit is inserted into one of the ports at the front of the computer (in the same area where you would have placed your portable storage device) Switch the unit on using the small grey switch at the front of the unit Media Room User Guide v Page 3

6 6) How To Login to the Media Room Computer Switch on the Media Room computer If you weren t the last system user to login you ll need to use the Switch User button Save Files User name: Enter your UWA staff ID Password: Enter your UWA Pheme password Click on the arrow button. We recommend that you save all recording session files to a portable storage device (e.g. thumb drive) with a capacity of at least 4MB. Once you ve logged onto the Media Room computer remember to insert your storage device into the computer. Manage Files Create a project folder on your portable storage device specifically for your PowerPoint presentation, recording files and any other resources related to your recording session. 7 By the end of your session you should have at least 4 files in this project folder: Microsoft PowerPoint Presentation (.pptx) Camtasia Raw File (.trec,.wmv) Camtasia Studio Project File (.camproj) MP4 Video (.mp4) Media Room User Guide v Page 5

8 Video a talking to camera presentation To record a video of you presenting directly to camera, refer to the following instructions. Open Camtasia Studio by double clicking on the desktop icon or alternatively click on the Start icon in the bottom left corner of the screen type Camtasia into the search field double click on Camtasia Studio 8 to open the program Click on the Close button to dismiss the Welcome Camtasia Studio pop-up. 9 Go to the middle of the Camtasia Studio project screen, click on the More button and select the Record Camera option from the pull down menu. You ll be taken to the Record the screen area where you ll be able to review and adjust your settings. Test your audio levels by speaking in your normal voice. In the Audio preview you ll see the coloured bar move in response to the volume of your voice. The louder you are, the further to the right the bar will move, progressing from green, to yellow, orange then red, the louder you become. Ideally it should fill the sound metre about ½ to ¾ (you want to avoid the orange red range). Use the slider to adjust your recording level. The Preview screen shows you what the webcam is recording. You may need to adjust the height of the monitor, webcam, chair and/or yourself so that you appear in the centre of the screen. You also need to make sure that your background is all green (i.e. no skirting board, room corner or chair back should be visible). When you re ready to record click on the Start recording button. 10 When you ve finished, click on the Stop recording button. Tips: Look directly into the webcam that s where your audience is. Eye contact will make the video feel more personal. Smile and keep a natural posture. There is no need to lean into the microphone, it will have no trouble picking up your voice. You won t be able to preview your position in relation to the Webcam, so try not to move around too much. When you have finished speaking try to remain looking at the camera for a few extra seconds before clicking on the Stop recording button. Keep the camera rolling If you do make any mistakes or need to take a break don t worry about pausing the recording, keep the camera going; you can delete any mistakes or dead time during the editing process. When you ve finished recording you ll be prompted to Save the raw footage. We recommend that you save the file to a project folder on your portable storage device. Once the footage has been saved it will automatically appear in the Camtasia Studio timeline and you ll be able to start editing. Alternatively, if you are happy with what you have recorded, then you can simply use the raw footage and share it via the LCS or Youtube (go to Produce your recording). 11 Record a PowerPoint Presentation with Audio Commentary Open your PowerPoint presentation You may be shown the following pop-up, select the OK buttom to continue. Once you ve opened your PowerPoint presentation make sure that you have Presenter View switched on. To access and select this PowerPoint setting: Click on the Slide Show tab and make sure the Use Presenter View option is checked The Presenter View allows you to view and record the full-screen presentation on one monitor while viewing the PowerPoint Presenter View on the second monitor. 12 The Presenter View includes: the current slide forward/backward arrows # of current slide elapsed time actual time Preview of all slides Annotation tools Notes Before you press record, run through your slides checking the spelling, grammar and for any forgotten special effects like animations. The next step is to start using the PowerPoint Add-In Toolbar. Select the Add-Ins Toolbar tab. Once selected you should see a number of icons appear in the top left of the screen Make sure that the microphone icon is selected When you re ready to start your presentation, click on the Record button Sound check: Once you ve clicked on the record button a dialogue box will appear on the right hand monitor, giving you the opportunity to test your sound levels. Test your microphone volume by speaking in your normal voice it should fill the sound metre about ½ - ¾ (i.e. you want to avoid falling into the orange/red range) To adjust microphone levels use the slider to adjust the volume Once you ve completed the sound check and you are ready to begin recording, select the Click to begin recording button Tip: Makes sure this pop-up box has disappeared before you start (if it s still visible, it means that your button click wasn t registered and you re not recording). 13 Settle yourself, take a breath, then begin your presentation. To pause recording press Ctrl + Shift + F9; Use the button to continue. Alternatively if you should make a mistake, feel the need to cough or for whatever reason stop speaking, continue the recording. These moments can be easily deleted in post-production editing. To stop recording use the button (in the top left corner of the keyboard) or simply progress through your slides until you reach the final slide and you ll be presented with the following pop-up window: Click on the Stop recording button. Save your PowerPoint/Camtasia raw recording (*.trec file) to your portable storage device, in the same folder as your PowerPoint. By default the file will be given the same name as your PowerPoint. 14 Once you ve saved your raw footage the system will present a pop-up asking if you want to: Produce your recording Which you would select if you were confident that you didn t need to review or edit your video Produce your recording or Edit your recording Select this option if you want to review and edit your recording (go to Edit your raw video file in Camtasia) Once you ve made your selection click on the OK button. 15 Record a PowerPoint Presentation with Audio and Talking Head Open your PowerPoint presentation You may be presented with the following pop-up. Select OK to continue. Once you ve opened your PowerPoint presentation make sure that you have Presenter View switched on. To access and select this PowerPoint setting: Click on the Slide Show tab and make sure the Use Presenter View option is checked Media Room User Guide v Page 13

