4 1 Getting Started with VSkyBox VSkyBox is a secure, private file synchronization and sharing program. Any organization can easily build their own Dropbox-like cloud storage service, with data access anytime and anywhere. Its easy file sharing that puts an end to FTP, and the group collaboration capability is outstanding. VSkyBox is able to handle thousands of accounts and large storage deployments. IT administrators are in control of setting limits on the size and types of uploaded files. VSkyBox intelligently synchronizes all of your files across all of your devices. You will have the latest information regardless of where you are and which device you are using. You can synchronize extremely large files and if you lose the connection, synchronization will continue as soon as the connection resets. 1.1 Setting Up VSkyBox VSkyBox is especially designed to run on VSkyCube. You will need to create an application by using the Application Wizard. See the VSkyView and VSkyCube Quick Start Guide for information on how to prepare for VSkyBox. The Application Wizard can be opened from the VSkyView management portal; select a cluster, click Configuration, and then the Application Wizard,. Follow the instructions in the Wizard to create a VSkyBox application. Here is an overview of the steps you need to take. Opening the Application Wizard VSkyBox User Portal Guide 1

5 Upload the VSkyBox image to VSkyCube before executing the wizard. See the VSkyView and VSkyCube User Guide for help. 1. Environment Validation 2. The wizard automatically checks that the system requirements are met for running VSkyBox.Select VSkyBox as the Application Type and click Environment Validation. When the validation is complete and everything is green, you can click the Start button. 3. Set Up Image and Flavors 4. Image: Choose the file that contains the VSkyBox service to be launched. Instance Count: An instance is the virtual machine running the VSkyBox service. Up to 4 instances are allowed. They ll build up a cluster automatically. Flavor: Virtual resources optimized to fit your application. You can manually change resources size by resizing the instance after deployment. 5. Create Application Type a Name, and choose VSkyBox for the Type to create a project for your VSkyBox service. 6. Build Network 7. Internal Network: The network configuration for the private network inside of the cluster. External Network: The external network configuration for users to access the service. Allocation IP Pools: The IP ranges for the system to automatically assign to virtual machines and devices. 8. Set Up Application Pool This is the quota for shared storage and system storage. You can extend the capacity after deployment. 9. Set Up System Datastore Create a datastore for the VSkyBox system use. Setting the whole storage quota as the system datastore is recommended. 10. Launch Instance 11. Launch the virtual machines for VSkyBox. It could take a couple of minutes. 12. Associate Floating IP 13. Associate the external IP to the instances for user access. 14. Summary 15. The process is finished. It takes a couple of minutes for instances to build a cluster. Wait until the instance name change to xxx (in cluster). Copy and paste the floating IP to the browser to start using the VSkyBox service. The default account and password are "administrator" and "password", respectively. VSkyBox User Portal Guide 2

6 1.2 Opening VSkyBox There are three ways to access the VSkyBox service. Use the Mac or Windows agent. If you have not yet installed the VSkyBox agent on your Mac or Windows computer, do that first. The VSkyBox agent synchronizes files contained in the VSkyBox folder with the files you have on your computer. It turns on when your computer starts and it keeps the entire contents of the VSkyBox folder backed up. Use the agent Preferences menu if you want to change the start-up settings, choose what folders to synchronize, or change other settings. See the VSkyBox Desktop Agent Guide for more information. Use your web browser. If you are on a computer that doesn't have the VSkyBox Agent installed, you can access the User Portal with your web browser and log in. Then you can upload, link, download, or share content on VSkyBox. Use the ios or Android APP on mobile device. User also can install VSkyBox APP on mobile device, it s very efficient and convenient to manage and share your file anytime and anyplace. 1.3 Logging In to the User Portal Your system administrator will give you the information needed to connect to and log in to VSkyBox. You will need a Domain Name, a User Account, and a Password. To switch the interface language, use the Language menu in the upper right corner. The languages available are: English (default), Русский (Russian), Español (Spanish), Français (French), Deutsch (German), Italiano (Italian), Português (Portuguese), 日本語 (Japanese), 한국어 (Korean), 简体中文 (Simplified Chinese), and 繁體中文 (Traditional Chinese). You can also change languages after you have logged in. VSkyBox User Portal Guide 3

