1 ProPresenter #1: General Pro Setup Pt 1 As time goes on, the service plan may change on Planning Center as we fine tune how we do ministry. The purpose of this guide is to train you in the different aspects of a service to be applied no matter what the service plan is. 1. Open ProPresenter ( Pro from now on) in the dock a. It s the icon to the far right of the dock that says Pro in it b. The screens may flash, that s normal c. If the stage display monitor (monitor to your far left) isn t working, restart Pro d. If there is an image that takes up about ¾ of the screen, restart Pro e. If the stage display is showing up in front of Pro, unplug the stage display input in the back of the big imac (not the HDMI cable) and plug it back in 2. Open up Planning Center Online Services on your preferred device (the video uses Google Chrome on the computer) a. Login if necessary, but an Admin should always be logged in 3. Go to the current week that you ll be setting up to review the service plan, this will give you the full structure of the service that s about to happen 4. Create a new Group Folder if necessary a. Click on the Weekend Service Group Folder under the Playlist segment in the bottom left of the screen b. Click the + button in the very bottom left corner c. Click New Group Folder i. When you click on New Group Folder it will bring the new folder to the very bottom of the Weekend Service Group Folder d. Rename the new folder to the current month using the format mm yyyy (e.g ) i. This may not cooperate right away, but try double clicking and the right click and it should work 5. Create a new Playlist a. Click on the current month s Group Folder b. Click the + button in the very bottom left corner c. Click New Playlist i. The default name of the new playlist is New Playlist d. Rename the new playlist using the format mm dd & dd (e.g & 24) 6. Search in the Library (the segment directly above Playlist ) for the first service item, which should be Countdown a. Click and drag the countdown into the right column under the Playlist segment while the current playlist you re intending to work on is selected 7. Note: The MC portion of the service plan is called Host; Title Slide in the video no longer exists 8. For the MC portion of service, search Host in the Library, and click and drag the Host into the right column under the Playlist column while the current playlist you re intending to work on is selected

2 9. Identify who the MC is through Planning Center 10. Go to the Generic Videos folder in the Video/Image Bin to the right of the Playlist segment a. If the Video/Image bin isn t there, click Video/Image at the top of the screen between Editor and Audio 11. Find the name card of the MC, make sure it has a circle arrow in the top right of the image thumbnail so that it plays continuously 12. Click and drag the name card of the MC OVER the current MC name card a. The name in the gray rectangle at the bottom of the thumbnail square will not change, but you can confirm that the change took place by clicking on the name card 13. Search for the songs listed in Planning Center in the Pro Library and click and drag the songs into the right column under the Playlist column while the current playlist you re intending to work on is selected a. If a song doesn t exist in the Library, refer to ProPresenter #6: Creating a Song b. When you type into the Library, you may not see the correct item right away even if you type in the exact phrase you re looking for. In this case, know that the Library is sorted alphabetically, so you can search for what you re looking for by scrolling c. If the first slide is a moving background, right click on the background thumbnail and click Delete, we don t use those anymore d. Every song should have an orange icon in the top left corner of the first thumbnail, if it does not: i. Right click on the first thumbnail ii. Hover over Add cue iii. Hover over Stage Display Layout iv. Click on Worship e. No slide should have a background, otherwise that will show up on the screens along with the lyrics f. You may have to setup a song in a lower third format, but there is a template for that. Click Templates in the top right corner, and then Lower Third Lyrics. Make sure that no lyrics are cut off by the template 14. Search for Communion in the Library if necessary and click and drag the communion into the right column under the Playlist segment while the current playlist you re intending to work on is selected a. Make sure the Communion thumbnail has a blue clock in the top left of the thumbnail, this will start the timer for this segment of service b. To add the Timer cue: i. Right click on the thumbnail ii. Hover over Add cue iii. Hover over Timer Cue iv. Select the appropriate timer for the part of service, in this case, it will be Communion c. This slide is not shown, but just used to start the Communion timer

