4 Introduction This document is intended for IT administrators and end-users of Salesnet CRM. The release is focused on making the Salesnet CRM application easier to learn and more efficient to use. The update should not require any specific training and should be very easy for existing Salesnet CRM users to adopt. This release is potentially very transparent to users, but extremely valuable when adopted. We encourage everyone to explore the functionality available by right-clicking on the records listed on each of the main tabs within the application. In almost every case, the number of clicks to reach desired functionality has been more than cut in half. While most of this release is focused on Direct Access functions, another high-traffic area was optimized to substantially improve user experience in the area of Opportunity Step activities. Salesnet CRM administrators should review the changes to this workflow noting the possible repositioning of the Opportunity Finish Date field from SmartForms to the standard section of the form (Next Step Activity). Details regarding this update are covered in greater detail within this document. 4 P a g e
5 Salesnet CRM users most frequently work with the main tabs in the application such as contacts, accounts, etc. The objective of all Direct Access functionality is to provide a more direct path to commonly used functions and high-traffic workflows. The following sections outline this valuable addition to the application. Overview is a type of functionality that will be increasingly expanded throughout many areas of the Salesnet CRM application. The Direct Access functions in this release focus on two primary areas: Main Tab records and Default Tab for login. To access this new functionality, a user simply right-clicks while over the tab or record of interest and is presented with available and context-appropriate menu choices. Direct Access makes the application easier to learn and more efficient to use. The following sections outline key points regarding the use of this new functionality. Main Tab Record Menus Salesnet CRM Main Tabs are the primary tabs in the application: Contacts, Accounts, Opportunities, Leads, and Campaigns. Custom terms and usage may vary between companies, but most users exercise these tabs to some extent. Direct Access Main Tab menus are summarized by the following key points: Main Tab menus include all functions accessible from the detail pages for main tab records. Menus selections are dynamic both in available selections and state of the selection. All privileges and permissions are observed and menu selections adjusted accordingly. Menu items are greyed-out when unavailable or inappropriate for context. Menu selections observe custom terms. Menu selections are logically grouped with most specific and highest traffic items at the top and common items below. Please reference the screenshot below for an overview of Direct Access Main Tab menus: 5 P a g e
6 Functions specific to each tab are grouped and positioned at top of menu Custom Terms are observed Functions common to all tabs are grouped Privileges and permissions are observed Go directly to all detail functions for any Main Tab record Selecting Direct Access menu items take users directly to the desired page instead of access via the detail page tabs which may be several clicks away. This saves users valuable time and helps new users learn functions available to them for each type of record. simply increases user acceptance and improves efficiency for everyone. 6 P a g e
7 Default Tab Selection for Login The Default Tab Selection for Login provides users with the ability to choose where they land upon logging into Salesnet CRM. Simply right-click on the tab desired for login and choose This Tab (xxxx). Simply right-click on desired tab for login and make selection If you wish to have Salesnet CRM return you to the last tab you accessed, simply rightclick on any tab and select Last Accessed. Default Tab Administration The Default Tab for Login selection is included as a user profile option and accordingly available for management through Salesnet CRM privilege profiles. New Login section allows for privilege profile management of login routing functionality. 7 P a g e
8 Opportunity Step Enhancements The following sections provide details regarding enhancements to the former Add Activity functionality. Please reference the screenshot below to see highlights of the changes: Add Activity Renamed to Record Activity Opportunity Finish Date is automatically adjusted and notification message is presented as user modifies other date values on the form Opportunity Finish Date added to Next Step Activity Date selection limited to valid date ranges SmartForms are more clearly differentiated from the fixed portion of the form The improvements to the Record Activity workflow shown above are covered in greater detail in the following sections. 8 P a g e
9 Add Activity Renamed to Record Activity The labeling and naming of the Add Activity functionality was somewhat of a misnomer and has been more appropriately changed to Record Activity. This change has been made on the Opportunity Detail page Opportunity Steps tab and the new Direct Access menu item. Add Activity button relabeled to Record Activity Additionally, date selection constraints have been added to the selection for Completed Date in an effort to provide a more intuitive and user-friendly interface. Users cannot select a date into the future for Completed Date. Opportunity Finish Date Added to Next Step Activity In an effort to simplify working with Opportunity-related dates, the Opportunity Finish Date was added as a standard field within the Next Step Activity section of the form. This provides the user with visibility and access to all dates related to the Activity Completed Date. Opportunity Finish Date added to Next Step Activity section of Record Activity Form 9 P a g e
10 Given that the Opportunity Finish date is now present on the form, it was necessarily removed from all SmartForm layouts in the system as a part of this release. Additionally, Opportunity Finish date will no longer be provided as a field selection when building SmartForms. Opportunity Finish Date Automatically Adjusted One of the most valuable additions to this area of the application is the automatic adjustment of the Opportunity Finish Date based on changes to Next Activity and Completed Dates. Immediate messaging to users is provided when dates are automatically adjusted Opportunity Finish Date is automatically adjusted based on changes to other dates Improved Date Selection Interactions/Messaging With this release of Salesnet CRM, the user experience around recording activities specifically date selection has been dramatically improved. When appropriate dependent dates are automatically modified, messages to that effect are presented clearly to the user directly beside the modified date or dates. (see screenshot in above section) SmartForm Sections Differentiated SmartForm header color and labeling were modified to provide more clear differentiation between standard system information and customer configured fields (Salesnet CRM SmartForms ). 10 P a g e
