5 About This Guide This guide explains how do install and set up the Polycom RealPresence Capture Server - Appliance Edition. This guide will step you through how to record your first video call and how to play the media file in a compatible web browser. The topics in this guide include: Chapter 1, Setting up RealPresence Capture Server, The chapter gives a general introduction of this product and describe the steps required to perform the initial installation and setup. 6 1 Setting up RealPresence Capture Server This chapter gives a general introduction of the RealPresence Capture Server and describes the steps required to perform the initial installation and setup of including: RealPresence Capture Server Introduction on page 2 Before You Start on page 3 Installing this Product on page 2 RealPresence Capture Server Introduction The RealPresence Capture Server is a network appliance that participates in standards-based video and telepresence calls, converting the video and content in those calls into live streams (for live viewing on devices with compatible web browsers) as well a video-on-demand archives for playback on video conferencing systems and devices with compatible web browsers, including tablets, smart phones, PCs, and MAC desktops. The RealPresence Capture Server is typically deployed as part of a larger Polycom RealPresence Platform, but it can be used stand-alone. The Real Presence Capture Server s full potential can best be realized when integrated with the Polycom RealPresence Media Manager. By leveraging RealPresence Capture Server with existing telepresence systems, video conferencing endpoints and video infrastructure, or familiar UC tools, organizations can easily convert real-time conferences and events into re-usable multimedia assets that can be viewed by audiences live and on-demand using a web browser. RealPresence Capture Server integrates with Polycom HDX endpoints and Polycom RMX conference platforms for automated recording and playback. Polycom, Inc. 2
7 Setting up RealPresence Capture Server RealPresence Capture Server supports H.323 and SIP standards for interoperability with third-party conferencing systems. RealPresence Capture Server is available with several licenses that control the number of video calls that can be recorded and of those calls, the number of calls that can be streamed live for viewing on web browsers. The maximum stream (live or VoD) the RealPresence Capture Server can output is 720p HD (people + content combined). RealPresence Capture Server provides access to live and video call archive streams on devices with compatible browsers including PC, MAC, ios, and Android devices RealPresence Capture Server provides access to video call archives via any standard-based endpoint. RealPresence Capture Server supports up to 4 TB storage: 4 * 3.5 inch 2 TB removable HDD with RAID 10. RealPresence Capture Server provides XML API support for third-party integrations. This API is very similar, but not identical, to the RSS 4000 API. RealPresence Capture Server is best when integrated with the Polycom RealPresence Media Manager version 6.5 (or greater) for enhanced content management, auto-publishing, and streaming scalability. Before You Start Before you start to install this product, make sure you follow these guidelines to ensure general safety and long life for the appliance: Keep the area around the RealPresence Capture Server unit clean, free of clutter, and well ventilated. Choose a suitable location for the equipment rack that will hold the RealPresence Capture Server unit and is near a grounded power outlet. Use a regulating UPS (uninterruptible power supply) to protect the RealPresence Capture Server unit from power surges and voltage spikes, and to keep it operating in case of a power failure. RealPresence Capture Server Package List Unpack the RealPresence Capture Server package and check the items included to ensure the following items should be included: One RealPresence Capture Server appliance (weighs abut 501bs) Rail-mount kit for standard 19 equipment rack Two power cables for your regional power Polycom, Inc. 3
8 RealPresence Capture Server Getting Started Guide Two RJ-45 network cables A Documentation DVD This DVD contains the links to the latest RealPresence Capture Server documentation on Polycom Support website. A piece of paper with the license information. A spare hard disk Polycom provides this spare hard drive to help ensure the data stored on your RealPresence Capture Server is always fully protected. Keep this spare drive in a safe location. In the event of a hard drive failure in your RealPresence Capture Server, warnings will appear in the server admin web console or via . See User s Guide for instructions on hard disk status and replacing failed hard disks. Take all items out of the package and check to ensure they are in proper condition. If you find damage, file a claim with the delivery carrier. Polycom is not responsible for damage sustained during shipment of this product. Installing this Product After you unpack and examine the product package and remove all of the components from their containers, you can start to install the product. To install RealPresence Capture Server: 1 Place the RealPresence Capture Server unit on a stable flat surface. 2 Peel off the protective film on the RealPresence Capture Server unit. Polycom delivers the RealPresence Capture Server with protective film on top and bottom of the appliance to protect the chassis. 3 If appropriate, install the rack-mount rail kit following the instructions provided. 4 Place the appliance in a properly ventilated equipment rack (shelf or rails) or similar environment. 5 Insert each power cable connector into the rear of the RealPresence Capture Server and connect each to an appropriately rated socket outlet. Polycom provides two power cables RealPresence Capture Server. You should connect both power cables to ensure uninterrupted operation in the case of power-supply failure. 4 Polycom, Inc.