3 15. Note: the video has the status update in its own bucket, it is now a part of the Host bucket a. For every new Status Update, just click and drag it from the Video/Image bin OVER the previous Status Update as to preserve the current timer cue and stage display layout cue ProPresenter #2: Message Setup Pt 1 Reflow Editor 1. To create the message Playlist Item, press New at the top of the screen a. It s a green rectangle with a + in it, a dialog box will pop up 2. Set the template to the current sermon series template, which will be clearly labeled as Sermon Series Lower Third 3. Set the category to Speaker Notes 4. Change the text in the New File Name text box to the same title as the Playlist that you setup in ProPresenter #1, mm dd & dd (e.g & 24) 5. Click New 6. This should pop up in the Library automatically selected, but if not, just search for it just like any other Item 7. Click and drag the Item into the right column under the Playlist segment while the current playlist you re intending to work on is selected 8. The first slide should be the bumper, which will be in the Video/Image been under the folder named after the current month (e.g for September, for October, etc.) a. Just click and drag the bumper to the first blank slide b. After the bumper is set in place: i. Right click on the bumper thumbnail ii. Hover over Stage Display Layout iii. Click Message iv. Right click on the bumper thumbnail again v. Hover over Timer Cue vi. Click Message c. This will setup the stage display and timer cue to change when you click on this slide 9. Click Editor at the top of the screen a. It s the red rectangle next to Video/Image 10. Press the + directly below the slides that pop up to add a new slide 11. * Not shown in video * To save time, go ahead and click and drag the lower third graphic for the series over the blank slide you created and reset the template if necessary by selecting the slide and following the steps in ProPresenter #3 Step Go to Google Chrome 13. Go to mail.google.com 14. Login to the vcctechnical@gmail.com by using the passwords sheet in the crow s nest 15. Find the current week s message

4 16. Open the attachment in the 17. Select the full first page of the outline by clicking and dragging a. Google Chrome s document viewer can be a little temperamental when doing this, so just do it slowly and you ll be okay 18. Copy the first page by pressing command + C 19. Go back to Pro 20. Click on the Reflow Editor at the top of your screen a. It s the red rectangle with a curvy line through it next to SongSelect 21. Click on the light gray section underneath the dark gray section that has the number 2 in it 22. Paste using command + V 23. Go through and get rid of any weird symbols you don t need 24. Make slides at clear delineations based off of the outline by clicking Insert Slide Break near the middle of your screen a. Note: the best method for this is to put your cursor at the beginning of the line AFTER where you want the new slide to be, this will prevent any awkward white space, or blank lines, to show up in your slides see video for more details. b. The video will go through a full message creation as an example, but it s nothing to be written down here 25. Click the X next to Reflow Editor to exit out of the Reflow Editor ProPresenter #3: Message Setup Pt 2 Original Editor 1. Open the regular Editor by clicking on the red rectangle to the left of the Video/Image icon 2. If you didn t already, select all the slides in the Editor and go to Template, which is in the top right corner of Pro and select the appropriate template for the sermon series 3. If you followed the video and not the written guide, at this step, the lower thirds are not in place, go ahead and add those now by clicking and dragging the lower third from the Video/Image bin and OVER the already created slides a. The lower third should be in the current month s folder, but if it s a long series, it might be one or two months back 4. You shouldn t have to do much tweaking when loading up from a template, but follow the video if you do it should just be simple tweaking of the text box using your cursor 5. To split a slide at your cursor, press option + Enter a. This will copy the background of your slide, leave everything to the left of your cursor on a previous slide and everything to the right of your cursor on an identical next slide 6. For scripture references other than NIV, always use the abbreviation even if the full version name is given. Use Google if you re unsure of the version abbreviation. If NIV is included in the scripture reference, you may remove it a. Text boxes for the scripture references will be provided in the template, so you shouldn t have to line them up too much

