2 Basics of Palm Handheld Computers (for Beginners) Contents: Guides user through Basic use and Tools of the Palm Handheld Computer This class emphasizes concepts, techniques, and extensive hands on training. Designed for: Administrators, Teachers, and Staff who own or use a Palm Handheld Computer Prerequisites: Introduction to Windows 98 Student MUST bring a Palm Handheld Computer to Class. Enter and retrieve information from the Main Programs Use the Secondary Programs installed on the Palm HOTSYNC your Palm with your PC Control the HOTSYNC and the one/two way filters Install new programs on your Palm Use the Palm Desktop Programs that were included with your Palm Time: 4 hours Gary Jacobs Page 2 4/11/02

3 Activity 1 Initial Setup Now you have in the palm of your hand a small computer that weighs only four to six ounces, does not have wires attached, no disks to worry about, and no remember to save your work reminders. It is fast to boot (start) and quick on all internal operations. In the future we can look forward to items such as built in GPS with maps to guide us, unlimited internet anywhere connection, and best of all, voice recognition (maybe?) Now, how hard is it to set up? We all remember setting up our personal computers, how does this device compare? Let s do it! When you first start your Palm handheld Personal Digital Assistant (PDA), you will automatically enter the setup program. Or in the upper right hand corner of your screen tap the word showing, then from the list choose SYSTEM then the PREF icon (picture). Remove the stylus (stick like pointer) from the side of your Palm Tap anywhere on the screen to start the Setup Program Following the Setup directions, tap the X shaped diagram in the center for each X shown. The next screen allows you to set the General Preferences including time and date. Tap once with the stylus on the numbers to the right of Set Time. Now tap the hour number (if not highlighted); the triangles next to the time allow you to change the numbers upward (greater) or downward (less) until you reach the correct time. Tap AM or PM as appropriate. Now tap OK. To set the date tap the numbers to the right of Set Date. Use the triangles to correct the year, then tap the correct month and day in the calendar. Click the Home (house) button on the lower left to return to your last menu. Gary Jacobs Page 3 4/11/02

4 Activity 2 A Very Short Tour of Your Palm Applications If you have ever used a handheld organizer or basic organizer programs on a computer, the next screens will be very familiar. If you have been using a Rolladex type of device, this will also be recognizable. If not, relax, this is very simple. Address Book: o First push down once on the address book button in the lower left corner (second button from the left) of your Palm o Now tap the NEW button on the screen with your styles o Tap the ABC Dot in the lower left corner of the screen o Use the keyboard that pops up to type in (your) last name; be sure to tap the SHIFT key before the first letter of your name to capitalize it o Tap on the line next to First Name. Again enter your data by tapping on the keyboard o Repeat this process until you have filled in all of the desired fields of data Use the 123 DOT button for NUMBERS o Be sure to use the downward pointing triangle in the lower right corner of the screen for additional items, if necessary o Click on the DONE button on the screen when finished Starts Typewriter Keyboards Starts Address Book and On Switch Gary Jacobs Page 4 4/11/02

5 Activity 3 Tour of Applications Date Book: o First push down once on the date book button in the lower left corner (first button from the left) of your Palm o Choose date to edit by tapping on the GO TO button on the screen o Tap on the desired month o Tap on the day to edit o Tap on the time you want to start Tap on the numbers of the time you want to start (1) Tap on the box with the START time (2) and choose from the columns of numbers on the left (3) Tap on the END time number box (4) and again choose from the columns of numbers on the left Choose OK to save times or CANCEL to abort Gary Jacobs Page 5 4/11/02

6 Now type in your activity by o Tapping to the right of the START time o Tap the abc Dot o Tap the SHIFT key first to capitalize o Type in the rest of your appointment information o If you need numbers, tap the 123 Dot and use this keypad Tap the DONE button when finished Gary Jacobs Page 6 4/11/02

7 Activity 4 Setting ALARMS and making NOTES to your schedule Tap on the START time Tap the DETAILS button Tap in the TIME box and set the time to when you want the ALARM to start Tap the ALARM box to check it (turn it on) Tap the NOTE button in the lower right corner of the screen and type in your note Tap the DONE button to save the information Note the paper square and the clock to the right, this indicates you have a memo and have set the alarm Gary Jacobs Page 7 4/11/02

8 Activity 5 Daily, Weekly, and Monthly Views Note the three squares in the lower left portion of your screen just above the Home (house) button. They stand of Daily, Weekly, and Monthly views. Tap the weekly square first, then the monthly square. o Note that detail becomes minimal Note: Small Plus Signs will appear when you schedule an all day activity on the monthly calendar only if you turn them on tap Menu => Options => Display Options and check the boxes Gary Jacobs Page 8 4/11/02

