2 Voice Conference Manager Introduction Speakerbus Voice Conference Manger (VCM) is a highly robust audio conferencing and line bridging solution that has been specifically developed for mission critical environments. Whether you are a financial institution with the need to conduct morning calls across global subsidiaries, or a C2 organisation at the forefront of response co-ordination to crises situations, the VCM enables information to be shared in an instant, with thousands of individuals, in a secure and costeffective manner. Speakerbus is one of the world s few major providers of audio conferencing over complex global hoot networks. The VCM has 20+ years proven track record of reliability within Fortune 1000 corporations including many of the world s largest investment banks. 3 Conference manager With conference manager privileges, the following functions can be performed: Conference creation Create new conferences quickly using a web browser. Conference access Add each user or group to a conference. Remove individual conference membership without changing global conference passwords. Group management Assign several users to a particular closed conference. Blast dial a number of users simultaneously. Search facility Search conference, groups, users and static lines. Conference dial out Dial out or blast dial single users or groups of users to connect to selected conferences. The blast dial can be scheduled for a future date and time or be dialed immediately. Drag a user or static line and drop into another conference. If the user does not answer the first number, it will automatically dial the backup number. Volume controls Control the volume level of individual conference participants. Use controls to address external noise and voice clarity of participants. Real-time conference monitoring Obtain a real-time view of users currently dialed into a particular conference. See when users are talking. Change users to talk/listen. Change users to talk only. Change users to listen only. Adjust gain levels (louder and quieter) Hang up users. Take individuals out of the conference via a side bar, talk to them separately, and then bring them back to the same conference. Mute individuals on the conference. Recording setup Choose the desired recording type: None Manual Voice activated Recording control Stop and start call recording using the web interface at any time, or set up the recording to automatic. Recording dial out / voice drop Automatically play recorded conferences or brief recorded messages to a group of users via the number linked to their user profile. Recording management View ordered by date and bookmark, or delete any of the recorded conferences. Continuous replay Play a recording continuously to a line for 24 hours after the call, or until a new conference is recorded during this period. Reports The following report types are available: Users Conferences Conference users Conference usage Department usage User usage Static lines by conference Static lines by port 3

4 Manage static lines Allocate available static/voip lines to a conference with privileges of talk & listen, talk only or listen only. Configure Monitor Drag & drop Choice of interactive Voice Response (IVR) / Automated Attendant Interact directly with live and recorded conferences via a telephone keypad. IVRs can be customised. Choice of access via multiple devices Access the VCM using an internal phone system (PBX), mobile phone, speaker device or dealerboard/ trading turret via hoot lines. Web-based conference administration Monitor live conferences, add, remove, mute and record conferences in real-time via a web based administration portal. Multiple access levels for greater security Different levels ensure that only users with the correct privileges can access key parts of the system. Conference participants The VCM offers secure, operator unattended, attended and reservation-less conferencing capabilities: Dial-in features Dial-in access with IVR Connect to a conference by dialing the conference number. IVR commands can be configured to guide entrance to the conference using the telephone keypad. In call control Access sidebars and send alerts to conference managers when in an attended conference. Sidebar Have a private conversation within a live conference without other members of the main conference listening. Recording access Dial in at a later date and listen to a recording of a conference call. Low latency for premium sound quality The VCM has been designed to deliver very low latency when bridging both IP and digital lines. Real-time conference monitoring 4

5 VCM Manager The conferences are configured using our web based VCM Manager that offers the following capabilities: System administration With system administrator privileges, a user can perform all functions available to a user with conference manager level access as well as the ability to: Create users Define the level of access of each system user Change the PIN code of a user Block access to the entire VCM manager system and revoke dial in access Report on departmental usage Simple and intuitive user interface Availability The VCM can be accessed from anywhere in the world with an internet connection and web browser, or the customer s secure VPN. Convenience The VCM Manager does not need additional software to be installed on the local machine. To enable live conference feedback, the system uses browser based ActiveX components which will need to be authorised for real-time conference feedback. Simple and intuitive The interface uses simple tick boxes and dropdown lists to speed up conference setup. In addition, shortcuts such as drag & drop dialing offer more efficient and faster conferencing. 5

6 Security considerations Conference security is ensured through the allocation of one of four security levels: User Conference manager System administrator System engineer Users will only be able to dial into conferences and recordings, whereas conference managers can access the web based VCM manager. Conference Managers have the ability to allocated individual pin codes and disable accounts, prohibiting unauthorised access to meetings. The next level of access system administrators allows user additions and changes. Finally, for network and system changes, system engineer privileges are required. Predefined user security privileges can be seen in the table below. Using the VCM Manager, conference managers can control access to closed conferences and monitor live conferences.