7 2 Navigating the Portal Interface Every time you log in to VSkyBox you will see the Personal directory. Click on folders in the directory to reveal their contents. Click on a file to preview it. Click on the menu icons along the left side of the menu to open the various folders. We explain more about these folders in later sections of this guide. 2.1 Title Banner At the top of the Administration Portal is the title banner. There are two commands you can click from this banner. Click the portrait icon to open the Account dialog box where you can check the usage quotas, change the password, or adjust the address. You can also identify any devices that are currently connected. Click the Submit button to preserve any changes. Log Out : Click this icon to immediately log out. VSkyBox User Portal Guide 4

8 2.2 Information Banner The Information banner has two tabs, some information, and a language selector. Home: The Home tab is where you will see your personal and team folders. Events: The Events tab is a history of the activity that has occurred for this account. See Viewing Events for more information. Information: You can see the Usage Amount and Usage Rate information. This will tell you how much of your VSkyBox storage space is getting used. Language: You can choose an interface language that is most comfortable for you. 2.3 Managing from the Home Tab You will work with the information in your VSkyBox account from the Home tab. Here is an overview of the functions available. In later sections of this guide, you will see how they operate in the field. VSkyBox User Portal Guide 5

9 2.3.1 Opening Your Folders The menu on the left side of your interface has the location of the built-in folders. Each folder is for managing a specific type of data and will display their data in the Content space to the right of this menu. The following is a short description of each item. Personal The main folder or directory contains the your uploaded files and folders. Team This is a folder for use by a group of VSkyBox users. The administrator sets it up and designates a team member to manage it. See Sharing as a Team. Share To Click here to see files and folders that you share with other users in VSkyBox. See Sharing Files and Folders. Share From Links Click here to see files and folders that other VSkyBox users share with you. See Sharing from. Here are all the links created for your files. Send these links by or paste them into a document or webpage. The recipients click the links to downloadd the files to their locations. This folder also lists any associated passwords and expiration dates. See Linking to Shared Content. Favorites Click here to see the items that have been marked as Favorite. Favorite remain available even if the device loses connection to the VSkyBox server. See Using Favorites. Trash Deleted files go to the Trash. The administrator empties or restores the Trash as they see fit. See Maintaining the Trash. VSkyBox User Portal Guide 6

10 2.3.2 Using the Content Space This space lists all the content of your selection from the VSkyBox account. There will be folders and files and alll the commands to manage, view, and share them. Uploading Files : Click the upload icon to browse, select, and upload files to VSkyBox. Making a New Folder name from New Folder to : You can create folders in your personal space. Change the one of your choice after it appears. Action: Click the pencil to access the folder or file. The commands available depend on whether the item is a folder or a file. 11 Here are the commands for the Action menus. Folders Files Description -- Download Get the file into your computer. Share Share See chapters 3 and 4 for more information about sharing and Team folders. Link Link Get a link that you can copy and save. See chapters 3 and 4 for more information about links and Team folders. Rename Rename Change the name. Delete Delete Send the selected item to the Trash. Move Move Select the file and choose a place to move it to. Copy Copy Make a copy of the selected item. -- Revisions Keep track of the change history. Comment Comment Write a note or leave some information. -- Lock Keep your file from being changed. -- Favorite Mark as a favorite file. See Using Favorites for detailed information. 12 2.3.3 Using Favorites You can make important files easier to find and more reliably available by making them favorites. Favorites are easy to find because they have their own folder the Favorite folder. They are more reliable because when synchronizing any mobile device running the app and logged into VSkyBox, this file will be downloaded to that device and available even if the device is not online Designating Favorite Files You can use the VSkyBox app or the User Portal to designate a file as a favorite. To designate a file as a favorite, click on the pencil icon for the file and choose the Favorite option. The file will now appear in the User Portal with a star connected to the file icon. It will also appear in the Favorites folder Managing Favorite Files If you mark a file as Favorite, then you can find it whether or not you are online. The file appears in its original location and also in the Favorites folder so it can be easily located. Use the mobile app or the User Portal to remove the Favorite status from a file. To remove Favorite status, click on the pencil icon and choose Favorite. This time, the Favorite option appears with a minus sign indicating that it is currently a favorite and you can remove the status by clicking. VSkyBox User Portal Guide 9

