2 Getting Started with RPE Mobile There are some steps that must be completed before using RPE Mobile: 1. You can sign-up for a 30 day trial or a monthly billed plan at the following site: 2. You will then want to download and install the RPE Mobile Add-on application from: Instructions for installing the RPE Mobile Add-on application can be found below: The application above MUST be installed on the server station running Restaurant Pro Express. RPE Mobile Add-on requires Restaurant Pro Express or higher to be installed. 3. When you do this you will also want to download the App Store from ITunes, on your mobile device. You can either search for pcamerica or RPE Mobile on the App Store or install it through itunes from the link below: 4. You can sign up for merchant processing through Merchant Focus from the link below: MSRs for the ipod touch and iphone can be acquired from Merchant Focus. 5. 3 Notes and Requirements to use RPE Mobile There is some information that should be reviewed before using RPE Mobile: Compatible ipod and iphone devices must be running a minimum of ios 5.0 for RPE Mobile to run. There must be at least one main POS station with Restaurant Pro Express already installed. You must be running version or higher to use RPE Mobile. You must have a valid itunes account configured on your iphone/ipod device(s). A wireless network MUST be in place and working to use RPE Mobile in a testing and/or live environment. It is the business owner s responsibility to configure and manage the wireless network. Supported devices must also be connected to the wireless network prior to any configuration. The stations running the RPE Desktop application will still need to be connected to the router (or other network device) via an Ethernet cable. 3 P a g e

5 RPE MOBILE: WELCOME SCREEN When you first start RPE Mobile you will see two main buttons: Start Automatic Configuration Manual Setup Note: If the Automatic Configuration process fails to detect the main POS terminal settings, running RPE and the RPE Mobile add-on then you will need to enter the IP address manually. You can use the Manual Setup button to skip directly to the RPE Mobile Setup Screen. Note: When you first enter RPE Mobile you will see a small splash screen that contains two buttons Dismiss and Learn More. This splash screen is there to help users who have downloaded RPE Mobile from the Apple App Store and need additional information on how to integrate the mobile application with, the pcamerica Restaurant Pro Express Desktop POS software. 5 P a g e
6 RPE MOBILE: SETUP SCREEN 1. Enter the Server Address (IP Address) of the main POS terminal running the pcamerica Restaurant Pro Express desktop application, and the MobiMagic for RPE Mobile add-on application. Note: The server address will always have the port number 9804 and the path RPEMobile. For example: If the main server station had the IP address: You would enter: :9804/RPEMobile 2. Enter a Device Name. This is a name you will give the device to reference it with the MobiMagic for RPE Mobile add-on application. For Example: Enter a name, such as ipod Touch 1 3. Select the Test Settings button. This will make sure you are able to successfully connect with the POS terminal running the pcamerica Restaurant Pro Express desktop application, and the MobiMagic for RPE Mobile add-on application. You should see a message display with a dialogue box indicating it was successful. 4. Press the circle + icon next to the Store field. RPE Mobile will then automatically pull the correct store id setting from the pcamerica Restaurant Pro Express desktop application. If the database that is being connected to has multiple store ids, you will have the option to select the desired store id from a list. In most cases the store id that will be chosen should be P a g e
7 5. After the Store Id appears you will then be able to press the circle + icon next to the Station field. RPE Mobile will then automatically pull all of the available station ids which can be chosen. 6. Select the Station id that you wish to assign to this specific ipod/iphone device. Note: Make sure that each device is assigned a unique station id. Each ipod/iphone is basically an extension of the Restaurant Pro Express desktop application and will act as a separate station. Note: Additional station ids can be created from the Restaurant Pro Express desktop application. From the main login screen, select File then Database Maintenance then Store/Station Setup then Add/Set Station ID. Select the Create new Station button and then select MobileDevice for the Station Role. 7. When you have completed the Store id/station id selection in the RPE Mobile setup screen, select the Save button located on the bottom right corner of the screen. This will bring you to the RPE Mobile Login Screen. Setup is now complete Note: The Probe For Server button will attempt to automatically get settings for this screen in the same way that the Automatic Configuration Setup button will. This button automatically populates the Server Address field with the IP address of the computer running the RPE Mobile Server and the MobiMagic for RPE Mobile add-on application. If the Automatic Configuration Setup on the main Welcome Screen fails to get the correct information, the Probe For Server button will also fail. 7 P a g e
8 RPE MOBILE: LOGIN SCREEN 1. For Employee ID enter the employee id that was setup inside the Employee Maintenance screen, of the Restaurant Pro Express desktop application. 2. For Password enter the password for the Employee ID entered above. Note: You must have the Restaurant Pro Express desktop application running on the main POS terminal (usually station 01) for RPE Mobile to work. 3. After you have entered the login information for the employee select the Login button. This will bring you to the RPE Mobile Dashboard. If this is the first time RPE Mobile is connecting to the RPE desktop application, it will take approximately seconds for the menu to be downloaded on the device. Note: The next time an employee logs-in they will not need to wait. As the menu has already been downloaded, it will already be on the device ready to load. 8 P a g e