The next step is to start using the PowerPoint Add-In Toolbar. Select the Add-Ins Toolbar tab You should see a number of icons appear in the top left of the screen Make sure that the microphone and webcam icons are both selected Test the framing of the webcam by clicking on the camera preview icon Select the Close button when presented with the Camera Preview in PowerPoint pop-up. 17 If you are presented with a Logitech pop-up window inviting you to automatically launch the webcam controller: click on the No button then close the Logitech Webcam Contoller by clicking on the white cross. The camera preview allows you to check the framing of your talking head. You have a couple of options, sitting down in front of the webcam (as shown in the example below) or standing. Once you re happy with the camera angle and framing close the Camera Preview by clicking on the cross in the top right corner. Please note. You won t be able to preview what is being captured by the webcam during recording. When you re ready to start your presentation, click on the Record button Sound check Once you ve clicked on the record button a dialogue box will appear on the right hand monitor giving you the opportunity to test your sound levels. 20 Record Screen Capture To record what you re doing on screen, refer to the following instructions. Once you have opened the particular software, system, web page or document you are demonstrating on the desktop, have positioned it on the primary monitor (the one on the left) and have set it to an appropriate size/position on the screen: Open Camtasia Studio by double clicking on the desktop icon or alternatively click on the Start icon in the bottom left corner of the screen type Camtasia into the search field double click on Camtasia Studio 8 to open the software program Click on the Close button to dismiss the Welcome Camtasia Studio pop-up. 21 Go to the top left corner of the screen and click on the Record the screen button Using the Record the screen interface you can: Select the area you wish to record. You can choose to record the entire screen area or a selected or customised portion of the screen. To set the dimensions of the recording area drag the white squares on the edge of the green dash line, and to change the location drag the cross in the middle You can also choose to activate the webcam and/or microphone while you are capturing the screen. Once you ve set the recording dimensions, and you ve activated the webcam/microphone, make sure you open whatever application you wish to record. Click the Record button to begin recording. Click on the Stop button or Press F10 to end the recording. When you finish recording you will be shown a preview of the video you have created. You can either: Save and edit Produce or Delete the video. Media Room User Guide v Page 19

22 Edit your raw video file in Camtasia Once you ve saved your raw footage the system will present a pop-up asking if you want to: Produce your recording Which you would select if you were confident that you didn t need to review or edit your video (skip to Produce your recording) or Edit your recording Select this option if you want to review and edit your recording Once you ve made your selection click on the OK button. If you selected Edit your recording you ll be taken to the Camtasia Studio video editing screen. Before you can start using the Camtasia Studio editing suite you ll be presented with the following pop-up screen. Click the No button Media Room User Guide v Page 20

23 The Camtasia editing screen will look something like this. If you re going to edit your video we highly recommend that you watch the following introductory tutorials, which run through all the basics of the Camtasia video editor. Before you start editing your video, save the Camtasia project file to your portable storage device. Select the File menu (in the top left corner of the screen) Click on Save project Media Room User Guide v Page 21