13 2.3.4 Maintaining the Trash Deleted files go to the Trash. Content remains until permanently removed, providing a chance to recover mistakenly deleted content. In a Team folder, the manager can restore or permanently delete the files. To manage the Trash for a Team folder, select the folder from the pull-down menu. Otherwise use the Personal menu to manage Trash for your own files. To restore a file from the Trash, open the Trash folder, locate and select the file, click the pencil icon, and choose Restore. (You can also right-click on the file.) Previewing Files Click once on a file to preview it in a pop-up menu. The preview window contains all the commands you need to view the files, plus Link, Share, Download, and Delete. The File Preview screen contains the following commands: Toggle Sidebar: Click to expand menu view options (in a pop-out panel). Search: Text and keyword search and find. Page Tools: Navigate pages, zoom in, and zoom out. Full Screen: Switch to the presentation mode. Print: Switch to the print mode. Link, Share, Download, Delete: You can make the document available to other people or just get rid of it completely. VSkyBox User Portal Guide 10

14 2.4 Checking the Events Tab When you click the Events tab, you can see the activity in your user folders and Team folders. The Events menu includes filter options for types of actions to list, a limit on how far back in time to list actions, and you can choose to list actions only for Team folders or for your personal VSkyBox account folder. You can search the list by keywords, and save it as Excel, simple text,.html, or a variety of other file formats. You can link to the Events menu display directly through the Desktop User Agent. Right-click on the VSkyBox agent icon, and choose the Events option to go directly to the menu. VSkyBox User Portal Guide 11

15 3 Sharing Files You can easily share any file, or create a folder for sharing with others. When this is done, the file or folder appears in the Share To directory. In addition, the action is recorded in the Events tab, and the file appears in the Share From folder of the users who are receiving the file. Any file inside your Personal directory can be shared with other users. When you set up a file or folder, you can allow others to change or update it. This is called Write privilege and is enabled by default. If you do not want to allow changes to shared files or folders, be sure to disable this by clearing the check mark in the Write box of the Share Setting menu. See Sharing Files and Folders for more information. 3.1 Sharing Files and Folders To share a file or a folder with other users on VSkyBox, follow these steps. 1. For any file or folder in the Personal folder, open the Edit menu and click Share. 2. When the first Share Setting dialog box opens, select a user to receive the shared content, and click the Invite icon. 3. In the next dialog box, type the account name for user who will share the object. VSkyBox User Portal Guide 12

16 The Write check box is selected by default, you can clear it if you don't want this user to be able to change the file. You can also type a short message, but this is optional. 4. Click the Submit button to add the user to the list and return to the first Share Setting dialog box. Add more users as desired. Each added user will appear in the list. To remove a user, you can click the X in the Delete column. 5. When you have all the share settings in place, click on the Close button to finalize the list. The shared files now appear in the Share To directory. 3.2 Editing the Share Settings for a File or Folder 1. Go to the Share To folder, click on the pencil icon, and choose Settings. 2. In the Share Setting dialog box, click the delete option for each user you want to stop sharing with. You can also use this procedure to change the Write status for any user sharing this file or folder. VSkyBox User Portal Guide 13

17 3.3 Locking a File or Folder When sharing files, we must be concerned about protecting our content. There are two methods of controlling changes to shared files. The first is to disable Write permission when sharing. Look under Privilege in the Share Setting dialog box. By default, shared files have Write enabled. Make it write-protected by clearing the Write option. Note: Any change to a shared file affects all versions of it. Keep in mind that users that are sharing a write-protected file can read or view and copy the file. Users can save the file with a different name and make changes to the copy. An alternative to changing the Write privilege is to lock the file. You can lock any file in your Personal directory; not just the shared files. The Lock status of a file is different from the Write status, but it does act in a similar way, making the file write-protected. To lock any file located in the Personal directory or subdirectories, click on the pencil icon or right-click the file you want to lock and choose Lock. The padlock icon indicates the locked status. 18 3.4 Sharing from Other Users When someone shares a file or folder, the shared content first appears in the Share From folder. A share invitation will pop up. You must accept the invitation in order to access the shared item. Click the file or folder and click the Accept button in the Shared Invitation(s) dialog box. Once you accept the share, you can perform other actions with the shared content. You can also decline the shared invitation and not receive the file. VSkyBox User Portal Guide 15

19 3.5 Linking to Shared Content Use Link to share your content from VSkyBox. You can link through , or by copying and pasting to a document or webpage Link: To link by , do the following: 1. Choose files, click the pencil, and choose Link. You cannot link to content in a Team folder. 2. In the Link dialog box you have the option to send the link in an . In this case, type the addresses in the Invite User space. For multiple addresses, separate each entry with a comma. If you want to protect the link with a password, you can specify the password for the link. You also can type a note in the Message space. 3. If you enable Expiry Date, choose a date for when this link will no longer be available. 4. The Public Search function allows other users to do a keyword search for links from all users. If you enable Public Search in the Links menu, any user can search for the file name or part of the file name. 5. Click the Send button to transmit the link. 6. The link now appears in the Links directory. Note that the Links directory holds active links to your folders. This is not a content folder. VSkyBox User Portal Guide 16