9 4. On the bottom-center of the login screen you will notice two icons: The first icon (letter i in a circle) stands for information. When you press this information icon it will bring you to the About Screen. Note: The About Screen displays the current RPE Mobile application version that is currently installed on the device. Note: The About Screen also contains a Reset feature. The red reset button is located on the bottom right corner of the about screen. When Reset is selected you will be asked to confirm the decision. The reset button removes the configuration and defaults of the device. All settings will be set to factory default. The second icon (two cogs) will bring you to the Setup Screen of RPE Mobile. This screen can be useful when testing communication settings between RPE Mobile and the MobiMagic for RPE Mobile add-on application. The Setup Screen can also be used in case a change of other settings such as, Server Name or Station Id is required. 9 P a g e
10 RPE MOBILE: DASHBOARD After logging in the Dashboard will be displayed. The Dashboard will display information about the server that is currently logged in. The dashboard can be accessed by selecting the Home icon (small house) located on the bottom left corner of the application. The Dashboard provides the employee (wait staff) with three widgets: The top area displays the employee name who is logged into the device. This area will also display the number of open invoices for the employee. There is also a small arrow icon that will bring the employee to the Open Invoices screen. The middle area of this screen is the Instant Notifications widget. Here the employee can view the total number of notifications that have been sent to the devices by the owner/management staff. The employee will be shown a brief summary of the most current notification (message). The employee can press the small arrow icon to access the Instant Notifications Inbox. Here they can view the inbox and/or delete messages. The lower area displays the current date and time. Note: On the top right of this screen there is a red Logout button. This button will allow the employee to logout of RPE Mobile returning them to the RPE Mobile Login Screen. This is used when another server needs to login to the device to take orders at their tables. 10 P a g e
11 RPE MOBILE: NEW INVOICE SCREEN When the employee is ready to begin taking orders they can select the New Invoice icon (fork and knife) located on the bottom center of each main screen. This screen will allow employees to place new orders. There are two ways that this screen can be displayed, which is controlled by the Create invoices with names: option. This option is configured on the Settings section of the RPE Mobile add-on application. With the option Create invoices with names set to OFF RPE Mobile will display the Select a Table scrolling widget. The scrolling widget displays the table numbers created using the Table Layout screen of the RPE Desktop application. The table numbers listed are the currently unoccupied tables available in the restaurant. This information is directly pulled from the RPE Desktop application. o When new tables are opened on RPE Mobile the RPE Desktop application will automatically set the table status to occupied in the table layout screen. If you are logged in on the RPE Desktop application when the order is being created, the table layout screen in the RPE Desktop application will show the table occupied (in green). o It will take approx 30 seconds for the information to be updated from RPE Mobile to the Table Layout screen in the RPE Desktop application. With the option Create invoices with names set to ON RPE Mobile will prompt you to enter a name to be associated with the invoice. When using this feature the invoices created in RPE Mobile will show on the Open Tabs section of the RPE Desktop application. Highlight the table number on the scrolling widget and press the Open Invoice button, you will be brought to the Add Items Screen. 11 P a g e
12 RPE MOBILE: ADD ITEMS SCREEN After Opening the invoice you will be displayed with the Add Items Screen. Here the employee can place an order by selecting the desired department (left) followed by selecting the desired item (next page). After selecting an item, the employee will then be prompted to select any modifiers (next page) associated with this item, if applicable. When items have been added to the invoice, a small animated bar will wipe up then wipe down with the text Item added to invoice. If you would like to double check that the item has been added select the blue Done button located in the top right corner. This will bring you to the RPE Mobile Invoice Screen. Note: The colors and positioning of all departments, item selections and modifiers all match what has been configured in the Touchscreen Configuration screen of the RPE Desktop application. When the item has been added, you will be returned to the Department Selection Screen (left). After being returned to this screen you can begin adding additional items to the invoice. 14 RPE MOBILE: INVOICE SCREEN After the Done button has been selected you will be sent to the RPE Mobile Invoice Screen. The Invoice Screen allows the employee to make any adjustments to the invoice before sending the order to get prepared or closing the invoice. This screen allows the user to change the quantity of a line item and also allows the user to remove the item from the invoice. To increase the quantity of an item press the green + circle icon to the right of the line item text. To decrease the quantity of an item press the red - circle icon to the right of the line item text. To remove the line item, press the blue x circle icon located to the left of the line item text. If you need to add any additional item(s) to the invoice, press the blue Add Item button located in the top right corner of the screen. When you have finished making changes, press the blue Save button located in the top left corner of the screen. When you have finished placing your order you have three options: If you would like to send the order to the kitchen, press the red Send Order (the soda and burger icon) button located on the bottom left corner of the screen. This will send the order to all routes associated with the items on the invoice. For example the individual kitchen printer(s), or bumpbar for preparation. If you decide to void the invoice press the red Void Invoice button, located on the bottom right corner of the screen. After making this selection, you will be asked to confirm the void of the invoice. When the customer is ready to pay for the invoice, press the red Pay Invoice button on the bottom center of the screen. This will bring you to the RPE Mobile Payment Screen. 14 P a g e
