1 Munis (v 9.3) Dashboard (v 5.2) Requisition Entry Version 1.0 Entering a New Requisition 1. Navigate to the MUNIS Dashboard Website: 2. Enter your UNLVAD ACE account credentials. 3. From the left-hand menu, click on the Menu tab to view the Munis Menu. Click the arrows in the menu tree until you view the Requisition Entry program. 4. Make sure you have your Caps Lock on prior to starting a new requisition. 5. To start entering a new requisition, click the Green Cross button. 12/17/2012 Page 1 of 11

2 6. The system will automatically populate the Dept/Loc, Fiscal Year, Status, and Entered fields. 7. Tab out of the Dept/Loc field. Munis will automatically populate the name of your department and your Ship to information. 8. Tab out of the Fiscal year field. Munis will automatically populate the Requisition number. 12/17/2012 Page 2 of 11

3 9. Click on the Ellipses ( ) button next to the General commodity entry box to open the Commodity Help screen. 10. Find the Commodity by either scrolling through the list or using the Search / Filter option at the bottom of the screen. Once you ve found the Commodity, double click on it to return to the Requisition Entry screen where Munis has populated the General commodity with your selection. 12/17/2012 Page 3 of 11

4 11. Tab out of the General commodity field. Munis will automatically populate the General description based on the Commodity you ve selected. 12. Tab out of the General description field. Enter the date you need this purchasing to be made in the Needed by date field. 13. Tab out of the Needed by and Entered fields. Click on the Ellipses ( ) next to the Vendor entry box to open the Vendor Help screen. 14. Type in part of the vendor s name into the Vendor Alpha field, and then click the Green Check to bring up the vendor search results. The search is case sensitive, so make sure you are using all capital letters for the vendor s name. You don t need to add any special characters. 15. Click on the vendor that you want to use, making sure that the vendor s status is Active, and then click the Green Check button to select them. 12/17/2012 Page 4 of 11

5 16. The vendor s information will automatically populate in the vendor information section. If the address shown is incorrect, you will need to click the Ellipses ( ) button next to the PO mailing entry box and select the correct address (not shown). 17. Tab to the Remit field. Munis will automatically populate the Remit field. Make sure that the address number in the PO mailing field and the Remit field match. If they do not, make the correction. 12/17/2012 Page 5 of 11

6 18. Tab to the Reference field. Enter the name and complete telephone number of the person vendor s can contact regarding order specifics. 19. Tabbing out of the Reference field will take you to the Terms/Miscellaneous tab. You should not need to modify any of these fields. Tab until you are brought to the Line Detail screen. Here you will enter your first line item. 12/17/2012 Page 6 of 11

7 20. Type in the number of items you want to purchase in the Quantity field. Click on the Ellipses ( ) button next to the Commodity entry box to open the Commodity Help screen. 21. The General commodity field will automatically be populated based on the commodity you chose earlier. Click the Green Check button to get to the Commodities selection screen. 12/17/2012 Page 7 of 11

8 22. Click on the Commodity with the Object & Sub-Object that you want to use, and then click the Green Check button to select it. 23. The Commodity and Description fields will automatically be populated based on your selection. Tab to the Description field. Always delete the defaulted description language in the Description field. Change it to a description of the item(s) that you want to purchase using the quote presented to you by the vendor. 12/17/2012 Page 8 of 11

9 24. Provide a Unit Price. You do not need to update anything else in the Detail or Miscellaneous sections, so tab until you reach the first account line. 25. Type your account information in, making sure that you add a.00 to the Org code, and match the object from the Commodity field. 26. Tab out of the account. The Amount automatically populates based on the Quantity and Unit Price fields. 12/17/2012 Page 9 of 11

10 27. Click the Green Check button to save the Line Item 28. Close the window using the Red Circle with an X to get back to the Requisition screen. You will notice that there is now a Line in the Line Items section. 12/17/2012 Page 10 of 11

11 29. Click Release to send your requisition for approvals, if applicable, and eventual conversion to a purchase order. Once you have done this, your Requisition Status will change from Allocated to Released. 12/17/2012 Page 11 of 11