9 Setting up RealPresence Capture Server 6 Connect a network cable to LAN 1 on the back of RealPresence Capture Server. 7 Power on the system.. In order to fully isolate the equipment during servicing or anytime you need to physically move the appliance, both power cords must be disconnected. Otherwise the system remains energized with only one plug connected. Initial System Configuration After you physically install the RealPresence Capture Server, you need to configure the system for use. You need a compatible web browser (Internet Explorer) to access and use the Administration User Interface (Hereafter referred to as Admin UI) to achieve this. The initial configuration consists of three steps: Obtaining Product Activation Key from Polycom Changing Your Computer s IP Address Configuring RealPresence Capture Server in Admin UI Obtaining Product Activation Key from Polycom When you first log into the Admin UI, you need to input the product activation key to activate the system. If you do not activate the system, you can still use the Admin UI, but the system does not allow outgoing and incoming calls. You cannot record, live stream, or play back meetings. To obtain the product activation key: 1 Enter the following website address in the address bar of the web browser: support.polycom.com. and go to Support Home. 2 Enter your address and password to log in to or register for a new account. 3 Go to Licensing & Product Registration > Activation/Upgrade. 4 Follow the page prompts step by step to generate the Key Code required for system activation. If you are required to enter the License Number and Serial Number of the system, you can find them from the document provided with RealPresence Capture Server. 5 Note down the activation key (Key Code) on the page. After you get your activation key, you need to use it to activate your system. Polycom, Inc. 5
10 RealPresence Capture Server Getting Started Guide Changing Your Computer s IP Address Before you can access the Admin UI, you need to change the IP address of your computer to make sure your computer is in the same network segment as RealPresence Capture Server. Note down your computer s IP address before changing it. You need to restore your computer to this IP address afterwards. The default IP addresses of the LAN 1 is as following: IP Address: Subnet Mask: Geteway: To change the IP address: 1 Connect your computer to the LAN 1 port of RealPresence Capture Server using a cross-over network cable. 2 Change your computer s IP address so it is within the same network segment as that of the RealPresence Capture Server s LAN 1 port. For example, change your IP address to: IP Address: (or any other xxx address that is not used.) Subnet Mask: Geteway: If you need help on how to change your computer s IP settings, please contact your system administrator. After your computer and RealPresence Capture Server are in the same network segment, you can access the RealPresence Capture Server Admin UI at After you login to the Admin UI, you can change the RealPresence Capture Server IP address to use your original network segment and change your computer s IP address back. Configuring RealPresence Capture Server in Admin UI Use the Admin UI to activate your system, change the system s initial IP, and configure the system for use in your environment. Before you start to configure RealPresence Capture Server, you need to obtain the following network information to configure the RealPresence Capture Server to your local network: 6 Polycom, Inc.
11 Setting up RealPresence Capture Server The IP address, subnet mask, and default gateway IP address you want to assign to the RealPresence Capture Server LAN ports. (Optional) Your DNS server address. Your RealPresence Capture Server is shipped with the default DNS server addresses and pre-configured. (Optional) The gatekeeper address, H.323 prefix, E.164 number, and SIP server address to be assigned to RealPresence Capture Server. To activate the system and change the system s initial IP settings from the Admin UI: 1 Connect your computer to the LAN 1 port of the RealPresence Capture Server using a cross-over network cable. 2 In your Internet Explorer, enter 3 (Optional) Click Select language and select a language for the Admin UI. 4 Enter the default administrator s user name and password (both are admin by default), and then click Log In. 5 Change your password and then click OK. 6 The Product Activation page displays when you log in for the first time. Enter the activation key and click Update. When you copy and paste activation keys, it is best to paste into Notepad first to remove any formatting and ensure no trailing spaces are left in the activation. Copy only the key, paste into the Activation field 7 When prompted to restart the system, select Reboot Later to proceed with setting the IP address. 8 Go to System Config > IP Settings and configure the network settings. Select Using the following IP radio button if you want to set a static IP to RealPresence Capture Server. Enter the IP address and subnet mask. Specify the general system network settings:» Host Name: the host name of the system.» Domain: the domain name of the system.» Default IPv4 Gateway: the address of the interface to use for accessing the IPv4 gateway.» Preferred DNS Server: the preferred DNS server address for the system to resolve domain names. 13 2 Recording and Viewing Meetings This chapter demonstrates how to record your first video call and how to play VoD and live streaming in a compatible web browser. The topics include: User Interfaces on page 9 Starting a Recording on page 10 Playing Back Media Archives on page 12 User Interfaces RealPresence Capture Server provides four interfaces that are used for specific purposes: Web-based Admin UI: Access via a compatible web browser (Internet Explorer), the Admin UI is used to configure the system, set up recording parameters, monitor system use and health, dial out to endpoints to record meetings, disconnect calls in progress, create different transcoded versions of archived calls, download media files, and give admin users a quick way to access and play archives and live streams. Web-based Viewer Portal: Accessed via compatible device/web browser (PC/MAC, ios and Android), the Viewer Portal UI is used to find, navigate, search, play archives and live streams. The viewer portal can also be used to start/schedule meeting recordings. TV user interface (also called the TVUI ): Accessed via standards-based video conferencing endpoints, this interface can be used to Record meetings, or view archives using an endpoint's remote control. Hyper terminal interface: Debug the system from the command line. For more information, see the User s Guide. Polycom, Inc. 9
14 RealPresence Capture Server Getting Started Guide Starting a Recording You can start recording in RealPresence Capture Server using one of the following methods: Calling a compatible H.323 or SIP endpoint from the RealPresence Capture Server s Admin UI (only for administrators) using a compatible browser. Calling into the RealPresence Capture Server a compatible H.323 or SIP endpoint or MCU (typically dialing from the endpoint s remote control or other control system). Configuring a Polycom RealPresence Conference Server (for example, RMX) to utilize the RealPresence Capture Server in calls via the Recording Link functionality of the MCU. To start a recording from the Admin UI (only for administrators): 1 In the Internet Explorer s address line, enter the system s IP address in this format: IP address>/rss. 2 Enter the user name and password to log in to the system. 3 Go to Admin > Dashboard. In the Signaling Connections area, click Dial out to record. 4 Configure the following settings: Table 2-1 Parameter Signal Dial Out Parameters Description Set the H.323 or SIP network type for the system to place a call. Your choice depends on the call type used by the peer device. 10 Polycom, Inc.
