9 Introduction Description In a restaurant, kitchen displays are used to communicate the customer orders to the kitchen staff for preparation. As the wait staff places the customer orders on the point of sale (POS) system, the orders are sent directly to the kitchen where they appear on monitors at the appropriate menu item preparation stations. The orders display in a first in-first out fashion in individual blocks on these monitors. The kitchen staff employee at each station is then responsible for preparing the menu item orders sent to his station. Once the preparation of the menu items on the customer order is finished, the order is marked as complete and removed (or bumped ) from the kitchen display screen. As each order is bumped from the screen, the remaining orders each move up one position on the screen and additional orders that were not able to be displayed due to the limits of the available screen space are displayed at the end of the list of orders. The XERA Kitchen Display Server software facilitates communication between XERA POS, the Logic Controls Kitchen Display System, and the display monitors in your restaurant s kitchen. As your wait staff enters customer orders into XERA POS, the orders are placed in the queue for preparation by your kitchen staff. Each order appears in an individual block on the monitor screen. The information displayed includes the order number, the order type, the menu items and quantity of each ordered, the order payment status, and the elapsed time since the order was placed. This information is updated through XERA POS. Upon completion of the order, the kitchen staff member bumps the order from the screen. A bump bar is provided with each kitchen display monitor to allow the kitchen staff member a minimum amount of control over what is visible on the monitor. This manual is intended as a guide to performing the initial setup of the XERA Kitchen Display Server software with XERA POS. Assumptions For the purposes of the installation and integration of these systems, certain assumptions are made as to your existing level of preparation. It is assumed that you have already installed the most recent version of XERA POS, activated it, installed all of the latest updates, and fully tested the software to verify that it is working properly. It is further assumed that you have the following necessary hardware and software: One or more VGA monitors capable of 640 X 480 resolution or greater One or More Logic Controls LS6100 Controllers (one per monitor) One or More Logic Controls KB1700 Bump Bars (options A or B: one per monitor) An Ethernet capable router, hub, or switch that has the capacity to interconnect all of the hardware listed above Logic Controls Kitchen Display System Manager software installed The latest version of Aldelo End Point Services (EPS) custom installed to include the KDS LC End Point option Please see the following chapter (titled Requirements ) for additional information about the software and hardware required to setup the system.

11 Chapter 1 Requirements Software Requirements The XERA Kitchen Display Server (KDS) software drives the display of menu items and modifiers on each of the kitchen display monitors. With the help of the Logic Controls Kitchen Display System (KDS) Manager software, Aldelo has developed an interface between XERA POS and the Logic Controls KDS for LS6100 system. The system communicates via TCP/IP between XERA POS and XERA KDS, as well as between XERA KDS and the Logic Controls hardware. You may install the XERA KDS software on any computer on the network; however, the recommended place to install it is on the server that holds the XERA POS database. This computer is usually more powerful than the rest. Installing it there also groups all databases together on the same system. Hardware Requirements Several hardware devices make up the kitchen display system. The devices listed below are from the Logic Controls family of kitchen display hardware. The LS6100 controller is responsible for controlling communication between the XERA KDS and the system monitors (see Figure 1-1). Figure 1-1

12 The LS6100 stations (see Figure 1-2) drive the monitors to display text. Each monitor must be connected to a separate LS6100 station. Each station is assigned a station number. This number can be changed in the station configuration when the station first starts. Use the bump bar to change these settings. Figure 1-2 The KB1700 series bump bars (see Figure 1-3) control removing or bumping orders, recalling orders, showing a summary of items, and programming the LS6100 stations. These units are configured using a utility from Logic Controls. The layouts may be viewed at Figure 1-3