9 Activity 6 Memo Pad: Push the plastic button in the lower right hand corner of your Palm You are now viewing the first line of information for each item entered Tap a line number to open and read any memo Tap the NEW button on the screen to create a new memo If you wish to be Fontsy and change the font on your title or work you can do so with a font pull down menu from the pull down list button on the lower left of the screen, tap the Options pull down at the top of the screen and choose font (from the three choices) Create your own memo on what you need to know before leaving this class (make it a short list, please) Gary Jacobs Page 9 4/11/02

10 Activity 7 Categories for Memos, Addresses, etc. Open up a memo or address by taping on an item Tap on the word UNFILED in the upper right hand corner of the screen In the pull down menu either select a category or tap on edit categories to create new categories Note: Be sure to click on OK button and/or Done button when finished to save your work Gary Jacobs Page 10 4/11/02

11 Activity 8 To Do Lists Tap your To Do List plastic button (second from right on bottom) You are now viewing the first line of information for each item entered Tap a line number to open and read any item on the list Tap the NEW button on the screen to create a new memo If you wish to be Fontsy and change the font on your title or work you can do so with a font pull down menu from the pull down list button on the lower left of the screen, tap the Options pull down at the top of the screen and choose font (from the three choices) Create your own TO DO on what you need to know to do this weekend (make it a short list, please) Category # Gary Jacobs Page 11 4/11/02

12 Activity 9 Sorting the whole mess You can sort the lists by going to the SHOW button Select the SORT by pull down Choose which sort types you wish from the list You can also check off record and show options listed Be sure to tap OK Gary Jacobs Page 12 4/11/02

13 Activity 10 Additional Programs Calculator Tap the screen Calculator button in the lower right portion of your Palm OR tap your home button until the CALC icon appears, then tap it You may use your stylus, the eraser end of a pencil, or your finger to work the extra large buttons on this screen (make sure the latter two items are CLEAN) This unit works as a normal calculator with the standard four functions, memory, and percentage. To see an electronic tape of your multiple entries you can either: o Tap menu => Options => Recent Calculations OR o In the Graffiti Area draw a diagonal line from bottom to top, then draw the letter I, either one will produce the result below Gary Jacobs Page 13 4/11/02

14 Activity 11 Expense Log Tap the Applications button or Home button on the screen Tap the Expense Icon On the blank screen tap the NEW button and correct the date of entry if necessary Tap Expense Type and pick from list or use OTHER item In order to change the Name of the Expense tap the ALL or category name at the top right of the screen Choose a trip or choose EDIT CATAGORIES to enter a new name Gary Jacobs Page 14 4/11/02

15 Activity 12 HotSync, hot stuff HotSync The process of transferring data to and from the Palm. Simple one button process. Examines individual data, not just a Dump. Sync on standard serial port, Apple serial port (ADB)*, USB Serial port*, or Infra Red port*. HotSync with Microsoft Outlook or Palm Desktop Software. Initial Setup HotSync Setup Questions U Pick (like tomatoes) Software to communicate with (Outlook or Palm) transfer (caution) User s Name on Palm Handheld Port used by portable or cradle cable Hot Software Setup Program o PC with Windows START => Programs => Palm => HotSync o Apple Palm Icon on top right corner of screen => HotSync Gary Jacobs Page 15 4/11/02

16 Activity 13 HotSync Software Setup To activate the Palm Software Setup Dialog Box On a PC simply press the HotSync button on the cradle with the Palm on the cradle With an Apple Computer, select the Palm Icon in the upper right corner of your screen You now have four tabs at the top to select your Setup categories In the General Tab choose when you want HotSync to be active On the Local Tab choose your port and speed for a direct connection Gary Jacobs Page 16 4/11/02

17 Use the Modem Tab to choose your post, speed, modem type, and setup commands (D. C. Hayes type commands) Remember, you can connect via direct connection or Modem Finally, select the network tab at the top and select the box next to the user name you are connecting with, also you may adjust some TCP/IP settings with that button at the bottom of the screen Gary Jacobs Page 17 4/11/02

18 Activity 14 Conduits or Whoa Nelley You need to control the flow of information into and out of your Palm have it YOUR way. Before HotSyncing your Palm always check and set your conduits. A conduit is a software control to specify the direction and priority of data flow of each feature ex: memo pad, calendar, or address book. With a PC, RIGHT Click on the HotSync Icon on your task bar and select Custom Using an Apple, Click on the Palm pull down menu in the upper right corner, then choose Conduits First select your conduit by highlighting it Next, choose the change button Now pick the flow direction(s) desired Gary Jacobs Page 18 4/11/02