25 Produce your recording Once you ve finalised your post-recording edits and have saved your Camtasia Project, you re ready to Produce your recording. The following instructions, for creating a mp4 file from a Camtasia Project, is suitable for most teaching and learning video requirements. If however you require a video of a particular resolution or dimensions, these instructions may not meet your particular needs. Click on the Produce and share button From the pull-down menu select the MP4 only (up to 480p) option. You may require a video with a higher resolution, in which case you would select the 720 or 1080 options. Please note. The higher the video resolution the longer the rendering time (i.e. the longer it will take for the system to generate your mp4 video file). Rendering times are dependent on a number of factors such as video length, resolution and what the video contains. For example a recording that captures a PowerPoint presentation with audio commentary will take less time to render than a PowerPoint presentation with audio commentary and a talking head. A conservative estimate is for every minute of recording factor in a minute for rendering. It s important to consider the time it will take to produce your mp4 file as you will be expected to create your recording and produce it within the time period that you ve booked the studio. 26 If you re presented with the following pop-up (or similar) click on the OK button. Make sure the file name follows the same naming convention as you ve used for all your other video project files Select your project folder on your portable storage device We d recommend that you deselect the three check boxes Click on the Finish button. Once you ve saved your mp4 file you ll be ready to share it. Here are two possible methods for sharing your mp4 video files: Upload video to the Lecture Capture System (LCS) Upload to YouTube Media Room User Guide v Page 24

27 Upload video to the Lecture Capture System (LCS) After recording and producing your video resource the next step is making it available for your students. The benefits of uploading video into the Lecture Capture System (LCS) and then providing a LCS video link in your LMS unit is that the recording will be securely stored on a centrally supported, password protected platform that students can access and watch streamed, anytime/anywhere. Here are the steps you ll need to follow to upload video into the LCS: Access the LCS at Login using your UWA Staff ID and Pheme password, then click on the Log In button. From the Echoes tab select the Media Import option. Media Room User Guide v Page 25

28 In the Media Import page: Upload File: Use the Browse button to upload your video file. Wait until the file has loaded before moving on to the next step in the process Section: To select the unit you want to upload the video into use the Term [year of study], Course [unit code] and Section [title and semester/year] pull-down menus. If you re working in a 2017 unit, select the 2017_UWA option Title: Provide an appropriate title for the video (adding a description is optional extra) Media Type: Select the Audio and Video option The system will perform an automatic check of your video file Click on the Next button Media Room User Guide v Page 26

29 Choose the product group: Select Video Only (Poscast/Vodcast/Echo Player) option from the dropdown menu. Click the Start Processing button Once the system has started processing your recording you should see the following message: Once you ve successfully uploaded your recording into the unit module in the LCS, the final stage is to make sure your students can access this area via the LMS. Set up student access to a LCS recording via the LMS To enable students to access video recordings uploaded into the LCS you ll need to add a Tool Link in the LMS. Login to the LMS and access the appropriate unit and make sure Edit Mode is on. Go to the Add Menu Item or the icon, near the top left corner of the screen. Click on the Tool Link option in the pull-down menu Name: Enter a Link name (e.g. Lecture Recordings) Check the Available to Users check box Type: Use the pull-down menu and select the Lecture Capture System option Media Room User Guide v Page 27

30 Upload to YouTube Another option you have for publishing and releasing video to students is to upload it into YouTube and add the url (or embed code) into your LMS unit. To upload a video into YouTube: Access YouTube at Sign in using the blue button in the top right corner of the screen If you ve never logged into YouTube you will either need to Create an account on YouTube or Use your Google Account to login Click on the Upload icon, in the top right corner of the screen If you are a new user, you may be presented with the following pop-up. To agree with the YouTube Terms of Service, click on the CREATE CHANNEL button. Media Room User Guide v Page 28

31 To set the privacy on your video, use the pull-down menu and select the Unlisted option. Unlisted means that only people who know the url link to the video can view it. An unlisted video will not appear in any of YouTube's public spaces (such as search results, your channel, or the Browse page). Click on the grey and white Select files to upload button. Double click on the video file you want to upload into YouTube. Your video will automatically start uploading into the system. Once processing is complete click on the Done button.