13 Chapter 2 Setup Software Installation and Setup The XERA Kitchen Display Server requires the installation and setup of both the XERA Kitchen Display Server (KDS) software and the Logic Controls Kitchen Display System (KDS) software. 39 39 Bump Bar Key Assignment Click the Bump Bar Key Assignment option on the left side of the screen to enable the various functions and assign the bump bar keys that are used to implement these assigned functions (See Figure 2-32). Figure 2-32 If you wish to enable a function, select its checkbox under the Enabled column. Deselect the checkboxes for any function that you do not wish to enable. Under the Key Set and Shortcut columns for your selected function, double-click the field you wish to setup to reveal the Key Set window (See Figure 2-33). Figure 2-33 Under the left dropdown list, select the key you wish to use to activate the selected function. Under the right dropdown list, select the key you wish to use in conjunction with the previously selected key to activate the selected function. For example, if you wish to bump orders with a single key press of the Control key on your bump bar, select Ctrl from the left dropdown list and Null from the right dropdown list. On the other hand, if you wish to require the user to hold down the

40 Control key while simultaneously pressing the 1 key, select Ctrl from the left dropdown list and 1 from the right dropdown list. Click the OK button on the Key Set window to save you changes. Once you have completed your settings be sure to click the OK button at the bottom of the Bump Bar Key Assignment screen to return to the previous screen. Parked Orders and Icons Parking an order is the act of removing it from the list of active orders as displayed on your kitchen monitors. This might be necessary because there is a delay in the preparation of the order, the customer has asked for the order to be prepared at a certain time, etc. When an order is parked, it is deleted from the screen and placed on a separate list of parked orders. This list may be recalled to the screen by the user at any time. Click the Parked Orders & Icons option on the left side of the screen to display the Park Order group box. Select the Confirm Parking Orders checkbox if you wish to require confirmation to park an order See Figure 2-34). Figure 2-34 If desired, click the Attributes button if you wish to change the Background and Foreground colors used by the Park Order feature. The Attribute button allows the user to select his desired colors for the background and foreground of the Park Order feature. Click the Attribute button, select the Background or Foreground radio button, and then select your desired color by clicking on it in the color array. If you selected a numbered color as described under the Color Check feature (described previously in this manual), determine the matching color number by adding the numbers displayed along the horizontal and vertical axes for your selected cell. The Demonstration graphic in the upper left corner of the screen shows a sample of how your selected background and foreground colors will appear in the Park Order feature. Click the OK button after you have made your selections to return to the previous screen.

41 Parked order icons are not supported by the XERA Kitchen Display Server. Leave all of the settings in the Order Icon group box at their default values. Once you have completed your settings under the Parked Orders & Icons option, be sure to click the OK button to save your changes and return to the previous screen. LS Monitor Once you have completed all of your settings, click the Run and LS Monitor buttons at the top of the screen to view the station you just setup. Double-click the icon for the station you wish to view near the top of the screen. Statistic The Statistic feature of the Logic Controls Kitchen Display System is not supported by the XERA Kitchen Display Server software. Clear Orders Click the Clear Orders button at the top of the screen if you wish to clear all existing orders from the queue. Confirmation is required to continue (See Figure 2-35). Figure 2-35 Upon confirmation, the orders are permanently removed and may no longer be recovered. Use this feature with caution. About Click the About button at the top of the screen if you wish to view basic information about the Logic Controls Kitchen Display System software. Click the OK button on the About Me screen when you are finished to return to the previous screen. XERA POS Manager Setup Once the XERA Kitchen Display Server software and the Logic Controls Kitchen Display System software have been installed and setup, you must then setup XERA POS to work with the system. Device Types Launch the XERA POS Manager application and navigate to POS Tab > Prep > Device Types. Click the New button at the bottom of the screen to display the Device Types [Add New Record] screen. Create a new device type by entering KDS in the POS Device Type Name field. Next, click the arrow button to the right of the POS Device Type field and select

42 POS Printer from the dropdown list. Click the Settings Tab and select the Use as Kitchen Display Instead of Printer checkbox. Be sure to click the Save button at the bottom of the screen to save your changes (See Figure 2-36). Figure 2-36

