1 Self-service information is based on general system setup, employee information, and employee-specific payroll information. Settings are available to update site configuration options, public site content, content specifically for Employee Self Service, workflow steps and approvals. Site Branding site logos Logos Setup To set up custom logos and icons for a system, use the Logos page. The Logos page includes logo specifications for best results, and describes the purpose of each image. For branding, the Main Page Logo (180x48 image as a png file) and Login Logo (1000x300 image as a png file) are the most important. Employee Self Service Setup 1. Format each image as needed. Optionally, right click on an image and download it to get an example of the size and format. If someone else is formatting the logos for you or you would prefer to work from a list, optionally, use your web browser's print options to print a copy of the page to PDF or paper. 2. After you have a logo that meets suggested size, go to that item on the Logos, and Browse for the file and select it. 3. To save your changes, near the top of the screen, click on the "Save Logos" button and confirm that you want to save. 2 Branding site colors Customize Skin Skin Configuration For self service website skin configuration, mark "Yes" for ESS View. This will open a preview of the website skin configuration in a preview for employee self service. To change the default theme, select the "Default" theme. By default, it has the checkbox selected for "Set as Default Public Skin". To change the color of the top of the page for ESS, change the "Top Menu Color" to update the background color for the upper section. For the larger footer background color, click on "Footer 1 Color". The bottom-most footer is Footer 2. For the main site, update the Header 1 and 2 as needed. Tip: The listed options choose a color swatch or add a new color. Any hex color or RGB color can be used. Ask the client's website designer and/or use com/colors/colors_picker.asp as a reference for hex or RGB colors PeopleGuru, Inc. 2 Guru Guide

3 Branding System Title in browser tab System Settings> System Title field In the System Settings, update the "System Title". Save changes. About Page Content and Portal Social Media Links (for Public Site and Self Service for Employees and Candidates) Public Site Images for Public Page Gallery The Gallery stores any images your organization has added for use on the public page or in system-generated letters. 4 Public Site About Us/About Working Here Screen Designer From the Screen Designer, select the Screen Type of "Public", and select the "Public About Us" page. Click on "Edit Screen". The page opens a popup tab. Click within the area that you want to edit. The controls display. To add an image from the gallery, click on the picture icon. The gallery opens. Click on the image and click on the Insert button. After the image is inserted, click on it, and adjust the size. Make changes, and save as needed. 5 Public Site Social Media Icons Screen Designer The social media icons for the public pages and employee self service can be edited through the screen designer. From the Screen Designer, select the Screen Type of "Public". As the Public Page, select the "Public About Us" page. Click on "Edit Screen". The page opens a popup tab. Click on the social media icon that you want to edit. To see the link content, click on the Toggle HTML icon. Update the "href" to have the correct link. 6 Public Site Content (also Used for Employee Self Service) The public site is available from the same default website address with "/System/Start_public/pub_index.aspx" at the end. So, the public site for salesguru.ourhcm.com is: Public Site Content Company Locations Public Locations Define the public locations on the Public Location Codes table. 7 Public Site Content Our Team site Bios The Our Team page is for the leadership team for larger organizations and may be the whole organization for smaller ones. Payroll & HR Enterprise Our Team: From site Bios site bios are listed in order by code number, with the first in the upper left corner. Add and de-activate records as needed. In the Social Media Link 1 to 6 fields, define each social media links. See an existing record or the help system for the social link syntax for website bios. For the public photo, click on Edit, and then click on the public photo and upload it. The images typically display as up to 112 x 112px on a standard monitor. For best results include a larger, square image. Tip: If you need to replace a website bio photo, access the Attachments for the record from the list of site Bios records. Delete each photo attachment for the website bio record. Use an attachment description of photo, and upload the new photo. Company Timeline Daily Feed An organization's content that is posted to "Public" displays on both the Company Timeline and the Daily Feed. If there is no content available, the following displays: "We could not find any content at this time. Please check back later." 8 Public Site Content Open Jobs Requisition Setup Requisition codes provide open job information. See recruitment setup for the configuration of the application to submit a resume. 9 Content to embed in letters Gallery To embed content into system generated letters, add logos and other content to the company gallery. Payroll & HR Enterprise Company> System Setup> Gallery Personal Documents System Generated Letters For self-service generation of verification letters, setup System Generated Letters records. These can be used for income verification or other verification purposes. Organization Chart for Employee Self Service and Other s Organizational Chart Positions and Supervisor Codes The self-service Organizational chart is based on each employee's primary Position Assignment detail record. By default, the chart shows the direct supervisor and co-workers who report to the same supervisor. For this to be effective, a Supervisor code needs to exist for each supervisor, and employee who is the supervisor needs to be identified in the Employee field on each Supervisor code record. 10 Access Access Menus Menu Setup To configure menu options per role, use the 's menu setup. Edit Menus 1. To edit a menu, select the in the "Edit Menus" side of the screen. 2. Optionally, select a reference on the "System Menus" side of the screen, by selecting a role to reference. 3. In the Default Landing Page section, select a menu item, such as the Daily Feed. 4. In the Define Menu Item Section, review the listed menu items. Items within a menu section are indented compared to that section. To edit a menu item, click on that item, and change the caption or selected action. To delete a menu option, click on it's trashcan. Move a menu option by clicking on it and dragging it into position. 5. To keep any changes made, click on the Save Menu button.. 11 Access Profile Access Form Security To restrict a section on the employee profile for an Employee Self Service role (all sections except the availability section): List of ESS profile sections for Form Security restrictions: Person Resume Education Detail Certification Detail Skills Detail Person Experience Person Honors and Awards Person References EE ACH Changes edocuments Employee Family Employee Time-Off Request Employee Checkin Work Employee Deductions Detail (to control add, edit, etc.) Form Security Example 1: Hide Add, Edit, and Delete for the Person Resume 1. Go to Form Security, and select the form that represents the section. (See the list of sections.) 2. Select EMPLOYEE, Employee Security as the security group and All Objects as Object Type. 3. Either: a. Hide the Add, Edit and/or Delete toolbar button, and click Save Changes (as seen in example 1). This disables the add, edit and/or delete function for that section on the employee profile for ESS. b. 14 Coworkers Form Security The Coworkers information can be configured to hide contact information and information on the Coworker's profile. Access To setup security on the Coworkers information, hide fields for the EMPLOYEE security group on the Employee Master: Employee Master's Tab 1: 1, work phone, and cell phone Employee Master's Tab 2: Hire Date Employee Master's Tab 3: Company code and Employment Type Employee Master's Tab 4: Job Title, Department, Location, Position, Supervisor, Tier 3, Tier 4, and Workers Comp Code In this case, hiding the fields on the Master tabs for the EMPLOYEE security group will hide both the field and the corresponding label on the self service Coworkers page. Approvals and Notifications Approvals and Notifications Default supervisor Supervisor Codes On the Supervisor Codes table, the DEFAULT supervisor code needs to be an employee in the system. Payroll & HR Enterprise Approval Policies System Workflow Set up approval policies through System Workflow. Payroll & HR Enterprise/ Form Security Form Security Associate approval policies with actions via Form Security. Use System Notifications Setup to define which notifications to send, how, and to whom.