15 RPE MOBILE: PAYMENT SCREEN After selecting Pay Invoice you will be brought to the RPE Mobile Payment Screen. The top left of this screen has a back arrow with the invoice number on it, which will return you to the RPE Mobile Invoice Screen. Below the Amount Due section the first option that is displayed is the Credit Card button. The second option that is displayed is the Register button. The Register button can be selected to pay for the invoice on any of the available RPE Desktop terminals. o After selecting this option MAKE SURE to select the Home button on RPE Mobile. This should be done prior to opening the invoice on the RPE Desktop application. o The same table/invoice should not be open in RPE Mobile and the RPE Desktop application at the same time. This step will reduce the chance of your invoice having accidental changes made. Note: Orders created on the RPE Desktop application can always be opened on RPE Mobile and vice-versa. This is known as transfers or hand-offs. 15 P a g e
16 When you choose the Credit Card option, you will be asked the following question: Do you want to split this invoice? If YES is selected then you will asked for the Number of Credit Card Splits. If NO is selected then you will be brought to the RPE Mobile Transaction window. Note: To use the Credit Card option the ipod/iphone must have the Credit Card Terminal application installed by Inner Fence LLC. 17 If you choose Yes when asked if you would like to split the invoice, you will then be asked to select the Number of Splits. Use the scrolling widget to highlight the number of splits then select the red Split Invoice button. 17 P a g e
18 After selecting the number of credit card splits, you will be prompted as to which split to close out first. Use the scrolling widget to highlight the split to close out first then select the red Select button. 18 P a g e
19 The RPE Mobile Transaction screen will be displayed and will wait for the employee to enter the credit card information. Either swipe the card through the MSR, or type in the card data (including credit card number and expiration date). Note: To activate mobile credit card processing you must have the app Credit Card Terminal by Inner Fence, LLC installed on each ipod Touch / iphone using RPE Mobile. 19 P a g e
20 To access the Tip Entry / Signature Line screen, rotate the ipod Touch / iphone device 90 degrees into a landscape orientation. Give the ipod Touch / iphone device to the customer. They will then be able to select a standard tip amount, which can be configured through the CC Terminal application directly. When the customer has finished adding a tip and signing for the Credit Card on screen (with their finger) they will then need to select the green Done button. The customer will then be asked to return the device to the employee. When the employee has received the device back they will then need to rotate the device back to the portrait orientation. This will return them to the RPE Mobile Transaction screen where the transaction can be completed. 20 P a g e
21 Back at the RPE Mobile Transaction screen the employee will need to select the green Charge button. o This will process the transaction. After the transaction has been processed the employee will be displayed with an Approved message including the amount for the transaction, the credit card type and the last four digits of the card number. The employee can then tap anywhere on the screen this will return them to RPE Mobile where they will be told that the payment has been finished and the invoice has been closed. The employee will then be asked if the customer would like a receipt: o If No is selected then the employee will be returned to the Open Invoices screen. o If Yes is selected then the employee will be brought to the RPE MOBILE: Print / Receipt Screen. Note: To use the Credit Card option the ipod/iphone must have the Credit Card Terminal application installed by Inner Fence LLC. More information about this application can be accessed at the link below: Note: To use the mobile credit card processing with RPE Mobile you will need to first configure the Credit Card Terminal app with the compatible Authorize.Net merchant account. Inside the Credit Card Terminal configuration screen you will also have the ability to enable/disable tipping. 22 RPE MOBILE: PRINT / RECEIPT SCREEN At the RPE MOBILE: Print / Receipt Screen the employee will be shown the following choices: The Print Receipt option will print the receipt. The receipt will be sent to the printer that is configured inside the Friendly Printer Setup screen, on the RPE Desktop application. This configuration will need to be done, for the station ID being used on the RPE Mobile device. The Receipt* option will display a small dialogue box where the employee can input the customers e- mail address to have the receipt sent to. The Both option will both Print and the receipt. The None option will dismiss this screen and no receipt will be ed or printed. Note: If the invoice has not been sent for preparation (to the kitchen) using the Send Order button located on the Invoice screen, then when the Receipt is printed it will also send the order to be prepared. *Note: To configure the Receipt feature the settings must first be configured in the RPE Desktop application. This is done by accessing the Setup Screen (the Internet Features tab) and then by configuring the settings. For more information on configuring this feature please see the link below: 22 P a g e