43 Device Locations Navigate to POS Tab > Prep > Device Locations. Click the New button at the bottom of the screen to display the Device Locations [KDS] screen. Create a new device location by entering KDS in the Device Location Name field. Select your desired option from the Cost Center dropdown list and enter 1 in the POS Device URL field. One is the first LS6100 device as setup in the Logic Controls Kitchen Display System software. Please note that device URL 0 is not supported by the XERA Kitchen Display Server. Finally, select KDS from the POS Device dropdown list. Be sure to click the Save button at the bottom of the screen to save your changes (See Figure 2-37). Figure 2-37 This completes the setup of your first Logic Controls LS6100 device in the XERA POS Manager. Repeat these steps for each additional LS6100 device in your system, being sure to increment the POS Device URL value by one for each of them. Routing Definitions Next, navigate to POS Tab > Prep > Routing Definitions. Here you must select an existing routing definition or create a new one. To select an existing routing definition, simply double-click it under the List Tab. To create a new routing definition, click the New button at the bottom of the screen to display the Routing Definitions [Add New Record] screen. Create a new routing definition by entering your desired name in the Routing Definition Name field. Be sure to click the Save button at the bottom of the screen to save your changes.

44 Next, select the Routings Tab to display the Prep Types and Device Locations setup screen. Please note that your prep types must already have been created when you perform this step (For further information on creating prep types, please see the XERA POS Manager Manual). In the left column, beneath your desired Prep Type, click on >>> Click to Show Available Device Locations >>> to display the available device locations list in the right column (See Figure 2-38). Figure 2-38

45 Scroll down until you find KDS in the list and then double-click <<< Double-Click to Assign Device Location<<< to assign the KDS location to the selected prep type (See Figure 2-39). Figure 2-39

46 When completed successfully, the KDS routing definition appears directly beneath the selected prep type in the left column of the screen (See Figure 2-40). Figure 2-40 Repeat the steps above to assign the KDS device location to each of the remaining desired prep types. When finished, click the Save button to save your changes.

47 Terminal Routings The terminal routings for your prep types must also be setup in the XERA POS Manager application. Navigate to POS Tab > Prep > Terminal Routings to display the Terminal Routings screen. Each of your terminals is listed in the left column. For each terminal, each of your order types is listed under the Order Type column. For each terminal and order type that you wish to route to the KDS, double-click the cell in the Kitchen / Bar Chit column directly to the right of the terminal name and order type. This displays the Select Routing Definition screen. Select the routing definition that you previously setup to go to the KDS by clicking its button (See Figure 2-41). Figure 2-41 Your selection appears under the Kitchen / Bar Chit column. When finished, click the Done button to return to the main screen of the XERA POS Manager application.

Part 2 Operations 49

50

51 Chapter 3 Software & Hardware Operation XERA POS Operation with the XERA Kitchen Display Server The operation of XERA POS when used with the XERA Kitchen Display Server software is identical to that without it. Orders are placed in the same manner only instead of being routed to a kitchen chit printer, the orders are routed to and appear on your kitchen display monitors. Voids are also handled as usual in XERA POS when used with the XERA Kitchen Display Server software. When you void an order, the order is removed from the screen. If you void just one item, the item is removed from the screen. Hardware Operation The buttons on the KB1700 option A are used to provide functionality for managing orders (see Figure 3-1). These buttons are as follows: 1. Bump 2. Recall 3. Sum 4. Page (not used) 5. Up Arrow 6. Down Arrow Redraw Bump Recall Sum Page (not used) Up Arrow Down Arrow 0-9 Redraw Figure 3-1 Bump When an order displays on the kitchen monitor and is completed, it must be removed from the screen. Highlight the order number by using the numbered buttons (when highlighted, the order title changes color). Press the Bump button to remove the order from the screen. This remaining orders shift to allow room for the additional orders in the queue. The maximum number of accessible orders is eight. An unlimited number of orders can be waiting in the queue, but only eight can be viewed on the screen at one time.

52 Recall The Recall button allows the user to re-display the most recent order that was bumped off. This button will only recall the most recent order, and cannot be used to recall an order prior to the last one removed from the screen. Sum Pressing the Sum button displays the summary panel. The summary panel displays a summary of all common items and how many are currently in the queue. For example, if you have a hotdog on each order, the summary displays eight hotdogs since, there are eight orders per screen. Up and Down Arrows The Up and Down arrows are used to navigate through the summary panel. If there are more items than can be displayed in the summary panel at one time, use the arrows to scroll up and down the list. Redraw This button refreshes the screen and shows any changes that may have occurred. This also occurs automatically.