15 Recording and Viewing Meetings Table 2-1 Dial Out Parameters Address Type Address VRR Name Specify the address type used to call. Specify the calling address. The system supports entering the calling address with an extended service number in the address box. If you call a Polycom RMX system, you can dial into the conference held on the RMX system by entering the numbers in the following formats: [RMX E.164 prefix][room number] - Use when every system has registered to a gatekeeper. For example, if the RMX prefix is 925 and the room number is 1001, dial Note: If the conference requires a password, you can dial [RMX E.164 prefix][room number]##[password]. [room number]@ [RMX IP address] - Use when every system has enabled SIP. For example, if the room number is 1001 and RMX IP address is , dial 1001@ [RMX IP address]##[room number] - Use when a system has not been registered to a gatekeeper. For example, if the RMX IP address is and the room number is 1001, dial ##1001. Note: If the conference requires a password, you can dial [RMX IP address]##[room number]##[password]. Click Select to select a virtual recording room (VRR). You can use the built-in default VRR, or one you have created. A VRR defines recording policies. For more information, the User s Guide. 5 Click OK. 6 When the connection between RealPresence Capture Server and the endpoint is established, you can click to start recording. The recording starts immediately if Recording Immediately is enabled in the selected VRR. For more information, see the User s Guide. To start recording by dialing RealPresence Capture Server: 1 Enter the E.164 prefix or H.323 ID of RealPresence Capture Server on the remote control of an interoperable endpoint. If your system or endpoint is not registered to the gatekeeper or to a SIP server, call the system IP address instead. Polycom, Inc. 11

You can also dial in to a VRR directly to start recording by dialing one of the following: [RealPresence Capture Server IP]##[VRR number] For example, if the RealPresence Capture Server IP is , and the VRR number is 4096, dial ##4096. [RealPresence Capture Server H.323 ID][VRR number] For example, if the RealPresence Capture Server H.323 ID is rss123, and the VRR number is 4096, dial rss To start recording from RMX via recording link: If you configure the Recording Link function on the Polycom RMX series conference platform and integrate the platform with the RealPresence Capture Server, the RealPresence Capture Server can be called automatically for recording when a multi-point conference is hosted through MCU. For more information about configuring the Recording Link function on the RMX, refer to the User Guide provided with the RMX. Playing Back Media Archives You can play back recorded media archives stored in RealPresence Capture Server using one of the following methods: Playing back from the RealPresence Capture Server system s Admin UI. Playing back from RealPresence Capture Server system s Viewer Portal. Download recorded files and play back using compatible media players. For more information, see the User s Guide. To view archives and live streams, your device must turn off the pop-up blocker. For example: For ipad: From Settings > Safari, make sure the option Block Pop-ups is OFF. For Android devices: From Browser > Settings > Advanced, make sure the option Block Pop-ups is OFF. For PC Internet Explorer (version 8.0 or above): From Tools > Internet Options > Privacy, make sure the option Turn on Pop-up Blocker is NOT selected. 12 Polycom, Inc.
17 Recording and Viewing Meetings To view your archives from the Viewer Portal: 1 On a device with compatible web browser, open a supported web browser. See the Release Notes for the supported web browsers. 2 In the browser address line, enter the system s portal address, for example, IP. 3 Click Archives from the menu on the left. 4 Click the Play button of the archive that you want to play. Viewing Live Streams You can view live streams served by both RealPresence Capture Server and any pre-configured external servers by using one of the following methods: View video from the RealPresence Capture Server system s Viewer Portal. View video by calling the RealPresence Capture Server system with an interoperable endpoint. View video from the portal of external media servers, if configured. For more information, see the User s Guide. To view your live streaming from the Viewer Portal: 1 On a device with compatible web browser, open a supported web browser. See the Release Notes for the supported web browsers. 2 In the browser address line, enter the system s portal address, for example, IP. 3 Click Live Streaming from the menu on the left. 4 Click the Play button of the live streaming that you want to play.