23 RPE MOBILE: OPEN INVOICES SCREEN The Open Invoices screen will show all of the table numbers / open tabs that the server that is logged in on the device currently has open. This is a great screen to quickly switch between available invoices for the server. This screen is where you will need to be when transferring invoices (or doing hand-offs ). 23 P a g e
24 RPE MOBILE CONTROL-PANEL: LOGIN The RPE Mobile Control-Panel is accessible via a web-browser from any device on the local area network. For example: The IP address of the RPE Desktop application server, with the RPE Mobile Add-on application is To access the Control-Panel open up Google Chrome or Firefox and enter for the web address. When you first connect to the Control-Panel you will need to login to the RPE Mobile Add-on application, with the RPE Desktop application 01 account. Typically this will be User ID: 01, Password: cashier. Note: The User ID s password can be changed by accessing the Employee Maintenance screen in the Restaurant Pro Express Desktop application. 24 P a g e
25 RPE MOBILE CONTROL-PANEL: DASHBOARD After logging into the RPE Mobile Control-Panel you will see the Dashboard. The dashboard contains different features that help the restaurant management team, to control the RPE Mobile application on all devices where it is installed. The features include the following: Instant Notifications System Status Credit Card Payments Settings 25 P a g e
26 RPE MOBILE CONTROL-PANEL: INSTANT NOTIFICATIONS Instant Notifications are designed to provide the owners and the management team, the ability to send special notices/messages to specific employees or broadcast a message to the entire wait-staff. For example: If the business decided that on Friday nights they want to sell $1 draft beers they could easily send a notification to the entire staff by checking the All Employees box. Another example would be if management needed to have a specific employee aware of a large party that will be at one of their tables during their shift. Management could send a message to the specific employee by selecting the employee name from the dropdown. Note: To change the name of employees or to add new employees open the RPE Desktop and access the Employee Maintenance feature. To create and send an instant notification please do the following: o o o Select which employee(s) will be receiving this message, by either using the dropdown or by checking All Employees. Enter a Subject for the notification. Enter the message text of the notification. Note: The Instant Notification message text can be up to 140 characters long. Due to the limited size of the message, it is recommended to make your notices short and concise. 26 P a g e
27 If the employee receiving the message is logged into the RPE Mobile application on the ipod Touch / iphone when notifications are sent, it will automatically display on the mobile devices screen (pictured bottom left). They can ignore the message and view it later by pressing the Close button, or they can read the message immediately by pressing the View button. This choice depends on if the employee was in the process of taking a customer order or some other task. The employee can always view all the notifications by accessing the RPE Mobile application Home screen, then by pressing the arrow icon next to the Instant Notifications widget. This will display the Instant Notifications Inbox (pictured bottom right). 27 P a g e
28 RPE MOBILE CONTROL-PANEL: SYSTEM STATUS The System Status screen is a great way for the business to know which of the RPE Mobile devices are currently connected. This screen will indicate the number of invoices currently open by the employee who is logged in. It will also display when the employee last logged in. 28 P a g e
29 RPE MOBILE CONTROL-PANEL: CREDIT CARD PAYMENTS The Credit Card Payments screen will track all of the invoices closed to credit card from the RPE Mobile devices. You are able to view up to 24 hours of recent activity. o To If you need to view more detailed activity such as settlement reports you will need to press the orange Existing Mobile Merchant Account Login button. This will connect you to the Authorize.Net gateway where you can access your credit card merchant account. If you wish to create a new account you can select the red New Mobile Merchant Account Sign Up button. Alternatively, you can call the pcamerica sales department at: to learn more about processing credit cards with RPE Mobile. Note: You can always access the standard RPE Desktop Reporting Screen to look at past invoices closed to credit card or to look at server tip reports. All transactions closed inside RPE Mobile automatically reflect inside RPE Desktop. 29 P a g e
30 RPE MOBILE CONTROL-PANEL: SETTINGS The Settings page is where your current RPE Mobile subscription can be viewed. You can learn more about the different subscription plans available by visiting: o To login and view your account, past invoices, or make changes to your plan visit: o The Create invoices with names: setting has two options: Table Numbers Custom Names Note: By default the RPE Mobile app is set to use Table Numbers. However some businesses will not be using table layout / table numbers. For this reason the business would set the Create invoices with names: feature on. The Create invoices with names: feature will require that all new invoices have a name entered, instead of selecting the table number. The invoice with the custom name will then get placed on the RPE Desktop application under the Open Tabs section. Alternatively, they can open the tab using the Recall On-Hold Invoice feature from within the RPE Desktop application. 30 P a g e