5 ProPresenter #4: Message Setup Pt 3 Formatting Slides 1. Go back through and underline and bold any text that is underlined or bolded in the original outline a. If the full slide needs to be underlined, you can just click on the text block and click the underline button (or press command + U; bold is command + B) b. If only part of the slide needs to be underlined, double click on the text block to directly edit text, highlight the text you d like to underline, and the hit the underline button (or press command + U; bold is command + B) ProPresenter #5: General Pro Setup Pt 2 1. After the message setup is done, go back to Planning Center to see what items remain 2. Add whatever is left by searching for it in the Library 3. Always have the Offering & Altar Call bucket at the end of the Playlist to put up after the speaker prays and offering is being collected ProPresenter #6: Creating a Song 1. To create a new song from scratch, begin the same way you did the message 2. Click New at the top of the screen a. It s the green document icon with a + in it 3. Set the Template section to Lower Third Lyrics 4. Set the Category to Song 5. Set the New File Name to the song title 6. Go over to Planning Center and find the song you want to add 7. When you hover over the song you want to add, a document with a musical note will pop up to the right of the song, it s the last icon that pops up click that 8. The song will pop up in the same tab and you ll see a block that says Arrangement 9. Click Lyrics under Arrangement 10. Select all the lyrics by clicking and dragging with your cursor 11. Copy with command + C 12. Go to the Reflow Editor at the top of the screen in Pro a. It s the red icon with a curvy line through it to the right of SongSelect 13. Click the light gray area under the dark gray area with the label 1. and paste using command + V 14. Note: each space is considered a line break in Planning Center, so it will only have one word per line in the Reflow Editor, it s usually easier to type out what you need and delete as you go along. See the video for more details. 15. Make sure you delete anything that says Verse 1, Chorus, Pre-chorus, Bridge, x2, etc. 16. Add slide breaks using the Insert Slide Break button every 2 or 3 lines of lyrics to separate the slides

6 17. Go to the original editor by going to the red icon at the top of the screen to the left of the Video/Image icon a. If the template didn t take in the Reflow Editor: i. Select all the slides in the Original Editor by clicking and dragging down ii. Click Templates in the top right of the screen and select Lower Third Lyrics 18. Go through each slide to make sure no lyrics were cut off from the slide breaks 19. If two or more lines are cut off, use option + Enter to create a new slide that includes everything to the right of your cursor and leaves behind everything to the left of your cursor a. See video for more details ProPresenter #7: Lower Third Template 1. In any Playlist Item, click and drag your desired template graphics into the contents 2. Click and drag to select the graphics if there are multiple 3. Click Templates in the top right corner of Pro 4. Click Save Selected Slides as Template 5. In the text box that pops up, type in the current series title and lower third a. e.g. Families Are Messy Lower Third 6. Go back to Templates 7. Hover over the Template Group you just created 8. Click on Edit Template Group 9. Underneath the green Template Editor bar there s a white box with a T in it, that s the text box click that 10. Adjust the box by clicking on the white squares and dragging it to fit the lower third graphic. Make sure to leave a little room around the edges so it doesn t look crowded 11. If there s another box for a scripture reference, repeat steps 9 and 10 for the smaller box 12. With the box selected but not being directly edited (you should see Double-click to edit ), click the white box to the left of the Bold button (it s a B) and underneath the font information and select a color that contrasts with the background graphic a. You can leave this white if it s highly legible (i.e. the graphic is black or a dark gray or navy blue) b. Repeat this for the smaller box with the scripture reference if necessary 13. For the font, stick with Helvetica Neue or Avenir, these are some of the most common fonts for a reason: they are extremely easy to read 14. Bump the Size: section up to about Your edits will save automatically, so when you re done just hit the X underneath the green bar that says Template Editor ProPresenter #8: Clocks 1. To access the timer setup, go to the Clocks button in the top right of Pro

7 2. This is where you restart all the clocks if they ve been running 3. Simply press Stop All and Reset All ProPresenter #9: Stage Display 1. To edit Stage Displays click on the Windows selection on the menu bar at the very top of the computer screen 2. Click on Configure Stage Display 3. You can select which one you want to edit, but be careful because when you click on any of these, it will change the current Stage Display Layout