20 3.5.2 Copy Link to Clipboard If you prefer to put the link into a webpage or another document, click the Get Link button, the Copy Link to Clipboard dialog box appears. Click Copy to Clipboard to copy the file information to the clipboard. Paste the link into a document, , or web posting. 3.6 Sharing as a Team Team folders are ideal for collaborative projects where several people may need access to a group of files. The Team folder can also keep users up to date with important software updates, like the latest version of VSkyBox client software. There is no limit to the number of team folders a user can join. Folders in the Team directory allow team members to synchronize and share files with all team members. The administrator or another user designated by the administrator manages each specific Team folder. The administrator creates the folders, assigns team members, and gives roles to team members. This delegates the responsibility and authority among the members. Depending on the role assigned, a team member might be able to add or remove members, change or delete content from the folder, while other users might have read-only access to content. 21 3.6.1 Assigning Team Folder Permission The following table lists the types of users or user roles in a team folder, and the permissions granted for each role. The administrator initially creates team folders and assigns roles to each member. Any team member assigned the lead role has permission to manage the team folder. We will discuss how to manage team members in the next section. Types of Permission: Read: You can read files in the team folder. Write: You can change files and upload content to the team folder. Share inside: You can share files with other users inside the same domain. (VSkyBox can have multiple domains managed by the administrator.) Share outside: You can share files with users in other domains. Delete: You can send files to the Trash folder for the team. Trash: You can empty the trash can. This will permanently delete the content in the Trash. Manage: Users with this permission and users with the lead role have management control. They can add or remove team members and assign or change user roles for team members. Guest: A guest member can only see the names of the files and folders in the team folder. A guest cannot read files in the team folder. VSkyBox User Portal Guide 18

22 3.6.2 Managing Members in a Team Folder The Team member with the lead role manages the user list for the team. This includes adding, deleting, and setting roles (permission levels) for the members of the team. Follow these instructions to access the menu for managing members. In your browser, add /admin at the end of the URl for VSkyBox. For example, to log in to the User Portal, you might use fc-company.com ; to log in to the Administrator Portal, type fc-company.com/admin in the address bar. After you log in, the Manage Members dialog box opens. To add users, click on the icon in the upper right corner of the menu (see illustration below), select the user, and choose the role for the member in the new menu. To remove members from the team, click the selection box to check mark the users in the list you want to remove, and click on the Remove button. To change the role of an existing member, select the user in the Manage Member menu, click Role. When the team dialog box opens, click Select New Role and choose the role from the drop-down menu. 23 4 VSkyBox End Devices In addition to the browser-based VSkyBox user portal, we also provide other-end devices to customers, so they can conveniently and efficiently access and synchronize content. 4.1 VSkyBox Agents When you install the VSkyBox Agent on your Mac or Windows computer, a special folder is created on your local system that is duplicated and synced on the VSkyBox server. This means that any changes made to files in your local VSkyBox Sync Folder are also made to the duplicate folder on the server for your account. The VSkyBox Agent includes various functions that allow you to easily share files with other VSkyBox accounts, or to a link for file sharing with Microsoft Outlook on a Windows computer. Please see the VSkyBox Desktop Agent Guide for more information VSkyBox Agent for Mac and MacOS Sierra (10.12) Due to changed security settings in MacOS Sierra (v.10.12) the VSkyBox MacOS client requires that the user enable Accessibility in the Security and Privacy menu in MacOS. This will enable the VSkyBox integration with the MacOS Finder application to work. To do this follow these steps: 1. After the VSkyBox MacOS Client installation is complete, open the System Preferences menu. VSkyBox User Portal Guide 20

24 2. Select Security & Privacy and click the Privacy tab. Then select the Accessibility option. 3. Click the lock icon; you will be prompted to enter your username and password. This willl enable editing of preferences. 4. Click the checkbox beside VSkyBox to enable accessibility. Click the lock icon again to re-lock the preferences. 5. You will be able to verify that finder extension has been enabled by checking within the Extensions menu. VSkyBox User Portal Guide 21