19 Double check the diagrams to the left of your choice to make sure that your direction(s) are correct Use the little Set as default box to the right and under the Cancel button, if you want this to work more than just one time Press the OK button to save the information Gary Jacobs Page 19 4/11/02

20 Activity 15 Info Screen All you ever wanted to know How much memory does my Palm have left in it? What are the versions of my programs? These and many more statistics are available. Tap the Applications (Home) Icon on the screen Tap the (Pull Down) Menu on the screen under the Applications Icon in the lower left portion of the screen Now choose the way you wish to view the programs or memory Gary Jacobs Page 20 4/11/02

21 Activity 16 using your PC There are two routes to using your Palm. Using the Palm VI you can communicate directly to the Internet with it s included two way radio (the Palm V can have the two way radio added for approximately $170). You can also receive, send, and edit mail for the Palm using your own PC, Apple, Linux, or Unix microcomputer. In this session we will deal only with the Palm-To-PC method. 22 Setup PC to Palm is setup using the Palm Desktop Software that comes with the Palm and is installed on your PC (the Palm program is already installed). Install your Palm Desktop Software. In this process you are asked to setup your . If you said NO then simply go to Start => Programs => Palm Desktop => Mail Setup and the program wizard will guide you through the setup Gary Jacobs Page 22 4/11/02

23 To Use the on the Palm First set your conduit preferences for the mail in the Palm Desktop Software on your PC Tap the Mail Icon on your Palm Handheld in the ALL and MAIN Categories in the upper right hand corner of your screen Activity 17 To Receive Mail Select the mail to be transferred on your PC in your INBOX, delete or move unwanted before transfer (HotSync) Make sure your HotSync is turned on in your PC Press the Hot Sync button on your Cradle That is it! Activity 18 To Send Mail Tap the ALL or Main pull down in the Applications screen of your Palm Tap the MAIL icon, then Tap the NEW button on the screen Tap DETAILS Gary Jacobs Page 23 4/11/02

24 Make your choices in DETAILS then tap OK Double tap on the TO button and the TO screen will appear If your name is in your address book tap the LOOKUP button and double tap on the desired addressee If your addressee is not in the address book then type it in manually on the TO screen Tap DONE to return to the MAIL screen Fill in the SUBJECT Fill in your message on the BODY lines about this overview training Tap Send and HotSync Gary Jacobs Page 24 4/11/02

25 Activity 19 Control of your HotSync Filter with emphasis on (prevent crisis management) You can control your flow with the HotSync FILTER To get to the FILTER, tap the MAIL Icon In MAIL tap MENU button then the OPTIONS pull down and finally the HotSync Options selections Gary Jacobs Page 25 4/11/02

26 Activity 20 Installing NEW Programs (WINDOWS 9x Style) Place your Palm computer in the cradle Copy the new program (.prc) into the ADD-ON folder located in your PALM FOLDER on your PC (this is where the install program looks for new files) Start the Palm Desktop Program Shortcut OR go the START => PROGRAMS => PALM DESKTOP => INSTALL TOOL Click on the INSTALL button in the lower left of the screen of the Palm Desktop Program Gary Jacobs Page 26 4/11/02

27 If you are using more than one Palm Handheld, specify the desired on in the top box marked USER, next: The lower box is probably empty, so click the ADD button on the right A list of the programs placed in the ADD-ON folder of the Palm directory will now appear DOUBLE Click on the program you wish to install OR locate the program you wish using the OPEN dialog box and Double Click on your choice Return to the main screen and repeat for additional programs to install Finally choose the DONE button Click OK to acknowledge the next HotSync will update your Palm Handheld Gary Jacobs Page 27 4/11/02

28 Activity 20 Macintosh Installing Palm programs using an Apple Macintosh Click on the Palm Menu Bar in the top right corner of your Apple Desktop Pull down to HotSync Manager Choose the USER if necessary (multiple Palm Handhelds ) Click on OK Go to the Install Handheld Files folder in the Palm Folder Click on the ADD pull down to LIST In the OPEN dialog box go to the folder of the new downloaded program Double click on the new program Repeat for more programs Close all folders when finished, on the next HotSync your programs will be installed OR o Simply drag your new program from the Apple Desktop into the Install Window or then onto the HotSync Manager Icon or onto the Files to Install Folder o Now to a HotSync to install Gary Jacobs Page 28 4/11/02
